CONGRATULATIONS; IT’S TIME TO START PLANNING YOUR WEDDING! One of your first and most important steps is to select your venue. This is a key aspect of your wedding plans that will inform all other decisions as well as what will likely finalize your actual wedding date.

As a wedding planner with over 20 years experience, I’ve developed a process to help my clients work through this decision so they make the best decision for their specific circumstances and I’m going to share this process with you!

FINDING YOUR WEDDING VISION To get started, I ask a simple question: “How do you envision your wedding?” As they describe their dream wedding, I take note of the words they use to describe their vision for the day. Are they looking for a certain experience for themselves and their guests? Are certain elements extremely important? How many people will be celebrating with them? Some additional questions you may want to ask yourselves to help narrow things down are: do you want your guests to all be seated for an elegant full dinner service or do you want them mingling and chatting? Do you want a fun take on street food or more formal options for your menu? Do you want architecture that feels like the city you’re in, an exposed brick courtyard or do you want a ballroom with huge chandeliers? Is indoor space a must or if everything is outdoors, are you willing to tent or have a “plan B”? What time of day will everything take place? Your answers will help guide everything from the venue options you have to choose from to the flow of the space and how much seating you’ll have down to the fun items like specialty cocktail selections. If you get stumped along the way, I recommend always referring back to your original vision. Take the time to determine your vision for your wedding before you start scheduling venue tours and be sure to write down everything you’re dreaming of. You may really love a venue but if it simply doesn’t meet your needs then it may not be the right fit for your reception and that’s ok, you will find the right venue! THE WEDDING VENUE BUDGET BREAKDOWN Once you know what aesthetic you want for your reception, you need to then have a general idea of your budget as well as your guest list. If you select a venue and you get more RSVPs than you anticipated, you risk not being able to fit everyone in the space you’re already under contract with. Additionally, you want to make sure that you won’t overspend and that you’ll be able to meet any food and beverage minimums that the venue may have. When looking at packages and pricing, venues vary greatly so there are some considerations you’ll want to be aware of or ask about if they’re not clearly stated. Make sure to consider whether they charge a ceremony fee (if applicable to you), whether they include tables/chairs/linens/china in the rental, if security is an additional fee and if their pricing already includes the taxes, fees and gratuity, which can sometimes add up to almost 30% to the final bill. While one venue may seem more expensive up front, another could end up costing the same if you add on everything separately like having to bring in your own tables and chairs, paying extra fees like a “cake cutting fee” or “corkage 8 | N.O.W | NOWWeddingMagazine.com

This is a great time to put your spreadsheet skills to work so you can easily compare each venue and what their costs are. Make sure to include a column for whether or not you may need a tent at the venue, as that can also add to the potential cost of a space.

THE PARKING SITUATION Another column for the spreadsheet is whether there is ample parking for your guests or if you’ll need to provide transportation to get them to the venue. Paying for valet or transportation for your guests adds to your budget and should also be a consideration when selecting your venue. For some locations, like the French Quarter, larger buses holding more than 25 people can’t access those areas so if you have a large guest list, you may need quite a few buses to get everyone to your reception on time. Also ask about (or Google) large or city-wide events happening around the same time as your wedding as that could affect parking availability, street closures or even hotel room block availability and pricing. SPACE CONSIDERATIONS The layout of your reception is another important thing to consider. Some venues offer multiple spaces while others offer one large space and this will impact the feel of your reception. It’s best to go into the process knowing if you have a strong preference one way or the other. As you tour different locations, the venue managers can give you an idea of how they typically arrange the space for a wedding. While most venues will be flexible to suit your wants and needs, they may also have a reason for typically setting up a room a certain way including needing the band in a specific area where power is available and safety concerns. Keep in mind if you want to provide seating for everyone (tables and chairs take up a lot of space!), if you want the buffets and bars in the same room or if a side room is an option and whether or not you may want additional things that take up floor space such as photo booths or a large band. MAKE AN INFORMED DECISION Once you have gathered information on the venues that are your style and within your budget, you can begin to compare them. Beyond looking at your spreadsheet with comparisons and expenses, imagine how your reception would look at each space. Imagine yourself going through the space as a guest. When in doubt, refer back to the vision you began with to remind yourself of the overall guest experience you wanted and eliminate options that don’t fit your vision. AMANDA + TYLER’S STORY “We both went to LSU and must have been at the same house parties and bars 100 times,” says Amanda. “Officially, though, we met June 1, 2013 at a LSU baseball tailgate.” The couple met some friends to watch the game and Tyler spent the evening buying everyone Patron Tequila shots and telling his “famous tequila joke” to get Amanda’s attention. “The rest was history from there,” she says. The proposal, on June 8, 2019 was a family filled event. “Ty’s family is really involved with the American Cancer Society,” explains Amanda. “He told me that there was a fundraiser we were going to and we would meet at his dad’s place before. We walked through the back gate into the backyard and on our way, he got down on his knee and attempted to say his little speech and ask me to marry him. He started it, then I was like “Ooo ok” figuring out what was actually happening and then we both just nodded our heads - I don’t think any actual words came out after that. Then we turned the corner where the backyard was fully decorated and friends and family began pouring out of the house to congratulate us.” Amanda and Tyler originally planned to marry in June of 2020, but due to postponements, finally said “I do” in June of 2021. 24 | N.O.W | NOWWeddingMagazine.com

