MAKING YOUR MILES COUNT Robert D. Scheper

Oh No! It’s tax time AGAIN! Once again, another income tax season is upon us and we are still stuck in COVID-19 restrictions. Many times, I have been asked for my opinion about when it will end? My answer is the same. It entirely depends on politics and public opinion. Some regions of North America have completely opened, and others are closed using nearly identical statistics. I have friends in Florida for instance, who have no restrictions at all. Life for them is pretty much pre-pandemic while other jurisdictions are locking down and restricting as fast (or faster) than laws may even allow. Our crazy world ship has not yet left the crazy port. The tax deadlines this year have returned to pre-pandemic standards/rules. This means getting your paperwork together is still high priority at this time of the year. There will be no delays as there were last year. When it comes to preparing your taxes, two general rules should be understood by everyone: first, most taxpayers 8 • OVER THE ROAD

have unique situations that apply to them personally (single/married/kids, homeowner/renter, RRSP contributor verses not… etc.) and each taxpayer should understand WHAT their situation is. The second general rule is… those unique situations do not change year over year without a conscious act of will (i.e., getting married, deciding to contribute to an RRSP or not, purchasing a home, having another child). In other words, most of your basic tax questions will not change from the year before. Only the numbers will change (higher or lower). The entire tax system is based on consistency with only minor changes. Even though life changes dramatically (and the numbers behind them), tax laws and its applications do not. There is a famous adage saying that the two certainties in life are: death and taxes. We only must deal with death once… taxes all the time. If you are a driver you will want to prepare your taxes asap. As stated in MARCH 2021


last month’s article, you should get a higher return than last year (if your situation is identical to last year). Independent operators however still have a dramatically different set of opportunities. Three drivers who get identical earnings per mile and have the same miles (yet set up their business differently) can have three, very different tax bills.

You must know and use the options that bring the best results. Failure to research is no defense. If you are an operator and you read this article but do not ensure you are using NTB, the losses you will experience through over-taxation is on your own head (bank account). Know your business options, use what is available and do not stop looking until you know your best route.

A self-employed operator will pay the most in taxes, followed by the incorporated operator who uses the TL2 and will save about $2500 over the selfemployed (less additional accounting fees) and finally, the incorporated operator who uses non-taxable benefits (NOT the TL2), who will save an additional $10-12,000 over the TL2 filer.

Tax time does not have to be painful, or at least as painful as most have it. If you know you are being the most efficient with your tax planning effort you should be fine. Though I have written about this for over twelve years, I regularly talk to operators whose accountant refuses to research the issue, saying they already use the “best” system. Failure to research options is no defense against overpaying in taxes. There are unique situations/options that you can choose (purchasing RRSP for example) that will reduce your taxes. Naturally, that is your choice. Once you are a business owner, you also have choices: self-employed, incorporated or incorporated using NTB. MARCH 2021

Membership Has its Privileges In the late eighties, American Express trademarked the slogan, “membership has its privileges.” In those days you had to pay a fee to carry their card, so they wanted you to feel as if you were a part of a preferred group. This adage applies to trade and professional organizations as well, as the focus is on acquiring and keeping members. People often ask us how we “make money” as a non-profit association. We are supported by our members who pay dues and in exchange, they expect something of value in return. What they value might vary from one person or one company to the next. Some members join for the networking and learning opportunities. Some join because they want the resources we provide and others join for discounts on products and services, which includes our annual conference. We encourage members to join because they believe in and support our mission. At the Women In Trucking Association our mission is simply to encourage more women to enter and succeed in careers in the supply chain. Every decision we make is related to that goal. We believe our high renewal rate reflects the importance in what we offer to anyone who joins. 10 • OVER THE ROAD

When times are tough, we need to regroup. Now it’s more important than ever for us to maintain your support and provide you with the value you deserve when you pay your dues. Last January, before we knew that a pandemic would forever change our industry (and the world!), we initiated some programs to advance our mission in the coming years. Your support will help us move these activities forward in the coming months. Because of the pandemic, our drivers were experiencing both physical and emotional challenges on the road. We partnered with ESPYR to offer our driver members free 24/7 access to mental health counsellors and health coaches to keep them safe and healthy while alleviating some of the stresses they were experiencing. Amazon and Total Transportation of Mississippi graciously funded these services. We were encouraged by the success stories. Since our goal is to promote gender diversity in the trucking industry, we knew we had to find a way to measure desired outcomes and provide best practices for companies looking for greater diversity. We partnered with Carriers Edge to create a Diversity and Inclusion Index to measure and to set benchmarks for all areas of inclusion. This

