Hello and welcome to our October edition of Dorset Business Focus and I hope this finds you well. As an accredited Chamber, we are a member of the British Chambers of Commerce (BCC), one of 53 Chambers across the UK. During the pandemic, the British Chambers of Commerce worked incredibly hard on behalf of businesses across the UK, lobbying for support, particularly for these businesses that were most affected. This includes these businesses that were falling between the gaps (often non-rate paying businesses) and those that were in the sectors mandated to close. We worked closely with the BCC during this time, feeding up issues coming from businesses across Dorset. With connections at the highest levels in Government, Westminster and Whitehall, both the BCC and the Chamber network is highly respected by business leaders, politicians and policy makers and businesses across Dorset and the UK will have benefited from this lobbying work and we owe a debt of gratitude to the BCC. Adam Marshall was the Director General of the BCC during the pandemic and after many years of service, stepped

down earlier this year. He has been replaced by Shevaun Haviland, formerly Head of Business Partnerships within the Cabinet Office. We have always had an extremely positive relationship with the BCC and are a highly regarded Chamber. Liz Willingham, Our Past President, is also a Board member of the BCC. Last week Liz and I had the pleasure of travelling to London to meet the BCC team and our fellow Chamber CEO’s from across the country. I’ve already met Shevaun virtually though our work on menopause awareness and Shevaun attended our event on this in July. It was great to meet Shevaun and the BCC team face to face and I know that the BCC will continue to do an amazing job under Shevaun’s leadership. We will continue to work closely with the BCC and continue to take the positive steps we are as a ground-breaking Chamber representing Dorset businesses, representing our members at a national level. International Trade Updates

Anything

to Declare?

Do you have a backlog of customs declarations you need to clear? Since January 1st, new border controls have been introduced in stages for imports to Great Britain from the European Union. With border controls now in place with the free trade agreement, customs declarations are needed for all imports to Great Britain. If you’ve chosen to delay making customs declarations on non-controlled goods you’ve imported from the EU this year, you will need to make a supplementary declaration. These are due within 175 days of your shipment arriving in GB – so if you imported anything in January 2021, your supplementary declaration is now due. Here we answer important questions to help you with next steps: Q: How do I know if I need to make a supplementary declaration? A: If you haven’t yet made a declaration for imported goods either yourself or using an intermediary, you will need to make a supplementary declaration. This needs to

be done within 175 days of the import. Q: What do I need to do? A: Most people use an intermediary such as a customs agent to deal with their declarations. If you have an intermediary, or if you used a service such as a courier or freight forwarder to move your goods, you should have agreed with them who will be making the declaration. If you chose to delay your declarations, you should have kept detailed records on your imported goods at the time of import – an intermediary will need this information to make a declaration on your behalf. There is still time to ask an agent to make the supplementary declaration for you, even if you have made your own entry in the declarant’s records. If you are delaying your declarations, you will need a duty deferment account. Even if you are using an intermediary, most will require you to have your own account. You should check this with your intermediary if they haven’t already advised you to set one up. A duty

deferment account allows you to make one payment each month for any imports rather than paying every time you import goods. This can be helpful in managing your cashflow. Q: What do I need to do if I decide to make my own supplementary declarations? A: Most people get an expert such as a freight forwarder, customs agent or fast parcel operator to deal with their declarations. If you decide to make your own supplementary declarations, you must: • make sure you have your own duty deferment account to pay any duty you owe • apply for authorisation to use simplified declaration procedures, at least 60 days before you need to make your first supplementary declaration. You can apply by completing form C&E48 • get access to one of HMRC’s customs processing systems – CHIEF or CDS • buy software that works with HMRC’s customs processing systems and is designed for completing supplementary declarations. Your questions answered: Q - I import into GB from the EU. What are the rule changes I need to know?

A - In short, starting from June this year, you need entry certificates and import declarations on all goods you bring from the EU into Great Britain. In the coming months, certain goods will require physical checks and pre-notification.

Q - Can I make my own import declarations?

A - If your business imports goods into GB from the EU, you need to decide who is submitting your declarations to HMRC. Most businesses employ specialists to do this for them. It is a very time-consuming process and we would encourage you to evaluate how much effort it demands to submit declarations yourself. Choosing to do-it-yourself, you will need to secure access and software to use the CHIEF (Customs Handling of Import Export Freight) system and soon its replacement, called CDS or Customs Declaration Service.

Q - What if I’m late making my customs declaration?

A - HMRC has warned that firms found to have deliberately not complied with the requirement to submit declarations may: • • •

Lose the option of delaying future declarations Have to submit all declaration information at point of import Receive financial penalties

A - If the country has a Free-Trade agreement with the United Kingdom and your goods meet the criteria in that treaty.

