Letter from Principal On becoming a staff member at Kincoppal-Rose Bay School of the Sacred Heart, you will experience a unique educational community. The inspiration and focus of the School is embodied in the School's motto ‘Cor Unum’, One Heart and One Mind. The ideals of a Sacred Heart education and the charism of the Society are expressed in five goals: • The development of a personal and relevant faith • A deep respect for intellectual values • The building of community as a Christian value • A social awareness which impels to action • Personal growth in an atmosphere of wise freedom These goals underpin all we value at KRB. We expect all staff to understand them and commit to living out the focus goals each year. The School is committed to working towards the criteria by which these goals can be achieved. Kincoppal-Rose Bay School is a member of an international network of schools conducted by the Society of the Sacred Heart, established by Saint Madeleine Sophie Barat in Paris, France in 1800. Kincoppal-Rose Bay is a member of ANZNET which is an association of four schools; Baradene College in Auckland, Sacre Coeur in Melbourne and Stuartholme in Brisbane. The Convent of the Sacred Heart was founded at Rose Bay in 1882 and Kincoppal was established at Elizabeth Bay in 1909. In 1971 the two schools were amalgamated and today, Kincoppal-Rose Bay School (known as KRB) comprises a co-educational Junior School catering for age 3 to 12 years old day students, and a Senior School for girls, with both day and boarding students. KRB offers a Catholic education in the Sacred Heart tradition and is underpinned by the five Sacred Heart goals. In 1882 the Society of the Sacred Heart purchased the original main building called Claremont. Since then considerable expansion has taken place which would make the original five pioneering nuns who arrived in 1882 very proud of their extraordinary endeavor. In 1888 the five level central façade was built. The Chapel, a masterpiece of architect John Horbury Hunt, was commenced in 1897 and completed in 1900. Buildings were gradually added to meet the needs of School, community and novitiate. The Secondary School was a full boarding school until the 1960s, when day students were then introduced. The Junior School was located in the main school building until 1951 when an adjoining property, an Italian Villa, was purchased. The building was set up as a primary school and named Barat-Burn and was demolished and replaced with the present Junior School in 1966. Sophie’s Cottage, housing our youngest learners at ages 3 and 4, was opened in 2015. 1
2019 saw a new chapter in the governance of the School with the development of Sophia Education Ministries. This PPJP (Papal Public Juridic Person) under canon law is responsible for the governance of the three Sacred Heart schools in Australia. We aim to develop the confidence, resilience, persistence and compassion of our students so they in turn will be able to transform the communities they will live in. We do this by providing an all-round education with a wide curriculum and many cocurricular opportunities. In keeping with our motto ‘Cor Unum’, One Heart and One Mind, the School encourages the pursuit of excellence among its students. We actively work to support them to be the best they can be. We expect our Staff to be experts in their field, generous, open and committed to challenging and supporting our students. We also expect staff to know our students and communicate actively with their parents. St Madeleine Sophie said ‘I would have founded the Society for the sake of one child’. This reminds us of the focus Madeleine Sophie had on each individual. We take great pride in building authentic relationships within the community. Sacred Heart School Goals The philosophy that is characteristic of Sacred Heart education is expressed in the five goals. We include below the abbreviated version of the goals. The students are invited to reflect on their life experiences in the light of the scriptures so as to deepen the Christian meaning of their lives. 2. A Deep Respect for Intellectual Values We encourage our students to enjoy learning, to find it a meaningful experience and understand that learning involves many experiences beyond the classroom. We hope they will leave us possessing a life-long love of learning. The organisation of our teaching/learning program is designed to encourage each student to learn to the best of his/her ability. 3. ASPIRE ASPIRE is the School’s Learning Management and Communications software. Accessed via password it is the primary communication tool for important staff information. Key functions of ASPIRE include News, Staff Services, Curriculum, Academic Care, Daily Organisation.
Behaviour Management Policy Outlined on ASPIRE and in the student diary, this policy aims to develop positive relationships between all members of the KRB Community, and promote high standards of personal responsibility. Expected behaviour is based on the goals of a Sacred Heart education, with exemplary students in Years 3 to 12 receiving a Sacred Heart Award each year. This is the School’s highest honour, and is presented by a Sister of the Sacred Heart. Procedures for acknowledging good / dealing with inappropriate behaviour, and definitions are on ASPIRE

Classroom Etiquette Classrooms are shared spaces across the School. It is therefore important that teachers in classrooms should: • Open windows for adequate ventilation •
Ensure that the students maintain the classroom in a neat and tidy state