As the pandemic progressed into the summer and fall, we made the decision to move our Accelerate! Conference and Expo into a virtual event. This was not an easy task, but over 600 of you attended and participated. The response was very positive, but our plan is to see you all in person this year in Dallas, Texas in November.

is an ongoing project to recognize those companies who are achieving more balance in their hiring and promoting practices. In order to continue the networking and educational opportunities, we are creating WIT Chapters so that you can meet in your local or regional area. Stay tuned as we work through the details on ways you can be more engaged by starting a chapter at your company or in your city or maybe even virtually until we can meet in person.

Finally, to keep the momentum in the years to come, we created a succession plan and hired Debbie Sparks as our new Vice President. Debbie will work into the CEO position to ensure a smooth change in leadership in the coming years.

We are spending a great deal of time and resources to make this program more user friendly and interactive, so please log in and join us.

A long-term goal has been to have a Driver Ambassador program, so we hired Kellylynn McLaughlin, a training engineer at Schneider, Inc. Her company agreed to brand her tractor and to allow her to work for WIT one week each month. Walmart donated a trailer which is currently being retrofitted into a mobile display for educational and professional visits to schools and events.

Needs Vs. Wants NEED # 1 What do I need if I am a Driver looking for a job? At a cursory overview, it is not that complicated. First, I need to be satisfied that I will be paid a reasonable rate; either hourly, by the mile or by percentage. It must be a rate that will fulfill my cash flow needs and help my family and me get ahead. This seems simple right? It makes sense that the pay I will earn at your company represents your level of respect for me and the rest of your Drivers. The unknown is where things get sloppy. For example, the revenue per mile is reasonable, but how many miles are available? The rate can be a buck a mile but if I don’t get a fair volume of miles, what good is it to me? When looking for a job, everyone loves you and will promise you the moon to get you into their truck, but where will the reality be? Driver; understand what your needs are and go armed with your own facts when looking for a job. It’s simple; add up all your payments; mortgage, car, cable, utilities, whatever you might have, fixed and variable, and then divide that number by the after-tax revenue per mile you’re being offered. Now you know the minimum number of miles you’ll need to get to a break-even level - and what you’ll need to drive to get ahead of the game. 14 • OVER THE ROAD

NEED # 2 Now that I am comfortable with the wage, I need to feel confident that the company’s equipment is safe and that I won’t be put in harm’s way when I am in your employ. When I talk to other drivers at your business, what will they say about the maintenance of the equipment? Is there a good support system when I am out on the road? What happens when it’s 2 AM on a Tuesday night in the middle of Tennessee and I have a flat tire or a hot truck? What is the procedure to get me fixed and back on the road? Does the company have my back or am I on my own until someone from Operations answers the phone? I’ll talk to some of the other Company Drivers about the company shop. Do they keep their appointments for scheduled maintenance? Do the mechanics listen to the Drivers when they try and explain an issue, or do they ignore ten years of driving experience because they have a newly minted mechanic’s license? Here is where things get tricky! WANT #1 Most of what we want are things we don’t even notice until we have had a few trips with our new company. After a paycheque or two, there may be issues. How has the company responded to them? Do they encourage questions from Drivers, and will they get me answers in an accurate, timely MARCH 2021


WANT #3 Is there an opportunity at this company that I can’t get elsewhere? Could I take a job inside the business? Is that an option? Is there a program for that? Do they ask drivers for their input on specific truck specs? Do they show us what is happening inside and outside the business’s walls? What is going on in government legislation or notices of proposed rulemakings? What does the future look like from the company’s perspective?

fashion? Or do they procrastinate until they get around to it? Does the company bring the Drivers into their communication loop or are they keeping the drivers in the dark? If you believe as I do, that open, honest communication is the key to creating a positive sense of community and lowering driver turnover, then you might understand why so many carriers have such high turnover numbers. A carrier will give you information because they trust you. When a carrier says that you were hired to pick up your load at A and deliver it to B - what else do you need to know? You respond that you want communication with the company, and you want it to be two-way!

