W ELCOME TO AR B OOK G UIDE AR BookGuide is a Web-based management tool to help you manage your Accelerated Reader quizzes and your school library. You can use AR BookGuide to • Create customised book lists for teacher and pupil use • Create a new account • Customise your preferences • Export files from a library circulation system or Accelerated Reader program and import them into AR BookGuide • Search for books • Create a Teacher List for AR BookFinder • Print reports (book lists or book labels) • Export a text file or HTML file of a book list

M ANAGING U SER A CCOUNTS Creating a New Account You have been sent an email with a link to AR BookGuide website and an activation code. You will need this information to create a new account. If you lose your activation code, please contact Technical Support.

1. Click the link in your email to go to the AR BookGuide website. UK: www.arbookguide.co.uk Australia: www.arbookguide.com.au 2. Click Create a new account A.

4. Enter the rest of your information into the remaining fields. To use a title (Mr, Mrs, Miss, Ms, Dr, etc.), enter it as part of your first name (Mrs Jane Doe) or in place of your first name (Mr Doe).

The way you enter your name determines how your name will appear on the Informational Letter (see page 20) and Teacher Lists (see page 70). You can always change your name (see page 4). 5. Click OK C. Your account will be created. 6. Within a few minutes you will receive an email confirmation that your account was created. 7. Click the link in the email to validate your account. (Your account must be validated before you can access it.) 8. Log in to the AR BookGuide using your email address and password. The AR BookGuide Home page will open.

Viewing or Editing User Accounts

Viewing or Editing User Accounts On the AR BookGuide Home page, click User Accounts to view your account information, activation code and expiration date. The way you enter your name when you set up your account determines how your name will appear on the Informational Letter (see page 20) and Teacher Lists (see page 70). You can modify your name, email address and password via User Accounts. To edit your account information: 1. On the AR BookGuide Home page, click User Accounts A.

Inviting Users to AR BookGuide You can invite additional users to use the same AR BookGuide Website and activation code. You can have as many users on the Website as you want. 1. On the AR BookGuide Home page, click User Accounts A.

P REFERENCES There are two groups of preferences that you can change • Personal (see below) • General Preferences (see page 12) AR BookFinder Preferences (see page 9) are accessed via Personal Preferences.

Personal Preferences Ti tles per Page In the Personal Preferences, you can change the number of titles you want to appear on a page. Changing the Personal Preferences only affects you. 1. On the AR BookGuide Home page, click Preferences A. The Personal Preferences page will open.

2. In the Titles per Page drop-down list, choose the number of titles you want to appear on each page of your search results as you use AR BookGuide B. Your choices are: 10, 20 (default), 30, 40, 50, 75 or 100 titles per page.

AR BookFinder Preferences AR BookFinder is a search tool that enables parents, guardians and pupils to find Accelerated Reader books using either a search or by accessing Teacher Lists. AR BookFinder Preferences are found in the Personal Preferences of AR BookGuide. The settings you choose in AR BookGuide determine how some information is displayed in AR BookFinder. AR BookFinder Preferences allow you to: • view the AR BookFinder Keycode (see page 16) • show the ownership status of books (see page 18) • print an Informational Letter (see page 20) To change the AR BookFinder Preferences, follow these steps: 1. On the AR BookGuide Home page, click Preferences A. The Personal Preferences page will open.

PREFERENCES AR BookFinder Preferences


General Preferences Changes made to General Preferences affect all users, not just you. 1. On the AR BookGuide Home page, under Set-Up & Administration, click Preferences A. The Personal Preferences page will open.

C To change Book Locations, click Edit. You can then add or edit a location. Make your changes. Click either Save (to save your changes) or Cancel (to cancel the changes). Click Done to return to General Preferences. For more information on Book Locations, see page 13.

D You can create up to two custom fields to help you search for specific data. Click Edit after either Custom Field. You can set up custom fields with a title and options beneath the title. This allows you to search based on these options. For more information on Custom Fields, see page 13.

PREFERENCES General Preferences


Book Locations Use the Book Locations field to track where books are physically located. Locations cannot be deleted.

For example, books may be located in a classroom, a school library, different buildings on a campus and/or a public library. Copies of one book may be found in multiple locations. To add book locations (examples: Classroom, Library, Building 1, Public Library, etc.), use General Preferences (see page 12) and/or the CSV Import (see page 31). To assign or delete books (ownership) to or from a book location, see page 52.

Books can only be deleted one at a time from a location.

Before using Book Locations as a search parameter, verify that books are assigned to the location(s).

You must assign values to the Custom Fields before you can use Custom Fields for searches.

