Welcome to February! January was a wonderful opportunity to welcome the National Apartment Association (NAA) Chairman of the Board to conduct the Greater Cincinnati Northern Kentucky Apartment Association (GCNKAA) Installation Ceremony. It was such an honor to have Ronda Puryear, the 2023 NAA Chairman of the Board and President of Management Services Corporation, in-person at our January event to install the GCNKAA Directors and Associate Council. We were also excited to recognize our own departing NAA Chairman of the Board Don Brunner, who so successfully served through 2022. We appreciate Don’s service to our local market and his representation of GCNKAA at the national level.
This month we move directly into our State of the Industry event with a presentation by the renowned Dave Lockard with CBRE. Be sure to register to attend this event at The Oasis Conference Center in Loveland, Ohio, on February 21 beginning at 5:30 pm. The afternoon will start with the New Member Orientation at 4 pm. Our Education committee is making a continued impact on our industry education with the Certified Apartment Manager (CAM) course running in February and the Certificate for Apartment Maintenance Technician (CAMT) starting in March. And be sure to keep an eye out for additional seminars in April and May.
Finally, I would like to take the opportunity to thank my President’s Award recipient Gerry Johnson with Rent once again. This award recognizes the important role of a volunteer’s strength, in which they provide a service to positively impact and inspire those around them. The winner of the President’s Award uses their time and talents to solve challenges facing our organization and dedicates their time unquestionably. Gerry brings such positivity, provides a foundation for discussion and growth, and is all around a great person and friend.
He represents our Associate Members impeccably and has cochaired the Trade Show committee, the Holiday Cheers committee and also serves on the Business Exchange committee. He has also been active previously with the Membership Committee and the Summer Golf committee. To be honest, in his 16 years as a volunteer with GCNKAA, he has served on virtually every committee. Serving on the Board of Directors as the current Associate Council President, Gerry is a Best In Class Multi-Family Professional.

REPORT: CINCINNATI LEADS NATION WITH LARGEST DECREASE IN RENT

A new report indicates that rents in Cincinnati are falling faster than anywhere in the country.
Rent.com is reporting that the 6.8 percent decrease in local rents was the largest month-over-month decrease in the nation in September. According to Rent.com, the median monthly rent in the Cincinnati metro area is $1,559.
ST. PAUL ROLLING BACK RENT CONTROL
Rent control is an issue that is emerging in cities across the country, including in Cincinnati, where rent control could be part of a Tenant Bill of Rights that some council members are reportedly drafting.
But in St. Paul, MN, city council has rolled back some major components of the city’s rent control ordinance.
Last fall, voters approved an ordinance capping rent at 3 per-
cent, which at the time was believed to be the strictest rent control ordinance in the nation.
But according to MPR News, St. Paul City Council voted to allow landlords to raise rents by 8 percent plus inflation if a tenant moves out. The changes also allow a rent control exemption for any building constructed in the past or next 20 years.

REGISTRATIONS FOR NAA ADVOCATE CONFERENCE OPEN
As the new Congress settles into Capitol Hill, the time has come to introduce members to the rental housing industry. Advocate –NAA’s annual advocacy conference – is the prime opportunity to meet with your representatives by joining rental housing suppliers, property managers, owners and operators in Washington D.C. on March 28-29, 2023.
It is more important than ever to communicate the rental housing industry’s policy stances and priorities to our representatives in Congress following years of pandemic-fueled challenges and political polarization. Sharing the unique operational needs of rental housing is critical, and there is no better way to educate federal lawmakers than in-person in the halls of Congress.

NON-EXHIBITOR ADMISSION POLICY
It has been determined that in order for the significant investment in booth space or sponsorships to be of the highest value and integrity to the exhibitors and sponsors, that Associate Members, their employees and staff, who are not otherwise exhibiting at the Trade Show or a sponsor of the Trade Show, shall not be permitted on the Trade Show floor at any time during the Trade Show. This policy does not apply to any attendance for any Primary or Honorary member of the GCNKAA. The Associate Council requests that exhibiting vendors, GCKNAA Members and staff who witness persons employed by any company who is not a GCNKAA Member, or an Associate Member who is not a sponsor or exhibitor with a proper exhibitor or sponsor name tag, to report such actions to the GCNKAA admission table at the entrance to the Trade Show floor. Any violation of this policy, will result in an invoice to the non-exhibiting, non-sponsoring Associate Member equal to the fee of one (1) 8 x 10 booth submitted to the offending Associate Member Organization. The offending individual or company shall also be banned from all future GCNKAA activities, meeting, or other events, until said invoice is paid in full to the GCNKAA and posted.

