After the Dust has Settled Your event is over and you’ve said a job well done to your team. What next? Move on to the next project? Not quite there are still some important matters here to be dealt with. These can be considered as the finishing touches to ensure that you leave a fine after taste with everyone who worked on the project. After all building a longstanding relationship with clients or prospective clients doesn’t end when one project is completed.
Here are a few must dos once your event ends: Thank You Notes:
This is a great way to let each and every participating member feel appreciated for their role(s). This is also a way to open communications with prospective clients who partnered in the event, thus building a relationship for future projects.
Closing Out Meeting:
This meeting is an important element to maintain a strong relationship with your client. Reviewing matters that went smoothly or not so much, and finding solutions for future events can go a long way. This meeting should also be conducted in house with your team to identify areas of weakness and strengthen them simultaneously.
Budget:
This is an important element to see what was really spent from what you had planned to spend.
Public Relations:
This should have started before and continued during the event. Well no need to stop now. A key element of the PR campaign is presenting your successful event to the media and the public. Here, social media is your best friend. In the event management industry, marketing for yourself and your client goes hand in hand.
Press Release:
This is a media brief on the event from start to finish, reporting on all parties involved and giving highlights of the event to be featured publicly.
Event Report:
A report is particularly important for event managers. It highlights areas for improvement for your team and shows up ways to manage more efficiently for future events. Additionally, providing a report for your client is a way of showing your work goes above and beyond their requests.
Building on communications with prospective clients and tying up loose ends after an event are just two simple ways to expand and strengthen your client base and portfolio in events management.
Capri-Sun Rio2 Screening The dawn has broken and the Monumental team arrives with it. The morning is still and the venue is empty. In the distant, voices are heard along with the clattering sound from the trussing. Starlight Productions arrive as the team disseminates into the venue and the skeleton of the event is assembled. Once completed, the event starts to take its shape as banners are brought in, fabric is drawn, and décor commences. All hands on deck as the entrance tunnel is transformed into a rainforest and with rocks carefully placed and the smoke machines set to go off, it’s on the next area. The photo op section is ready, AJ Catering has arrived and delectable Rio 2 pastries come out to made a pyramid of treats. The sun is at its highest, the air crisp and as the final touches are under way there’s a sense of expectation for the afternoon. The carpet is rolled out and everyone is in place. The activation has started as the Capri-Sun Safari girls welcome you and every patron to the jungle. One step in and you’ve entered the Amazon. The setting: the air is thick with fog just well enough for you to see as you pass tall branches of lush foliage, rocks along the pathway all leading up to the ‘Rio de Janiero’ waterfalls. The vibrancy of the tunnel resonates well with the Amazon as rich colors and sounds encapsulated the experience. Brand manager Claudine Coley, a huge fan of the rainforest entrance created by Monumental dubbed it “the perfect imitation of the Rio rainforest to the Capri-Sun’s tunnel forest”.
The Event
Patrons exited the rainforest and entered into a slew of activities set up by Monumental Partners Limited on behalf of Capri-Sun for their over 260 guests. These guests were treated to face painting, a customized Rio 2 game on an interactive screen, a photo op with the Capri-Sun mascot, food and Capri-Suns and a signing board for fans to write their favorite Capri-Sun moment. On the inside, the festivities soared as kids competed for prizes provided by Capri-Sun. The crowd favorite seemed to be the Capri-Sun blind test as kids proved they knew their flavors better than anyone else. A host of other activities conducted by Kiki included movie and brand trivia, a treasure hunt, hidden prizes and with a race to the stage the compete, the kids had a fantastic time. Capri-Sun Rio 2 loop bags filled with loads of goodies were gifted to all patrons upon exit to ensure everyone ‘Had Fun With Capri-Sun’ along with their personally printed Capri-Sun photos with the mascot being presented. As patrons exited some had their final moments with the mascot and others collected their pictures as the curtain closed on a family fun day on the Easter weekend for our kids.

If your work in the entertainment industry you are sure to have heard the name Starlight Productions more than a few times. If not, the next time you are at a party just look around, chances are you standing on a platform set up by Starlight. They are an all round event execution company. They provide stages, lighting, sound, event management and unique truss designs. We sat down with the man behind the truss, OJ Bewley and got the scoop on his journey, business in Jamaica and a little tech talk. 1.

Describe your journey. 3. Starlight’s journey has been one of hard work and perseverance. I began my start in the entertainment business many years ago when I worked as an Entertainment Coordinator at 4. a hotel. From there I built and opened a record store business, out of which Starlight was formed. Do you have any guiding philosophies that influence your style of running a business. What are some of your possible tips for small businesses to avoid failure. Do what you enjoy and usually success follows. Tell us how the decision came about for Starlight’s expansion (Project Management). What is the approach to this? We found that our clients have always approached us to coordinate certain aspects of their event and we have always been involved in the ideation process with some of our clients. Based on the demand we thought it was the best solution. We have now hired an experienced Event Consultant who works with us coordinating all of our large scale productions.

Technology is on a rapid growth, how has the cost of new technology affected your 7. operations? Equipment is not cheap but being in this business you always have to be ahead of the game or directly in line with your competitors. I constantly try to add new items to my product line or have an increased stock of what I supply just to be able to 8. handle the demand for specific products.
6. Suddenly trussing came out of the woodwork, and became the biggest thing at parties, phasing out tents and other constructions. Now, it’s about the most creative trussing based dance floors, platforms and setups. What has been the impact of trussing on the entertainment industry?
Well to be honest, trussing has always been around. That is really what Starlight is known for and what a lot of our clients request. What has changed however is the way trussing is used and the design of the trussing. Before a truss set up at an event was a square or a box, now we can do circular trussing, trussing shaped as a triangle and can basically build whatever it is the client wants. You as the supplier really just have to do your homework and be able to offer to your clients unique ideas. A special thanks to all creative decorators who enable trussing to be used in so many different ways which increase the demand, they have really been who have helped to propel the demand for trussing.