Clean the board at the end of the lesson
•
Notify any maintenance issues/ cleaning issues via the maintenance request portal on ASPIRE
At the end of each day, the teacher using a classroom (or room for the last timetabled lesson) should attend to the following: • Windows and doors closed • Lights turned off • Heaters/fans turned off • Projectors shut down • Machinery and other Technology safely turned off • Room tidied and chairs placed under tables. • Damaged furniture or fittings reported to the Campus Manager Scott Swann • Room locked as appropriate e.g. Science Labs and Technology Rooms When classrooms are used outside the school timetable, the teacher in charge of the event is to ensure that the above measures are attended to.
Continuing Professional Development Opportunities will be available for teachers to attend workshops and professional learning during the holidays, weekends or after school hours in areas including diverse leaning, gifted and talented education, technology integration, pastoral care and student management, emotional intelligence and subject specific development. Tuesday afternoons have been allocated for Staff Professional Development, teaching staff are expected to be at school until 5pm on this day to attend faculty meetings, staff meetings and engage in other informal collaborative learning opportunities. Stages may wish to use the time to work on structured curriculum projects within their own Faculty/Stage. Teachers may also attend courses through external professional development providers or by furthering their qualifications through tertiary institutions. To apply for school-funded professional learning courses staff are asked to complete a form available on ASPIRE. Teaching staff are obligated to complete professional learning that is relevant to the NSW Teaching Standards in order to maintain their teacher accreditation with NESA.
Counsellors Working in the Junior and Senior Schools and with both day students and boarders, the School Counsellors work to referrals from teachers, executive staff, parents, and Senior School students, and consult on pastoral care programs, school policies and parenting issues • emotional difficulties (sadness, grief, stress, anxiety or anger)

Although the Counsellors offer confidential services, duty of care requirements and the Children and Young Persons Act give them a mandatory reporting obligation to break confidentiality and disclose information if there are reasonable grounds to believe: • a student is at risk of harm to themselves or others (or from others) • a serious crime has been committed • a subpoena requires that the School Counsellor presents documents in Court Before working with junior students, the Counsellors are also required to ensure voluntary and informed consent is obtained from parents. Senior students can make their own choice on seeing Counsellors and depending on the issue / their age, can also elect who to inform.
COVID-19 Protocols Staff at KRB are required to be double vaccinated against COVID-19 and the School requires evidence of this in the form of a staff member’s vaccination certificate. All staff need to check-in to KRB via the Service NSW App on arrival at School. Staff should ensure that they are well when they come to school and have no respiratory or other symptoms of the disease. If a staff member is unwell, they must seek a COVID-test at the earliest opportunity and on receipt of a negative test result return to work. The test may be a PCR test or a Rapid Antigen Test. A screenshot copy of the negative result must be shared with the Deputy Principal (Senior School) and the Head of Junior School (Junior School). In 2022 staff will be required to notify the School if they return a positive RAT. This may be done via the KRB App or using the relevant link on ASPIRE Staff who have concerns about COVID-19 and their ability to perform their duties should speak with the Deputy Principal (Senior School) and the Head of Junior School (Junior School). All staff should be very conscious of hygiene protocols and regularly use wash their hands and use hand sanitizer. Physical distancing protocols should be observed. Staff should be proactive in ensuring adequate ventilation at all times and should ensure that windows are opened when rooms are occupied. Students are to use wipes to clean down desks and chairs at the end of each lesson (Senior School) and end of day (Junior School). It is a teacher’s responsibility to ensure that this occurs. Staff who use common areas/ facilities should use wipes after they have used the facility. Staff are obliged to have reliable internet access at home so as to ensure their duties can be carried out remotely in the case of a school shut-down. Staff should ensure that they have their laptop with them at home in the case of the school needing to shutdown with minimum notice. As at the beginning of 2022, staff are required to wear masks in classrooms and in shared spaces such as offices, corridors and bathrooms. Staff should wear masks on all KRB buses and public transport.

CPR and First Aid Teachers must renew their CPR certificate each year, and hold a current First Aid Certificate, completed every three years. It is mandatory for all boarding staff, bus drivers, PE/sports staff, and teaching staff. Teaching staff are asked to provide valid certificates at the time of their employment so these can be loaded into the system. Training sessions will also be arranged for staff throughout the school year.
Daily Routines Senior Teachers 1. Class Rolls • Take roll at beginning of each period and enter details in the ASPIRE database • Alert Student Reception immediately if there are any concerns in relation to a student • Do not admit latecomers to class without checking diaries signed by Student Services • Check Attendance Sheet emailed by Student Services Officer each afternoon, match against class rolls, and follow up any anomalies. 2. Supervision Duties – Playground, Bus, Senior Study Centre • Enter your duties into your School Diary/timetable • Ensure prompt attendance at all times (important under your duty of care) • Ensure students are out of the building during recess and lunch breaks • Insist on students cleaning up all playground areas • Insist on students being sun-safe and wearing their hats

Diaries School diaries are issued to students to assist in the organisation of study time and homework commitments, and when well-maintained serve as a record of a student’s academic endeavours for the year. As official school documents, diaries also serve as an additional communication vehicle between School and home by allowing teachers and parents to write short notes in the space provided. School dairies are not personal diaries and students should purchase their own private journal to record personal jottings, friends’ birthdays, phone numbers, or paste in pictures. Teachers should familiarise themselves with relevant sections of the diary e.g. school rules and procedures, academic guidelines, work due/recording marks, and planning out of school activities. They should also ensure students understand the relevant sections, and encourage them to use their diaries to plan homework/other activities and sufficient time for relaxation.
Duty Teachers have a duty of care to take reasonable precautions to provide for the safety of pupils. Although law allows for the unexpected, and takes into account the propensity of students to take risks, teachers must take all reasonable steps to prevent students suffering injury from physical objects, the actions of other students, or a combination of the two. Failure to attend duty supervision is a serious breach of duty of care obligations. Under no circumstances may a teacher leave an unsupervised playground, and should send a student-to-Student Services to follow up. Teachers are also responsible for checking daily staff replacement lists on the staff portal and on ASPIRE for any changes to the duty roster.