The Greater Cincinnati Northern Kentucky Apartment Association’s 2023 Trade Show is scheduled for TUESDAY, March 14 at Sharonville Convention Center. Due to your feedback, we are keeping the good ideas and adding more to the 2023 show. Here are the top reasons you won’t want to miss out! But act soon! The price rate of $800 per booth expires on Tuesday, February 14! After that, the price increases to $900 per booth!
1. The Invitation Only VIP Preview Hour. Building on the success from 2022, we will personally invite key decision makers at each owner and property management company that is a member of the Greater Cincinnati Northern Kentucky Apartment Association. This personal invitation allows each of them to attend a private preview of the trade show from 4 pm to 5 pm. This offers you more personal time to meet and greet potential new customers as well as conduct business with current customers without the interruption from other attendees of the trade show.
2. New Floorplan. Minor changes have been made again to the floorplan to encourage better foot traffic as well as accommodate more booths. This year the booths remain 8’ x 10’. All booths include pipe and drape, one table, two chairs, booth sign and wi-fi. Premier booths are an additional fee. Other booths are reserved for VIP Sponsors. Electric, carpet and additional tables and chairs can be ordered separately through Sharonville Convention Center or Academy Rentals.
3. Expanded Educational Opportunities. By creating more education seminars that accommodate more students, we can guarantee a larger attendance of property managers, leasing agents and maintenance technicians when the trade show opens. At the end of these seminars, seminar attendees will flow onto the trade show floor where you have the opportunity to talk with each and every one.
4. More Sponsorship Opportunities. By creating new sponsorship levels, we enable you to get more bang for your sponsorship buck. Whether through signage, verbal recognition or company listing on gcnkaa.org and in the Apartment Advantage, we will find a way for you to get involved whether you have one employee or one thousand. We have also added several more benefits to the VIP Sponsorship including premier booth space. Watch for more information to follow regarding sponsorship opportunities. Sponsorships range from $300 for a logo or food sponsorship to $1000 for VIP Sponsorship.

• Booths are sold on a first come first serve basis. We currently have 96 booths available. We generally sell out early so be sure to call the office as soon as possible.
• Each booth is 8’ deep x 10’wide.

BOOTH SELECTION PROCESS
1. Click here for the latest floorplan of the 2023 trade show booths as well as the contract. Please note that – as changes happen on a daily basis – this version of the floorplan may not be completely up-to-date.
2. Look at the floorplan and decide which booth you would like, then simply either:
• Visit www.gcnkaa.org and go to the event calendar to reserve your booth online. Available booths will be listed on the registration page. Log in, complete your selection and submit your request immediately.
• OR fill out the booth contract, complete with your first three (3) booth choices and fax back to 513 407-7868. Michele will follow up with you to let you know which booth is available.
BOOTH RESERVATIONS AND PAYMENTS
• After you have selected your booth with the Apartment Association, you must either forward GCNKAA a signed contract or remit full payment to reserve that booth.
• We will hold all booths for 14 days without signed contract or payment.
• You may pay for your booth with check or credit card or call the office for an invoice.
• We cannot hold a booth longer than 14 days without contract or payment. After those 14 days, if we do not receive a contract or full payment, GCNKAA will contact you for payment or contract. If no response, GCNKAA may release the booth you selected.
• Full payment of all booths must be received by February 14, 2023.

Specifically relating to the global COVID-19 pandemic, Vendor acknowledges the highly contagious nature of COVID-19 and voluntarily assumes the risk of exposure or infection by voluntarily attending and exhibiting at the Tradeshow, and that such exposure or infection may result in personal injury, illness, disability, and/or death to Vendor. In addition to all other rules and regulations relating to the Vendor’s attendance at the Tradeshow, Vendor agrees to comply with All COVID-related procedures that may be implemented by the Greater Cincinnati Northern Kentucky Apartment Association and Sharonville Convention Center, including, but not limited to, testing, mask-wearing and social distancing requirements and restrictions on certain activities that carry higher COVID-related risk, in order to protect as much as possible the health and safety of all Tradeshow Vendors. Failure to comply may result in the Vendor’s exclusion from the Tradeshow, and Vendor will not receive a refund of any fees.