THE FIRST LOOK From Amanda's Perspective: Getting

ready the day of your wedding is kind of crazy," says Amanda. "I was surrounded by what felt like a ton of people all day, but not allowed to see my favorite person. And then finally, I step out the doors and its just us. Walking toward him hoping that he is still just as nervous excited as I am, hoping he thinks I look beautiful, (slightly hoping I am doing this right haha) and also wanting to rush and give him a big hug. Then he turned and it was everything I could have imagined. This rush of excitement and joy, this special little moment between just us. " From Ty's Perspective: "You spend all this time planning and preparing for the big day," says Ty, "and then, there I was just waiting, staring down Baronne St. with my back towards the hotel door. Then, I get a tap on my shoulder. And I hesitated for a moment, wondering if it might be the photographer or someone else saying “it’ll just be a few more minutes.” But as I realized that was not the case and finally turned, there she was. And it was then that I first got to see my stunning wife to be. I nearly lost it. The first look was so special. So magical. There could've been a million people standing around us or no one. But at that moment, my entire field of vision was her. The rest of the day was a blissful blur. I could not stop myself from smiling."

SPECIAL DETAILS Amanda’s Granny had a tradition of

purchasing her granddaughter’s dresses for all the big special events in their lives and had planned to do the same for their weddings. Sadly, Granny passed away before Amanda got married. Although Granny wasn’t able to be at the wedding, Amanda’s Papa Bill used the money that Granny had set aside to pay for Amanda’s wedding dress and Amanda’s aunt presented her with a rosary made from the flowers at her Granny’s funeral to carry on the wedding day.

“We met through some friends,” shares Krystal. “We were friends for a few years before we started dating.” Chase later would tell Krystal it was love at first sight for him. THE FIRST LOOK “The first look was my favorite!” says Krystal. “I never thought I would be okay with doing the first look but I was so glad we did. It was just such an intimate and romantic experience. We were able to smile, hug, laugh right before one of the most special moments of our life. It took the nervousness out of walking down the aisle. The night goes by so quick and having that special few minutes to ourselves together was so worth it.” THE DRESS SHOPPING EXPERIENCE

Krystal brought her mother, aunt and two bridesmaids shopping with her for her wedding gown. “I had tried on several dresses but nothing seemed to be the one,” says Krystal. “After trying on my last dress at Pearls Place, one of the owners brought me a dress and said ’Just try this one on.’ I knew as soon as I put it on that it was the one. Several tears came out as well. Happy tears of course!”

THE CEREMONY “I loved the Champagne Palace because of the outdoor courtyard,” shares Krystal. “I really wanted to get married outdoors and it was so beautiful in the courtyard at night.” The couple’s candlelight nuptials included a sand ceremony.

The right band or DJ can make or break your reception.

both personally and as a company.” In addition to general reputation, Lane advises prospective clients to dig even deeper. “Ask about their experience performing for wedding receptions like the one they envision,” he says. “Ideally you want someone that has experience with the type and style of reception you want to present to your guests.”

We’ve consulted with local, musically-inclined experts to find out exactly what you need to know before you book your reception entertainment.

TEAM WORK MAKES THE DREAM WORK

EXPERIENCE MATTERS

It’s important to find out how well your prospective band or DJ works with, not only with clients, but with other vendors. Are they easy to work with or will they bring chaos into the picture? Will they be available before the wedding to discuss details or will they just show up on the big day and wing it? Having clear communication is essential!