Supervision has three basic components as follows: • Presence and Attentiveness Teachers are responsible for being at their designated duty on time. Whilst on duty, they should practice active supervision by walking around the designated area, and not engage in conversation with other staff on duty. If students are sitting out of the duty teacher’s line of sight, then those students should be moved into a more appropriate position. • Monitoring and Intervention Teachers should monitor student behavior and intervene as appropriate (e.g. students sitting on their own). Teachers should also be aware of the Behaviour Management and Positive Peer Relations policies. Inappropriate behaviour or any other student issue should be reported directly to the Year Coordinator or Classroom Teacher. Teachers on duty should also be monitoring uniform, including the wearing of hats and should always take a Uniform Infringement Booklet to playground duty. • Responding Appropriately to Accidents and Emergencies Teachers are encouraged to take their mobile phone with them to duty if possible. Should an accident or emergency occur they should phone or send a student to Senior School, Junior School or Student Reception, state the nature of the accident or emergency, and ask for the appropriate assistance.

Email Students from Years 3-12 have school-based e-mail addresses. Teachers are advised to check with the Year Coordinator in the Senior School and the Stage Coordinator in the Junior School to confirm student e-mail addresses. It is School protocol that staff will respond to emails promptly.
Excursions All excursions for the Senior School must be approved by the Head of Curriculum, and supported by an appropriate risk assessment. Junior School excursions must be approved by the Assistant Head of Junior School.
Extended Day Enrolment Program From Mondays to Thursday during term time, the Mary Agnes O'Neil Library is open until 8:30pm (closed from 5.45 to 6.30pm for the dinner break). Term 1 2022, it will be open until 6.00pm This facility is used extensively by day students and boarders, who benefit from having access to resources and technology. Teacher-librarians are also on hand to assist with research and assignment preparation.
Health Care Centre (HCC) The KRB Health Care Centre (HCC) is located in front of Student Reception in the Senior School. This operates as a clinic for P-12 students (and staff), and is open from Monday to Friday during term time as follows: • 8.00 to 11. 4.00 pm • 4.00-7.45pm (Monday to Thursday) Junior School Health Care Room (JSHCR) is staffed as a first aid facility from 10.15am until 3.00pm. This smaller facility is located near the fire stairs on Level 2. Visits to the HCC should be limited to recess, lunch or before/after school. If students must attend during class time, they need to obtain a notation in their diary from their class teacher. Alternatively, the School Nurse can be contacted on 0415 246 225. If the HCC is not staffed students must see the Student Services Officer at Student reception. If the JSHCR is not staffed students must see JS Reception. For permission to go home when sick, students must see the School Nurse for assessment (and are not to contact their parents directly to collect them). The School Nurse will then notify the Director of Students, and the Student Services Officer (who will contact the student’s parents to arrange transport home, and stress that they must not catch public transport). All medications need to be dispensed from the HCC including those for boarding students. Prescription medicines should be supplied to the HCC in their original packaging, and be accompanied by a ‘Medical Advice Form’ or written instructions from the prescriber. Each year the Student Health Care Information Form is sent to parents and guardians to ensure current student information. A range of over-the-counter medicines is available from the clinic after an assessment, but may only be supplied if parents/guardians have provided the signed consent.

In addition to the vaccination programs run by visiting nurses from the NSW Health, the flu vaccination is offered to students and staff in April/May each year. In the event that there is no nurse, the Student Services Officer will supervise unwell boarders resting in the Centre. Non-urgent medical appointments will need to be rescheduled, and day students will who are unable to benefit by paracetamol will need to be collected by a parent or carer.
Homework Centre Senior School The Senior School Homework Centre operates Monday to Thursday from 3.30 to 5.30pm. Located within the Library, its purpose is to provide a secure, supervised homework environment where research is made easier by ready access to physical resources and computer technology, and professional guidance is at hand. Senior School teachers from different subject areas are rostered on as tutors, for students to obtain assistance with their homework or assignment preparation. Junior School The Junior School Homework Centre operates in the Junior Library from Monday to Thursday from 3.30 to 5.30pm, with students in Years 5 to 6 invited to use this facility, and junior school teachers supervising and providing support.