Q - Will I need to do an Export Declaration for goods going to the EU?

A - Yes. All shipments to the EU will need an Export Declaration.

Q - What changes are happening from January 21

A - From 1 January 2021, there will be new requirements to continue importing animal products for both human consumption and non-human consumption from the European Union into Great Britain. Some of the requirements include: prenotifying authorities that consignments will be entering Great Britain and uploading a certified Export Health Certificate using the Import of products, animals, food and feed system (IPAFFS).

A - As the importer, you may need to pay tax and duty on your goods. The customs duty you need to pay will depend on the classification of the goods being imported. See www.gov. uk/trade-tariff for the UK Global Online Tariff tool to help you classify your goods, which allows you to look up the relevant commodity codes, duty and VAT rates.

Q - I’ve heard the UK-EU free trade deal means my business doesn’t need to pay duties – is this correct?

A - No. Once the goods have been cleared in the United Kingdom, they lose their preferential status unless enough work is done in the United Kingdom to make them qualify for preference again.

Q - Can I get a preferential rate of duty on my export?

Q - How do I know what duty to pay?

A - You can manage duty payments for goods you import from the EU more easily by setting up a Duty Deferment Account (DDA). This will help your business cashflow by allowing you to delay paying most customs and excise duties and import VAT when importing goods for an average of 30 days.

Q - Can I export EU goods with EU Preference from the United Kingdom?

A - No. This is an EU-Turkey only document. You will most likely need a Certificate of Origin instead.

A - Yes, you do. To continue importing goods, and to submit your import declaration, your business will need to have an EORI number that starts with GB. You also need to ensure your EU supplier has an EORI with an EU prefix.

Q - Is there an easy way for my business to make duty payments?

A - If you needed it before then you will still need it now. Otherwise, it is not needed in most cases.

Q - Can I do an ATR document to Turkey?

Q - Do I need an EORI number to submit a declaration?

A - You can claim a preferential zero tariff rate on imports – but only if your goods satisfy the Rules of Origin contained in the EU-UK Trade and Cooperation Agreement signed in December 2020.

Q - Will I need a Certificate of Origin for my goods now that we have left the EU?

For any enquiries Q - I import goods from outside of the EU but when the goods get here, I repackage them can I then claim UK origin? A - No because you need to make a reasonable substantial process to the goods in order to claim UK origin repackaging is not enough to claim the origin of the goods, as a guide if the tariff heading changes from Import to export have a look at the process and if it’s enough to change this it’s a possibility.

State of the Nation Over the last few months studies are beginning to reveal the state of the nation’s mental health as the UK moves out of the pandemic and they make sobering reading. The CIPD’s annual Wellbeing at Work 2021 report examined absence and wellbeing practices in UK workplaces. The survey explored the impact of the pandemic on employee attendance and health and the response of organisations in rising to the consequent challenges. They found that mental health was the most common focus of wellbeing activity. As a result of the pandemic, substantially more organisations were focusing on this area (57%, up from 41% in 2020). Stress at work continues to be one of the main causes of absence and 91% of organisations with more than 250 employees reported stressrelated absence within the last year. The Nuffield Health Healthier Nation Index, launched by the UK’s largest healthcare charity did a survey of 8,000 Britons and 41% of those surveyed say their mental health has worsened. BUPA Global conducted research and found that 64% of board level executives who have experienced symptoms of mental ill-health during the pandemic have turned to potentially unhealthy coping mechanisms to deal with stress. 78% have experienced symptoms such as fatigue, lack of motivation, mood swings and disturbed sleep. This picture points to a ticking timebomb for businesses, however as a response to this worsening mental health picture there has been an increase in resources available to help those struggling. One area though that has been overlooked is the mental health of business leaders. As we know the buck stops with boss, and they carry the weight of the organisations they lead on their shoulders and even under ordinary circumstances this is a heavy burden. Throw in a pandemic and the subsequent fallout, this results in even greater pressure. Concerns such as the robustness of their business, an economic recession, protecting the health of their families, personal financial instability, the declining mental health of their workforce who are returning to the office and the issues around hybrid working conditions are creating a very uncertain climate. However 42% of board level executives believe that it would damage their reputation if it became public that they were struggling.