AR BookGuide includes several fields (such as Book Location, Book Points or Number of Copies) to help you store information about your books and quizzes. See the Book Details Page for more information (page 47). AR BookGuide also allows you to add two Custom Fields in the Preferences tab. By adding Custom Fields, you are defining two columns of your own information. (These are the last two columns on the right of your list report if you choose to show Custom Fields from the Format options.) When you create your Custom Fields, you can name them, specify which values should be assigned to titles in each column and then assign the information to the appropriate books. If you need to make changes later, you can change your Custom Fields or delete them. Custom Fields only display on the Book Details Page (see page 47) and the Book List (see page 72).

Creating Custom Fields 1. On the AR BookGuide Home page, under Set-Up & Administration, click Preferences A. The Personal Preferences page will open.

3. To make changes to a Custom Field, click Edit after that field C. The Edit Custom Field page will open.

4. To change the name of the Custom Field, click Edit after Title D. Type the new title in the blank field. Click Save. 5. To add a field option, type the name in the text box. Click Add. The new option is added to the Options list. For example, if you named Custom Field 1 “Planets”, you could add the options “Venus” and then “Mars”. There is no limit to the number of options you can add. 6. To edit an existing entry in the Options list, select the entry you want to change. Click Edit. Change the name. Click Save. 7. To delete an existing entry in the Options list, select the entry you want to delete. Click Delete. 8. When you are done editing the custom field, click Done. 9. To create the second Custom Field and its values, repeat steps 3–8 for “Custom Field 2”.

Assigning Custom Fields to Titles (Books) 1. To assign your custom fields to a particular book title, go to that title’s Book Details Page by clicking the book title. For more information on the Book Details Page, see page 47. 2. On the Book Details page, locate the desired custom field(s) and choose the option from the drop-down list by clicking it. 3. To save your changes, click Save. To return to your Active List without saving your changes, click Cancel. 4. Repeat steps 1–3 for each title that you want to assign custom fields to.

K EYCODE Viewing the Keycode The keycode is used by parents, guardians and pupils to access Teacher Lists when using AR BookFinder. See page 88. Only one keycode is automatically assigned to each account.

The keycode is: • automatically generated by AR BookGuide • one keycode is assigned to each account • found under Personal Preferences in AR BookGuide (see page 8) • printed on the Informational Letter that teachers should send home with their pupils (see page 20) To view your keycode in AR BookGuide: 1. On the AR BookGuide Home page, click Preferences A. The Personal Preferences page will open.

I MPORTING Importing allows you to use AR BookGuide to reconcile the lists of quizzes you own with the lists of books available to you. AR Advantage customers have access to all quizzes. If you are an AR Advantage customer, you do not have to import your data.

You can perform different types of imports. • Accelerated Reader imports provide information about the quizzes you own • CSV and MARC Record imports provide information about books CSV and MARC Records are the most commonly imported file types. You must first export files from one of the following before importing them into AR BookGuide. • Accelerated Reader desktop 5.x–6.x (see page 23) • Accelerated Reader Renaissance Place 7.x (see page 24) • CSV files (see page 30) • MARC Records (Australia only; see page 35)

Create an AR 5.1–AR 6.x Desktop Quiz List Export File Note: If you are an AR Advantage customer, you have access to all quizzes. You do not have to perform this procedure.

The default export name for AR 5.x–AR 6.x desktop quiz lists is QuizInfo.exp.

In AR 5.1–6.x desktop, you can create an export file of your Reading Practice quiz information to import into AR BookGuide. Importing this file into AR BookGuide allows you to mark the quizzes that you own and import the readability levels and points you are using in Accelerated Reader desktop. Anyone with access to the Accelerated Reader Management program can create this export file. To create the export file for AR BookGuide, follow these steps. 1. Log in to Accelerated Reader Management. 2. From the Go menu, select Quizzes or Quizzes/Tests. 3. From the Edit menu, choose Select All. This will select all of your Reading Practice quizzes. 4. From the Quizzes menu, select Export for AR™ BookGuide. 5. In the dialog box, follow the directions for your operating system to save your file: Windows and Macintosh OS 8.6–9.x: a. Navigate to the drive and open the folder where you want to save the file. b. The default file name is QuizInfo.exp. Type a different name for the file, if desired. c. Click Save. Macintosh OS 10.3.9 and higher: a. Navigate to the drive with the folder where you want to save your file. If the drive is not shown, you may need to move the scroll bar to find the drive. b. Creating an AR Renaissance Place Quiz List Export File Note: If you are an AR Advantage customer, you have access to all quizzes. You do not have to perform this procedure.

The default export name for the AR Renaissance Place Quiz List is ARRPBookGuideExport.exp.

In AR Renaissance Place, you can create an export file of your quiz information to import into AR BookGuide. Importing this file into AR BookGuide allows you to mark the quizzes that you own and import the book levels (for all the quiz types) and points (for Reading Practice Quizzes). Anyone with access to the Accelerated Reader Renaissance Place program can create this export file. To create the export file for AR BookGuide, follow these steps. 1. On the Renaissance Place Home page, in the list of Accelerated Reader tasks, click Manage Quizzes A.

