ODS Officer Loses Home to Fire William Buck, an ODS security officer who has worked for the company for almost eight years, recently lost his home and personal possessions to a fire. William and his mother, Phyllis Garrison, shared the home together. Our ODS colleagues and other friends have asked how they can help. For those who would like to donate clothing, Wiliiam wears a 3XL shirt. He and his mother are living in a motel right now with a small kitchenette. Gift cards to Wal-mart or Target are greatly appreciated and will be most helpful. They can use the gift cards to purchase food, clothing, and other things they need for daily living. Restaurant gift cards may also be a good option. ODS will collect donations (clothing or gift cards) at the corporate office in Richmond. Please contact Stephanie Woodrum at (804) 521-7897 x 302 to make a donation or to find out what else you can do to help.

Congratulations! ODS is pleased to announce the promotion of Sheldon Harris to IFH Manager. Sheldon is a transition employee who is an emerging leader showing significant development and leadership since the May 2, 2012 transition.
In February of 2012, ODS was notified that all officers assigned to Virginia Commonwealth University Health System were required to complete training and become certified as Campus Security Officers. It has taken a great deal of hard work and commitment from officers to complete this certification (in addition to their routine responsibilities) but with the help of the client and the dedication of our ODS officers, we certified our first group of CSOs in December 2012. Congratulations to this great team of security officers!
Tom Muldoon led ODS’ successful participation in The Joint Commission (TJC) visit to ILH. Tom’s first ownership of a TJC visit was an opportunity for him to learn a tremendous amount and demonstrate the poise developed in his 20+ years working for the Secret Service. Thanks to Tom for outstanding leadership and performance. Congratulations to Shadrack Adjei for his promotion to Site Supervisor at one of our client locations in Richmond, VA. Shadrack has been an ODS Security Officer for 6 years and we are very proud of his professional development and growth that led to this promotion. ODS is committed to ongoing education, training, and advancement of our security officers! A customer at one of our ODS commercial sites approached ODS Security Officer James Crews. The woman was signaling to Officer Crews that she was choking. Mr. Crews was able to immediately apply his First Aid training and life-saving skills to perform abdominal thrusts on the customer to help dislodge the item she was choking on. Eventually, the woman was fine after the intervention. As our client stated, “Can’t think of a better example of customer service than this one!!” The client wanted to recognize Officer James Crews on his excellent response in this situation. We are proud of all of our ODS Officers and want to commend Officer Crews for his rapid response, professional skills, quick thinking, and high level of customer service in this situation! Gary Tew, Security Director for Protective Services of Sampson Regional Medical Center, has nothing but great things to say about two outstanding ODS security officers at his hospital facility. Junius Fennell and Kenneth Oates, the two officers involved in the “capture” of an individual illegally entering and confiscating property from SRMC Operating Room, are commended for outstanding security surveillance and high quality security work at the hospital. “These individuals represented [ODS Healthcare Security] in an outstanding and very, very professional fashion. Officers of the caliber of these two [officers] make me quite proud to walk the hallowed halls of the hospital where I was born,” explains Tew.

The following officers also received their CSO registration but are not pictured: Isaac Moyer, Brenda Ross, Sean Williams, Sharon Evans and James Baldwin. Congratulations for a job well done!
Study Reveals Increase in Healthcare Crimes The 2012 Crime and Security Trends Survey, which was underwritten by the Foundation of the International Association for Healthcare Security and Safety (IAHSS), found that the number of healthcare crimes increased by nearly 37 percent in just two years – from just under 15,000 in 2010 to more than 20,500 in 2012. In a recent Security InfoWatch interview, Lisa Prys, 2013 IAHSS President, cites concerns over potential liability and negative publicity related to these types of surveys. She states, “It is very important for the public to know that overall, hospitals and healthcare facilities are still safe places to be.” To learn more about factors contributing to the increase in crime, access the complete article and research results at: http://www. securityinfowatch.com/article/10863653/healthcare-facilitiessee-rising-crime-rates.

