ORACLE AND END-TO-END WORKING What is Oracle? Oracle Fusion Applications is an all-encompassing group of Oracle applications built for wideranging business tasks such as Enterprise Resource Planning (ERP), Customer Relationship Management (CRM) and Human Capital Management (HCM) Oracle can take all our data, organise it, remove duplication and present it in a useful and usable format.

End-to-End Working Oracle is an integrated system: it links together many processes that would otherwise operate separately. For example, it provides one place for the business to raise and authorise purchase orders. Once authorised, goods are receipted and invoices are matched and paid automatically. Linking Esh core processes together in this end-to-end fashion means we can use data more dynamically to manage our business. The system requires every Esh employee to be mindful of the Data they input and any changes they make. What you do in one part of the system will be reflected throughout that system.

Using this Booklet This document details processes that you will need to carry out as part of your day to day work. It will be used during your training to help you navigate through screens and to explain why we do things the way we do in Oracle It’s your document: feel free to make your own notes as you go through your training.

SECTION 1: HOW TO TERMINATE AN EMPLOYEE

Employees leave a business for a variety of reasons, some voluntary and others involuntary. Terminating an employee is the process we use to remove an employee from our HR system, irrespective of the reason. In the case of some reasons, such as redundancy or ill health, additional non-system steps might be needed. In this example, the employee is a voluntary leaver: they have handed in their notice. 1

From the Navigator Menu select Person Management under My Workforce

Enter the employee name in the Name field to search for their employee record and click Search Top Tip: You can search for an employee using other information such as Keywords and Oracle Person Numbers if known

Locate the correct employee in the list that appears in the Search Results and click their Actions button

Select Manage Work Relationships from the Personal and Employment menu

This will take you to the Manage Work Relationship transaction – from here we will deactivate the employee in Oracle

From this screen, click the Arrow next to the Actions button and select Terminate

From this screen, select the appropriate Action underneath Termination Details

Now choose a Reason from the drop-down menu

Note: The options available in this drop-down list will change depending on the Action chosen on the previous screen 8

We now need to choose the Notification Date. This is the date we were informed that the employee was leaving. It will default to the current date. Change it as needed using the calendar pop-up.

You now need to choose the Termination Date. This is the date the employee is leaving the company. This date will auto-populate based on the employees notice period, but can be changed as necessary.

We now need to determine when the employee’s User Access will be revoked. This will depend on their reason for leaving and the access privileges that they have associated with their role. Choose the most appropriate option from the two available, according to your usual practices:

Once you are happy with information you have entered, click Review

You now have a chance to review the options selected for this employee. To change any of this information, click Back.

If you are happy with the information you have added, click Submit

A validation box will appear, checking that you are happy to proceed. If you are happy to complete the process, click Yes.

SECTION 2: HOW TO REVERSE THE TERMINATION AN EMPLOYEE

For various reasons, an employee may stay with Esh after having been processed as a leaver. For example, they may have been leaving to take up employment elsewhere and we may now have persuaded them to stay. In this example, we have been informed that an employee is no longer leaving Esh and the termination of their data in Oracle needs to be reversed 1

Navigate to the employee’s record in the Manage Work Relationship transaction as show in the previous process

2. From this screen, click the Arrow next to the Actions button and select View Termination

Top Tip: These options will only appear if a termination has already been processed for this employee. If this screen does not appear, then you’re in the wrong record!

From the next screen, click Reverse Termination

A pop-up box will appear asking if you want to continue and reverse the termination. If you are happy that you wish to reverse the termination for this employee, click Yes

A validation statement will appear, checking that you wish to proceed with the reversing the termination. Click OK to reactivate the employee