GREATER CINCINNATI NORTHERN KENTUCKY APARTMENT ASSOCIATION EXHIBIT RULES & REGULATIONS
1. AGREEMENT
By signing the Exhibit Space Application and Contract, the Exhibitor agrees to abide by these Rules and Regulations and all amendments thereto and the decisions of Show Management. For purposes of this Agreement, the terms “GCNKAA” shall mean the Greater Cincinnati Northern Kentucky Apartment Association, “exhibit hall” shall mean the Sharonville Convention Center, and “Exhibitor” shall mean any company, firm or person who has applied for or been allocated any space at the Exhibit Hall.
2. UNDESIRABLE ACTIVITIES
The Exhibitor agrees that his exhibit shall be admitted into the Show and shall remain solely on strict compliance with all the rules herein described. GCNKAA reserves the right to reject, eject or prohibit any exhibit in whole or in part, or any Exhibitor with or without giving cause. GCNKAA’s liability for rejection without giving cause shall be limited to a refund to the Exhibitor of the amount of rental unearned at the time of ejection. However, if an exhibit or Exhibitor is ejected for violation of these rules or any other stated reason (with cause), no return of rental shall be made. Exhibitor shall not exhibit any merchandise other than that specified in the application.
3. BOOTH ASSIGNMENTS
Booth selection by Exhibitor is available on a first-come, first serve basis and there is no first right of refusal. GCNKAA’s confirmation of requested booth space is final and shall constitute an acceptance of the Exhibitor’s offer to occupy space. Confirmation will be made only after receipt of the Exhibitor Agreement and the appropriate booth fees. After confirmation, space location may not be changed, transferred, or canceled except upon written request and with the subsequent written approval of GCNKAA. Not withstanding the above, GCNKAA reserves the right to change location assignments at any time, as it may, in its sole discretion, deem necessary.
4. SPACE RENTAL
Exhibitor fee includes a 8’x 10’ exhibit space, materials to define exhibit space (pipe & drape), a two-line sign showing Exhibitor’s company name and booth number, one 6’ table with skirting, two chairs and wifi access. No signs or advertising devices shall be displayed outside the exhibit space other than those furnished by GCNKAA. Booth displays not to exceed nine (9) feet in height across the back. No backdrops or booths higher than five (5) feet in height are permitted along the sides of the booth. Booth displays cannot block neighboring booths. Electric, carpet, additional table and chairs, and landlines are available at Exhibitor cost through separate contracted vendor.
5. USE OF DISPLAY SPACE
A. Restrictions on Space Rental: Exhibitor may not sub-let, sub-divide or assign his space nor any part thereof, nor purchase multiple booths for the purpose of subletting or assigning to third parties, nor permit in his booth non-exhibiting companies’ representatives without the express written permission of GCNKAA. Only companies or individuals that have contracted directly with GCNKAA shall be allowed on the show floor as an Exhibitor. Failure to comply with this provision shall be sufficient cause for GCNKAA to require the immediate removal of the exhibit and/or the offending Exhibitor at the expense of the Exhibitor. Failure to comply may also result in forfeiture of all further rights to exhibit at future shows sponsored by GCNKAA together with all fees paid. GCNKAA may lease any space so forfeited to another Exhibitor and retain all revenues collected.
B. Exhibitor shall design and maintain the general theme and tenor of show.
6. INSTALLATION AND REMOVAL
GCNKAA reserves the right to fix the time for the installation of the booth prior to the show opening and for its removal after the conclusion of the show. Installation of all exhibits must be fully completed at least 30 minutes prior to the opening of the Show. Failure to adhere to this requirement could restrict Exhibitor’s entry into any future shows produced by GCNKAA. Any space not claimed by 3:30 p.m. on Tuesday, March 14, 2023, may be resold or reassigned without refund. All exhibits and booth materials must be removed by 9 p.m. on Tuesday, March 14, 2023.
7. EARLY REMOVAL OF EXHIBITS NOT ALLOWED
No exhibit shall be packed, removed or dismantled prior to the closing of the Show without written permission from GCNKAA. If the Exhibitor acts in breach of this provision, it shall pay as compensation for the distraction to the Exhibition’s appearance, an amount equal to one-half of the total space charge for the Exhibitor’s allocated area, in addition to all sums otherwise due under this Agreement.
8. EXHIBITOR APPOINTED CONTRACTORS (EAC)
Any exhibitor using an EAC agrees to notify GCNKAA of such appointment and agrees to indemnify and hold harmless GCNKAA, the exhibit facility, and their respective officers, directors, staffs, employees, and agents and all official contractors from any and all liability or losses for any act, complaint, damage, or loss to any other Exhibitor, the exhibit hall, the property of any contractor or any consequential damages arising out of any such act of loss from the time the independent EAC first arrives at the hall until the final move-out is complete. The Exhibitor further agrees that GCNKAA may prohibit the EAC from working in the hall if the EAC does not fully comply with all rules and regulations set forth for them at this event. Any Exhibitor using an EAC agrees to advise its EAC of all rules and regulations.
9. PROHIBITED ACTIVITIES
A. All demonstrations, sales activities, and distribution of circulars and promotional material must be confined to limits of the Exhibitor’s booth.
B. Exchange of money or consummating the sales of goods or services on the exhibit floor is prohibited. Orders may be taken for future delivery only
