Building an ePortfolio Template for use in your classes or other programs This documentation will take you through the step-­‐by-­‐step process of building an ePortfolio or what TaskStream calls a DRF (Directed Response Folio). You can create this type of ePortfolio for student work in a course or program, where you will be directing the types of responses, such as which class materials you want the students to include in their ePortfolio to reflect their learning. There are four main parts required to creating an ePortfolio template for your class or program. • • • •

Part I is to set up the template for your class/program ePortfolio, with its structure and requirements. Part II is to set up what you going to use to evaluate each of the requirements that you outlined in this template (e.g., a rubric or grading scheme). Part III is to define who will be evaluating the ePortfolios and how those evaluations will be communicated. Part IV is to make the ePorfolios available to your students so they begin to work on the requirements.

Part I – Setting up your ePortfolio template Begin by logging into SCU ePortfolio. For this type of ePortfolio, you are a “TaskStream Coordinator.” This role gives you the ability to define your class or program ePortfolio and allow students to access it.

Click on TS Coordinator under Site Management in the left menu bar to begin defining the electronic portfolio. In TaskStream’s system, this type of ePortfolio is called a DRF (Directed Response Folio).

Step 1: Creating the structure for your class ePortfolio. Click the “DRF Template Builder” link under the Folio Assessment System (Program Management block).

Enter the name for the portfolio template you are creating. Then click “Create New DRF Template.” For example, this could be your class name: “Introduction to Media Studies, Fall 2012.” Note: Each DRF you create must have a unique Title.

Click the "Begin Creating Your DRF Template" Step 2 –Defining the required elements for your class ePortfolio.

This screen above shows an overview of a typical ePortfolio (DRF) structure. •

The first level defines the overall goals of the class ePortfolio and instructions for the student (who will be the “author” of their ePortfolio), so that he or she can better understand the purpose of the ePortfolio.

The second level is the standards and individual objectives you want your students to meet. For example, these might be your course learning objectives, such as students will critically analyze interactions of mediated communication with the structures of society and the self.

The third level is each of the requirements to meet the individual objectives. For example, you may ask students to provide an essay and a reflection upon that work.

Click the "Start Working on Structure and Requirements" to begin defining your own elements of your class ePortfolio.

This tutorial will take you step by step through the elements outlined by the red box on the left side of the template builder. Step 3-­‐ Move and delete elements in the template builder.

Click “Delete Area” to delete an area. Remember, the template is merely a suggestion-­‐-­‐you can customize how many standards and requirements there are.

Click “Move Area” to move the standard to a different location. This gives you the option of changing the order of elements in the ePortfolio.

Click “Paste” to move the standard, in this case Critical Thinking; to the new location you wish.

An options screen will appear, giving you the choice of placing it above or below the area you selected in the last step. Step 4 – Setting up your requirements.

Click on “Add/Edit/ Overview” to enter your goals and objectives for the portfolio. YOU CAN DO THIS BY COPY/PASTING TEXT IN FROM ANOTHER DOCUMENT OR TYPING DIRECTLY INTO THIS AREA.

Click on "Save and Close Window" when you're finished.

The Requirements area is where you can specify what you require from your students to submit and satisfy the objectives of the ePortfolio. You could ask your students to provide you with text or image, video or slideshow; such as PowerPoint or a web link. Click on “rename” to give a custom name for your requirement. Click the box next to the item you want your students to submit. Click on add/edit instructions to give students more information to satisfy the requirement.

Repeat this process going down the left-­‐hand column and fill out each of your standards. You can also add and delete standards and requirements. Click on “Save & Continue” to advance to the Part II, where you will set the up the evaluation method.

Part II. Setting the evaluation method for each of the requirements outlined in this template Next you will assign evaluation methods to each of your standards as specified in the above section. Each standard should have a requirement of content you want the students to submit, an example of this could be an image or an essay. In this section we will assign an evaluation method for each of your requirements.

Click on a “Assign evaluation method” to get started.

On the screen above you’ll see some basic evaluation methods that are commonly used. In this case we will choose "Write-­‐in Score"-­‐ this option gives you a standard grading point system.

In the above window, Write-­‐in Score is now the evaluation method for the standard. Repeat the process of assigning methods to each of your standards. When you're finished select “save & continue.”

Part III – Setting the rights for reviewers and evaluators In this part, we’ll review what TaskStream calls “Creating a DRF Program.

Click on "continue to create a DFR program"

This is an overview of the DFR programs you have created. If you create more than one, they will appear in the box labeled "DRF programs in which I am a program manager.” It shows I've created one DFR program, which is unfinished and interactive. I must activate it by going to the next section. Once activated, it can be rolled out to the students. Click on “create a new DFR program.”

Name your program and fill in the program description (optional). This can be a course or program name. Click “create program.”

The rest of the options we will leave with the default settings (please consult the TaskStream manual for further information).

Choose whether or not reviewers are required in this program. Reviewers might be other students, other faculty, or faculty advisers. In this case, we will choose reviewers are not required.

Now you want to link an ePortfolio (DRF) template with this evaluation program. One template must be assigned to a program. The template is the actual ePortfolio layout design and evaluation that we created in Part I. Choose DFR template.

Choose "My DFR templates" (other templates may be available as well, but in this example we are picking one which we have already created).

Click on “Multiple evaluators are not needed." Click on "Continue."

Part IV. Enrolling Students and Evaluators in your ePortfolio program. Click on "enrollment" so that we can set up a system for students to gain access to your ePortfolio template.

In this section, we are going to choose “allow authors (i.e., students) to self enroll,” based on a code you will give them. Click on “change”.

In this section, you will pick or have the code number generated. You need to write this code number down. This is the code number you will give to your students, which they will in turn use to self enroll in your ePortfolio. Click on “self enrollment is on." Click on “generate a code.” Click on “apply changes.”

In this section we will be assigning evaluators. These evaluators will have access to the portfolio and be able to score and grade the students’ work. Don’t forget to assign yourself as well. You can have as many evaluators as you need.

Click on “evaluators.” You can search by name to add someone in. In the case below, we searched for and added “James Linehan” as an evaluator. To search: Type in the name you're looking for. Choose the individual you want to be an evaluator. Make sure the evaluator is checked. Click on “continue.” Click on “apply.”

Click on "grouping preferences" to continue with the next section. Grouping is an option to give you different preferences for your evaluators. You can group them and give them special permissions (please see manual). In this example, we will not be using this.

Click on "no grouping needed" Click on “apply changes” to continue to the next step.

Now you have finished the program management for your ePortfolio. This screen gives you an overall view to make sure you have completed the required sections to make a program active. Once it is active, it will be available for the students to fill out and complete their assignments. Please keep in mind you can always return to any part of the program or template to make changes. (Please note: the Resources area is optional and won’t be covered here.) Click on “change status” to make the program and the template active. All that remains is for you to give the enrollment code to your students and they’re ready to begin building their ePortfolios!
