If only planning conferences were as straightforward as people outside the industry think it is. Book a venue, invite your delegates and you’re done. Right? Your audience will happily invest their time, money and attend without question, don’t they? In short, no, they won’t. In today’s competitive marketplace, with the continued tightening of budgets, it’s more important than ever to provide value and return on investment to your delegates. The key thing to planning a successful conference or event is to bear in mind the 4Ds: Design, develop, deliver and delight. • Design a detailed and succinct conference plan • Develop a programme that’s attractive, intriguing and of value to your potential delegates • Deliver to the best of your ability • Delight your delegates, stakeholders, suppliers and your team. In order to make the 4Ds a reality, don’t forget to create a roadmap. These ten tips will ensure your next conference is a success.

1. Do your research
5. Devise a financial plan for all scenarios
Consider why you’re thinking about organising a conference. Does this conference have a successful history or are you planning the inaugural conference? It’s important to have a realistic assessment of the requirements of the host and their colleagues. You’ll also need to evaluate the skill sets within your or your clients’ organisation and who/what can be available and committed to the planning process. Research the delegates so that you know what their expectations are before they arrive onsite.
The tip here is to plan for two scenarios. One with a desired level of attendance that includes all of the ‘nice to have’ options for the delegates’, (for example, three course lunch, state-of-the-art AV, high-end giveaways) and another that’s more stripped down (boxed or cash lunches, basic AV, etc). You can then assess what can stay and what needs to be reduced throughout the planning phases in the lead up to your conference start date, depending on your budget/income.

It is important to try and involve other people that can add value by bringing knowledge and expertise as well as sharing some of the tasks involved.
Set a clear timeline within your conference strategy with key performance indicators (KPIs) along the way. These KPIs will help to assess if you’re on target to achieve the desired performance levels and allow you to adjust strategy if needed.
3. Define roles Where does the expertise lie within your team? Set clear and measureable tasks for each member and ensure that they understand how their involvement contributes to the success of the conference.
4. Prepare for the worst You should consider all eventualities in your conference strategy to ensure there are no costly or embarrassing surprises. Contingency strategies are essential – ask yourself ‘what if?’ every step of the way.
7. Make sure everyone is on the same page It is essential that all parties involved in the delivery of the event understand the main objective for the conference and what the desired outcome is. This includes everyone from service providers, venue team and volunteers to the host city partners.
8. Accelerated accounts Try to reconcile your accounts as quickly as possible. But don’t forget attention to detail is essential.
9. Gather feedback There are lots of tools available to help gather delegate, partner and sponsors’ feedback. Whether you do this through the use of external tools or carry this out as part of your service, it is important to gather and report on feedback to recommend strategy adjustments for future conferences. Apply what you have learned from this conference to your/your clients’ next one.

Manchester will welcome the National Football Museum in 2012. The NFM will become one of the city’s ‘must see’ attractions incorporating three floors of legendary objects, stories, ‘hands on’ interactives and a changing temporary exhibition programme showing that it’s not just football – fashion, art and photography will also bring the story to life. The Museum will provide a permanent home for its nationally-recognised Hall of Fame, with new legends being inducted in a prestigious annual awards ceremony. nationalfootballmuseum.com
MediaCityUK has welcomed the arrival of its first tenants; five BBC departments including Sport, Radio 5 Live and Children’s along with the show Blue Peter. They will be joined by BBC Breakfast later in 2012. Other tenants who have moved into the 36-acre community include ITV; the world’s longest running soap opera, Coronation Street and the University of Salford. Holiday Inn Express Manchester City Centre Manchester Arena is the latest hotel to open its doors in the city. The contemporary 192 bedroom hotel is conveniently located in the vibrant Northern Quarter with its cosmopolitan mix of boutique shops, nightlife and art galleries. Max Serviced Apartments have also recently opened contemporary accommodation near Piccadilly railway station. Premier Inn will also be opening a 193 bedroom hotel in Piccadilly in 2012. Meliá Hotels have chosen Manchester as the home of its four star 208-bed Innside Hotel, the first of its kind in the UK. Plans for the hotel, due to open by summer 2014, include a restaurant, bar, spa and conference facilities.

Two of Manchester iconic cultural institutions will move to the city’s new Cultural Hub at First Street. The Hub will become home to the Cornerhouse and the Library Theatre Company Theatre. The £19m development, which will open in 2014, will also house bars, restaurants, shops and two hotels. Another landmark development is NOMA. This £800m development will transform 20 acres of Manchester city centre into office, retail, leisure and residential space. Salford’s newest sporting and conference venue opened its doors in January 2012. The £26m stadium, which is one of the host venues for the 2013 Rugby League World Cup, adds to Greater Manchester’s rich sporting and meetings offering. It's an exciting year of world-class sports in Manchester. Old Trafford, home of Manchester United, will host nine of the London 2012 Olympic and Paralympic Games football matches. The city will welcome competing nations including Team GB football team, who will kick start their campaign for glory at Old Trafford. Teams such as Swim Australia will call Manchester home whilst training for the Games. The city will also host other exciting sporting competitions including NBA basketball, the Bingham World Cup and the European Taekwondo Championships.
The UN has declared 2012 the Year of the Co-operatives, recognising the diversity of the movement around the world. Rochdale, Greater Manchester will celebrate being the birthplace of the co-operative movement with a series of events being held throughout the year. Dining Rooms of Distinction It’s almost instinctive; the hurly-burly of the day done, we return to the hotel, change, clean up and head out again to catch a flavour of the city. And from Chinatown to the fashionable haunts of Deansgate and beyond, Manchester’s vast range of bars and restaurants delivers a vibrant nightlife perfect for unwinding after a busy day of meetings and seminars. Yet visitors could be missing a trick here. For much of the city’s style, culture and heritage – not to mention some of its finest cuisine – is located right there in the elegant and varied dining rooms of Manchester’s hotels. From the grandeur of Louis XV style and the intimacy of the Belle Époque’s Art Nouveau to the most glamorous of contemporary surroundings, the city’s hotel restaurants impose their own graceful individuality and relaxed ambience in which to enjoy outstanding cooking. The Midland Hotel, home to the renowned French Restaurant, has been at the epicentre of Manchester matters for more than a century. It was here in 1904, a year after it was built, that Hon Charles Stewart Rolls first met with Frederick Henry Royce. Two years later the world’s most famous motor car company was founded. Head chef Paul Beckley’s modern French cooking fashioned from the finest of local ingredients has won the French two coveted AA rosettes and it was awarded Life Magazine’s accolade ‘City Restaurant of the Year’ in 2010. If the Midland’s majestic terracotta facade was the iconic symbol of Mancunian pride and prosperity at the turn of the last Century, the Hilton Hotel, occupying the first 23 storeys of the tallest building in the north of England, marks the confident renaissance of the city following the devastation caused by the IRA bombing of 1996. With its discreet banquette seating, dim lighting and crisp linen tablecloths, it has a sexy, old school New York vibe and is an impressive setting for any occasion. David Gale, the Executive Chef and winner of the Chef of the Year 2010 award at the Manchester Food & Drink Festival, is a strong supporter of local producers, believing this allows him to satisfy the wide demographics and genre of the hotel.