C. Exhibits which include the operation of musical instruments, radios, sound motion picture equipment, public address systems, or any noise-making machines must be operated so that the noise resulting from there will not annoy or disturb adjacent Exhibitors or their patrons. Exhibitor represents and warrants that no musical work protected by copyright will be staged, produced or, other-
wise, performed via either “live” or “mechanical” means, or by or on behalf of Exhibitor, unless Exhibitor has previously obtained written permission from the copyright owner’s designee (e.g., ASCAP, BMI, or SESAC) for such use.
D. Exhibitors are prohibited from displaying any devises or objects in the booth that exceed the height of the back wall (9 ft.) without prior written approval from GCNKAA and the exhibit hall. No backdrops or booths higher than five (5) feet in height are permitted along the sides of the booth. Booth displays cannot block neighboring booths.
E. The use of inflatables (or ‘bounce houses’) is restricted without approval from GCNKAA, Sharonville Convention Center, and/or neighboring exhibitors.
F. Exhibitors are not allowed to conduct any activities that could be considered an illegal lottery under Ohio law.
G. Electrical equipment that is not UL approved may not be used in the exhibit hall. No wiring, installation or spotlights or other electrical work shall be done except by the electrical contractor authorized by GCNKAA or exhibit hall.
H. Approval for distribution of food items must be obtained by the Sharonville Convention Center prior to the event.
I. Sharonville Convention Center prohibits the use of glitter, confetti guns, fireworks and helium balloons inside their facility.
J. Live animals (except service animals) and firearms are prohibited inside SCC.
10.
CANCELLATION BY EXHIBITOR
The Exhibitor specifically recognizes and acknowledges that GCNKAA will sustain losses if the Exhibitor cancels its exhibit space after it has been assigned and confirmed by the GCNKAA. Due to the difficulty of determining said losses, the Exhibitor agrees to pay the following amounts as liquidated damages, and not as a penalty, all cancellations must be received in writing. Booth cancellations received after November 1, 2022, and prior to February 14, 2023, will be issued a refund minus a $100 administrative fee. Booth cancellations after February 14, 2023, will forfeit all booth fees and will be responsible for full booth payment. Upon cancellation by the Exhibitor, GCNKAA has the right to resell the space and retain all revenue collected.
11. CANCELLATION OR POSTPONEMENT OF SHOW
In the event that any unforeseen occurrence shall render the fulfillment of this Agreement impossible by GCNKAA, the parties shall mutually amend or terminate the agreement at GCNKAA’s option. The Exhibitor hereby waives any claim against GCNKAA for damages or compensation. GCNKAA may return a portion of the amount paid for space after deduction of any amounts necessary to cover expenses incurred in connection with the show. Such expenses include, but are not limited to all expenses incurred by GCNKAA as a result of contracts with third parties for services or products incidental to the show, and all overhead expenses attributable to the production of the show. No monies will be returned should the dates or location of the show be changed by GCNKAA, but Exhibitor will be assigned space that the Exhibitor agrees to use under these same rules and regulations. GCNKAA shall not be liable in the event the show is interrupted, canceled, moved or dates changed except as provided herein.
12. ERRORS AND OMISSIONS
GCNKAA assumes no responsibility or liability for any of the services performed or materials delivered by official show contractors or other suppliers to the show, their personnel, or their agents.
13. LIABILITY AND INSURANCE
A. All property of the Exhibitor remains under its custody and control in transit to and from exhibit facility, during installation and removal, and while it is within the confines of the exhibit facility. Neither GCNKAA, the service contractors, the management of the Sharonville Convention Center nor any of the officers, staff members, or directors of any of the same are responsible for the safety of the property of Exhibitors from theft, damage by fire, accident, vandalism or other causes. The Exhibitor expressly waives and releases any claim or demand he may have against any of them by reason of any damage to or loss of any property of the Exhibitor.
B. Exhibitor understands that neither GCNKAA nor any sponsor carries business interruption and property damage insurance coverage for loss or damage of Exhibitor’s property. The Exhibitor agrees to obtain adequate insurance during the dates of the trade show, including move-in and move-out days, and shall be prepared to furnish a certificate of insurance to GCNKAA.
15. ENFORCEMENT OF REGULATIONS
GCNKAA has full power to interpret and enforce all regulations of the show and the power to make amendments and/or further regulations, orally or in writing, that are considered necessary for the proper conduct of the show. Such decisions shall be binding on Exhibitors. All Exhibitors agree to be bound by terms of GCNKAA’s agreement with the facility in which the show is held.
16. CONFLICTING MEETING AND SOCIAL EVENTS
In the interest of the entire Show, the Exhibitor agrees not to extend invitations, call meetings, or otherwise encourage absence of members, Exhibitors, or invited guests from the educational sessions or exhibit hall during the official hours of the sessions or show. Hospitality suites may not be reserved without prior approval of Show Management.
17. WAIVER
Waiver by either party of any term or condition or breach shall not constitute a waiver of any other term or condition or breach of this agreement. The rights of GCNKAA shall not be deemed waived as specifically stated in writing and signed by an authorized representative of GCNKAA.
18. SEVERABILITY
In the event any provision of this Agreement is held invalid or unenforceable then neither the remaining provisions of this Agreement nor other applications of the provisions involved shall be affected thereby.