TEAM, I just wanted to inform you of something that happened today. I was attending the monthly manager’s meeting this afternoon. Mr. Currin, ARMC President, asked if there were any praises to be addressed. The very first thing out of someone’s mouth was, “I would like to praise our [ODS] Security Department and all the hard work they are doing.” After that initial comment was made it was followed up with several others about how ODS Officers are seen assisting patients and visitors throughout all hours of the day and night. The entire room broke out with applause for all of our team efforts! This is the kind of acknowledgement that you should be getting. You all are so productive and making a huge difference here at ARMC. Keep up the good work! And as always Thank You for all of your efforts! Christopher T. Maintain the Security of Mobile Devices By Chad Ellis, CHSS, ODS Administrative & Training Manager Cell phones, Androids, and iPhones – today’s world is filled with every imaginable digital mobile device you can think of. From laptops and MP3 players to mobile televisions and more to come. As more and more people integrate their personal mobile devices into their work environment, security becomes an even bigger issue. So the question becomes: With over 6 billion mobile subscriptions per year (2012) and growing, how is all that data flowing back and forth across mobile networks being secured? The short answer is: it’s mostly up to you as the user.
Safeguarding Your Mobile Device and Data Chances are today, you own at least one mobile device, such as a cell phone or smartphone, and the responsibility ultimately falls on you to keep your data and device secure. It’s vital for individuals to adhere to the corporate policies and safety procedures to protect data – especially in the world of healthcare where patient information must be shared between professionals. In addition to strict HIPAA regulations across industries, there are additional precautions to take to secure mobile devices and the data they hold. Take advantage of five easy tips to help keep your mobile device safe and secure at home and at work: ■■Use the password protection installed on the device to lock it out from unauthorized use. ■■Keep your phone or device updated regularly. Downloading your device manufacturers’ updates and “software patches” ensures that you have the most current operating software. ■■Download a mobile security application. That includes antivirus software, a firewall, and spam mail filters. Downloading a mobile security application is one of the best steps you can take to protect your device while surfing the Internet or while downloading applications. ■■Try to avoid banking or shopping on your mobile device. When you bank or shop on your mobile device, you send critical personal data across the network. Because many mobile devices are not secured correctly, this could be potentially dangerous. If you must shop or
bank online, make sure you have installed a security application and/or download your bank’s app if available. ■■Download a “phone locator” application. Downloading a mobile application that helps you locate or track your phone through its GPS system can be an invaluable tool to help police in getting it back for you. Many of the locator applications also have the ability to remotely erase your personal data from the phone so that no one can steal your identity or sensitive personal information. It’s best to deploy all available security options for your mobile device to keep the data safe and secure. The few minutes it takes to enter a password or invoke security measures can save you a lifetime of headaches. Visit our website at www.ods-security.com and click on “News” for more details on all of the above.

Campus Security And Safety By James Baldwin, CSO Certified Trainer The beginning of campus security can be traced back to the creation of the Yale Campus Police in 1894. Certainly, the idea of campus safety and security has undergone a number of changes since that time and many colleges now include some form of proprietary security, contract security, or both. The origin of the Campus Security Officer (CSO) training program in Virginia has its origins in 2004. It was then that the Virginia State Crime Commission was asked by the General Assembly to study safety at Virginia’s colleges and universities. In response to that study’s finding, the Department of Criminal Justice Services (DCJS) established the Office of Campus Policing and Security (OCPS) — which set about formalizing a training program for all security officers who worked on a college or university campus. The CSO training curriculum consists of three main parts: 1. CSO entry-level training course 2. FEMA Introduction to Incident Command 3. First aid training The Campus Security Officer program serves to equip security officers with the information and proven methods to effectively perform their duties in such a dynamic environment. They learn to observe, evaluate, mitigate, and respond to specific situations. The absence or presence of well-trained Campus Security Officers can have a significant effect on the safety and security of a campus. CSO’s often serve as a crime deterrent in addition to responding to an event. For more on CSO training, visit our website at www.ods-security.com and click on “News”.

Why Clients Need Security Officers By Matt Allen, ODS Intern The role of security officers should never be underestimated. The basic description of a security officer is someone who “performs the functions of observation, detection, reporting, or notification of proper authorities or designated agents regarding persons or property on the premises that individual is contracted to protect…”. But ODS security officers take their jobs much further by delivering excellent customer service and other value-added services. They also take immediate action to prevent security issues, apprehend violators, and restore organization in the event of an occurrence. ODS security officers take on many different roles to perform these functions, which are invaluable services for the client and their employees, customers and visitors. A security officer offers versatility and protective services to help secure the facility and grounds. There is a high demand for security officers throughout the healthcare, commercial, and governmental environments. But some may ask, “Why not just use other types of technology for security in lieu of people?” Granted, other types of security such as closed circuit television (CCTV) have desirable effects on reducing crime and disorder at
certain locations. Technology is a resource for security officers. However, without properly trained security officers behind them, most cameras and technology have limited value to prevent or immediately intervene - and they serve only to assess and apprehend after a crime or security breach is reported. Most cameras cannot immediately identify whether something unwanted or illegal is occurring. A camera is not able to notify the correct agencies when intervention is immediately needed. Only skillfully trained and certified officers can make decisions about what actions to take in emergency or non-emergency situations. The physical presence of officers can make people feel safe and they definitely deter criminal acts. As a bonus, officers are able to provide excellent customer service and serve as a friendly reference for those who have questions or concerns at a location. They are a natural extension of the client’s environment and represent the organization in a friendly and positive way.
Training on the ‘Big Easy’ In December 2012, Chad Ellis, ODS Administrative & Training Manager, provided training for ODS staff on the use of the ‘Big Easy’ to allow security officers to provide the much-needed and often requested services of unlocking vehicles at sites staffed by ODS. The training also included orientation to a jump pack and air pump that security officers can use to assist visitors and staff with stranded vehicles. This saves visitors and staff much time and frustration when these types of issues occur. This is just one more way our ODS security officers provide value-added services, promote high levels of client customer service, and present a positive image for both the client and ODS.

