WHO WE ARE Heartlands High School is an academy and part of the Heartlands Community Trust. We are a mixed 11–16 comprehensive school, specialising in visual arts and media. We have capacity for 1,080 students and an eight-form entry.

IMPORTANT INFORMATION INDUCTION AND MENTORING Induction is the effective introduction of a colleague to their role within the school. The person may be a new recruit or may be an experienced member of staff whose job has changed due to promotion. The aim of our induction programme is to bring staff up to a high standard of performance in the shortest possible time, ensuring they become effective, confident contributors to achieving the school’s aims and the target and objectives laid out in the Plan on a Page. Induction is the beginning of the process of ongoing professional development. The essential aims of the programme are: •

to familiarise staff with the school grounds and how to add to a safe working environment;

to provide the individual with access to relevant school policies;

to provide the individual with information about relevant school systems;

to

introduce

and

encourage

relationships with key members of school staff; •

to identify the role the individual will play within the school;

to learn more about the individual and their immediate long-term professional needs; and

to explain what the school can and will do to help the individual make an effective contribution to the school.

The aims will be adjusted appropriately to meet the needs of each individual. NQTs will also follow a programme of study throughout the year with SLT.

Mentoring is supporting, advising and guiding a colleague to enable them to develop their expertise in their new role in order to become a confident team

member

You will be allocated a staff member who will oversee your induction to either post or profession (in the case of NQTs). The induction process will, in the first


instance, take one day; thereafter, there will be a ‘new staff’ forum at the end of each term. There are certain requirements that must be covered by law and others you might just like to know. For the really important health and safety aspects, you will be asked to sign to say they have been explained to you. It is, therefore, really important you ask as many questions as you can to ensure you fully understand. At the end of your first induction meeting you should know: •

Following this inaugural meeting, you will be asked to attend a programme of training to suit your needs and position.

DBS It is essential that all staff and volunteers at the school have an up-to-date and clear DBS check; this register is held on file by HR and monitored by Anthony Latchana and the CP designate Jon Nagle. The administration of DBS checks is handled by Anthony Latchana. No adult without a DBS check is to be left unaccompanied on school grounds. There will be a systemic review of DBSs every three years.

STAFF ABSENCE Our aim is to have 100% attendance by all staff in order to provide the best service for our students. There will be occasions when this is not possible. Inability to attend work should be notified on the day

by telephone. Please call before 7.15am stating the reason for the absence and, if known, your expected date of return. The school sickness policy gives further details on procedures after the first day of absence.

STAFF DRESS CODE

SAFEGUARDING &

The school expects its staff to dress in a professional way. Your clothes should represent a positive and professional image of the school.

PREVENT

Male members of staff should dress in an appropriate way for an office (i.e., shirt and tie, smart trousers and shoes). We ask members of staff to conceal tattoos where possible and to remove all visible piercing except for one pair of earrings. Female members of staff should dress in an appropriate way for an office (i.e., smart top, trousers or skirt and shoes). There are times when practical and sporting activities determine a different standard of dress. However, the standard dress should be as outlined above. In most cases the correct Personal Protective Equipment (PPE) will ensure that high standards can be maintained during the school day.

SMOKING POLICY Heartlands High School is a strictly no smoking site.

The child protection (CP) officer for Heartlands High School is Jon Nagle, he is accompanied by a deputy CP officer (Siobhan Hockley). We report any worries or concerns regarding child protection, safeguarding and prevent using a webbased system called ‘My Concern’. If this is not available please complete a reporting form available, in the staff room on floor five. Never record or send a safeguarding concern by email. It is your responsibilty to read the CP policy, which can be found on the website or a hard copy with Allison Farnum-Davies (Office Manager). It is your responsibility to shred any documentation you feel is of a sensitive nature. All sensitive files are password protected. If you leave your desk, please ensure you lock your computer (by pressing CTRL + ALT + DEL).


SNOW

PLAYGROUNDS

During heavy snowfall, the priority for Facilities Staff will be to ensure the North Playground area is cleared and made safe before student use. This is the Fire Assembly point for all year groups. The car park is also a priority when clearing heavy snow to ensure staff/deliveries are able to access the school.

