In 2011, one of our most valued clients came to the Maredith team seeking a new way forward. The KTC Townhome Association was facing a major fiscal crisis. Utility bills and legal costs were mounting, while special assessments were requested to cover their falling revenue. Volunteering was at an all-time low, leaving all the work to two board members. Maredith helped turn this crisis into an opportunity. After tailoring a contract to meet the board’s specific needs, we were able to reduce management fees, provide real time and remote access to financial information and invoice review for the board, and encourage renewed energy and board participation through streamlined communication.

In 2013, the Aspen Woods Homeowners Association Board approached the Maredith team seeking out an alternative management company. Their role as HOA board members under their last management company involved the day-to-day operations of the association and had therefore become almost a full time position. For example, the volunteer board followed up on missing invoices, researched lost HOA payments, and responded to disgruntled homeowner concerns. They wondered—what does a management company actually do? Maredith stood ready to accept this challenging transition. Over the course of 6 months, Maredith caught the HOA up on all bill payments, corrected the homeowner accounts, reinstated insurance and the association’s collection attorney, secured an independent audit, filed taxes, and reinstated the association’s corporate charter. At the end of the year, the Aspen Woods Board of Directors attended Maredith’s Annual Community Leadership Banquet where they were thanked for their volunteer service to the community along with other dedicated HOA volunteers throughout the region. President Scott expressed his thanks and appreciation as ASP closed the year out with confidence and a whole lot of spare time!

Maredith utilizes lockbox banking, recommended by the Community Associations Institute (CAI), which allows for direct deposit of owner payments into the association’s account. This efficient process reduces the chance for misappropriation of funds. Homeowners can pay their dues by credit card or e-check online, or by mail.
Maredith’s state-of-the-art Accounts Payable System uses the Strongroom Solutions’ software platform. Log in any time to approve or deny pending invoices prior to payment or review the current checking account balance in real time.
Paperless record keeping and filing HOAs are required to provide association records to homeowners upon request. With Maredith’s electronic record-keeping, we ensure that the association is meeting these requests in accordance with the law and keeping their homeowners happy. In addition to routine requests from homeowners, we facilitate the distribution and processing of all resale packages and demand letters online for easy tracking and processing.

Maredith serves as the liaison with vendors and contractors that you select. We maintain a robust vendor database, audited to ensure all insurance certifications are current. Additionally, all vendors who submit proposals for projects are required to list your association as the additional insured.