Electric Connections
Rates quoted for electrical connections cover only the bringing of service to the booth in the most convenient manner and do not include any special wiring. All wiring and electrical work on exhibitor’s display will be charged on a time and material basis. All equipment must be properly tagged and wired with complete information as to type of current, voltage, phase cycle, horsepower, etc. It is the exhibitor’s responsibility to avoid overloading circuits. All connections will conform to the National Electrical Code, City Code and Building Regulations. Electrical power for lights and displays will be turned on one hour prior to show opening and turned off at show closing. SAFETY INTERVENTION GRANT PROGRAM
Good news for employers who are looking for funding to purchase equipment to help reduce or eliminate workplace injuries or illnesses. The Ohio Bureau of Workers Compensation (OHIO BWC) reopened the Safety Intervention Grant (SIG) in November 2022. This grant is different than some of the other programs as it focuses on funds used to purchase ergonomic, safety and/or industrial hygiene equipment. The changes the BWC has made to the SIG will make the application process easier for employers and includes:
• Reducing the requirements for being in business for two years to one year.
• Changing the eligibility cycle to three years for all businesses.
• Limiting reporting requirements to a one-year report/case study.
• Adding the program to the new grant management portal for online application.

Unfortunately, the gray skies continue, and our pockets of sun have been minimal. I for one am desperately looking forward to Spring and bluer skies, more sun and longer daylight! One of the incredible positives within our city - despite the bleak temperatures and color - is our hometown team: the Cincinnati Bengals! I have LOVED seeing all the orange and black each week and the comradery amongst complete strangers everywhere I go. What a joy!
As we are continuing our move into 2023, our Apartment Association Outreach (AAO) Board is looking forward to celebrating and recognizing our Champions of Leadership sponsors; planning, and participating in our fundraising events; and supporting our community partners. We are grateful for the opportunity to give back to our community and help those in need.
In February, we will be providing $16,000 to our Food Pantry partners, as well as $21,500 to our Rental Assistance partners. These contributions are utilized very quickly due to the community need and we are proud of how these organizations help so many people.
In addition to these contributions, we are gearing up for our fundraising efforts for 2023 so please keep the upcoming dates in mind to participate with us and support AAO!