The usual way of dealing with stresses such as going to the gym, taking a holiday and connecting with friends has been removed and many leaders have found themselves coping alone. According to BUPA Global, this has resulted in 36% admitting that they are selfmedicating as a way of dealing with the stress. We have recognised this unique pressure that our business leaders are under and have been working on building a peer support network to support them. Dorset Careers Hub:

a story of embracing change to transform the pandemic narrative Dorset Careers Hub brings employers, schools and colleges together to enhance careers education in Dorset and join the dots between school careers guidance and local business needs. This focused approach brings results despite the challenges thrown by the pandemic with the Hub schools in Dorset consistently performing above the national average against most of the Gatsby benchmarks. This local success story has been recognised as a case study for best practice in linking employers and educational providers and overcoming the pandemic challenges in the Dorset Local Skills Report published by Dorset LEP earlier this year. Funded by Dorset Local Enterprise Partnership (LEP) and the Careers and Enterprise Company (CEC) in partnership with BCP and Dorset councils, the Hub first launched with a pilot of 40 Dorset schools in autumn 2019 and now offers an all-inclusive enhanced careers provision to all 76 schools and colleges across Dorset. The Hub links each school with a dedicated Enterprise Adviser from business and supports the schools in delivering ambitious careers education programme based on Gatsby Benchmarks best practice and informed by local labour market and skills research, ensuring young people progress into promising careers and reach their potential. In a normal year, 7,500 14 to 15 year olds across Dorset would take part in up to one week of work experience. Covid changed everything. The coronavirus outbreak caused an unprecedented period of irregular access to educational settings for most students. But these hurdles didn’t stop Dorset’s Careers Hub. In the absence of face to face meetings and events it put in place key initiatives to ensure young people did not miss out on vital experiences including Virtual Work Experience Insight Days and Dorset Careers Live – a series of career webinars hosted by local companies focused on key local industries; the Virtual Careers & Apprenticeship Show – a massive scale virtual show serving Dorset, Hampshire and Surrey, attracting 20,000+ students, 400 teachers, plus parents and carers. Over 64 exhibitors hosted online booths visited over 34,000 times for work and study related questions. However, while virtual events have expanded reach to diverse speakers and attendants and have clear advantages, some of their limitations, such as digital exclusion and deprivation, and impacts on ‘human connection’ cannot be ignored. The future is hybrid The pandemic has forced Dorset Careers Hub to do things differently. Whilst eager to bring back live events to schools and colleges, adjustments are needed to avoid the ‘re-entry fear and anxiety’ that many are experiencing and capitalise on the innovations and skills developed. The University’s ‘The Future of Learning 2070’ report predicts a future where “faceto-face interactions will be seamless between physical and virtual learning spaces: students and educators dipping in and out of these spaces as avatars” and learning interactions involving AI learning coaches, Brain-Computer Interfaces (BCI)and Virtual Reality Classrooms. The Hub’s strategy incorporates hybrid solutions and embraces continuous evolution, underpinned by a strong commitment to support young people in Dorset. Be more like Jack! “Jack of all trades, master of none” is often used as a put down, but actually the full statement is: “Jack of all trades, master of none, though oftentimes better than master of one!” So, the true meaning is that being able to adapt and be good at many things is actually much better than being great at just one thing and average at everything else. Having amassed over 25 years’ experience working on a wide variety of projects for an eclectic mix of businesses, I have developed expertise in several different specialisms, and I am very proud of that fact – it’s what makes me unique! Developing a range of experiences and knowledge gives me something that experts in one particular field may lack – namely, objectivity and an understanding of the ‘bigger picture’. I believe that being able to see how things fit together gives me a huge advantage, and in these challenging times this perspective is critical in leadership and my role as President of Dorset Chamber. The argument about being specialist vs a generalist is a common one, but unless you or your business is truly the greatest in one field, then be more like me or Jack!

Under 18’s tackle walking football AFC Bournemouth’s Community Sports Trust hosted a special event for its Walking Football team. The programme was sponsored by Care South, a not-for-profit leading provider of residential, dementia and nursing care across the south of England, which is entering its eighth season in partnership with the club. The club’s under-18 side were invited to take part, putting their skills to the test in a different way. The game was tightly contested and finished 5-5, with a penalty shootout needed to decide the winner! Ollie Camis, who was in goal for the youth team, saved the decisive spot kick and ensured the youngsters came out victorious. The club would like to extend its thanks to the under-18s, the Walking Football team and Care South, which also enjoys regular sessions in its care homes, run by the Community Sports Trust. James Silverton, customer relations manager at Care South, watched the match and he shared his delight after it was a big success. “It was great to be involved and see

such a fantastic game between the under18’s and Walking Football team. AFC Bournemouth caters for all ages and the activities that have come from our partnership have been really rewarding to see. We are so pleased that we’ve been able to welcome the Community Sports Trust back into our local homes for more football sessions and activities for residents in our care. These are a really important part of activities at Care South homes, helping to keep residents active and engaged, while meeting new people from the community team.” Amy Marks, partnership manager at AFC Bournemouth, also commented. “It was great to see individuals from the older and younger generation come together for a walking football game. “The pace is very different to what the under-18s are probably used to, but it was great to have them come down and engage with the local community.”