Ensuring HIPAA Compliance: Saving Millions of Dollars By Matt Allen, ODS Intern The Health Insurance Portability and Accountability Act (HIPPA) provides federal protection for personally identifiable information contained in patient health records or other places. It also covers privacy and confidentiality in a number of other instances and across many industries.
“ The Rule strikes a balance that permits important uses of information, while protecting the privacy of people who seek care and healing. Given that the health care marketplace is diverse, the Rule is designed to be flexible and comprehensive to cover the variety of uses and disclosures that need to be addressed” – U.S. Department of Health & Human Services Rates of HIPAA violations have increased alarmingly in recent years. The HIPAA policies are undoubtedly critical. However, the requirements place a high level of liability on organizations and their employees who manage “personally identifiable information”. Many ODS clients manage this type of confidential information. With security officers who are expertly trained and aware of potential HIPAA violations, we provide our clients with high levels of protection from HIPAA violations.
Equipment Theft Reports have shown that the leading cause of HIPAA violations is theft of equipment and materials. The most commonly stolen items are portable electronics such as laptops and cellphones, as well as paper documents. Healthcare facilities are often vulnerable to this type of theft since laptops and other hand-held devices are used frequently in patient areas that also include family members and visitors. Personnel are focused on providing optimal patient care and it only takes a moment away for equipment to be stolen.
10 | The Sentinel - Summer 2012
The Massachusetts Eye and Ear Infirmary and Massachusetts Eye and Ear Associates Inc. recently made a $1.5 million dollar settlement (U.S. Department of Health & Human Services, 2012) as the result of a HIPAA violation. A laptop belonging to them contained unencrypted information and was stolen from one of their facilities. The financial impact was devastating, and there was potential damage to their reputation.
Verbal Violations Some violations are caused by word-of-mouth transactions when personal and private information is disseminated in an unlawful manner (U.S. Department of Health & Human Services). This can occur between employees and visitors, or through any verbal disclosure of
Sentinel The
Heathcare Security Services personally identifiable information to another party. This method of violating HIPAA is often unknowingly breached, and especially in healthcare where multiple health professionals and ancillary staff are collaborating on patient care in complex care settings.
How ODS Can Help
Exercise in Winter We all know that exercise is a year-round event. But what if winter weather has you hunkered down inside? What can you do to make it easier to step outside and move?
ODS prevents HIPAA violations caused by theft and word-ofmouth in many ways. Security officers receive HIPAA training and client-specific training on policies and procedures. They also receive training on the Patient- and Family-Centered Care (PFCC) approach that provides them with even more information about observation in the healthcare environment. Security officers are a visible deterrent for potential HIPAA violations and can intervene in the event a breach is about to occur. ODS officers can:
We always encourage health and fitness among our ODS employees because we know that healthier employees not only feel better, but they perform their jobs better too. There are ways to make it easier to stay more active during winter months to avoid the spring and summer bulge. The following tips are provided thanks to the Mayo Clinic website (www.mayoclinic.com):
■■Identify potential breaches in HIPAA and take immediate action
2. Dress in layers so you can remove a layer as you start to sweat and then put it back on as needed. Avoid cotton next to your body, which stays wet next to your skin. Instead, use a layer of synthetic material to draw sweat away.
■■Deter theft of equipment and especially computers and hand-held devices, or immediately apprehend violaters ■■Remain constantly observant of the surroundings and possible disclosure of private information to bystanders and others ■■Make continual rounds throughout facilities to deter crime and observe any change in environment, displacement of equipment, or other changes ODS security officers not only help deter or avoid the volation of HIPAA rules, but they can save a facility thousands of dollar.
1. S tay safe and healthy by asking your doctor about any special precautions to take based on your personal health condition (heart disease, diabetes, asthma, other).
3. Protect your hands, feet and ears because cold air concentrates blood flow on your body’s core, leaving hands and feet vulnerable. 4. Pay attention to the weather since icy cold and/or rain can make you more vulnerable to cold and frostbite. If it’s too cold, exercise indoors. 5. Wear appropriate clothing that includes reflective clothing since winter shadows make it harder to see people and objects. Also ensure footwear has good traction if you are walking on frozen ground, ice, or snow.
Securing a laptop found unattended has the potential to save a client about $1.5 million dollars according to the U.S. Department of Health & Human Services (2012 reports). It only takes one laptop or a single conversation containing protected information to ruin a client’s reputation and cause incurrence of serious financial fines and personal distress.
6. Believe it or not, you need sunscreen in winter too! And a lip balm will keep lips from chapping while sunglasses will protect eyes from wind and the glare of sun on snow or icy patches of pavement or grass.
Our ODS security officers take every aspect of their jobs seriously – and that includes ongoing vigilance to ensure adherence to HIPAA policies for themselves and the organizations they serve. For more information on our expert training resources and focus on the Patient- and Family-Centered Care environment, visit our website at www.ods-security.com or call us at 1.888.221.0802.
8. Drink plenty of fluids even though you may not feel hot and thirsty. Drink before, during, and after a run, walk, or other workout.
7. If it’s windy, start out “against the wind” before you start getting tired. You’ll be glad on your return walk home!
9. If you still don’t want to get outside when it’s cold, don’t worry. You can always join a gym, or exercise to your favorite video or television workout show. The important thing is to ‘just move’!
