Policy and Procedures for Resource Mobilization 1. BACKGROUND Resource Mobilization is the identification and utilization of the available material resources within the campus of Manav Rachna International Institute of Research and Studies (MRIIRS) (Deemed to be University), Faridabad. The proper utilization of these resources not only lead to improve productivity and competitiveness but also leads to generation of economic resources –savings, investment capital, etc. 2. OBJECTIVES 1.

To ensure Resource mobilization in maintaining sustainability of Resources.

To pave the way for improvement of the available services and resources to support the expansion of the organization’s services as well as its existence to generate new business/earning through outsourcing the available resources.

The resources to be utilized for mobilization shall be as follows: o Auditoriums/ Seminar Halls o Shooting Ranges o Sports Arena (Indoor and Outdoor Games): Volleyball, Basketball, Football, Cricket Gymnasium, Badminton Court, Table Tennis, Lawn Tennis & Squash Court etc. o Central Lawn o Conduct of Examinations by different outside agencies o Bank premises o outside premises for exhibition and other display activities o Any other resource / activity / facility available in campus

To generate employment opportunities through human resources as and when there is demand of skilled workforce including use of Computer Labs by outside recruiting organizations. 1

To improve efficiency in outsourcing facilities to attract the clients by hiring expert in the concerned field (if not already available).

STANDARD OPERATING PROCEDURES (SOP): The following standard procedure, terms, conditions, and policy shall be applicable: 1)

The Venues are primarily meant for use of various functions relating to academic and research, students’ welfare, employees’ welfare, cultural functions, campus placement and other co-curricular activities of the University. The use of Resources as mentioned above shall be allowed by the competent authority on the specific recommendations of Dean, Directors, Head of Department, Librarian, Director of Sports, GM-IT, CoE etc.

The user willing to use the Campus Venues shall be required to submit duly approved and signed application (Approval by the competent authority) in the prescribed proforma as per “Request Proforma” (At least 7 days in advance of the event/ programme) to the office of Director Administration for the booking.

3)

Booking shall be done subject of availability and ‘First Come First Serve’ basis as per the booking calendar maintained by the office of Director Administration. If the booking is cancelled on the request of user, it has to be well informed at least 48 hrs prior to the commencement of function.

4)

The user shall ensure that the numbers of their guests do not exceed the capacity of Venue. No extra seat shall be allowed to be placed in the Seminar Hall/Auditorium.

5)

The user will be responsible for safety and security of the Venues property during the function. If any damage is done to any item/equipment or any theft is noticed during such use, the user shall bear the cost of damage/theft. This cost shall be deposited in Accounts Dept, falling which the same shall be recovered from him/her as decided by the competent authority. 2


6)

If the cost of damage/theft exceeds the amount of refundable security, the security shall be forfeited and excess amount shall be paid by the user to the central accounts.

7)

The user shall abide by all the Rules and Regulations and other terms and conditions revised from time to time, for booking and use of the Venues.

8)

In the event of unfortunate co-instances, the Director Administration shall have the right to cancel the booking.

9)

The user shall not use the Venues for the purpose other than what is mentioned in the request proforma.

10)

The User shall not use the Venues for screening or presentation of any objectionable activity like pornographic scenes and files.

11)

In case any tax / levy in respect of the function/ activity is required to be paid, the user shall pay the same.

12)

The user(s) shall be entirely responsible for any risk or damage to life or property of any person (organizers, performers and audience or spectator). The University shall not bear any cost towards such loses /damages.

13)

VVIP Lounge of the A Block Auditorium shall not be allowed for use by any outside agency and shall not be considered as a part of the Auditorium for the purpose.

14)

The use of Auditorium Hall, Seminar Halls will not be allowed for rehearsal purposes of Students Youth welfare programmes,

The user shall have to intimate the name of VIP/Chief Guest invited for the programme/function at the time of booking on the prescribed Proforma.

16)

No interior decoration, cooking and eatables in the venues shall be permitted.

17)

Smoking, use of alcohol and other incriminating activities shall not be allowed. Further, any inflammable material is not allowed to be carried in the venues. 3


18)

If there is any ambiguity in the implementation of SOP, the matter shall be referred to the Vice Chancellor MRIIRS whose decision shall be final.
