Motivation letter Dear IFMSA Family, Three years ago, in the summer of 2019 I first came in contact with IFMSA as a participant in SCORA X-change Brazil. I was a clueless first year medical student, not knowing what I wanted to do with my career, but sure that I wanted to develop my skills in an intercultural environment, surrounded by hardworking and brilliant peers and to contribute and give back to the community of medical practitioners. Starting off in my second year of med school, I ended up attending the SCOPE-SCORE National Meeting by chance, solely as the local officers needed some more volunteers and I offered to go, even though my background in conducting exchanges was near to 0 back then. I remember I was so shy, scared to approach anyone in the national team, because I didn’t consider myself important enough to take from their time, so I was just being inspired by their work and remained silent, analysing everything. Returning to my LC, I joined the SCORE local team as LORE Assistant being so driven and excited, that within the first month I initiated 3 new projects and the first Global Action Project in my NMO. My journey in SCORE continued rapidly. The call for the FASMR Romania delegation to the March Meeting 2020 in Rwanda was launched, and I applied, once again not having background on how GAs work as I come from a small LC not exposed to the international world. And I did it, I got selected. And I was the first person in my LC to ever attend a GA. With this opportunity I learned that guidance and inspiration are not always found right next to us. We need to explore, get out of our comfort zone and grow.

6

From MM20 on everything went rapidly, I applied for every opportunity in SCORE I could find, became the NORE of FASMR Romania a few months later, been part of sessions team three times, became part of the SCORE IT 21/22 and, now, here I am, presenting to you my motivation to become the SCORE Director 22/23, something my 3 years ago self would have thought is impossible to reach. Through the years in IFMSA, one of the most important things I learned is that we, as medical students, as young medical professionals, have a voice that needs to be heard, we have the ambition and resources to make great achievements. Recently I was part of the delegation to the Youth Pre-WHA and WHA (World Health Assembly) in Geneva, May 2022. Being in contact with health ministers, WHO representatives and seeing their eagerness to listen to our questions, give kind and patient answers, encourage us, all was truly inspiring. In particular, the involvement of youth in research was brought up and it made me realise over again how crucial our role is in the development of the medical world and how SCORE is playing such an important role. Working in SCORE for years now, going from a local to a national and international perspective, I have been capacitated to understand the work of SCORE, its strengths, weaknesses, to envision ways to improve each area SCORE focuses on, and to adapt in order to overcome difficult challenges. After this time of collecting knowledge, I find myself here, ready to give back to SCORE members by leading this standing committee. If elected as SCORE Director 22/23, I will dedicate my time to the development of the standing committee, promotion of research and research education while ensuring that the SCORE IT works by the people for the people effectively, in a safe working environment. Thank you for taking time to read my letter! If you have any questions or doubts regarding my candidature, you are always welcome to contact me! Kind blue hugs, Maria Mătieș

Plan of Action As SCORE has been developing over the years, the focus areas tend to switch in order to satisfy the needs and goals of the standing committee and its active NMOs. The following plan of action gives a glimpse into the approach I would like to have as the SCORE Director 2022/2023, if elected. This preliminary plan will be further adapted in accordance with the input of the future SCORE International Team, as well as the opinions and needs of the NOREs, and based on handover.

Sustainability

Solidifying the foundation of research exchanges is one of the main focus areas I envision for the term 2022/2023. We are still paying the tolls the COVID-19 pandemic left us, therefore many NOREs need guidance to achieve their goals, fulfil their tasks, organise their exchange logistics, and most importantly, be prepared to solve any issues that might come with the process. Furthermore, member engagement has become a prevalent issue in SCORE that needs to be tackled in order to ensure the sustainability of research exchanges. NOREs working timeline- In collaboration with the SCORE RAs a timeline containing all the important deadlines for NOREs throughout the term will be drafted. Biannual NORE Training Camps- Implement biannual online NORE Training Camps conducted in each region, where NOREs are introduced to all the tasks a national officer is supposed to complete. Due to the constant rotation of NOREs, the training will take place twice a year in order to not leave anyone behind. The training camps are to be prepared after an analysis of the Needs Assessment and previous NORE Reports in order to be aligned with the needs of the NOREs.

8

Visas- Visa issues rose with the COVID-19 pandemic. Visa-related issues have come in the way of multiple exchanges, problem that needs proper attention, and could be tackled by: Updating the Manual on Visa Issues; Drafting new templates that can be used as additional documents during visa processes: proof of accommodation template, invitation letter from the host university/tutor, support letters in collaboration with SCOPE D, LSR and VPE. Database: Promoting the Database Manuals to NOREs, LOREs and exchange students with the help of the RAs; Continuous collaboration with SCOPE, the VPPRC and the IT Company to seek improvements of the platform - realising a feedback form for the national officers, local officers and exchange students - 3 different sections, in order to centralise the issues, based on specific functionalities of the platform, so that it is easier for the IFMSA Officials that are working with the IT Company to give feedback and solve the issues together. Finances: Trainings on budgeting of exchanges in collaboration with SCOPE D and VPF- these trainings are meant to provide the exchanges officers with the skills and knowledge to keep financial stability for their exchanges, overcome financial issues and manage their budgets effectively Develop a Financial Sustainability Toolkit for Exchanges in collaboration with the VPF and SCOPE based on the analysis of Needs Assessment, NEO/NORE Reports and other reported issues identified in NMOs