The students have access to all outdoor play areas within the school grounds, which include the North Playground (with basketball courts), a quiet outdoor space (Central Forum) and three multi-use games areas (MUGA). The ASD provision also has an outdoor learning/play area. All play areas have been risk assessed and are student friendly. They are protected by a perimeter fence and have access control gates. At break time, students are only allowed in the following areas: Year 7 – Forum, Year 8 – Mugas, Years 9 & 10 – North Playground.

GOVENORS Heartlands has a local advisory board who work with the trust board of directors. This group meet on a regular basis every term. The clerk to the governors can be contacted through Maria Levenson.

ID BADGES

CHANGE IN

It is compulsory for you to wear your school ID at all times. It is your responsibility to ensure that any guests or visitors you have sign in at Reception and wear visitor passes.

PERSONAL DETAILS

MOBILE PHONE POLICY

Changes to personal details (e.g., address, etc) should be notified to HR immediately, using the Change of Details form on the Google Staff Shared Drive.

TRIPS & VISITS

The school has a stringent mobile phone policy available to all staff. Students are not permitted to use their mobile phones on the school site. All infractions of this rule will result in confiscation. Please take confiscated items to Student Services. During school hours, staff should only use their phones in classrooms, corridors and public places for urgent/important purposes.

Should you wish to coordinate an off-site trip or visit, please refer to the 'Trips and Visits' online request form and guidelines or contact Andy Greenwood.

TOILETS

Please contact Helen Swinyard or Laura Davenport for enquires involving the Learning Resource Centre/Library.

Staff toilets are located on all floors around the school and are clearly marked. Student toilets are located on floors 3, 4 and 5; girls' are on the North Wing and boys’ on the South Wing.

SUPPORT & DEVELOPMENT PROBATION PERIOD Support staff: All offers of employment made to new employees will be subject to the employee satisfactorily completing a probationary period. This provides a formal opportunity for managers to review the progress of new employees and address any problems at an early stage and assess any training and guidance which may be necessary for the employee to achieve a satisfactory level of work performance. For most employees, the probationary period will be six months. Normally, assessments will be made after eight and 16 weeks, with a final probationary review at 22 weeks. Teachers: Every teacher awarded qualified teacher status (QTS) is required to complete an induction programme usually lasting one academic year, on taking up their first teaching post. The statutory requirements and entitlements for this induction period in England are set out in DfES Guidance Document 0458/2003. An employee’s entitlement to condition of service, such as annual leave and

sick pay, are not affected by the probationary period, likewise statutory rights are not affected. For further guidance on the probation policy, please seek advice from your line manager or HR.

PERSONAL ISSUES FOR STAFF Where staff experience problems of a personal nature, either in their private or professional lives and where the problem impinges on their functioning in their job, the following advice is given: • •

Speak in confidence to your line manager. Speak in confidence to the Deputy Head or the Head to ensure the school is able to respond appropriately.

You can expect the school to respond as supportively as possible. It helps us to manage appropriately if we know colleagues are under duress of some kind. The problems might range from personal relationships, health concerns, financial issues, stress, bereavement, etc.

HEALTH & SAFETY CLASSROOMS All classrooms are equipped with air conditioning which can be adjusted via the control panel situated in each classroom. Arrows indicate temperature increase/decrease. Lighting can also be adjusted/dimmed to suit teaching needs. Windows must remain locked at all times to ensure the safety of students is met. If windows need to be opened for any reason, the Facilities team should be contacted.

We have a termly health and wellbeing week for all staff. During this week there are no planned meetings, breakfast and lunches are free and a range of programmes are incorporated (i.e., massages, flu jabs etc).

This refers to people you are bringing into school to work with students in curriculum time. Please see the Visitors' Policy for further information and ensure that you have worked through the following checklist: •

At Heartlands, we support healthy eating and offer balanced meals in the restaurant for staff as well as students. We also provide healthy snacks and drinks at the cafe which is open to staff only from 7.30am to 8.15am.

Any urgent issues, including broken glass/windows and spillages, must be reported immediately via radio channel 2 by calling oncall if needed. Other requests can be reported to the Facilities help desk by email. The full Health and Safety Policy can be found on the school website.