Orientation The rooming convention is standard across the School. The Prefix SS/ JS refers to Senior School/Junior School The First Numeral refers to the Floor (Senior School -1 through to 5; Junior School 1-5) The Numerals after the hyphen refer to the room number. In the Senior School the small numbers start at the South (main gate). Example: S2-07 refers to a room in the Senior School, second floor at the south end of the building.
Overseas Students Kincoppal-Rose Bay School is a registered provider under Education Services for Overseas Students (ESOS) Act 2000. As a registered provider (CRICOS 02268M) Kincoppal-Rose Bay is required to adhere to the regulatory framework and requirements under New South Wales and Commonwealth Legislation and Guidelines in delivering pastoral care, welfare and education services for overseas students on 500 visas. Accordingly, we are required to

demonstrate our continued provision of these appropriate resources, including suitably qualified employees. On commencement at KRB, overseas students will be placed in classes appropriate to their current language proficiency level, learning goals and learning needs. Their special pastoral care and learning needs will also be discussed with KRB stakeholders including their Year Coordinator, Head of Student Learning Services, Director of Boarding, and International Student Coordinator. The Deputy Principal oversees CRICOS compliance. All staff will be reminded of their CRICOS obligations at annual professional development sessions. Some areas for consideration include: • • • • •

Role of the Pastoral Mentor The Pastoral Mentor is appointed by the School Leadership Team to be responsible for the academic care and well-being of students in his/her care. The Pastoral Mentor • Knows the students in the pastoral group as individuals and develops a rapport with the students. • Promotes the importance of Positive Education and regularly refers to key aspects. • Knows each students’ co-curricular activities and knows those students who have no co-curricular activities. • Models positive behaviour and thinking to students. • Has, together with the Year Co-ordinator, responsibility for all Academic Care matters for students in the group. • Is understanding and receptive to the needs of the students in the group and meets daily with the students for mentoring, support and coaching. • Increases student awareness of issues such as bullying and mental health as well as develops the skills of resilience, confidence, independence and leadership. • Actively engages and implements the Pastoral Program in consultation with Year Coordinator and other Pastoral Mentors. • Works with students to set personal and academic goals, based on their values, and supports students in achieving and reviewing their goals. • Maintains effective and meaningful informal contact with students out of class. • Promotes happiness and cooperation among students both at school and in their everyday lives. • Is a point of reference for individual teachers when behaviour/academic issues occur • If behaviour issues are subject orientated consults with Heads of Department (via the Year Coordinator) • Encourages and supports student leadership.

Overview of Student Progress • Keep up to date records on each student in the group which would include: entries made in the student’s diary, timetable, academic tracking, record of interviews, teachers’ comments, records of contact with parents, and any other information pertaining to student progress and attendance. Teacher Accreditation Teachers are required to maintain their accreditation with the NSW Education and Standards Authority (NESA). Uniform The student dress code is found in the School Diary. All teachers are asked to insist on the correct wearing of the school uniform. Senior School students will be issued with notices for uniform infringements with pink slips given to the Student Services Officer who records them. Attendance Teaching staff are expected to be at school by 8.15am each morning (unless allocated an early morning duty). They are also expected to attend gazetted staff meetings and professional development days. For Support and Operational employees, hours are per individual contract, but generally from 8am to 4pm with a 30 minute lunch break. All staff needing to leave the school during the lunch break must sign in and out at either Senior or Junior School Reception. This is a means of registering employees in the case of an emergency. Partial leave is also available on application; again either to the Deputy Principal or to the Head of Junior School. In the case of unforeseen absence or late arrival, teachers and administration staff are asked to call by 7.00 am as follows: • Senior School Myrna Perry on 0414 983 783 • Junior School Diane Montgomery 0425 296 636 In the case of absence known in advance, Senior School Teachers must submit a Leave in Advance Form available on the portal which is automatically sent to the Deputy Principal. Junior School Teachers must speak with the Assistant Head of Junior School. For teachers, work should be assigned for all classes and all duties. For absence on the day, Boarding staff should liaise with the Director of Boarding, AnneMaree Bennett on 9388 6100. Sick leave of more than two consecutive days must be supported by a medical certificate. Upon your return to work, you are also required to log this leave online via ADP online. For all staff, absences relating to excursions or professional development must be approved in advance (even if the course is free of charge). ADP Payroll KRB uses an integrated payroll system called ADP Payroll. This allows staff to view and /or update information relating to their leave balances and applications, personal, banking and emergency contact details, and payslips. After you join KRB and have received your first pay, you will receive an envelope from payroll with your access details. Buddies All new starters will be assigned a workplace buddy. This person can assist with elements such as KRB traditions, teacher duty protocols, meeting room locations, IT and maintenance requests, mail, catering, stationery and parking. Buddies themselves were once new starters, and have been selected on the basis of being approachable and knowledgeable about KRB so please don’t hesitate to approach them for help!