9

Members engagement- Implementation of SCORE IT Talks- These spaces will serve to share updates about SCORE IT work, give insights to the strategies followed, issues faced, among other things. The SCORE IT members will rotate ensuring all members are to be able to attend and better connect with the international work of SCORE. Update of SCORE Materials- Evaluation of the NORE Folder and update of the relevant materials for NOREs to the new IFMSA CI

Capacity Building and Development of SCORE

During the past few years, SCORE has been making substantial leaps in the area of Capacity Building for research. I am very pleased with the work the past ITs have conducted and now it is time to assess the impact of the efforts and help develop them further. In addition to that, SCORE needs to uphold its high standard of Exchanges and, in collaboration with SCOPE, continue their work on Exchange related workshops and improve their quality. A balance between these principal categories and great communication of the development efforts will ensure a steady advancement of our dark blue family. Pre-GAs and Pre-RMs workshops: promote SCORE related workshops to the NOREs with the help of regional assistants, IFMSA SCORE Group, emails and webinars where the participants are provided with clear information on how to apply, how the workshops work and their importance; evaluation of the workshops conducted through the evaluation forms, asses their impact and strive to improve them; collaboration with SCOPE in conducting common exchanges workshops such as PRET, TNET; Adaption of the TNET Annex as part of the SCORE Regulations and in collaboration with SCOPE; advance the new SCORE workshops TNRT and READY- assessment of the workshops conducted, analysis with the SCORE IT and work on improvements

10

SRTs- encourage the NOREs to host research and exchanges related workshops within SRTs in their NMOs- to be done by promoting the research and exchanges workshops to the National Officers, providing guidance for the implementation with the help of SCORE RAs and CBDA, and close follow-up. Organise a CB Weekend online where all the workshops related to research and exchanges are presented in order to engage and empower members. Research Camp- organise at least one Research Camp throughout the term and evaluate its impact by using the pre- and postevaluation Forms; Encourage NOREs to organise National Research Camps and provide guidance for the implementation by creating a manual on National Research Camp implementation. SCORE Research Club- implement a SCORE Research Club which unites online once every two months. The members would share the research projects they are working on, comment on possible improvements, and share interesting research papers they came across, all this with the aim of working together towards more involvement of medical students in research, and creating a safe space to learn from peers. The SCORE Research Club is to be integrated with the BRCF (Basic Research Competency Framework) by having SCORE IT members discuss the relevant components of the framework at each gathering.

11

Implementation of Access to Research and Research Education (ARRE) Program: ARRE is a new program proposed by the SCORE IT 21/22 and is to be voted upon during the AM22. In the eventuality that the program passes for the next term I would focus on the following points: Collaboration with the VPA and ARRE PC for the implementation and promotion of the program- as a new program in SCORE and given the exchanges environment is not used to working within programs, webinars for explaining the aim and the process of implementation are crucial in order for the SCORE members to understand its benefits and to be able to fully involve Consultation with the SCDs who have been working with PCs for the past terms in order for the implementation to go smoother Keeping the SCORE members engaged and motivating them to enrol their activities under the ARRE program. Encouraging NMOs which will have enrolled their activities to share their progress with the other NMOs with the aim to inspire and guide in the activity enrollment process. Implementation of the SCORE Strategic Plan 2022-2025: The new SCORE Strategic Plan is to be voted upon during AM22. In order for it to be followed starting next term, the following steps should be ensured: The introduction of the SCORE IT to the SCORE Strategic Plan 2022/2025, explaining each pillar and dividing tasks and responsibilities amongst the IT members Alignment of the work of the SCORE IT with the SCORE Strategic Plan 2022/2025 and periodic re-evaluation of the progress- the Annual Working Plans created at the beginning of the term by each SCORE IT member are to be used for proper planning and monthly progress updates Ensure the transparency of the progress with periodical updates shared with the NOREs and SCORE general members

11

Accountability, communication and collaboration

NORE Discord server: Create a Discord server for NOREs and divide it into channels for: important deadlines, important announcements, SCORE opportunities, sharing is caring, and team building- this will strengthen the links between NOREs, keep them closer together and better informed on the activities taking place. The discord server is to be shared with NOREs by their RAs after their election.

SCORE IT: Handover: Ensure that the SCORE IT receive a complete handover and are certain of the tasks they need to fulfil at all times. SCORE IT meetings: monthly online meetings with the SCORE IT to discuss the work updates and way forward; occasional 1-0-1 meetings with SCORE IT members for guidance, close follow-up on their work and problem solving SCORE IT Availability calendar: prepare at the beginning of the term a calendar where the SCORE IT can state their exam periods, important events/holidays which can make them unavailable in order to plan ahead and ensure the completion of the tasks without overburden Team dynamics: ice-breaking activities, set clear and realistic expectations at the beginning of the term, organise working parties SCORE IT Monthly Report and mental health watch: update of the SCORE IT Monthly Report and Mental health watch; follow up with the SCORE IT members who are experiencing mental health issues SCORE IT Work Tracker: Establish a SCORE IT Work Tracker at the beginning of the term to give an overview of the work of each SCORE IT member, plan meetings, IT Projects, SWGs. SCORE IT structure: evaluate the tasks of the current SCORE IT and restructure them in order to have a balanced workload per each IT member

12
