OFFER & HOLDING DEPOSIT Before we put your offer to the Landlord, you will be required to pay a holding deposit. This will consist of ONE WEEK’S RENT together with a tenant reference/assessment fee of £100.00 per person (if required, one guarantor reference is carried out free with each further reference at £100.00 each). Paying a deposit is the first step to securing your new home (subject to contract and reliant on us receiving satisfactory references). The holding deposit or assessment fees are NONREFUNDABLE and will be forfeited, should any applicant decide to withdraw from proceeding with the tenancy for any reason, not complete the reference/assessment form within 24 hours of this form being signed, not meet the minimum referencing criteria set by Let Alliance, provide inaccurate information on the reference/assessment form, change the commencement date of, or the term of the tenancy or deviate from the terms stated on the offer confirmation in any way. However should the Landlord decline your offer; the holding deposit (which includes the tenant assessment fee) will be refunded in full as soon as administratively possible. To avoid any doubt, if your offer is being made subject to any conditions, please state these clearly on this form before paying any money. The Landlord reserves the right to decline requests made after your offer has been agreed (subject to contract and references). If you are a smoker or have a pet, please be advised that unless this is disclosed prior to your offer being made, you are likely to forfeit your deposit. OFFER ACCEPTANCE (subject to contract and references) Once the terms of your offer have been accepted by the Landlord, we will carry out the tenant assessment and offset one week rent, paid as part of the holding deposit, against the first month’s rent. TENANT ASSESSMENT To be considered a suitable tenant, you need to meet some basic requirements. These will vary depending on your circumstances and some landlords may ask for additional information and guarantors may be required. Credit searches should not show any adverse credit history. Satisfactory landlord’s reference (if applicable) You must be employed with your gross annual income confirmed as at least 2.5 times the annual rent. If it is a joint application, this ratio will apply to joint income. You must be able to provide proof of your current address and Photo ID or other documentary evidence of your right to enter the UK. Ideally this would be a UK Driving Licence and a valid passport. For a full list of acceptable documents, please ask your lettings negotiator.

ACCEPTANCE Upon acceptance of your references, you will be expected to sign our standard tenancy agreement; your lettings negotiator will be able to explain any clauses you have a query about. A copy of our draft tenancy agreement is attached to this document. Should you (the tenant) wish to make any changes to our standard tenancy agreement, or provide your own agreement, Martyn Gerrard reserves the right to charge an administration charge of up to £300+VAT for reviewing the document. There is no fee charged to sign our standard agreement. We strongly advise you and the Landlord to sign the contracts as soon as possible, as until then; your tenancy is not secured. On signing of the tenancy agreement you would be required to pay the outstanding balance of funds as listed in this document. This amount will be equal to the first months’ rent, minus rent already received, together with the dilapidations deposit (which is normally made up of six weeks rent). TENANCY DEPOSIT PROTECTION The deposit will be protected with one of the approved Tenancy Deposit Schemes. For more information please speak to your lettings negotiator and refer to the tenancy agreement. IMPORTANT INFORMATION REGARDING YOUR TENANCY We highly recommend that the tenant takes out adequate contents insurance to cover their own and the landlord’s possessions. This is not a compulsory requirement; however, it may protect your deposit in cases of accidental damage. It is the responsibility of the tenant(s) to arrange for Water, Gas, Electricity, Telephone and Council Tax to be transferred into their name at the commencement of the tenancy the supplier must not be changed without the express prior written permission of the landlord, which will not be unreasonably withheld; doing so may incur an administration charge. We recommend that an Inventory is prepared on commencement of the tenancy, by an independent inventory company, noting the contents and their condition. This will help protect your dilapidation deposit. The cost of this will be borne by the Landlord; the Tenant/s will be liable to bear the cost of the Check-out, at the end of the Tenancy. The cost of this will vary between £140 and £190 depending on the size of the property. You will be asked to sign the inventory and return it to the Landlord/Agent noting any inaccuracies within 10 days of your move in. Failure to do so will confirm acceptance of the independent inventory clerk’s notes as accurate. If any breakage or damage are noted at the time of the checking-out report / final inspection; or the property be left in an unsatisfactory condition, deductions may be made from the dilapidation deposit (excluding fair wear and tear). The property should be left in as good a state as you found it in and the Landlord’s furniture and fixtures and fittings, etc, must be left in the same room as noted on the inventory.


Unless we are managing your property, any problems relating to the maintenance at the property should be reported to your Landlord/s directly. You must therefore contact your Landlord as soon as possible, should any issues arise. Contact numbers will be provided on request at the commencement of the tenancy, or will be noted in the Tenancy agreement. Where Martyn Gerrard are managing your property, you will be supplied with the number of your dedicated property manager, who you should contact about any maintenance issues. The Landlord will require us to carry out periodic inspections; we will of course contact you to arrange a convenient time, although we will be allowed access if necessary with keys, if contact cannot be made, or in the case of an emergency. Should the Tenant(s) propose a change of one or more occupants during the tenancy there will be a charge of £250.00 plus VAT for each new occupant payable by the Tenant(s) to the Agent to supervise the change of occupant(s). This application will be subject to references and consent from the Landlord.
