Martina MacFarlane Martina MacFarlane is a Master of Planning candidate and researcher at the School of Architecture, Planning, and Landscape at the University of Calgary in Alberta, Canada. She was born in Vancouver, lived and learned in a number of different Canadian cities, and came to call Alberta home, completing a Bachelor of Fine Arts at the University of Alberta in Edmonton. Since then, she has been involved in community arts projects and instruction, as well as social innovation and research projects in inclusive and affordable housing, community safety, and teaching and learning in the design disciplines.

a web-based video communication platform that enables real-time interactions between instructors and students from any device.
Hosting a meeting Your UofC IT access comes with a Zoom account. To activate it go to https://ucalgary.zoom.us/ and click on sign in. Note: Meetings can be joined without signing into the account first.
Meeting set up and invitation Log in directly at https://ucalgary.zoom.us/ and click on schedule a meeting. Specify the date, time and other meeting options, and share the Meeting ID and password with participants. Meetings can be scheduled directly from the D2L course page, follow these steps: https://elearn.ucalgary.ca/schedule-a-meeting-within-d2l/ Students can find out how to join a Zoom meeting in D2L here
Safety and privacy UofC requires Zoom meetings to be password protected. Good practice includes the use of the Waiting Room feature which allows entrance control. Hosts can admit participants one by one or all at once. An in-progress meeting can be locked, preventing additional people from joining, even if they have the meeting ID and password. Camera If your camera is on, be aware of what it shows. You may consider using a virtual background.
It is good practice to set up a meeting with all cameras turned off. Participants will have the option to start their video after joining the session. Note: It is nice to see each other, but it is an individual choice to use the video feature.
Microphone If your microphone is turned on, make sure everyone can hear you. Be aware of background noises. Make sure you test your audio and video before hosting/attending a session
How to communicate online and engage with an audience virtually?
It is good practice to set up a meeting with all microphones muted upon entry to minimizes disruption. Note: In meetings with large groups, it is recommended that participants keep their microphones muted for the duration of the session. Participants can indicate that they want to speak using the Zoom hand raise feature.
Recording Sessions can be recorded by the host, but participants must be informed prior to doing so. Recording is indicated on screen with a red dot. Recordings can be saved to the desktop or to the cloud. Any recording needs to be treated confidentially.

Breakout rooms Breakout rooms allow you to split your Zoom meeting in separate smaller group sessions. Break out rooms can be allocated automatically, manually or participants can be allowed to choose their own rooms. As a host, you can switch between rooms at any time. Rooms can be closed to bring everybody back to the main session.
Other Zoom features Use the Zoom Whiteboard for brainstorming and grouping ideas. You can find out more about Whiteboards here and here. Questionnaires and polls are also available. Meetings can be planned as reoccurring, using the same details. Consider assigning a co-host to assist if technical difficulties or interruptions. This will allow all participants to continue the meeting while the host or co-host solves issues.
