Marketing an Aesthetic Practice Written by: Colin Campbell

Letâ&#x20AC;&#x2122;s start this off by first establishing that marketing is an essential part of any business, let alone an aesthetics practice or any beauty, cosmetic or spa type of environment. The fact of the matter is that you are currently marketing, whether you know it or not and the current clientele frequenting your practice/spa is a reflection of how your marketing is working in the real world.

he first step to better small business marketing is to give marketing the respect it deserves. Any patient interaction involves some form of marketing, be it from finding your practice on the web, to undergoing a treatment; your marketing will build a following and most importantly your marketing will keep them coming back. Marketing is the structure that attracts your patients and that builds their loyalty, without it you will not survive.

So how do you improve your marketing footprint? Well, the answer is simple: take control!

Every practice/doctor has an idea of where they would like their practice to be, how they would like it to look and how it should be represented online. This is all marketing. If you understand the business metric of “Customer Lifetime Value” (the average spend of a customer over a given period of time) you will want to take more control of the messages patients are receiving in their world; how they are treated within your practice and what experience you want them to take to their friends.

Where to start?

External marketing

Firstly divide your marketing thinking into Internal and External marketing. Internal marketing is what I call “Greet to Goodbye”. External marketing is anything that would attract interest to your practice or service – be it online, on Facebook or in a magazine.

It is of paramount importance to have your internal marketing structures in place before talking about the external structures. This is not because they will fail without them, but because external marketing should reflect well within the practice. It is important that your external image matches the internal experience, or you will erode customer loyalty.

Internal marketing

Being the MD of Instar Group, I am naturally biased toward online and social media marketing. If this element is done correctly you can influence the Google algorithm to improve your search status. This of course does take a lot of work and consistent posting, blogging, tweeting and the likes, matched to a solid website foundation.

This simple division will serve as a guide as to where to start. Remember these elements to marketing are not optional but necessities. Lets discuss each element in more detail.

The internal structures of your business need to be well engineered. This means how patients are greeted on the telephone, how they are treated upon arrival, what they experience while they wait to see the doctor and how they leave. Everything a client encounters during this phase is internal marketing. Internal marketing structures build fierce loyalty if they are done correctly. The simple act of remembering a name, a holiday or an experience shared with you is a form of marketing. What structures do you have in place to allow this kind of recall? That structure is internal marketing and becomes a practice non-negotiable. Of course creating this loyalty increases the lifetime value of the customer.

I always ask the question: what is going to make someone talk about my practice? It cannot be “price”, and it cannot be “service” as these are expectations, so ensure you and your staff proved the patient with an experience they will remember and want to talk about. This is Internal Marketing.

External marketing should also be structured to ensure brand and philosophy continuity throughout the mediums in which you employ. And the mediums and possibility are endless….

The great thing about all types of external marketing is that you can rely on professional companies to execute your plans.

At the very least you need:

A website – the rock that holds your online presence together, so don’t be afraid to spend a little bit of money on it.

Facebook page – a popular medium of conversation that is fast becoming a necessity in business marketing

Blog – a more in depth option for followers to understand your philosophy and connect with your practice Medical Aesthetics Directory 2013/2014

Additional social media options include: LinkedIn, Google +, Twitter, and Pinterest

Other external marketing plans include raising your public visibility with magazine contributions and guest blog spots. Similarly raising your profile with your peers through training and lecturing will increase your referral rate from other doctors.

Advertising

We all know the dangers of unethical marketing and advertising, so within the world of aesthetic medicine the best advice I can give is: keep it educational. That does not mean you cannot include a “call to action”. Ensure you are including a directive to visit your website, Facebook, blog or other “call to action” you feel necessary.

The second tidbit of advice I can offer is don’t be fooled into “awareness advertising”. Street pole adverts and the likes are good for brand awareness but work for only the larger international brands. I prefer “direct response” adverts. Offer a call to action to a specific target audience and provide them a means to contact you. This way the callers are positive and interested in your offering and are open to making an appointment.

Conclusion The safest and best form of marketing is still the word of mouth route, but don’t kid yourself into thinking that people won’t follow up a verbal referral without looking you up online. Think of yourself if someone recommends a good restaurant, before going you Google them.

Create an environment that will build a referral practice (Internal Marketing) and compliment it with an online presence to match and you will see your aesthetic practice or small business grow. The key element to all of this is to understand that you are marketing all the time. How you are dressed right now is sending a message, and that is marketing, how your receptionist answers the phone is marketing, and what your Facebook page post today says, you guessed it, is marketing. The many challenges of setting up a Medi-Spa include the most important one which is staff selection. Although Medical Aesthetics is a very exciting, constantly evolving and rewarding business to embark upon, the success depends mostly on the people who represent you and your personal and business ethos.

Although Medical Aesthetics is a very exciting, constantly evolving and rewarding business to embark upon, the success depends mostly on the people who represent you and your personal and business ethos.