By moving to a business intelligence system that quickly collects and centralizes the data dashboard, the information becomes more reliable and timelier.
Data is a valuable tool for making business decisions, but without business intelligence (BI) to provide reliable, timely data, it’s impossible for an organization to nail down the best direction to move. It’s that lack of trust in the data that is driving the need for more advanced BI tools.
“Data integrity is probably one of the most motivating factors,” said Erik Rogers, Senior Vice President of Information Technology for Carmel Partners at the 2022 Apartmentalize session, “What You Don’t Know About Data Can Hurt You.”
“There’s so much data that has to be compiled from so many sources,” Rogers said.
Without an automated system, collecting, compiling and designing a presentation for the massive data takes a lot of time. It’s also a system with a significant risk for errors or conflicts in the numbers. In addition to the data being old, concern over accuracy shifts the focus of the conversation from business decisions to data integrity.
“What you don’t know is going to be the thing that financially hurts you,” Rogers added.

“It’s been very exciting for us from an efficiency and consistency standpoint instead of eight different reports from eight different groups done manually,” said Daniel Raphael, Vice President of Data Science at Brookfield Properties.
A dashboard can also slice the data, present it at numerous angles and track items in ways that best suit an organization’s informational needs. Trends are as critical as timeliness and manual reports are limited to a single window. Analysis of changes over time and the ability to instantly adjust that window is one of the many pluses of a BI dashboard. Reports can be tailored to focus on the job roles within the company.
“Business intelligence is in the eye of the beholder,” said session moderator Chris Brust, Co-Founder and Chief Product Officer of Real Estate Business Analytics, explaining how BI will mean different things based on a person’s position in the company. BI is a very different thing to executives, accountants, IT pros and others. Dashboards keep the information central, while still meeting the unique needs of the organization.
Another angle that dashboards offer is data visualization, which can also be done in a manual report but only at the expense of more time. A great example of this is a floor-by-floor building
graphic that shows rental rates of individual units relative to their surroundings, as well as the performance of a property’s amenities. Dashboards can also offer a time-lapse of the graphic that shows changes over time.
Moving to BI can be a daunting venture and is not something that can be jumped into and knocked out quickly. It requires investment, resources and dedication, so executive buy-in is important if success is to be achieved.
The system also needs to be designed to focus on key business drivers and with the audience in mind, adapting to the needs of the person using it. This can be achieved by retention and hiring of employees who are committed to making BI work, and then layering in information and access to build trust.
As the multifamily business environment changes, data becomes more valuable as a tool to guide a company’s decisions. Implementation of the best-constructed tools to build on that data is going to help companies adjust and thrive throughout those shifts.