AFC Bournemouth run weekly Walking Football coaching sessions in partnership with Care South. Walking Football is a version of the popular sport, with a few small rule changes. These sessions are offered to both men and women aged 50+ and encourage them to keep fit and healthy without playing an especially competitive or demanding sport. www.afcb.co.uk

Bournemouth & Poole College joins nationwide campaign to support its local communities Bournemouth & Poole College has joined a national initiative to help its staff and students support and connect with local communities in Dorset. The Good for ME Good for FE campaign aims to generate £1m of social value via a sustainable programme of community action including volunteering, fundraising and charitable partnerships. Over 100 colleges have already joined the campaign which builds on the huge success of FE Foodbank Friday. This saw colleges around the country come together during the pandemic to raise over £47,000 and collect more than 20,000 items for local foodbanks. With demand for Foodbanks remaining high, this strand of activity will continue

as part of Good for Me Good for FE, to ensure that communities continue to be supported with basic food needs. In addition, staff and students who are keen to undertake voluntary and fundraising activities will be supported to do so. There is a strong link between volunteering and improved mental health* – a current key priority for colleges and their staff following such a challenging year. New Centres of Excellence unveiled at Weymouth College Two new Centres of Excellence offering the latest state-of-the-art training facilities for construction and engineering students in West Dorset have now been officially unveiled. The new Centres of Excellence for Construction and Engineering at Weymouth College have been made possible thanks to over £1.5 million of investment from Dorset Local Enterprise Partnership (LEP) via a Government Local Growth Fund allocation. These facilities will provide a much-needed boost for the local construction and engineering sectors. Prior to the COVID-19 pandemic, Dorset’s Engineering, Construction and Defence sector employed 29,000 people and contributed £1.9 billion (10%) to the economy. Skills shortage in the engineering and construction sectors has remained a particular challenge for recruitment and the latest Labour Market Insights released by Dorset LEP reveal a substantial increase in vacancies within these sectors. The two Centres of Excellence boast new cutting-edge training facilities and workspace, helping to enhance teaching capability and increasing the number of apprentices and students at Weymouth College. The new ‘Centre of Excellence for Construction Skills’ provides extra capacity though fully re-modelled and upgraded accommodation to support up to 260 full-time and part-time construction students and up to 160 construction apprenticeships per year. Weymouth College will be able to meet new apprenticeship standards and increase

specialisms not currently delivered to meet the needs of Dorset’s construction industry. These include construction maintenance, plumbing with solar/thermal pathways and an increased emphasis on environmentally sustainable construction. Greendale Construction announce the appointment of Chris Cave to the Board of Directors Chartered Builders, Greendale Construction Limited has announced the promotion of Chris Cave, MCIOB, to the Board of Directors, in the role of Commercial Director. Chris, 31, first joined Greendale on work experience from Poole High School in 2006, returning to gain more construction experience in 2007, before formally joining the firm in 2008 as a trainee Contracts Manager and Quantity Surveyor. Under the mentorship of senior CM/QS, John Kirk, Chris gained experience on a variety of projects including the restoration of Durlston Castle, before taking on his own contracts as CM/ QS for Royal Bournemouth Hospital, Avon Trading Estate, and Winton Primary School, amongst others. Having achieved a 2.1 in his Degree in Construction Management in 2013, Chris became a Member of the Chartered Institute of Building (MCIOB) in 2014. Chris forged ahead with his career at Greendale by taking on a more senior role

Female estate agent awarded £184,961.32 in compensation following indirect sex discrimination claim What’s happening? A female employee has been awarded £184,961.32 in compensation after successfully claiming indirect sex discrimination against her employer following a flexible working request. The claimant was employed as a sales manager at a small independent estate agent. On her return to work following maternity leave, she made a flexible working request to reduce her hours to 4 days per week, leaving an hour early each day to pick up her child from nursery. The flexible working request was rejected and the employee resigned. The Tribunal decided that the requirement to work 9am to 6pm, Monday to Friday placed the employee at a disadvantage due to her childcare requirements. It was decided that the employer’s reason for refusing the request did not convincingly outweigh the discriminatory impact on the employee. The employer had failed to show that the refusal was proportionate to the real need of the business to maintain successful relations with customers. Why is this important? It is a reminder that a requirement to work full time leaves employers open to indirect sex discrimination complaints. This is because (statistically) mothers are more likely to take