“When guiding friends on vendor selection for weddings, I always point to ‘experience’ as the most important qualification for hiring,” says William “Chuck” Credo IV of WCA Entertainment and Media. Credo advises engaged couples to ask several questions: 1. How long has that vendor been around? 2. What is that vendor’s reputation? 3. What do you other clients have to say about that vendor? “Because every wedding is different and every couple is different, experience allows a vendor to ebb and flow with the needs of the client without any concern,” advises Credo. Aaron Lane of Aaron Lane Professional DJ Entertainment agrees. “Ask about their reputation for the overall wedding experience,” he says. “This can be accomplished by reading reviews and learning what others say about the DJ, 34 | N.O.W | NOWWeddingMagazine.com

“Ask about their willingness to work with other vendors to create the reception vibe you’re planning,” says Lane. “Make sure your DJ is willing to collab with your other vendors.” “I’ve always found that the key to success is being extremely detail oriented, without emoting stress on your client,” says Credo. “We’re in the entertainment and special events business - if we can’t have fun, we’re doing our jobs wrong. It’s important to convey that as a vendor and be easy to work with, while maintaining absolute professionalism and keeping a keen eye on the details.”

THE LINEUP If choosing your song list has you daunted, don’t worry. Tackling this project isn’t something you have to do at all if you’re looking for the best possible outcome! In fact, if you feel the need to curate every single song played at your reception, hiring a band or DJ probably isn’t for you.

Of course, you’ll want to pick the special songs for your first dance and parent and wedding party dances, but in general you want to find a band or DJ that vibes with your preferred style and then let them do what they do best. “If they’re hiring us, it’s probably because they’ve read our reviews and heard from past clients,” says Lane. “The reason we’re able to create the entertainment experiences we’re known for is due to the artistic skills of each performing DJ in reading the room and knowing what to play to keep the guests engaged and on the dance floor.” “If you’re hiring an act to entertain, they have to be able to do their job.” advises Credo. “If all you’re looking for [is] songs, just put on a playlist.” Keep in mind though that playlists come with downsides and many times these downsides can make or break the party vibe. “When couples ask if they can spec out every song for the night, our first question is “Why?” shares Lane. “Did they have a bad experience at another wedding? Do they want to make sure their favs are featured? It’s something some couples want, but it’s a ton more work for them and there’s no guarantee their guests will appreciate and dance to the music they select. And if they’re locked into a preset playlist, there’s no way to pivot to something that the guests will enjoy.” There is one list you should create though: the “Do Not Play” list. Whether it’s one or several songs you just can’t stand or even an entire genre of music you’d rather not have played (Not into show tunes? No problem!), sharing your “Do Not Play” list with your band or DJ is important. “We always get a DNP list from our couples,” says Lane. “ It’s your wedding, so you shouldn’t have to suffer through music you hate, no matter how bad one of your guests wants to hear a certain song.” Credo agrees,”We love ‘Don’t Play’ lists. Before going into any event, we want to know what the bride and groom, and their audience, really like and what they really don’t like.”

MORE THAN MUSIC Your band or DJ isn’t just a soundtrack for your reception. Your entertainer should come ready with everything needed to do their jobs and many provide even more like specialty lighting and other services you may not have realized were available.

“At a minimum, the DJ should be able to provide music for all aspects of the onsite wedding (if applicable) and reception, and take care of MC duties to keep your guests aware of the particulars as they occur, and to help guide them through the early part of the reception.” says Lane. “Additionally, a quality DJ company will have all needed equipment, and not ask the couple to rent or hire anything extra for them. “Our WCA groups come equipped with a full line of services for our wedding clients,” says Credo. “We offer everything from 10-piece second line bands, to a wide range of ceremony music (harpists, string sections, jazz bands, classical vocalists, trumpets, etc), to wedding favor manufacturing (2nd line handkerchiefs, umbrellas, wedding favors), to venue up lighting, DJs, Emcees, and even celebrity appearances.” Ask the bands and DJs you interview what upgrades and additional services they offer.

THE NUMBERS There are many factors that can affect pricing for bands and DJs.

fabulous band or DJ with last minute availability or you’ll be stuck with whoever is left. Two years of postponed weddings mean that prime dates for the next few years are already booked up. “We’re getting inquiries into 2024 already,” says Lane about requests for wedding DJs, “so early booking is essential if you’re planning to get married during the busy months (March, April, May, June, October, November). Even if you’re booked early, and something happens that requires you to move your date, most professional, reputable DJs will work with you to change.” Credo, who manages multiple bands, concurs, “With our WCA bands, it’s not uncommon for our entire lineup to be booked 1.5 years out from a date during the busy seasons. We have event bookings all the way until 2025 right now. Do not wait to book your favorite vendors.”

“Price points are so varied, but are definitely a ‘get what you pay for’ type of situation,” advises Lane. “It’s similar to car makers having a luxury line and a budget line. Both will get you down the road, but the level of comfort you have will vary. There are DJs that will show up for $200, and DJs that don’t book anything under $2000.”

FINAL ADVICE

For bands in the New Orleans area, Credo advises couples to expect to spend between $5,000 and $15,000. Some of the factors, aside from popularity of the band in general, that affect pricing include where your event is located, whether your venue has restrictions on load in, the time of year your event is and the other services you require from your band, among others.

