ELITE CAMPAIGN WORKFLOW PROCESS


PHASE 1

C A M PA I G N S E T- U P DESIGNER RECEIVES EMAIL FROM SALES OPS Email contains:

• Client contact info, title, license #, and slogan • Photo(s) and/or logo(s) • Additional details pertaining to the Client and/or brokerage (Non disclosure, brokerage swatches etc.) • Special requests

IS THERE CLIENT INFO MISSING? If the following is not provided by Sales Ops, the Campaign will be put on hold:

• Contact info • Photos and logos

TRELLO CARD CREATED FOR ELITE CAMPAIGN

When all info and materials are provided, the assigned Designer creates a Trello card for the specific Client on the Elite Campaign Trello Board. The Designer creates this Trello card in the INBOUND queue on the Trello Board. A Production Artist (PA) is assigned to the Trello card in addition to the Designer shortly after it is created.

A Trello Card contains:

• Client Name • Assigned Designer & PA • Due Date • Assigned Admin (Sales Ops Representative) • Postcard Size (Jumbo, Super Jumbo, Stretch) • Brokerage (if applicable) • Non Disclosure State (Yes or No?) • Date Received • Description Section (Client info, details) • Dropbox links • Photos and logos attached • Notes containing specific instructions (if applicable)

PA PREPS & UPLOADS CAMPAIGN FILES TO THE SERVER

Once a Trello card is created, the assigned PA takes over and prepares the working file for the Designer. Using Automator, a working file containing a Template and Campaign Strategy Indesign file is created based on the information provided on the Trello card. Once the working file is ready to go, the PA backs it up to the server, and attaches a screenshot containing the location of the Client’s working folder to the Trello card. Once completed, the Trello card is moved to the READY queue, indicating to the assigned Designer that the project is ready to begin.

Preparation tasks include:

• Agent photo cut-out & touch-up • Logo retrieval and/or touch-up • Touch up of additional photos and/or items • Adobe script file creation • Working files backed-up on server

PHASE 2

DESIGN & PROOFING

WERE THE MAILING LIST(S) UPLOADED?

1ST PROOF

Once the working file is ready and added to the server, the Designer creates a first initial proof for the Client within 5-7 business days. Proofs are provided via Dropbox links included in the initial email sent from Sales Ops. Once a proof is sent, the Client’s Trello card is added to the PROOFING queue on the Trello board. Naturally, some edits/revisions might be needed after the 1st proof. If this is the case, the Trello card is moved to the UNDER REVISION queue and changes are made in a timely manner by the Designer. This might occur several times during the course of the project.

FIRST CARD READY

Once the 1st card is approved, it is immediately processed and mailed unless the Client is missing a mailing list or has a billing issue. The Designer prepares the 1st card for print, exporting a SAMPLE and TEMPLATE PDFX file, named accordingly, to be uploaded to the appropriate Order #. When the files are ready, the assigned Designer makes note on the Trello card of the Order # to upload the print ready files and moves the Trello Card to the FIRST CARD READY queue.

If the order DOESN’T have a mailing list... If ​the 1st card is approved with no mailing list, the Production Artist assigned notifies Sales Ops of this issue. Once this is done, the Trello card is moved to the FIRST CARD READY queue by the assigned Designer and the art files are NOT uploaded by the assigned PA with the order left UNASSIGNED and in DRAFT status. This work-flow adjustment is to prevent orders without a mailing list and/or without blocks from getting batched, causing delays and other issues with the Production and Customer Service Teams.

If the order DOES have a mailing list... If the 1st card is approved and a mailing list is attached, the Trello card is moved to the FIRST CARD READY queue by the assigned Designer and the art files ARE uploaded to the order with a SUBMITTED status and assigned to the CAMPAIGN BILLING queue by the assigned PA with a note specifying to bill the order and assign to Mike for blocking. This adjustment will allow for billing to already be taken care of before it is submitted to Art Engineering, mitigating the chances of an order getting batched before it is billed and blocked.

DESIGNER BUILDS FULL CAMPAIGN

Once the FIRST CARD READY file is uploaded the Trello Card is moved to the BUILD FULL queue where the assigned Designer creates a 12-month Campaign and Campaign Strategy within 5-7 business days. Proofs are provided via the same dropbox links included in the initial email from Sales Ops. Some edits/revisions might be needed after the 1st proofs. If this is the case, the Trello card is moved again to the UNDER REVISION queue and changes are made in a timely manner by the Designer. This might occur several times during the course of the project.

FIX PREFLIGHT ERRORS

Once final approval is given by Sales Ops, a Campaign Schedule is forwarded to the assigned Designer. The Designer can then prepare the art files for print. Once the preparation is complete, a screenshot of the order breakdown is attached to the Client’s Trello card coupled with an appropriate note if necessary. The Trello Card is then moved to FINAL QA (TEST PRINTS).

PHASE 3

FINAL QA & SUBMISSION TEST PRINT/QA

Once final approval is forwarded by Sales ops, the assigned Designer prepares the art files for print and moves the client’s Trello card to the FINAL QA (TEST PRINTS) queue. The assigned PA will follow similar print preparation guidelines as the Designer once the art files are handed over for upload.

A test print order of the Market Update card (front & back) is sent to our Production Team by the PA. Once the print sample has been reviewed and approved by both the PA and Designer and the art files have been QA’d and prepped for print, the Client’s campaign is officially ready to process. attached to their appropriate Order #s, the PA then submits the full Campaign on the Clients Campaign manager page. This changes all the orders status’s to “SUBMITTED” allowing them to be blocked by Art Engineering.

THE CAMPAIGN IS NOW COMPLETE AND PROCESSED. THE PA NOTIFIES SALES OPS OF IT’S COMPLETION AND MOVES THE CLIENT’S TRELLO CARD TO THE COMPLETE QUEUE. NO FURTHER ACTION IS REQUIRED. 6