SAFETY POLICY As your employer, Heartlands High School is responsible for your health and safety at all times during your employed hours. However, it is your responsibility as an employee to work with due care and attention for yourself and your colleagues and ensure that health and safety procedures are followed correctly. If you feel at any time that there is a health and safety issue within your Section/Department, you must contact Facilities immediately. If no action is taken, or you are dissatisfied with the response, you should contact the Head Teacher as soon as possible. All accidents should be recorded in the school's Accident Book as soon as

FIRST AID There are a number of first aiders at Heartlands High School. Where injuries are serious enough to warrant hospital treatment, staff must inform the main office immediately. It is the responsibility of Student Services to telephone 999 for an ambulance to transport the patient to hospital, inform next of kin and the Head of School. In the event of an ambulance being called, all radio communication will be undertaken on channel 2. Student Services will manage the incident. Full instructions can be found in the 'Critical Incident Plan'.

COMMUNICATION

PROCEDURES

Staff can communicate with students via email. Any paper communication should be given to �eception by 12.00pm where it will be posted in the tutor wallets.

Procedures for Fire Exits are clearly displayed in all classrooms and on the corridor on every floor of the school building. Line-up positions are in the North Playground and are shown on the school map included.

It is the responsibility of the tutor to ensure that the wallets are returned to �eception at the end of the school day.

SOCIAL MEDIA GUIDELINES The widespread availability and use of social media applications bring opportunities to understand, engage and communicate in new and exciting ways. It is important to ensure that we balance this with our duties to our school, the community, our legal responsibilities and our reputation. Our 'Social Media Guidelines' can be found on the Google Staff Shared Drive.

CLASSROOM SECURITY It is the responsibility of all staff to ensure that all equipment/valuables are properly secured when not in use. All classroom doors should be locked when not in use. The school will not take responsibility for the loss of staff personal items. The theft of staff personal items should be reported to the police and your line manager in order that a crime reference number is issued; this is vital when making a claim against your personal insurance. An assessment of the incident will then take place.

TELEPHONE USE

SIMS is our Management Information System; an account will be given to each member of staff during their Network Services induction. SIMS is accessible remotely through our Citrix solution.

The school has produced a policy which covers the acceptable use of school ICT, email and telephones. Please consult it for full details.

GOOGLE SCHOOL Heartlands has adopted Google Apps for Education to enhance the way we use technology and share information within and beyond the school community. This programme includes your email, calender and drive. To access this, you simply sign in once at www.heartlands.haringey.sch.uk. Your username will be firstname.surname (if double-barrelled, separated with a hyphen). Your password will be your assigned network password. You will only be required to sign in once. Once logged in your Google Apps will appear on the top of your page. Apps will open based on your single sign-in.

WI-FI There is WI-FI in the school building. If you wish to have access to this, please send a request to IT who will arrange a time to set this up for you.

All Home Learning at Heartlands is set using the website www.showmyhomework.com. Staff can log in to this site using their Google email address and password.

Please complete a requisition slip either in hard copy or email and hand to the reprographics assistant. All reprographics requests should be received 48 hours before needed (please note laminating may take longer). All completed jobs are to be collected from the reprographics room. Please submit requests as far in advance as possible.

SUCCESS PORTAL Success Portal is our Virtual Learning Environment (VLE). Once you are logged in, you can access this on the dropdown menu.

All departments are issued with a reprographics code which should be used when photocopying. Budgets will be charged per half term and budget holders will be issued a statement of use by Anthony Latchana once charged.

PURCHASE ORDERS For purchase orders between £1,000 and £24,999, three written quotes must be obtained. Where it is not practical to obtain the minimum number of quotations, or if the lowest price is not accepted, please

To place an order for goods or services, please complete a purchase order form, providing details of the purchase, including item code, description, price (excluding VAT) and if an online order, please email the URL to Finance: finance@heartlands.haringey.sch.uk. The purchase order must be signed off by the budget holder and expenditure details entered against their budget (this will enable them to keep their accounts up to date). The form should then be submitted to the Finance Department for processing. When goods arrive, please check them against your order to ensure that the items are correct. Please also ensure that the goods are in satisfactory condition. If goods are damaged, please speak to the Finance Department who will liaise with the seller for a replacement. The invoice will be paid only when Finance receives confirmation that: 1. all goods have been received in satisfactory condition; and, 2. the budget holder has signed off the invoice for payment.