primary care responsibility than fathers and are therefore less able to work full time hours. Also supported in a recent decision. It is a reminder to employers that they need to approach the requirement to work full time in a sympathetic manner, balancing the needs of the employee as well as those of the business. What should you do? Put in place and follow a clear and comprehensive flexible working process when responding to flexible working requests. Consider whether any requirements to work particular hours may place female employees with childcare responsibilities at a particular disadvantage. Ensure that any reason for refusing a flexible working request fits within one of the prescribed statutory reasons and is objectively justifiable. with Frettens Solicitors Creative but risqué entrepreneurs made the news in early September after a freedom of information request by the BBC revealed some funny, dirty and downright illegal names that people have thought up for their businesses. It was reported that the names which had been rejected by Companies House, the official registrar of companies, in the past two years included ‘The Great Big Corrupt Company’, ‘Go Fudge Yaself Ltd’ and ‘Fit as Fork Ltd’! When setting up a company, the job of creating a name can be difficult, finding something unique and relevant can take a lot of time and effort, so it is little wonder that entrepreneurs were willing to risk committing an offence in order to find something memorable. The rules on naming a business are contained in sections 53-55 and 1197-8 of the Companies Act and are reproduced in the full guidance issued by Companies House, generally the restrictions cover: •

Line-up announced for the BCP Business Festival The stage is set for a ten-day programme of free business events The exciting programme for November’s ten-day BCP Business Festival has been announced by the event organisers, Evolve. Navigating a continually uncertain personal, and professional landscape has increased stress & anxiety and taken its toll on our wellbeing. In fact, 76% of respondents believe their company should do more to help. The breadth of factors influencing wellbeing demand that employers take a differentiated approach to supporting their workforce. The impact of and issues caused by poor wellbeing do not discriminate and nobody (or business) is exempt. Bournemouth Airport celebrates 80th birthday Bournemouth Airport celebrated its 80th Birthday having started life as an RAF base in August 1941 RAF Hurn as it was then known, because of its proximity to Hurn village, was vital to the defence of southern England during the Second World War. It was used by both the RAF and United States Army Air forces until 1944 when it was transferred to civilian control and served as London’s transatlantic airport until Heathrow opened in 1948. Back then Pan Am operated a New York to Hurn flight five days a week, with a journey time of almost 18 hours because of various fuelling stops along the way. Fast-forward to today and Bournemouth Airport will serve in excess of 30 domestic and international destinations in 2020/21 with 36

Charity offers ‘Futures Unlimited’ to young people with learning disabilities Christchurch-based charity Autism Wessex has launched a new provision in collaboration with BCP Council, to benefit young adults with learning disabilities who are on the verge of moving into adulthood. Autism Wessex’s Futures Unlimited programme seeks to engage and empower young people aged 19-25 to realise their potential and to become active contributors in their local communities, by offering bespoke learning opportunities, work placements, employability skills and supported housing practice. Autism Wessex is the leading regional charity providing specialist education, care and support to children and adults affected by autism and associated learning disabilities. How to avoid an employment tribunal? When you are an employer and you are in a dispute with an employee (or former employee), the employee may state that they intend to take you to an employment tribunal to seek compensation. Employment tribunals can be costly (even if you win, as defending yourself takes time and money), emotionally draining, and as the results are published online then they can also be bad from a reputational perspective. Internal procedures (such as appeals and grievance) provide a great opportunity to resolve matters before then. But when this doesn’t work, what are some of the other options? Here are 3 potential routes to resolution: Mediation Mediation is a confidential process which offers a flexible option to work through difficulties. Usually, mediation is most suitable when an employee is still employed, and can often be used as an alternative to, or following, a formal grievance process. Early Conciliation Early conciliation is a negotiation process within which both sides will try to seek an agreement, supported by an ACAS Conciliator. If successful, the employee/ former employee will agree to waive their right to bring a claim, in exchange for something from the employee. Settlement Agreement A settlement agreement is a legally binding agreement that can be formed between an employer and an employee or former employee. Within the agreement, the employee will waive their right to pursue a claim in exchange for a financial sum. Health & Social Care Tax – What you need to know This comes into force in two stages, the first in April 2022 through an increase in National Insurance contributions (NICs), before this is replaced in April 2023 by a new Health and Social Care Tax (HSCT). From April 2022, NICs for working age employees, self-employed and employers will increase by 1.25% and be added to the existing NHS allocation to allow HMRC systems to be updated. From April 2023 NICs will return to their 2021-22 levels. The new Levy will apply to the same population and income as Class 1 (Employee, Employer) and Class 4 (Self-Employed, including partners) National Insurance, and to the main and higher rates. From April 2023 onwards the HSCT will apply including to those above State Pension age who are still in employment. The increase will not apply to Class 2 NICs (the flat rate paid by the Self-Employed) or Class 3 NICs (voluntary contributions for taxpayers to fill in gaps in their contribution records to qualify for benefits). In addition to the above there will be an increase in the rates of dividend tax by 1.25% from April 2022. On the flip side, from April 2023 no-one will pay more than £86,000 for the care they need for daily tasks such as washing, dressing and eating whether that is in a care home or provided to people in their own home. However it appears that accommodation costs of care for those in care homes such as food, energy bills and the physical building - would not count towards the cap. At the time of writing the government has not said how much people should be prepared to contribute for these daily living costs nor whether these may be capped. In addition, spending on care will count towards the cap only for people assessed by the local council as in need enough to be eligible. Only the frailest those unable to do daily tasks such as washing, dressing and eating – qualify and more than half of current requests are turned down - with the County Councils Network predicting this will not change significantly with the changes announced. Are you really a team?