Before starting to appoint staff, identify your target market. If you are servicing an area which mainly consists of retirees, then your staff complement should be made up of people with whom they will feel comfortable. If you work in a university town then the average age of your staff should reflect the more youthful clients that you will be servicing.

If you are privileged enough to have an existing client base then you will not need a large marketing and public relations department. In addition, if your businessâ&#x20AC;&#x2122;s target market is under 35, then your marketing will be mainly via social media which is easy to set up and operate.

Key qualities to look for in your potential staff are an impeccable level of personal grooming, a level of intellect that enables them to learn the many complex procedures that are involved in your business, superior inter-personal skills and the ability to multi-task.

Your responsibilities include the following:

Establishing and clearly outlining the goals of the business so that there is a clear understanding of exactly what you want to achieve each day, each month and in a yearâ&#x20AC;&#x2122;s time. Set out the ethical Medical Aesthetics Directory 2013/2014

standards of your business and emphasise the importance of adhering to these standards at all times. An ESOP (employeeâ&#x20AC;&#x2122;s standard operating manual) is important, and, although it evolves organically in new businesses, most employees prefer to work within strict guidelines. Training which should be done on an on-going basis. Remember that training offered by product houses and medical aesthetic equipment suppliers is inadequate. There are now superb online training courses available in South Africa which will give your staff the edge in their chosen field. Uniforms are a vitally important item for your staff as they convey the image and brand of the business. These should be supplied by the business owner and updated on a regular basis.

Reception staff

It cannot be emphasised enough that your clientâ&#x20AC;&#x2122;s first point of contact with your business is going to be with the staff at reception. There is no point in having five highly qualified and trained therapists and a poorly manned reception desk. Ensure that you have more than adequate staff to answer the telephone, greet clients, handle walk-ins, co-ordinate bookings and respond to email enquiries timeously. The telephone should be answered within three rings with a pleasant, upbeat tone of voice at all times. If your reception staff are overwhelmed, it is impossible to maintain the high standards of service that are required. Reception staff are also responsible for ensuring the cleanliness and tidiness of the reception area, that fresh flowers are maintained, the signature scent of the business is always available and that clients are greeted by name as soon as they enter.

This person should be responsible for each and every client and their treatments within your business. They need to ensure that clients are correctly assessed and well managed. They will very often be responsible for drawing up yearly planners for clients, doing follow-up calls the day after treatments, calling clients on their birthdays, making sure that referrals are rewarded etc. The CLM should also assist the doctor with injectable and some laser treatments and ensure that the treatment rooms are prepared before and after these treatments. This person needs to have a nurturing demeanour and she should work well as part of a team.

The manager of your business needs to be highly experienced with either a strong therapy background or someone who has a medical qualification. They are responsible for the smooth day-to-day running of your business and should be able to manage and motivate staff well, work well under pressure and have a personality which is complementary to your own. They are also responsible for the maintenance of all aspects of the business, including ensuring that equipment is serviced timeously. If your business is small then their function could also include the bookkeeping and accounting role. This may require that they need further training and education to ensure that they are confident to do this.

The number of the therapists required will depend on the bouquet of treatments which you offer and what your predicted numbers of treatments are for each day. Your therapists should range from older, more experienced, staff to young ladies who show promise and who can be trained to perform treatments exactly as you require. Although it is an industry norm to give therapists commission, a more inclusive business model would reward every person in the business equally when targets are reached. This encourages everyone to be target-driven and it avoids the inevitable fighting over clients which can be unpleasant.

The back office staff are very often the backbone of your business and need to offer more than just basic book-keeping. You require staff who can accurately calculate the ROI (return on investment) for each and every one of your procedures. This person is also responsible for tracking stock, ordering adequate stock, negotiating the best prices and keeping an eye on the cash flow.

Marketing and public relations

This is a very exciting field to work in and is growing every day. This person needs to be able to fulfil all of the roles from print media, where required, though to social media. They will be responsible for the image that gets projected in magazines, via your website and newsletters. They will work closely with the administration staff so that the success of various campaigns can be measured accurately. They need to have a good understanding of the framework within which they need to work in order to adhere to the requirements of the HPCSA and the CPA.

Cleaning staff

Your Medi-Spa needs to be immaculately clean at all times. Cleaning staff will also be responsible for client’s refreshments and need to be well-groomed and friendly. The cleaning staff will also assist the therapists with tidying-up of rooms, ensuring that gowns are fresh, and other general tasks. Iâ&#x20AC;&#x2122;m sitting at a restaurant in the new Cape Quarter, where I usually go to write my articles. While I am there my attention is grabbed by a customer who is visibly upset with the service that he has received and he is waving his hands around and raising his voice to a lady who informs him that she is the owner of the restaurant.

e is trying to communicate to her how unhappy he is, and why he is so unhappy and she is trying to communicate to him the care she takes to train her staff to do their jobs properly. This situation was obviously not a great situation for the owner because there is an unhappy customer who is making a bit of a scene in front of other patrons. On the other hand at least she was presented with an opportunity to remedy the situation.