Child Protection At Kincoppal-Rose Bay, we take child protection very seriously, and have developed the KRB Child Protection Policy and Procedures for all staff employed or engaged by the school in any capacity. Staff members are required to read this and sign-off that this significant policy and procedures document has been read and understood. In June 2013 the NSW Commission for Children and Young People introduced new legislation for Working with Children Checks. This is valid for Five Years. All staff members and volunteers became responsible for their own valid check and at their own cost. When you update your WWC Check staff are responsible for notifying the School and updating their NESA account.
Code of Conduct Based on the philosophy of Sacred Heart education, the Staff Code of Conduct has been developed to outline expectations as related to workplace behavior and practices. The philosophy offers a framework of support for all staff in their work. Acknowledgement that the Code has been read and understood is made by signing a checklist on appointment to the school. This Code can also be found on ASPIRE.
Dress Code A dress code applies to all staff, and a high standard of personal grooming is expected at all times. Clothing should be smart, professional and practical e.g. collar and tie for men and commensurate smart professional dress for women. Jeans, t-shirts, singlets, three-quarter trousers and thongs are considered to be inappropriate. Clothing should also not display inappropriate or offensive logos, images or messages. Dress should be appropriate to the activity undertaken e.g. sport or outdoor activities. Many areas of the School also have their own KRB uniform e.g. PDHPE and maintenance staff. These should be laundered and maintained regularly. Footwear must also be professional and/or practical. Open-toed shoes or sandals, and/or noticeably high heels or platforms must not be worn in practical classes such as Science, TAS, Visual Arts or PDHPE.
Employee Benefits Book and Gift Sellers External providers often leave books and gifts for sale in the Senior School Staffroom. These make great gifts, and are very popular amongst staff. Junior School staff should have access to the Staffroom but can otherwise see Senior School Reception.
Lunch at KRB A lunch menu is available Monday to Friday in the Boarders’ Dining Room from 12.152.00pm. Meals should be ordered for that day via Munch monitor. The cost is $5. Lunch is only to be eaten in the dining room with other staff, and cannot be taken away. Information about Munch Monitor is available on ASPIRE through the Staff services tab

Café135 Café135 is cashless and uses the Munch Monitor system to offer online canteen ordering. Staff order lunch online the night before, or use a card linked to their account to obtain canteen items during the day. Lunch orders must be submitted online by 9.00am. To set up an account go to www.munchmonitor.com and enter username as ‘kincoppal’ and password as ‘munch2029’. Click ‘login’ and then ‘sign up’. Employees will need to set themselves up as both ‘Parent’ and ‘Student’ (e.g. creating both profiles) and selecting their class as ‘Staff’. You will then need to click on ‘Account Top-up’ to transfer money into your Munch Monitor account. For the pre-paid cards go to ‘Student Profile’, check the box next to ‘Snack Money’ and set a spend limit (remember this is a School!) You can then collect your card from the Canteen outside of busy service times. Staff may also use credit or debit cards at the Café to purchase items without pre-ordering.

Employee Assistance Program KRB has employed Benestar to provide an Employee Assistance Program (EAP) to staff. This service offers confidential counselling, mediation, training and support to employees and their families, and can assist with short term problems that may be affecting their wellbeing and work performance e.g. substance abuse, trauma, depression and parenting problems. The EAP also offers assistance to KRB managers and supervisors, in areas such as team conflict and interpersonal relations. For further information go to ASPIRE. Events at KRB KRB conducts an extensive events program throughout the year with staff often welcome to attend either free of charge, or for a nominal fee. This includes gala concerts, choral recitations and Christmas carols, discussion panels and school plays. Libraries

Staff can use both Senior and Junior School libraries, with a range of books and DVDs available for borrowing. New books available are regularly promoted, and library staff will be only too happy to be of assistance to teaching and administrative employees. All staff members are encouraged to see themselves as active learners, and continually strive to improve their personal and professional effectiveness. All professional development for both teaching and non-teaching staff must be approved in advance (even if free of charge) and application forms for Professional Development are available on ASPIRE. Further information is also available from the Deputy Principal or the Head of Junior School. Salary Packaging This is available through AccessPay and staff should speak with the People and Culture Manager for more information. Staffrooms These are available to staff in both the Senior and Junior Schools and have microwaves, fridges and reading material for staff. Tea and coffee making facilities are also available and relevant information is regularly posted on noticeboards in these areas. Staffrooms also contain teacher pigeon holes. Employees from both Senior and Junior Schools are welcome to use either facility (and especially to enjoy the harbour view and balcony off the Senior School Staff Room). This also applies to staff located in the MTC and/or KRB Pool.

Evacuation Procedures At the sound of an alarm, all staff, students and visitors must follow KRB evacuation procedures listed on ASPIRE, as well as evacuation route maps in each classroom. Regular drills will also be conducted, with first stage evacuation points are as follows: • Junior School – MTC Sports Field • Senior School – MTC Sports Field • After 3.30pm – Front Drive (while building occurs 2022 only) Senior School Alarms • The main building alarm is a single tone which is first repeated at 2 second intervals, and then changes to a continuous siren sound • The Library alarm is a long, slow tone repeated a number of times before changing to a verbal message that says ‘this is an evacuation’ Junior School Alarms • Administration building – as per main building in the Senior School • Classrooms alerted to the evacuation via a ‘hooter’ through the PA System. At no time should staff or students get involved in fire-fighting activities.