I’ve yet to find a leadership team that doesn’t value teamwork. Great teamwork is like making two plus two add up to five. However, a group of people that work together is not automatically a team. When working with leadership teams to discover core values, teamwork inevitably surfaces as a core value, a differentiator of the business. I truly don’t believe I’ll ever walk into a company and hear “we celebrate individual success above all else and have the value of everyone fighting for themselves”. But what really is meant by teamwork? The concept is clear, but the definition is not. What truly makes for great teamwork is frequently misunderstood. I hear teams saying they are a great team because: • • • • • • •

We all work together We look for what needs to be done and do it We all jump in and help wherever We’re flexible and all do a bit of everything We determine who takes a task based on who has time We’re all accountable for everything Hard work and cooperation aren’t enough

Invariably the leaders I work with are smart, dedicated, and hard working – their heart is in the right place. But the approach of “we pile in and get stuff done as quickly as we can” is destroying efficient and effective teamwork. A lack of clarity in structure, accountability, processes, systems, resources and budgets means issues get managed not solved forever. Teamwork is not just being friendly and willing to do anything to plug a gap. Lack of crystal-clear structure means there is confusion, things get missed or dropped. Everyone is understanding – we’re all just human – and believe great teamwork is done when the situation is rescued. Lack of clarity in accountability means fixing things at the root and ensuring issues go away forever doesn’t happen. The team is destined to drop another ball and waste time recovering again. Communication becomes a challenge; lack of structure requires everyone to know everything to keep the right hand coordinated with the left. It’s unclear who to talk to about any specific issue. Because there is no fixed person or process. How something is delivered this month is different to last month. Lessons are continually relearnt rather than the knowledge captured into core processes that save time, making things easier to manage. Heidi Roper from View HR observes “teams frequently believe working hard for each other is the same as working productively” and goes on to say that “it’s more complex to get out of the bad habits than you’d think”. The point is breaking the habit requires the team to intentionally shift gears, step out of the day-to-day busy work and work on being a better team. The good news is that its not hard and pays back quickly. Clarity in structure Great teams have clear structure, they hold each other to account. They challenge for the greater good and support each other to get better outcomes. Clear structure starts with an Accountability Chart, in black and white. This was popularised by Gino Wickman in his business bestselling book Traction. The Accountability Chart identifies the best way to arrange the major functions in the business. Then for every seat in the business the five key roles. These are the key accountabilities for the person sat in the seat. The surprising truth is that teams often think they already know who is accountable for what without it being written down. Yet ask them to write it down and everyone has a different version! And that’s the problem. Hard work and dedication are still needed in great teams. Add structure and clarity to accountability and the outcomes are so much better. With everyone clear on their five main roles, the key things for which they are accountable, they are enabled to focus on delivering, perfecting, and systemizing those activities in the business. The Rise of the Geri-lennial A recent survey of 2,000 men and women aged 24 to 39 revealed more than a third (36 per cent) are spending more time visiting homeware stores than socialising with others. Two thirds (66 per cent) get a sense of excitement when they buy new items for their property. But while it’s nice to have good decor, a third of respondents (34 per cent) said they get a bigger buzz from buying clever cleaning products than buying furniture. Almost half (49 per cent) of millennials – who are less Kate Moss and more Mrs Hinch – admitted they would rather spend their money on homewares and accessories for their home than go for a night out with friends. As a result, 50 per cent of respondents regard themselves as ‘geri-lennials’ - a young person who behaves much older than their age. A spokesman for online marketplace OnBuy. com, which commissioned the study, said: “While millennials have a reputation for living a party lifestyle and having a great time into the early hours of the morning, the reality appears to be somewhat different. “Given the opportunity, they’re likely to prefer a relaxing evening with a good book and a slice of home baked cake than a night on the tiles. “A lot of this is down to their desire to enjoy the home they live in and have spent time decorating and ensuring it’s spotlessly clean. “Our love of stylish homeware and a fondness for scrolling through other homes online is helping to ensure millennials enjoy the quieter life in the best possible setting.” The research revealed the average millennial typically spends £111 per month enjoying leisure activities outside of the house.

