Enabling Process Transformation Flexera Software shortens its monthly financial close process by 40 percent with the help of Oracle and CSS. by Monica Mehta, Content Specialist, Sprocket Media Flexera Software is the leading provider of strategic solutions for application usage management. The company helps application producers and enterprises strategically manage application usage to achieve continuous compliance, optimized usage and maximized value. In April of 2008, Flexera Software was spun off as an independent company from its previous owner. Executives soon realized that they needed an ERP environment that would support the organization’s business needs for financials and human resources. With the help of Oracle Platinum Partner CSS, a leader in providing consulting services for the deployment of Oracle enterprise solutions for midsize and large companies, Flexera Software implemented a number of Oracle Applications that would meet its complex business requirements and support the growing new business.
Updating a Legacy Environment When Flexera Software became an independent entity, the company inherited a legacy Oracle environment that included older releases of Oracle E-Business Suite (EBS), including Oracle Human Resources Management System. At the time, this approach was expedient and cost-efficient. Over the years, however, the company encountered data that was inaccurate and in some cases irrelevant to its business. The old system, which had been customized for the previous owner, included a number of misconfigurations and nonfunctional parts, resulting in a lot of manual work in order to process certain transactions. In 2011, Flexera Software made the decision to implement Oracle E-Business Suite Release 12, including Oracle Human Resources Management System. These implementations would help to handle its complicated reporting processes related to product and solution area performance and to comply with complex, country-specific regulations in its offices in the United States, the United Kingdom, Japan, Hong Kong and Australia. To enhance budgeting and forecasting capabilities, executives also decided to implement Oracle Hyperion Planning and Oracle Business Intelligence Analytics Applications.
Aligning Business and IT After evaluating a number of consulting services companies, Flexera Software selected CSS because of the consulting firm’s proactive strategy of aligning the company’s IT goals with its business goals. “CSS really understood our business better than the other firms did,” says Joe Frieda, chief information officer at Flexera Software. “They understood that this was the first step of many in terms of building a foundation for future initiatives and enhancements, as well as additional capabilities down the road. They also understood how we should re-implement the Oracle solutions in relation to our business requirements.”

The newly implemented Oracle Applications have enabled Flexera Software to dispense with numerous manual processes and replace them with automated tasks, which saves time and resources. Old customizations were replaced with standardized processes and predesigned workflows, which benefitted Flexera Software from a business process perspective. Finance users are now able to perform processes independently of IT, freeing the IT staff for more strategic projects.
Optimizing the Reporting Process The process transformation and automation enabled Flexera Software to shorten its monthly close cycle by about 40 percent. “We’re a very dynamic business with a lot of things going on,” says Frieda. “Our ability to get accurate financial information as quickly as possible to report to management, to report to our investors, etc., is critical. Shortening our monthly close is vital to getting that information out expediently.” Frieda says Flexera Software benefitted from CSS’ strong knowledge of Oracle Applications and its proactive approach to the implementation. “CSS spent time in the initial stages talking to us about our needs. They were the only company that understood we needed to build out a roadmap for the future that viewed our IT investment in relation to our business goals,” says Frieda. “In terms of my experience with these sorts of projects over the years, they did a good job with the overall project management, ensuring that we stayed on track. With a project of this magnitude, there are many risks of it going askew. They did a really nice job of mitigating the risks.”

The Challenges of Hospital Inventory By John O’Keeffe, CEO, More4Apps Ltd. Let’s consider the case of a large hospital that noticed its inventory figures were not truly reflective of how many necessary items were available. When preparing for an operation, it’s important to overstock with required items for surgery. In this instance, staff would constantly find that the number of syringes the computer said were in the cupboards were there but in very different quantities. This led to manually ordering extra stock instead of relying on auto-replenishing. The problem fully unraveled when it was also discovered the average costing figures were completely wrong. This left the various departments in the hospital with stock budget blowouts. With an item like syringes, which are packed in boxes of 100 units, part of the problem comes about when there’s a discrepancy between whether one item vs. one box of said items is counted into or out of stock. If, when preparing for surgery, a number of items are taken out of stock for use and then some are returned as items without noting the difference between boxes vs individual items, chaos sets in to the inventory system. In this instance, it was taking one staff member a whole day to do returns, and stock was starting to pile up, further affecting the inventory reality. The hospital in our case study was having exactly these issues. Once they identified the problem, it seemed a relatively simple matter to resolve it, but the options for bringing about real change were complex. The hospital did not wish to hire consultants or write new code, both of which would be expensive, time consuming and require a lot of testing. The range of technology options each had its own challenges: • Keyboard Emulation Software: Slow, lacked validation and required babysitting. • Scripted Loading Software: Not end user friendly, takes consultants to setup and control. Requires additional language skills (such as PHP) for better functionality. • WebADI/SQL*Loader: Custom development/consultants. • Toad/SQL Developer: Very flexible, but high expert knowledge required. • More4Apps Tools: Prebuilt end-user Excel-based solution for downloading/uploading data. For the hospital, the ideal outcomes were to have updated items with correct units of measure, correct average costs per items, use min/max options and a reduction of open purchase ordering. But they also found that for changes to be made effectively, many items had to be disabled and then removed or added to blanket orders and bill of materials. New Item Creation