First Aid Kits These are located around the School, and monitored by the School Nurse. Portable kits taken on excursion must be returned immediately after use. Defibrillators at KRB can be found at: - Main Reception - JS Reception - MTC pool reception - Sheldon reception - Sophie’s Place staff room. Please familiarise yourself with their exact location. You never know when you may need to use one.
ID Passes Upon commencement at KRB you will be issued with an ID pass. In addition to identifying employees, this has your ID code that so that you can manually operate photocopiers when you forget your security tag. ID passes will not offer building access however, and staff should instead use their security tag.

Information Technology KRB is a laptop school and uses a cloud-based file server. This means we actively look for people with proficiency with Google Apps, Microsoft Office and Learning Management Systems. Employees should aim to become familiar with these as soon as possible. All teachers will be provided with a laptop. For IT assistance, please contact IT support on Extension 6400

Invoices All invoices must have been agreed to in advance (e.g. supported by a purchase order number, and sign-off obtained from the relevant cost centre manager and Business Manager). Information is available from the Accounts Department in the Senior School.
Keys The School is constantly updating its security and access system, with many areas accessible by a security tag. Should keys still be required for particular areas, these will be issued on commencement in a role, and recorded in the database. Any additional keys need to be authorised by a Head of Department, and no copies of keys are to be made.
Lockdown and Lockout Procedures If there is a need for a lockdown which involves sheltering students, teachers, staff and visitors in secure locations, an announcement will be made over the Fire PA System and staff should follow these steps: • Close and lock doors (do not move outside room to look for other people) • Sit or lie on floor (and remain out of sight e.g. away from windows) • Stay silent and place mobile phones in centre of room • Remain in room until directed to move (may mean ignoring bells for change of lesson) If outside, move to the nearest indoor ‘safe’ space e.g. Boarders’ Dining Room, Hughes Centre, Joigny Centre or Year 5 Learning Space.
Long Service Leave Long Service Leave entitlements for employees are governed by the industrial instrument underpinning their individual employment. KRB staff should apply to take Long Service Leave in the year before their request to take leave. The purpose of LSL is refreshment and renewal therefore the minimum for LSL is five weeks. Generally, one member of each faculty and/or leadership group may be granted LSL at a time. Further information regarding LSL is available on ASPIRE in the Staff Services area.
Mail and Couriers Mail should be directed to the Senior School, Junior School or Maureen Tudehope Centre (MTC). The address is New South Head Road Rose Bay NSW 2029 (no street number). To arrange a courier see the receptionists in either Senior or Junior Schools. They also have franking machines for outgoing mail. Incoming mail will be sorted and placed in teacher pigeon holes.
Maintenance Requests These need to be logged online via ASPIRE through Staff Services.
Non-Smoking Our school and grounds have been designated smoke-free zones. Staff wishing to smoke must do so outside the school perimeters .
Parking Staff parking is on an allocation basis based on leadership positions or length of service. Please do not park in the school grounds or MTC car park if you have not been allocated a parking space. Visitor car spaces must also not be used.

Staff members with parking spaces on the school grounds should also avoid driving in and out at peak drop off and pick-up times e.g. 8.15 to 8.30am, and 2.45 to 3.30pm. Employees who have not been allocated a parking space should park on New South Head Road and Towns Road (both have untimed parking) Staff with temporary need for a close parking space due to medical concerns should speak with the Deputy Principal or the Head of Junior School.
Pay Days Employees are paid each fortnight on a Wednesday, with funds going into their nominated bank account/s. All staff will be provided with a payroll calendar when they receive their EMO login details, with pay days shaded in blue. Managers authorising casual time sheets should also note that the pay cutoff is midday on the Friday before pay day.
Petty Cash For all expenses incurred by employees a Payment Requisition Form must be completed and submitted to Accounts in the Senior School. This can be downloaded from find a form in the Staff Services area of ASPIRE. (See section “Introducing The Finance Department
Photocopying and Printing The school has a professional Print Room in the Senior School, and print and copy requests can be arranged including exam papers, brochures and booklets. A minimum of 48 hours’ notice is required for general requests and longer for large, hand-finished jobs requiring binding or laminating. Requests should be submitted to the Printroom Operator, with the relevant output information included. There are also photocopiers located in ‘hub areas’ of both Junior and Senior buildings. These double as personal printers and can be accessed by using your key fob. Printing will also not commence until you are physically at the machine to receive it (so there is no need to run to a machine when printing confidential information!) The School also offers Design and Print services via the Communications Team. Please log an online request via ASPIRE.