If I decide to drive for your company and I find out soon after I start that my first two NEEDS are not going the way I was told they were going to, I’m looking to get out and on to the next opportunity. On the other hand, if the first two NEEDS are looking positive and then I see that the company supports it’s drivers with the additional WANTS, then I think I’ll stick around for a while. Those extra WANTS are starting to make me feel comfortable here. I know what is going on in the company, and they seem to GENUINELY value my input. It takes all of the above to begin to create a positive sense of community within your business because in the end, people stay in situations they like, and they leave the ones they do not like!

WANT #2 Does the company have an effective recognition program? Recognizing people for their accomplishments is the quickest way to show respect. When I see drivers being recognized for their efforts, both on the road and off, it tells me that this company cares about its people. I’m not talking about recognition just for the sake of it. I’m talking about actual accomplishments by real people. That can look like accidentfree miles, acts of bravery on the road, acts of kindness on the road, being involved in community sports teams, charitable acts and on-and-on. When I talk to carriers about what things to recognize on this subject, it is usually a little bit of a letdown for me. People do amazing things every day - all the time. You just start looking for it, then they become obvious. Share those things, and everyone will walk a little taller!

The Importance of Safety Scores Did you know that every company has a licence, and that the licence has a point system? Most things that drivers do on the road are recorded and can add points to the company’s licence. Unfortunately, the points added are a bad thing. If your company receives enough points, it can cause any power unit driving for them to be inspected more often while on the road. So, too many points will always get a power unit more attention while driving on the highways. When an enforcement officer pulls you over, and decides to inspect you at the scale, they usually have access to your history, the truck, the trailer, and the history of the company. They know what your last violation was, what the last inspection revealed about your power unit and trailer, and they also know the entire history of the trucking company. They know just about everything and they tend to investigate power units licenced to trucking companies who have lots of points and issues. So, this article is about safety scores and how important they are to both you and

your company. Especially when you are looking for a new driving position. When I was a recruiter, not once was I ever asked about my company’s CVOR score or DOT rating. Not once. And yet, today it is vital to an applicant. You all know that tickets are expensive. Many tickets are more than a day’s pay. So why would you want to work for a trucking company that has a poor rating and that may get you inspected more frequently? It doesn’t make sense to me. And carriers, why would you want to hire a driver with a poor record? Drivers, you should know that points acquired from a previous driving job do not get transferred when you go to a new driving job with a new company. When you are driving for one company and you get a violation, or convicted for a ticket, the points stay with that trucking company for two years (24 months). This is the reason companies get upset with a driver when they get a violation. And I do mean a violation. Any “X” on your Commercial Vehicle Inspection Report (CVIR) will put points onto the company’s CVOR or DOT profile. Yes, almost all violations carry points. If the company gets too many points, it may cause increased

greater than 50% or with 2 alerts? I think yes. If you are satisfied that the company is serious about lowering the scores, then absolutely stay and help the company recover. And remember that while the scores are high, the chances of you being inspected at a scale just increased many folds. So, you should perform great, awesome vehicle inspections. Don’t take any short cuts. Do great inspections and you should be alright.

inspections at the scales, a facility audit, and other attention getting actions by the Ministry of Transportation (MTO), or DOT. The MTO calls “attention getting” actions “Interventions.” The company’s insurance company is also closely looking at the safety scores as they reflect on the company’s hiring practices, the trucking company’s culture and so much more. As a driver working for a company, you also need to be concerned about the actions of the other drivers within your fleet. Their actions can cause you to receive more unwanted attentions by enforcement officers.

Remember, you need to care about the company’s safety scores as much or more than they do. Not caring will cost you much more than it will ever cost the company.

What can drivers do regarding Safety Scores? First, ask your company to keep you informed. At least quarterly you want to know if in Ontario, the CVOR score is going over 35%. You see, this is the first intervention level. In the States, you want to know if any of the seven scores are in the Alert Status. One score in the alert, will get you unwanted attention by enforcement; two alerts and you are going to get looked at very closely. So, don’t drive for a company with 2 alerts in the USA (called the SMS). In Ontario, I would not drive for a company with a score above 50%.