“It’s really the experience that you’re looking for,” says Credo. “New Orleans is the live music capital of the world. There’s something here that you can get nowhere else in the world. We are blessed in New Orleans to be surrounded by some of the greatest musical talent on the planet.”

THE BIG PICTURE Cutting corners on entertainment can seem tempting when allocating a wedding budget, but it’s generally not advised and always comes with a downside. “It’s up to the couple to decide how important quality entertainment is to them,” says Lane. “The right music can elevate the experience of the reception to be the best ever. The wrong music will definitely crash the night, sometimes before it even has a chance to get started.” Take into consideration what you’re trying to achieve and make sure you choose your entertainment accordingly. “It’s very important to take in the entire experience that you’re looking to convey to your guests,” says Credo. “Are you looking for a dance party that feels like a club at 2 AM? Are you looking for a traditional wedding experience at a downtown hotel ballroom? Are you looking for a countryside wedding to throw down with your friends? Depending on your specifications for your event, it’s important to pick the right band or DJ that can accentuate your preferences.”

BOOK EARLY This can’t be stated clearly or often enough: Don’t wait until the last minute to book your reception entertainment. You will either be incredibly lucky to find a 36 | N.O.W | NOWWeddingMagazine.com

Your entertainment is a crucial part of your reception and should be chosen with care. Look for opportunities to see your top choices in person or ask for videos of past performances so you can get a feel for how they work.

“Couples should be looking for someone that checks all the boxes that are important to them,” advises Lane. “You’ve found a good match when the DJ understands your style and music tastes, and is willing to work with you to create the entertainment experience you envision for your friends and family.” No matter what kind of entertainment you go with, band or DJ, be sure you choose a professional whose work you love and who has great reviews.

JAVONN + DAVY’S STORY “The day we got married was actually the exact day we met 10 years ago,” shares Javonn. “Well lets just say he knew and saw me before I even knew of his existence. He was interested in me months before I met him.” Time went on and one fateful day, Javonn was visiting with her best friend at her home. “She mentioned that he had just moved a few houses down from her and he would be perfect for me. Of course I was curious to see this ‘Mr. Right’ so we made an excuse to knock on his door and the rest was history.” Davy popped the question in December of 2020 after returning from a family Christmas vacation with the couple’s two boys to Disney World. “Once we returned back home I thought the excitement was over but boy was I in for a big surprise!” says Javonn. On the evening of December 29th, Davy returned home from work as he normally did and before Javonn could get up to greet him, their son, Davy Jr, walked into the room and handed her a box. She opened the box and then ran to the living room. “Davy was there on one knee waiting for me. I could not have asked for a better proposal!” she says. “It was so pure and genuine. WEDDING PLANNER BECOMES THE BRIDE Javonn not only is a professional

wedding planner, but she also owns the rental company and venue where the wedding reception took place! “Believe it or not but planning my own wedding was one for the books,” she shares. “I imagined that being my very own planner would be stressful but it was actually fun watching all my hard work unfold on one of the best days of my life. I was able to close my venue 3 weeks before the wedding to start the design production. My family and vendors were very supportive of me and I was still able to enjoy the perks of being a bride the week of the wedding.”

THEIR FAVORITE PART “The ceremony was held at the New Orleans Museum of Art because I wanted to give my guests a true New Orleans experience,” says Javonn. “Before the ceremony began, guests were allowed to view the art exhibits throughout the museum. Once the ceremony was over guests were served champagne as the Second Line band played music.“ THE GOWN Javonn flew to Dallas to find “the dress” at Ese Azenabor’s boutique. “They treated me like royalty,” she says. “I tried on two gowns and I immediately fell in love. Every gown there is a Custom Couture Bespoke gown so my dress was a hand made one of

THE WEDDING “From the beginning of our engagement, Caleb and I both had envisioned a private, intimate setting,” shares Virginia. “Our original plan was to go to Tennessee in the mountains when it was cold and snowing and elope, but opted against it. We toured several venues and actually had one booked, but it just never felt totally right. With COVID and the restrictions we just decided we didn’t want to wait anymore. Our plan B was just to have a small gathering at Fontainebleau State Park and have the Justice of the Peace marry us there with our close friends and family, but about a week before we woke up one day and changed the date of the ceremony to the Thursday before, drove to the lakefront, had the officiant meet us there and we got married! A party a few days later took a lot of the extra pressure off, we were already married and it was just a fun day for us and our close families and friends to celebrate our love!” The couple married under the same tree - the Belle of the Ball - where they had their first date and where Caleb proposed!