School Name Whenever necessary, please use the correct and official name of the School which is Kincoppal-Rose Bay, School of the Sacred Heart. The shorter form, Kincoppal-Rose Bay School, is appropriate in less formal instances. Barat-Burn (always with a hyphen) is the ‘in family’ name of the Junior School, which is correctly called Kincoppal-Rose Bay Junior School.
Security (After Hours Access) All external doors are locked at 5.00 pm, and entry and exit after this time must be through the main entrance door at Reception. Other doors must not be used, as this triggers an alarm in the Boarding School and creates an emergency situation for staff and boarders. The main (and other) door/s should also not

be propped open or left unattended, as this places the security of our boarding students at risk. Employees working back in the Senior School or MTC after 7.00pm (or teachers with students) must inform the Director of Boarding on extension 6100 or 6103. This notification applies to both working back, and to the time of leaving the building, so that alarm systems can be reset. Junior School employees working after 7pm or on weekends should liaise with Kaye Storey, Junior School Leadership Support. Where possible, employees should not have access to the School out of hours. If absolutely necessary however, they must obtain approval from their Head of Department who will gain approval from the Deputy Principal or Assistant to the Head of Junior School.
Staff Retreat and School Professional Learning Days These are conducted each term to promote learning, information sharing and the chance for staff from both Senior and Junior Schools to get to know one another. A program will be sent closer to the time, and smart casual dress may be worn on these days.
Stationery Stationery cupboards are located in both the Senior School (in the staff Printroom area) and Junior Schools (see Kaye Storey)

Teacher Accreditation Authority (TAA) KRB is a Teacher Accreditation Authority with the authority to accredit teachers at Proficient status. Visitors All visitors to the School must report to a reception area to sign in and receive a visitor’s pass. Whilst on campus all visitors should be escorted by a staff member. They must then sign out and return their pass when leaving.
Work Health and Safety At KRB we take the safety and wellbeing of our employees very seriously. Everyone (including management and staff) has a responsibility for the safe conduct of WHS at KRB. Additionally, the School has implemented the following WHS measures: • Safety Management System, policy, plans and goals • Safe work procedures for employees • Wellbeing program • Return to Work and Injury Management programs • School Nurse able to conduct Health Checks Accident & Injury Procedures In the event of an accident or injury to employees, the procedure is as follows: 1. Complete Accident and Injury Report Form (available through link on Staff Services on ASPIRE) and includes obtaining signatures from Deputy Principal / Head of Junior School and School Nurse). 2. A paper copy is available at Junior School reception and the Deputy Principal’s Office in the Senior School in the case of computer malfunction/ lack of access. 3. Send completed form to the HR Manager within 24 Hours (must be sent to our insurer within 48 hours if it is to become a workers compensation claim). 4. Obtain immediate first aid and/or medical treatment (if you see a doctor they will need to provide you with a Workcover Certificate of Capacity). 5. Provide any medical information to the HR Manager (e.g. Workcover certificates and medical bills) and/or participate in appropriate return to work plans. 6. Complete any leave details online via EMO. Committee The WHS Committee meets once per term, with members from both Junior and Senior Schools, as well as the Maureen Tudehope Centre. Meeting minutes are posted on ASPIRE, and queries or comments can be relayed to the Committee Chair. Ergonomics Safe operating procedures are available on ASPIRE, and include information on elements such as chemical spills and driving the school bus. Additionally, all staff should be mindful of the following ergonomics basics: • Regular rest breaks and stretches • Feet comfortably on floor (or footrest) • Ample legroom under desk • Natural curve of spine maintained (sitting and standing) • Knees and elbows around 90 degrees when seated • Shoulders relaxed and comfortable • Items used most often, placed within easy reach • No stretching beyond 30 cm to obtain or use an item • Chairs are seat / back adjustable, and easy to move • Heavy resources placed on bottom shelves • Frequently used items placed between shoulder and knees

FINANCE DEPARTMENT Director of Corporate Services– Gary Au-Yeung Gary authorizes all purchase orders and amounts of money spent on behalf of the School above $500 Finance Manager - Helena Dawson Helena is available to discuss budgets with the Heads of Department (HoD), and for information if you have a child enrolled in the school. Purchase orders are also available from Helena Payroll Officer - Anita Borg Anita is the person to speak to if you have a Payroll Inquiry or a Petty Cash Request. If you are a HoD, any authorized timesheets you are responsible for must be submitted to Anita by no later than the Wednesday before a Payroll Run. Accounts Receivable - TBA All Student recharges for Excursions or other expenses payable by students are sent to Lizzy so they can be added to Student Statements as soon as excursion Notices go to parents. Lizzy is also available to dispense Cabcharge vouchers and to receive Cash. When Cash is collected it needs to be counted and put into cash pouches for Banking. A Money Counting Machine is available for this.
Accounts Payable – Elaine Clisby Elaine processes all creditor payments. When purchasing goods on behalf of the school, you must remember 3 things: Seek approval for the expense before purchase. Spending up to $500 is approved from the HoD. All spending over $500 must have a purchase order raised including a quote which has been approved by the Business Manager,Laura Wedmaier. This includes multiple invoices to the same supplier over a few days which total over $500. • Once approval has been gained, you place the order with the supplier. Give the supplier your name and email address as you are the contact for this purchase and ask them to put your name on the invoice as a reference. • Receive the goods and arrange for approval of the invoice for payment. Check you have received the goods ordered. If there is a problem, you will need to contact the supplier to sort it out. All invoices need to be signed by the HoD and invoices over $500 will need to have the approved purchase order attached and is also signed by the Business Manager. Any expenditure over $10,000 also needs to be approved by the Principal, Maureen Ryan prior to purchase. •
Petty Cash reimbursements can be made up to $50 but you must have the original Receipt/docket