But when it comes to what they’d rather do for an evening, nightclubbing sits beneath cleaning the home, gardening, playing board games, reading, and going to bed early. And millennials are more likely to enjoy spending their cash on clothes, baking goods, home decor, home accessories and skincare than clubbing. While clubs have been shown the door, socialising is important – they’re just eight times more likely to want to do it in a restaurant than a raucous venue. To ensure their home is looking as sharp and fashionable as possible, they are spending £70 per month improving the interior. When it comes to inspiration for home renovations and improvements, forget celebs and property TV shows, it’s all about Pinterest and Instagram, followed by friends, going into physical stores and speaking to family. They’re also typically spending one-anda-half hours per week browsing homeware websites, according to the OnePoll research. And millennials are a nosy generation as well - with 42 per cent admitting they spend more time than they should browsing homes on property portals despite not looking to move. A spokesperson for OnBuy.com added: “It certainly seems that millennials’ best moves are more likely to be found on the shopfloor than the dancefloor as they do their best to enjoy the finer things in the comfort of their own home.” www.onbuy.com

Back pain

– How employers can support their workforce As convenient as it has been to “get to work” during the past 18 months (roll out of bed, switch on the laptop and voila!), many have undoubtedly experienced other painful issues. Using a low coffee table as a desk, typing on the laptop in bed, sharing a child’s study desk while replying to emails … these are some of the positions employees have found themselves in causing back aches or sprains in the process. While plenty of people have returned to the office, a large portion of employees are still working from home for the foreseeable, with hybrid working now the new normal. Others have been told they won’t be returning to an office at all. To coincide with Back Care Awareness Week (October 4 to 8 2021), spinal consultant Mr Guy Barham from Nuffield Health Bournemouth Hospital, is reminding employers about the importance of communicating with their staff about workplace causes of back pain and how they can help to convey to employees the importance of how to prevent developing back issues that can have long-term implications. “Most back pain in the workplace is related to poor posture and inactivity leading to prolonged abnormal stress on the muscle, bones, joints and discs of the spine. “When we are standing or walking, we naturally engage stomach, back and pelvic muscles in a way that supports the spinal column. When we sit these muscles are not used and more strain goes through the joints and discs of the spine causing discomfort. In some instances, when we sit some of our muscles work overtime to hold the spine in a certain posture (think of leaning forward to look at a computer screen and the strain it puts on our neck and low back). The longer this position is held the more work the muscle does, until eventually the muscle starts producing lactic acid, which can also cause pain. “We also need to be mindful of pre-existing back health or spinal complaints. As we age the

spine goes through an irreversible degenerative process. This can leave some people at higher risk of spine related pain with tasks that most of us would take for granted during the usual office working day. This group may be particularly affected by long periods of sitting or standing. “Adaptations in the workplace including sit-stand desks can be useful. Certainly, taking regular short breaks, even if just to stretching the legs to get a cup of tea will help with muscle back ache. “It will also be important to be careful with manual handling activities, particularly if you have not been doing lifting and twisting tasks in your workplace for some time. A refresher from your manual handling Health and Safety at work team would be encouraged to prevent more significant complaints.” So, what could employers do to ensure staff have a safe and healthy environment to work in? Here are tips from Mr Barham on how to improve back care in a hybrid working environment: Provide regular reminders – about the importance of using a supportive, adjustable chair that can be moved to support the lower back, placing computer screens at eye level, sitting with feet firmly on the floor or on a footrest and changing positions throughout the day. Avoid slouching in a chair for the majority of the working day. Encourage exercise and regular breaks – as these are important to help shift posture and prevent aches and pains. Walking is good for strengthening the back and core strengthening exercises are also ideal for the lower back and abdominal muscles. Perhaps use company-wide emails or an intranet to share exercises that can be done at home. Consider offering a working from home allowance – as investing in employee health can be more beneficial in the long-run with fewer sick days. By offering a contribution to find home

office updates is not only beneficial to their health but also can help boost wellbeing and morale. Share relaxation techniques – as stress is a common cause of back pain. By learning relaxation techniques such as breathing exercises it can alleviate stress and relax muscles. Perhaps organise virtual online yoga sessions for staff. Invite your team to tell you what they need – as most people only start thinking about back care once they’ve started experiencing some kind of back pain or discomfort. Ten Top Tips for Debt Recovery

Late payment of invoices, especially to SMEs, is a major issue in this country, and it’s getting worse. Recent research by FreeAgent between January 2019 and June 2020 showed that 46% of invoices are paid late, up from 42% on the previous period. In addition, McKinsey found that 80% of UK SMEs have reported a decline in revenues due to Covid-19. Antony Batty, Managing Director of Antony Batty and Company commented: “Late payments can severely disrupt a business’s operations, and can even lead to insolvency, meaning that an effective debt recovery policy is a must.” We are grateful to debt recovery consultant Mike Hartley for these 10 tips that all companies should consider. 1.

