Letter from the President
Dear fellow members, Now perhaps more than ever, it’s important that we think about the future of our Club in the pursuit of sustained excellence, by staying relevant in the marketplace and ensuring that all our home values remain high. In 2020 we have initiated a review of our facilities focusing on the condition of our amenities, member usage patterns, operational challenges, and environmental considerations. We have learned a lot during the last two years of a worldwide pandemic: we have begun to appreciate the great outdoors, utilize our Club amenities with greater frequency, our seasonal status is shifting to consistent year-round utilization, and we are observing a shift towards a multi-generational Club. Our sports and wellness programs have recorded highest numbers in participation in decades, along with increased usage of all social programs. After a long search process to identify the best partner in defining the vision for Polo’s future – Peacock + Lewis was selected for the planning and design purpose of a holistic Master Plan which addresses many areas of our Club that have been identified as priorities for many in our community. This booklet represents the cumulative work product of your Board of Governors, and the Construction Committee along with dozens of members and Polo staff. The proposed plan in its entirety is estimated to be completed within a three-year time frame and a phased approach, thus ensuring amenities are open and the Polo lifestyle remains vibrant. The expected funds required to complete the project as presented is $62 Million, which includes $20 Million worth of earmarked and budgeted funds for repair and maintenance that were deferred to ensure a holistic approach rather than a patch work, along with a 20% contingency on the project’s hard goods cost. In part because of the positive response of more than 600 members who attended the reveal of Our goal is to provide for the long-term health, vibrancy, and growth of The Polo Club for current

members as well as attract and engage the future generations of members. This is truly an exciting time for our Club, and I invite you to review the booklet carefully including the Q&A section that will answer those questions on everyone’s mind. Now is your time to make your voices heard: The Board of Governors unanimously recommends that we move to a vote of the membership seeking your approval for spending $42 Million for the Master Plan to be implemented. Project Description PHASE 1 Winner’s Circle (19th Hole): The Winners Circle will return to the after golf, after sports, 19th hole, sports bar experience. The new bar will be an expansive 22 person gathering bar with multiple TV’s above. A new permanent roof wrapping the room with folding exterior walls will provide a covered outdoor dining with a seamless indoor/outdoor dining experience. This will also be the location for evening gathering piano bar after the theater for coffee and desserts. Steeplechase Indoor and Outdoor Dining: Completely re-imagined into a bright, modern, casual dining experience with a remodeled kitchen, action stations, and culinary display. The three expansive action stations will offer a variety of unique, on-demand dining fare. Seating capacity has been doubled with the entire perimeter of the dining room featuring folding doors to a newly expanded covered outdoor dining experience having views to the aquatics complex. An indoor/outdoor gathering bar anchors the space and features a raw bar with multiple TV’s in the over bar. This bar will also be the location for the morning bagels and coffee overlooking the pool. Golf Gallery: The central gallery will now feature a proper maitr’d to serve both Winner’s Circle and Steeplechase with ample lounge seating, trophy display, and remodeled and expanded restrooms. American Bistro: This venue will be remodeled into a selfcontained high-end steakhouse experience. The existing display kitchen is to be remodeled
and feature protein display upon entry. A new bar/lounge experience is created for pre-dining cocktails and lite bites in intimate, plush lounge seating groups. The space underneath the existing cupola to be refinished with a warm stain wood floor and walls and a dramatic chandelier light fixture. The space will feature an indoor/outdoor bar open to Hidden Cove. A floor-to-ceiling temperature controlled wine display will serve as a room divider to the dining room. The main dining room offers a variety of seating types including two intimate private ining spaces defined by the existing groupings of columns in the space. The floor-to-ceiling wine display seen from both the bar/lounge and main dining is a main feature of the space. View Terrace: This new two-story, covered, pre-function terrace for Laurels will provide expansive views to the aquatic complex and golf course. A central gathering bar will feature a skylight or clerestory above. The bar will also serve as pre-function for Crown Room. A variety of dining, bar and lounge seating is offered. Comfortable lounge seating with fire tables provide an intimate dusk to evening experience. The entire perimeter will feature folding doors to provide a temperature controlled option for this space. The modern, clear glass railing allows for maximum unobstructed views. New direct access from the main lobby allows direct access separate from Crown Room or Laurels. PHASE 2 Main Lobby: The existing space will be completely refreshed with new finishes, furniture and dramatic light fixture to create a lasting first impression. The concierge will be opened up to provide a proper greeting as members arrive. A floor-to-ceiling