Using Manual, Macro, Queries – the loading time was predicted to be as high as 76 days, including six and a half days for set up. Even if macros were forms based rather than keyboard emulation, there is a lot of babysitting, and setup days would increase. Assume setup to increase by 10 percent and implementation to drop by 30 percent. The final decision came down to simplicity of software and time savings predicted. More4Apps estimated they could save 57 days on the project:

The hospital found that by using More4Apps Wizards, they were able to update descriptions, disable old items and create new items with the correct unit of measure quickly and accurately. Incorrect items could be end dated, and new lines could be added to blanket purchase orders with the correct unit of measure easily using Purchase Order Wizard. Because of the low item value, average cost was simplified by using the last purchase price. The stock movements were reversed out of the old items and reloaded into the new items using Material Transaction Wizard. The priorities of getting the stock right with the correct average costs was achieved using a combination of three More4Apps wizards; Item Wizard, Material Transaction Wizard and Bill of Materials Wizard. Actual times proved to be much quicker in the end, and this hospital has since repeated this process six times where they found they had incorrect units of measures.

Oracle EBS Mass Data Loading Using appLOAD™ at LifeWay Christian Resources by Austin Davis, Vice President of Marketing, Chain-Sys LifeWay Christian Resources is a religious nonprofit organization and is an entity of the Southern Baptist Convention. LifeWay produces Bibles, church literature, books, music, audio and video recordings, church supplies and Internet services. The ministry operates 154 LifeWay Christian Stores across the country. LifeWay’s home office is in Nashville, Tennessee, where about 1250 employees work. LifeWay has successfully implemented Oracle E-Business Suite (EBS) Financials, Projects, APC, Inventory, Purchasing, Order Management and Advanced Pricing modules for its global operations. LifeWay is on version 11.5.10.2 and their production database size is 1200 GB.

Manual mass data loading/maintenance within Oracle EBS can be tedious and www.chain-sys.com very time consuming. LifeWay utilized DataLoader for performing data loading as an alternative to manual methods. The DataLoader tool took a lot of time and still could not provide a fool-proof and robust solution. Amy Goolsby recalls that for about 1500 items loading, it required constant monitoring and took two weeks with eight computers in the conference room. This time does not include the data loader spread sheet preparation time. A database specialist tended over about 25 desktops in a conference room each month for two or three days, each loading parts of Excel data through the EBS front end, simulating keystrokes.

Five Criteria for a Good Chart of Accounts Design by Helene Abrams, CEO, eprentise The chart of accounts (COA) has a huge impact on how efficiently you do business. As the foundation of the finance function, a well-designed COA helps you effectively manage your organization, while a poorly designed one is a tremendous burden. Companies that did not consider long-term growth when planning their COA will eventually find it unsuitable. A good COA offers flexibility for recording and reporting, provides structure for managing business uniformly and enhances communication.
Five fundamental criteria for a good COA design: 1. One type of information. Have only one type of information in each segment of your COA, and one type of information in only one segment. Otherwise, the chart suffers from an overlap of information across segments, creating inaccuracies. Keeping information types unique to a single segment eliminates mistakes and solidifies consistency. 2. Information not repeated. Your accounting flexfield should not repeat information that exists in other modules of Oracle E-Business Suite (EBS). For example, if you are implementing the Oracle Projects module, there’s no need to have a COA segment dedicated to tracking projects transactions. Keep information in discrete buckets, including other applications of your EBS environment. 3. Room to expand. A common downfall is to tailor the COA to your current business without considering growth. In the design phase, overestimate your segment lengths to accommodate future values. What may seem like a lot today might be wholly inadequate in a few years. 4. Logical ranges used. Ranging your values logically promotes streamlined reporting, security and maintenance, enabling you to minimize the number of cross-validation rules, security rules and Financial Statement Generator report definitions by defining your rules and reports by ranges as opposed to individual values. 5. No reliance on spreadsheets. Spreadsheets are fine tools for short, small and inexpensive projects, but avoid using them extensively. Eliminating spreadsheets promotes a streamlined workflow, reduces resource requirements and maintenance, and removes the need to integrate your EBS environment with third-party applications. Moreover, you will get faster reports using built-in EBS features. As your organization considers the need to redesign its global chart of accounts, incorporate these criteria into your approach.