Petty cash is held by the Finance Office and the Autism Provision. In exceptional circumstances, when staff make personal payments for goods and services, they must first obtain approval from their Line Manager and the Finance Department should be informed. It is mandatory that Line Managers authorise expense claims before reimbursements are made to staff. When authorising transactions, the budget holder is confirming the appropriateness of the expenditure and that the goods and services are necessary for the purposes of the school. The budget holder is also responsible for ensuring that there is sufficient budget to cover the expense and that supporting documentation, such as a receipt, is presented. When claiming reimbursement from the Finance Department or the staff member authorised to hold petty cash, an itemised receipt must be attached to the Petty Cash Request claim form, which must also be signed off by the budget holder. Petty Cash claims for ÂŁ45.00 or less will be reimbursed in cash, any claims

for expenditure over £45.00 will be paid electronically by BACS (see page 24 for the appropriate form).

GIFT CARDS & REWARDS REQUESTS Gift vouchers and other rewards may be used in recognition of students’ achievement. Reward requests must have the pupil’s name and reason as to why they are receiving the prize. All orders must be authorised by the budget holder and reimbursement should comply with Petty Cash reimbursement procedures (see above).

ORDERING GOODS ONLINE If you need to order goods online, you must obtain your Line Manager’s written authorisation before ordering, follow the Purchase Order procedure (see pages 24 & 25).

Personal credit cards must not be used to order goods and services for the school. If you need to do this, please speak to Anthony Latchana, Business Manager, in the first instance.

CASH From time to time, it may be necessary for cash to be collected from students and staff. Any cash collected must be handed into the Finance Department and should never be held in Faculty offices. Any funds received will be registered by the Finance Department and paid into the Heartlands High School bank account.

PARENTPAY Heartlands is a cashless school and we encourage parents and staff to use our e-payment system to pay for dinner money, trips and all other school activities. This can be done online using the secure website for Parentpay on www.Parentpay.com or through local stores where the Paypoint logo is displayed. New staff members: All new members of staff are issued with an activation


letter to allow access to Parentpay. Once received, log onto www.Parentpay.com and follow the instructions. You will be

FAQS Below are some of the questions that are often asked by new staff members, please refer to your line manager if you have any further questions: Where is my personal file kept?

Where can I collect/find postage?

In a secure cupboard in the main office with HR. These files are confidential and are not to be removed from the office. Staff can access them as per the Freedom of Information legislation.

Each member of staff has a pigeon hole in the staff workroom on the 5th floor. All post and parcels can be located here daily.

What are the standard fonts and requirements when corresponding internally and externally?

All items should be taken to �eception by 3.00pm on the day of required postage.

As a school, we use calibri as our standard font at 11pt. When can I access the school to work? Term Time Weekdays – 7.00am – 7.00pm Term Time Weekends – 9.00am – 4.00pm Holiday Weekdays – 9.00am – 4.00pm How can I find out about the curriculum? The curriculum booklets are located on our website, or a hard copy can be picked up from the office. How do I find out about which meetings I need to attend? Please access the school calendar to view regular scheduled meetings. How can I request leave? Please fill in the Leave Request form on the Google Staff Shared Drive or complete the pink Leave Request form found in the 5th floor staff workroom and hand to your line manager. Where can I find out about current events?

Each Friday, an electronic staff bulletin is shared with staff detailing the events for the following week. Should you wish to add items to this bulletin, please send information to Allison Farnham-Davies and Melissa Jones by 11.00am each Friday.

How do I send post?

What are the term dates? Please find these on the school website. How can I get support in class because a student is misbehaving? If a student has received a red card, contact or send a student to Student Services and a senior member of staff who is on call will come to your classroom. What happens if it is raining during break and lunchtime? If a wet break is required (10.30 – 10.45am) then an email will be sent. Students and staff will go to their tutor bases during this time. If it is wet at lunch, students will be housed in the auditorium, library and sports hall when they are free. What do I do if a student is sick? Students should be sent to Student Services with a note if you feel that they are genuinely ill. Please do not send students for water or minor complaints of illness. What do I do if a student wants to go to the toilet during a lesson? Only students with medical passes have permission to go to the toilet during lessons. No other students should be allowed out of class during learning time.