Staff Reimbursements over $50 can be made by completing the Request form and attaching the original documents. Please remember that the same rules for approval apply, before the purchase is made. You will need to supply documentation /details of what the goods are to be purchased, including cost, to Laura and once the purchase has been made, a copy of the invoice/receipt will need to be attached to the completed Credit Card Expenditure form and left outside the Finance Office. Background Kincoppal – Rose Bay is a co-educational school in the Junior School (ELC – Year 6) and a day and boarding school in the Senior School for girls in Year 7 to Year 12. Kincoppal – Rose Bay aims to offer students and staff a safe and supportive school environment and has emergency procedures to facilitate this. It is a multi-premises School that exists on one site, divided by Vaucluse Road.
Emergency Procedures Emergency procedures are displayed prominently around the school and are present in classroom and offices. They cover Evacuation and Lockdown procedures. Staff and students are to be familiar with these procedures and it is the responsibility of each staff member to know how to safely evacuate or lockdown each room in the School that they use and be able to assist students to do the same. Emergency procedures for Kincoppal-Rose Bay School are attached as Appendix 1
Evacuation Procedures 1. Evacuation Locations ➢ In the case of a whole School evacuation, during the School day 8.00-3.30pm; staff and students are to go to the Fernon Fields Assembly area where emergency management procedures are enacted. ➢ In the case of a whole School evacuation, before and after the School day 3.30pm8.00am; staff and students are to go to the Front Drive* Assembly area where emergency management procedures are enacted. ➢ In the case of a Partial School evacuation during the School day 8.00-3.30pm; staff and students are to go to the Fernon Fields Assembly area where emergency management procedures are enacted. ➢ In the case of an evacuation of the Maureen Tudehope Centre: staff and students should go to the far side (Netball Courts) of the Fernon Fields Assembly area ➢ In the case of a whole School evacuation off the Kincoppal-Rose Bay School site; staff and students walk down New South Head Road to Kambala School fields where emergency management procedures are enacted.
2. Exiting the Buildings When the evacuation tone sounds (single tone repeated changing to a continuous siren and message to evacuate) all people must leave the buildings and move to the evacuation areas. Staff and students are to use fire stairs in every building, which are clearly marked. The central staircase in the Senior School is not a fire exit. No one is to use lifts in the instance of an evacuation.

Students and staff should use the tunnel under Vaucluse Road to access the Fernon fields. Traffic light, pedestrian crossing and J-walking across Vaucluse road should be kept to a minimum to ensure Emergency Service personnel can access the site quickly.

4. Key Personnel in an Emergency The Chief Warden (Principal) The Principal is the Chief warden. In their absence the Deputy Principal will act as Chief Warden. In their absence the Head of Junior School is Chief Warden. The role of the Chief Warden is to: ➢ Declare an evacuation for reasons other than fire and the evacuation location ➢ Declare a lockdown ➢ Identify that all staff and students are accounted for in an evacuation ➢ Communicate when it is safe to return to the building/s after evacuation ➢ Communicate with the wider community after the emergency ➢ Decide whether to implement Critical Incident Management Policy Deputy Chief Warden (Deputy Principal) ➢ The Deputy Principal will act as Deputy Chief Warden. In their absence the Head of Junior School is Deputy Chief Warden. ➢ Students, Staff, Visitors present/ absent are reported to the Deputy Chief Warden ➢ The Deputy Chief Warden will report to the Chief Warden regarding attendance First Aid Officer (School Nurse) ➢ Role of the First Aid Officer is to administer any first aid required Floor / Area Warden Floor/ Area wardens carry out the following duties: ➢ Raise the alarm in the instance of an emergency that does not trigger the fire panel automatically (eg; gas leak) ➢ Search their designated area to ensure people are accounted for ➢ Check to ensure that fire and smoke doors are properly closed ➢ Act as a leader of groups moving to designated evacuation assembly areas

➢ Assigning persons, if required, to perform specific duties ➢ Operate firefighting equipment (fire extinguishers, hose reels, fire blankets) to attempt to extinguish the fire if it is safe to do and they have been suitably trained. Responsibility in the Case of a Lockdown (after hours/ Boarding) In the event of a Lockdown Situation, supervisors should activate a Lockdown Roll in Boardingware. By activating the roll, you will initiate an alert to boarders on and off campus, as well as the Heads of House and Director of Boarding. There are the 2 red PANIC BUTTONS under the desks at Main School Boarding and Sheldon House Receptions if the panic button needs to be pushed. The buttons SHOULD BE USED IN A LOCKDOWN situation. They are to be pressed at the SAME TIME. It signals to the POLICE, who will then call you back. You should not use or answer the phone during a lockdown. If the police receive no response from you, they will come to the school immediately.