THE PROBLEM MULTIFAMILY CAN NO LONGER IGNORE: RENTERS INSURANCE COMPLIANCE

The risks and costs of ignoring renters insurance compliance are far too great to not have the attention of rental housing providers.
Many renters live without renters insurance – all operators know it happens. Whether a renter cancels a policy, lets it lapse or forgets to renew, renters insurance compliance has remained a major challenge for operators. Renters insurance is not only difficult and time-consuming to monitor, but it also has massive effects on property insurance expenses for operators. Renters insurance compliance is a problem that multifamily can no longer ignore – the risks and costs are far too great to let it continue slipping through the cracks.
There are numerous obstacles for operators when it comes to tracking renters insurance, from confirming the authenticity of insurance documentation and tracking valid coverage to knowing exactly which renters don’t have policies and the moment a policy isn’t valid.
“The hardest part is that while it’s a requirement to have renters insurance to move-in, it’s really difficult to keep track of who remains in compliance and who doesn’t after they move in,” says Mike
Hogentogler, Chief Operating Officer of LCOR, a fully integrated real estate investment, development and management firm. “If an event occurs where an insurance claim needs to be made, we’re left wondering if the resident has coverage or if we will be responsible in any way. There is a lot of uncertainty when it comes to renters insurance, and it’s the type of uncertainty that carries a lot of risk and can get expensive.”
COMPLIANCE TRACKING
Operators who want to check renters insurance policies at a community have to perform random insurance audits. A renter may cancel their policy at any given time, but the only way to truly know is through the audit, and these aren’t feasible every day, let alone every week. Typically, the audits are up to the onsite team, but onsite teams already have their hands full and rarely have time or bandwidth to regularly track insurance. The audits are time-consuming and tedious, and many times these audits are far and few between.
“We’ve always trusted that residents are maintaining a policy, but the compliance tracking process needs to go beyond that,” Hogentogler says. “We need to trust, but verify. There has always been this gray area between the insured resident, insurance provider and the operator. In order to effectively track insurance compliance and really stay on top of it, it’s crucial to close that loop.”
OVERARCHING RISKS
When residents don’t have renters insurance, it affects the entire community. Should something happen with a resident that is covered under the liability policy, but they don’t have renters insurance, it goes onto the community’s property insurance. As far as expenses go, operators allocate the largest amounts to taxes and insurance. If insurance rates go up, other residents eventually will have to absorb that.
“I want to do everything I can to keep my property insurance as clean as possible so I can get the most favorable rate,” Hogentogler says. “If a resident doesn’t have renters insurance for a problem, it needs to go onto my property insurance, which is now subject to deductibles and also hits my track record. Valid renters insurance policies keep my claims lower on the insurance side and give me a cleaner record so that when I go for renewal, I can push for a lower property rate to make my buildings run more efficiently.”
While there may be some bad actors who are just trying to move in and get by until they can cancel their policy, but most of the time, it’s an honest renewal oversight on behalf of the resident and the policy lapses. It could be something as innocent as a resident signing a 14-month lease, but they only had a 12-month policy and forgot to renew it.
ENTER INSURANCE TECHOLOGY (INSURTECH) ORGANIZATIONS
This is the gray area where InsurTech companies are stepping in to close the loop between residents, insurance providers and operators. Third-party InsurTech providers can do an initial insurance audit in a community so operators can identify which residents must return to compliance and validate policies for new residents. After that, InsurTech providers will take on the tracking process and continue monitoring renters insurance policies in real-time so operators will quickly know if any policies lapse or are canceled.
“Utilizing InsurTech or a third-party provider gives us tremendous comfort in knowing that now we can stay on top of policies in our communities and have the ability to immediately know when a resident falls out of compliance,” Hogentogler said. “Should a resident fall out of compliance, an onsite associate can contact them for documentation of a new policy or let them know we will put one in place for them.”
InsurTech services give operators confidence knowing that they’ve got the right risk mitigation strategies in place and that their most valuable assets are protected should anything happen. But it also provides a higher caliber experience for residents. InsurTech companies provide an easy way for renters to purchase insurance when they are signing a lease. Operators want to provide an exceptional level of customer service at their communities that enhances the resident experience and supplying a way to both purchase and monitor insurance is an extension of that.
“We are hyper-focused on the renter experience and want the insurance process to be as simple and seamless as possible” Hogentogler said. “InsurTech services have mastered how to use technology to allow residents to quickly and easily purchase a customized insurance policy, and also how to integrate that seamlessly into our risk mitigation.”
It’s important for operators to heed risks when it comes to renters insurance compliance, as compliance problems impact both operators and residents and increases costs. While technology has alleviated many pain points for operators, onsite teams and renters alike, it’s now trickling into the insurance arena and creating better processes for purchasing, validating and monitoring compliance and providing more robust risk mitigation tactics.

Creative Events Can Not Only Keep Your Residents Happy But Also Build Positive Brand Association
To keep up with the dynamic trends that influence what residents look for, owners and managers should phase out past ideas that no longer serve their residents and introduce new events at their communities to appeal to current renters.
THE OLD
Despite COVID precautions waning in many areas, some residents are still wary.
While communities were previously hosting fully occupied events such as yoga, fitness and meditation classes, renter feedback has altered the way these events take place.
Beyond safety precautions, residents in social settings also want to feel like their presence is meaningful. Events that previously relied on resident contributions, such as Secret Santa exchanges and potlucks, are not that successful and are no longer worth the effort. What is meaningful is meeting new people, maintaining physical and mental well-being, bettering the larger community and working toward personal goals.
THE NEW
Generally, any event that offers free food and alcohol, mixed with the opportunity to meet other people, will be a relative success. But property managers should try to go beyond that.
“What has really stood out in the last 10 years is that events have evolved beyond wine tasting, happy hours and movie nights,” said Andrew Schwartz, vice president of residential asset management at Taconic. “Events have gotten more interesting, more eclectic, more useful and more tailored toward individual renter demographics.”
For example, Schwartz described an event at a New York development where a photographer came to the building to take professional headshots that residents could use for their resume or LinkedIn profile.
Another community had a local artist solicit feedback on words and colors to include in a neighborhood mural. Residents and neighbors alike contributed ideas and attended a painting party where they could paint parts of the mural. Almost six months later, the art piece is still standing.
“We like to do things that we think will benefit the resident population and the surrounding community,” said Schwartz.