Another star of the modern era is Sir Rocco Forte’s five-star Lowry Hotel, dominating the Salford bank of the River Irwell at the head of the elegant Calatrava bridge. The style of the chic, award-winning River Bar and Restaurant is fully in tune with the rest of this prestigious hotel, an enduring favourite of visiting sports and pop stars. The restaurant has recently acquired the services of internationally-acclaimed New Yorker Ryan Murphy as executive head chef. Ordsall Hall dates back over 820 years. Throughout history it has been put to many uses - a family home, working men's club and church hall. The most important period of its life is undoubtedly as the family seat of the Radclyffe family who resided here for over 300 of those years.
Set in the heart of the rural Cheshire village of Dunham Massey, Red House Farm has been under the direction of the Clare family for over 100 years. Though the farm has taken on many guises through the years, it has steadily developed into the thriving farm shop, tea rooms and tourist attraction.
Legend has evolved that Ordsall Hall was the location for Guy Fawkes and Robert Catesby to plot the overthrow of King James in what was to become the famous Gunpowder Plot. Greater Manchester Fire and Rescue Service Museum The museum opened in September 1983 after three years work in converting a former fire engine workshop building at Rochdale fire station. Transport Information Manchester is one of the most accessible cities in the UK, thanks to its central location and excellent transport links. Manchester has a comprehensive public transport system, so once you’re in the city you should have no problems getting around using buses, trains or trams. Buses

Travelling further afield
Buses are a great way to see both the city centre and the wider city-region. A comprehensive network of buses offer frequent services to many destinations. When in the city centre, you can hop on one of the Metroshuttle buses. These are free and link to all the main railway stations, shopping districts and businesses in the city centre.
There are four key railway stations in Manchester city centre – Deansgate, Piccadilly, Oxford Road and Victoria. Of these, Piccadilly attracts the most visitors and is the main arrival point into the city centre. With a fullydeveloped network of services to both local destinations and beyond, taking the train is an ideal way to travel on your visit. Trains run approximately every 10 minutes from Manchester Airport to Manchester Piccadilly railway station, taking just 15 to 20 minutes.
If you are venturing to another UK city, National Express operates from the modern Chorlton Street Coach Station.

The Last Word Manchester Arena will be the venue for basketball with GB versus US. The Rugby League 'Magic Weekend' will take place in May, whetting the city’s appetite for the Rugby League World Cup 2013 which will also be in Greater Manchester. Let’s not forget the other national and international championships covering cycling, Taekwondo, netball, squash and more. From this year’s exciting line-up we’re definitely living up to the accolade as one of the ‘Ultimate Sports Cities’.
The world of conferences and events is all about planning. It always seems as one event finishes we barely stop to catch our breath before moving onto the next. This year seems a little more monumental than others, particularly with the London 2012 Olympic and Paralympic Games around the corner. I'm really quite excited at being part of something that won't return to these shores for a long time to come - even if my participation is from the comfort of one of the fanzones. There’s been so much talk about London 2012 benefiting the rest of the UK; judging by all that’s going on in the region pre and post London 2012, this is definitely the case. Manchester will proudly welcome a number of nations. Old Trafford will be hosting nine of the Olympic football fixtures, including the very first Team GB match. Some teams including Swim Australia, will call Manchester home as they train for the Games. Along with the rest of the country, Greater Manchester will be celebrating the Torch Relay in true Mancunian style with a number of special events.
As the city where John Rutherford first split the atom, scientific innovation has always been of particular interest - and 2012 is no exception. This year sees the centenary of Alan Turing’s birth. The Enigma code breaker spent the last six years of his life working at The University of Manchester creating a software program for the world’s first recognisable modern computer, the Manchester Mark 1. Several events will be held across the city as part of his centenary celebrations, MOSI (The Museum of Science & Industry) will be exhibiting works inspired by and themed around Turing and his achievements. The University will also be hosting a conference, with speakers such as Andrew Hodges, Turing’s biographer. It's interesting how Manchester’s innovative firsts are still helping to influence major international conferences, such as the three major nuclear conferences being held in Manchester this year. Each conference showcases the city’s heritage, commercial and academic excellence to a new global audience. I expect in years to come we will be talking about current Manchester firsts, such as the development of Graphene, as key influences for innovation, investment and future conferences.