Know your customer. When extending credit to a new customer, or when an existing customer says that they are “changing names”, do your homework. Make sure that the customer is who they say they are. Double-check names, phone numbers, physical and email addresses. The rise of “spoof” companies during the pandemic is a real problem; and failing to carry out due diligence can result in huge losses. Consider Personal Guarantees. If you’re dealing with a newly incorporated limited company, consider asking for a personal guarantee from its director/s. This should offer you some further protection, even if you just insist on it for the first 12 months of trading, whilst you form a relationship. Invest in technology/software. Would you know if one of your biggest customers started experiencing financial distress? A relatively inexpensive subscription to a credit agency will ensure that you’re constantly monitoring your customers financial standing and are immediately aware of any adverse activity such as CCJ’s or potential insolvency. Check your terms and conditions. If you have any, when were they last updated? Are they still relevant to your business and the relationships with your customers? Importantly, and especially if you’ve used “off the shelf” T’s & C’s, do they preclude you from taking the action you need to take? Do they actually tie your hands behind your back when it comes to debt recovery? Having your terms and conditions checked by a professional is important and shouldn’t be overlooked. Use legislation. Many firms do not routinely rely upon the Late Payment of Commercial Debts (Interest) Act 1998, despite it having been incepted so long ago. compensation and a set rate of interest against unpaid commercial debts (i.e. debts that arise between two commercial entities or parties acting on a commercial basis). Despite this, many firms still do not use the Act routinely. Incorporate it into your terms and conditions if you can. Stay in touch. I find that many issues often have a communication breakdown at the heart of the problem. By constantly reaching out to your customers and being approachable, they are more likely to want to tell you if they’re in trouble. This gives you the opportunity to get ahead of the game and try to find a workable solution. Act fast. If a customer account starts falling into arrears, don’t ignore the problem. You stand a much better chance of recovering what you’re owed if you act quickly and initiate action. The longer you wait, the less likely you are to get paid what you’re owed (certainly in the current climate!). Use professionals. You’re the expert in your area of business; but that doesn’t mean you’re an expert in debt recovery. I’ve seen so many SME owners lose a case or have to write off a claim/debt simply because they’ve taken an unintentional wrong turn when trying to collect debts themselves. It’s not cheaper to “do it yourself” if you do it wrong! This is much more important in the current legal landscape, where insolvency and debt recovery legislation is ever-changing as a result of Government intervention to limit the economic impact of the Covid-19 pandemic on otherwise-solvent businesses. Do your research. If you decide to outsource debt recovery, then speak to other business

contacts and find out who they use or would recommend. Don’t immediately go for the cheapest option, as it might cost you more in the long run. Ask questions and be cautious if the answers are vague. Find out if they cover “disbursements” such as Court Fees etc… If they don’t, then what looks like a cheap deal at the outset can become expensive. Be very wary of debt collectors who want an upfront fee of any kind. 10. Watch your own finances. Don’t let bad debts creep up on you, as they can be the downfall of your own business. If you think that bad debt may affect your ability to trade, either in the short or medium term, seek advice early. Robust credit control processes together with professional advice and a clear strategy may well avoid future problems. A total of 48 graduates and school leavers have started accountancy and tax apprenticeships with PKF Francis Clark, across our offices in Exeter, Plymouth, Poole, Bristol, Truro, Salisbury, Taunton and Torquay. Managing partner Andrew Richards welcomed around 40 of our latest recruits at an induction day held at Sandy Park in Exeter. Andrew said: “It was wonderful to see so many enthusiastic new trainees come together from across the region, especially as we’ve been deprived of so much face-toface interaction over the past 18 months. “As part of their thorough grounding in accountancy, tax and audit, our trainees have a chance to gain experience within teams specialising in a wide range of sectors and services from agriculture to manufacturing and business recovery to VAT and customs – so they can choose the career path that’s right for them. Several of our current partners joined the firm as trainees, so I’m looking forward to seeing our newest team members progress in their careers over the coming years. “Alongside attracting experienced professionals, developing the next generation

of accounting, business and tax advisers has always been hugely important in ensuring we have the skills we need to serve our diverse and growing client base. I’m particularly pleased that we’ve been able to offer 48 of our region’s young people the opportunity to embark on a rewarding career this year, when the pandemic has impacted on the life chances of so many.” PKF Francis Clark offers two main entry routes for accountancy trainees, with apprentices usually starting in January and September. Aimed at school leavers, the Association of Accounting Technicians (AAT) apprenticeship combines learning on the

job with attending college one day a week, leading to a level 3 or 4 qualification. Association of Chartered Accountants (ACA) trainees are graduates who work towards a level 7 qualification and becoming chartered accountants, combining on-the-job learning with tuition at Reed Business School. We also offer specialist tax apprenticeship routes for aspiring chartered tax advisers.