feature wall leads you to the Crown Room entry on the left and the new direct access to View Terrace on the right. The underutilized lounge area right of the entry doors will become administrative offices. Crown Room: A completely re-imagined fine dining experience with a self-sufficient kitchen will be created for this venue. This intimate space of 60 indoor seats features a viewing window to the culinary team preparing five star cuisine in a new display kitchen. A new private dining space defined by wine display cases for 8-10 people will be provided as well as outdoor dining on the terrace for up to 40 people. Traditions: The existing Traditions bar will be remodeled into a kitchen for the Crown Room and a new gathering bar will be provided in a more desirable space on the north end to activate the front patio. The existing Traditions will feature new finishes, furniture, and lighting to be cohesive with a new bar space. These features will allow Traditions to become a stand-alone venue for private events.
PHASE 3 Fitness Pavilion: A new indoor/outdoor fitness pavilion overlooking the tennis courts provides a dynamic new space for group fitness classes. The space will be temperature controlled with the option to open it completely with folding doors.
Tennis Pro-Shop: The existing tennis shop will be remodeled with added office space, lounge areas, and new display fixtures. Barefoot Café Outdoor Dining and Bar: The retractable soft roof will be replaced with a permanent roof with great volume, similar to the bar, having skylights, large fans, roll-down screening between the columns enhancing the casual pool bar experience with a new and fresh modern design. Barefoot Indoor Dining and Simulator Lounge: We are also replacing the existing awning covered patio with a new indoor, temperature controlled dining option for Barefoot Cafe with sweeping views of the short game practice area. Two simulators in a lounge environment will be added for additional indoor entertainment. Pool Restrooms: Existing pool bath house will be remodeled with new fixtures, finishes, and layout to eliminate unused space, better organize traffic flow, and add space to the lifeguard station. The Youth Activities Area: The playground will be completely updated with the latest equipment and a new splash pad. A new covered pavilion will be added to provide a central check-in, dry-off zone with cubbies and shaded artificial turf providing covered access to the toddler pavilion.

Frequently Asked Questions Throughout the presentation process of the proposed Master Plan, we addressed a few questions we felt were on everyone’s mind. You may find these questions along with others brought forward by members during our focus groups below: Q: What is this project going to cost? A: The overall cost of the project is estimated to be $62 Million, and it includes $20 Million of earmarked and budgeted replacement items described in the Project Highlight section, along with a 20% contingency on cost of hard goods. Q: What is this going to cost “me” – is there an assessment? A: There is a current assessment billed at $85 monthly in effect for the implementation of the 2014 Club Renovation. This assessment will “sunset” in December of 2025. With member approval for the implementation of this Master Plan there is a proposed assessment set to begin in January 2026, of $185. Effectively your approval of this Master Plan means that starting 4 years from now, your monthly assessment will increase by $100. Q: When will the project begin, and when is it projected to end? A: With member approval we will begin the permitting, GC interview process which we anticipate will last about a year. The project itself would start Spring – Summer 2023 and will be broken down into three phases spanning over 3 years. Q: How would our lifestyle be impacted during the construction phase? A: We have projected an intentional phased approach in order to preserve the Polo lifestyle. During each phase of the project there will be several dining rooms and concepts open, Social & Cultural arts programming will remain largely unchanged, card play, Fitness facilities and sports activities will remain active. Q: Will there be operational costs rising associated with this project A: We anticipate that some aspects of the project will lead to reevaluating our staffing model, hours of operation and general operational costs may change. We will however have the ability to take advantage of stronger purchasing power, the building will become approximately 35% most energy efficient, we anticipate a reduction in labor costs currently needed as well and wear and tear savings due to the flow of work. Q: Are the Card Rooms included in the Master Plan? A : TThe Card Rooms are not defined in this program , however they are connected with the project as we intend to address furnishings and fixtures , along with the additions of shaded outdoor options once the details of design elements for the Master Program are defined. Our intention is to ensure the Card Rooms, while planned before the project start fit the general feel of all amenities. Q: Were other areas of the Club considered for this project? A: While not defined in the detailed scope of work, all hallways and entrances leading to the newly designed areas will be addressed with this holistic approach.

Q: Is there a consideration for addressing the Parking issue at the Club? A: Parking has been a long standing item on Board agendas and various strategic committees, while not defined in this program the issue remains top of mind and there are active discussions on addressing this topic. It is the belief of the Construction Committee, the Board of Governors and Management that these items are important to the long-term health of our Club and provides our staff with the ability to provide a vibrant lifestyle. We hope all our members feel the same way and participate in this program by casting their vote by April 14th, 2022.