I remember working as a waiter while I was a student and reading an article written by the owner of the restaurant who was also the chairman of the restaurant board in the Western Cape at the time. In the article he was going on about how in South Africa patrons complain with their feet rather than with their mouths. What he meant was that people would rather not cause a stir at the restaurant if they were unhappy but they would just stop going to that restaurant in future, thereby complaining with their feet. In this scenario the restaurant management would not have the opportunity to do anything about it, concluding that it was actually better to have the customer complain there and then, because then you could take action and keep them coming back in future.

Communication 101

The reason I have taken the time to relay the above story in the context of communicating with clients is that we tend to see client communication in business as a one-way street,

when in fact it is just as important that we are taking note of how clients communicate back to the business.

We think of client communication as sending them an SMS for a promotion that we are having, a newsletter to update them on latest events, an appointment reminder or to notify them that there has been a power failure or flood at the spa and that appointments need to be rescheduled. There really isnâ&#x20AC;&#x2122;t as open a communication channel for spas to easily listen to what every single client has to say.

Now, before you respond to set the record straight, I am aware that you may receive a few replies to your bulk SMS (usually in the form of an Opt Out), or you may get a reply to an appointment reminder to cancel or move the appointment. You may even send out a survey to get your clientsâ&#x20AC;&#x2122; feedback or respond to complaints on sites like Hello Peter, but this will generally be a very small percentage of your client base. So how then can you truly communicate WITH your clients rather than just communicate TO your clients.

Actions speak louder than words

There is a way in which 100% of your client database will communicate to you, and this is through their actions. To put it in very simple terms, if they like your spa they will communicate this by coming back for more treatments and more products. If they don’t like your spa then they will stay away. That’s the bottom line. Therefore, on top of any other ways that your clients may communicate with you, whether in person, social networks or any other method, the most valuable communication (or feedback) we can have from clients is whether they come back or not. Let’s face it; most of us would rather have a thousand feet through our door than a thousand Likes on our Facebook page. Now that we have established how your clients communicate to you it is a matter of how well you listen, and this will depend largely on the quality of information

that you have at your disposal in the form of business intelligence. The more you know about who is not coming back, and why they are not coming back, the better you are listening and the more you are equipped to take the right action.

Conclusion

In conclusion, I am not saying that we must not communicate with clients, what I am saying is that we must also listen and listening happens in more ways than one.

Therefore, SMS your clients, Email them, put out posts through social networking and do whatever else you in order to communicate to your clients. Then start to listen by taking a close look at your business data to determine if clients are saying they like your spa or not. The better your business intelligence, the better you will be at listening to your clients. WHY USE FIX-4-NAILS?

If you’re suffering from fungal infections in the nail bed, or simply loose nails, turn to Fix-4-Nails® for help! There are three key steps to treating onycholysis and/or onychomycosis effectively:

Onycholysis (loose nails) Onycholysis is caused by numerous factors (www.loosenails.com). One of the first signs is a change in the nail colour, from pink to cream. The nail comes loose from the nail bed but usually remains attached along its edges.

Onychomycosis (with fungal infection) Onychomycosis refers to nails that are fungal infected. Fungi thrive in the loose nail environment, where the warm and damp conditions are ideal. Once infected by a fungus, the nail may not recover and there is a risk that the infection could spread to other nails. Traditionally, treatment of these symptoms has focused mainly on eradicating any fungus present, which, with today’s effective antifungal products is quite possible. However, in many loose nail conditions, there are no fungi present, in which cases these expensive treatments serve no real purpose. A LOOSE NAIL WITHOUT FUNGI, IS STILL A LOOSE NAIL!

TESTIMONIES:

1. Inhibit fungi and prevent re-infection 2. Restore the nail bed’s flexibility 3. Continue treatment for as long as it takes the nail to recover fully, thus preventing the nail bed from hardening and drying out again. To fully recover, such a nail usually requires an average of three months. For big toe nails, the recovery period could be a year or longer.

Treatment The ideal treatment would be to use a product such as Fix-4-Nails®, which has a combination of fungal inhibiting and keratolytic properties and is affordable for longer periods of use. The keratolytic properties of Fix-4-Nails® soften the keratin that accumulates under a loose nail plate; at the same time restoring the nail bed to a pliable state, while the fungal inhibiting properties keep the area free of fungi, gradually allowing a healthy new nail to replace the loose section. Both these factors are essential in the treatment of such nails.

Specific factors that may influence recovery time 1. For optimum success, Fix-4-Nails® drops must be applied under the nail every morning and evening and treatment should not be interrupted. 2. The soft keratin under the treated nail should not be removed. This will force the nail plate away from the nail bed thus restricting the growth process. 3. The speed at which the nail grows also influences the recovery time.
