CHAPTER 3. COMMITMENT OF THE NICE COTE D’AZUR AIRPORT A bona-fide gateway to the region, the Nice Côte d’Azur Airport is a major tourism actor for the destination. The airport receives more than 11 million passengers and is one of the delegates’ first points of contact with Nice. Given the importance of this welcome, the airport undertakes to support the organisation of large-scale events by reserving advertising space devoted to the event in the two terminals and by helping to welcome delegates in the context of service contracts defining the use of «Welcome Areas». It therefore undertakes to facilitate the arrival of Business Events visitors through: • welcome areas,
• signage in the event colours,
• welcome messages on large screens,
• personalised welcome,
• priority access for coaches providing transfers on the basis of current conditions
Committed to promoting the destination, the Nice Côte d’Azur Airport offers a ‘Welcome Package’, which aims to facilitate the setting up and welcome of major events. This package is designed for any new congress of at least 2000 participants, contracting with the destination for three years consecutive or off-season, between November and March, and will offer the organisers and their participants, increased visibility at the airport, discounts in shops as well as « speedy-boarding ». CHAPTER 4. COMMITMENT OF THE NICE CONVENTION AND VISITORS BUREAU The Nice Convention Bureau, part of the Convention and Visitors Bureau, is an essential player in Nice’s meetings industry. It plays an important role in developing conferences and business events activity and in implementing, in cooperation with its partners, a hosting policy for this type of events. It acts as a facilitator for event organisers and as a coordinator for its partners. I. COMMITMENTS OF THE CONVENTION BUREAU TOWARDS ORGANISERS In order to facilitate preparation and hosting of large-scale events, the Convention Bureau undertakes to: During the bidding phase: • Use its expertise to prepare conference bid applications, to wit: • Present the advantages of holding the conference in the city. • Coordinate all local actors. • Provide assistance evaluating overall feasibility in terms of possible venues, layout, and the time frame. • O ffer technical assistance in selecting infrastructure, provision of services and sites, but also in dealing with public institutions. • Research accommodation in line with the event’s requirements and budget. •S upply promotion tools during presentation of the bid (Nice brochures, technical materials, maps, photos, videos). • Put the organiser in contact with local service providers. • Organise a site inspection jointly with the destination partners, while providing:

During the event: With the help of its partners, the Convention Bureau ensures organisers an exclusive, personalised welcome. It undertakes to:
• Put specific arrangements in place: t the airport: welcome signs with the conference logos and a hostess to meet visitors in the Welcome •A Areas in the two terminals from 48 hours before the beginning of the event. t the Convention Centre: a tourist information desk run by the Convention and Visitors Bureau. •A
• Support event visibility by: •A dvertising on the Convention Bureau website, with a link to the organiser’s site, and in one of its newsletters dedicated to the industry. •C ommunicating with the press. •P roviding participants with a welcome kit (brochures, city maps, etc.) •S eeking to increase event visibility in the city of Nice (advertising, tramway covering, etc.) •E nsuring interfacing with municipal services (traffic, signage, access, etc.).
• Organise an information and coordination meeting
In relation to the events corresponding to the charter’s criteria, the signatories undertake to schedule a preliminary information meeting with the organiser and/or its representative. The meeting is intended to clearly define the goals and limits of the event and to ensure a better understanding of the requirements and the general conditions of sale. II. COMMITMENTS OF THE CONVENTION BUREAU WITH RESPECT TO LOCAL SERVICE PROVIDERS Information for partners: The Convention Bureau undertakes to provide partners with maximum information on the conference, particularly its background. Accommodation pre-search: The Convention Bureau (in conjunction with the Congress Centre) undertakes to perform the preliminary hotel search, based on the needs defined by the organisers. It will investigate options until a DMC/PCO has been appointed. Conference visibility: The Convention Bureau will provide its partners with visuals of the welcome posters in order to allow for specific advertising.