CSV Files

CSV Files Preparing a CSV Fi le for Importi ng If you have information about the books in your school’s library stored in another database or spreadsheet, you can import that information into AR BookGuide. First, you use the existing files to create a CSV (comma-separated value) text file of the information. Next, you format the file to work with AR BookGuide. The header line and author names must be formatted as described below. Finally, you use the CSV text file to import your information into AR BookGuide. To prepare a CSV file for importing:

Including the ISBN in your file is not necessary, but it will give you better results.

1. Open the CSV text file that has the information you want to import into AR BookGuide. 2. In order for your file to import properly into AR BookGuide, you must type the words ISBN, Title and Author as headers at the top of your document. Doing this will allow AR BookGuide to recognise your data. The order of the headers must match the order of the data. For example, if the data for each book is listed as ISBN number, then the title, then the author, the headers must be in the order ISBN,Title,Author (as shown below). Note: do not include spaces between the items in the header. 3. Type ISBN at the top of your document. Press the comma key. 4. Type Title. Press the comma key. 5. Type Author. 6. Make sure the author names are formatted correctly! If the author names are not formatted correctly, AR BookGuide will not recognise them. Author names must be (1) in quotes and (2) the sequence Last Name, First Name. Make sure there is a space before the author’s first name. 7. Click File, then Save As. Save the file to a location you will later use to import your file into AR BookGuide.

Import Your CSV File into AR BookGuide CSV (comma-separated value) text files are a specific type of file that you create from a database or spreadsheet that contain information about the books in your school’s library

Create a list from the results of the import. When you create a list, you can use it to print book labels. You can create a list of the books in the CSV file you are importing, but you must create the list as part of the import process.

When you import CSV files, the books that are already in your collection (owned) will be identified. This will make it easy for you to identify books that your school does not own. It can also help you match your books to the quizzes you own or need. When you import a CSV file, you can create a list for (1) all the books in the import or (2) only new books (books not marked as owned). If you want to create a list for the books in the import, you must do it as part of the import process. You can use this list to print book labels for the imports or a book list of the imports. Importing MARC Record s i n t o A R B o o k G u i d e Note: MARC Records are only used in Australia. MARC records are a specific type of file that a library circulation system should be able to create. MARC records contain information about books owned by a library circulation system. For example, the MARC record of your school library would list the books owned by your school library. The library circulation system could be the library in your school, the library in another school, or a public library in your area. Usually, you will work with MARC records from your school’s library.

L IST M ANAGEMENT AR BookFinder is a search tool that enables parents, guardians and pupils to find Accelerated Reader books using either a search or by accessing Teacher Lists.

Use lists to organise book information into meaningful groups. You can create lists for your personal use only or lists that are meant to be used in AR BookFinder (Teacher Lists). Parents, guardians and pupils can use your Teacher Lists to help them find appropriate books for their classes. Creating a List

Creating a List A list is made up of items you have added from your search results. You can create lists, report the book ownership status or create a reading list for a pupil. If you want the list to be available in AR BookFinder, make sure to tick the Create Teacher List box (see step 4). 1. On the AR BookGuide Home page, click List Management A. The List Management page will open.

When you create a list, you have the option of making it a Teacher List. A Teacher List is available in AR BookFinder. Parents, guardians and pupils can access the Teacher List when they are using AR BookFinder. To access a Teacher List in AR BookFinder, parents, guardians and pupils must use a keycode. Use the Informational Letter (see page 8) to provide the keycode to parents, guardians and pupils The keycode is automatically generated by AR BookGuide. To view your keycode, look at AR BookFinder Preferences (under Personal Preferences, see page 8). The way you entered your name when you set up your account determines how your name will appear on the Informational Letter (see page 20) and Teacher Lists. To change how your name appears, see page 4. To change the Teacher List status (activated/deactivated) of an existing list: 1. On the AR BookGuide Home page, click List Management A. E XPORTING Creating a Text or HTML Export File You can export a list from AR BookGuide as either a tab-delimited text (.txt) file or an HTML (.html) file. The text file can be opened and saved in a spreadsheet program. An HTML file can be saved as a Web page which can then be posted on the website for your school. Using a Keycode to View a Teacher List When teachers create a book list in AR BookGuide, they can also make the list a Teacher List. A list must be a Teacher List to be available in AR BookFinder. • See page 63 for information about creating a book list. • See page 70 for information about activating/deactivating Teacher Lists. In AR BookFinder, you use a keycode to view a Teacher List. The keycode is printed on the Informational Letter (found in AR BookGuide) that teachers should send home with their pupils to give to their parents or guardians. 1.
