The Company Oxford HR is an executive search and leadership consultancy business, specialising in ‘for purpose’ organisations globally. Although long established (in 1995), it changed ownership at the end of 2016 and has grown rapidly in the past few years, opening offices in Amsterdam, Nairobi and most recently Singapore, in addition to its core UK team in Oxford. Plans are in place to open a US office later this year with a feasibility study underway. The main UK company has subsidiary companies in Nairobi and Singapore, and branch office status in Amsterdam.

Job Summary Oxford HR EA seeks a Finance and Office Manager for its Africa based operations. The ideal candidate will be based in Nairobi, supporting staff and Associates based on the African continent, and working closely with the UK – based Oxford HR Finance and Operations Directors. You will be assisting the Regional Director in overseeing the smooth running of the daily operations of Oxford HR East Africa, providing administrative and project support to Finance, HR and general office functions within the business. Your role is key to the contribution of Oxford HR’s growth and success.

Key Responsibilities Finance Management

• Manage the Nairobi Office financial accounting system in accordance with Oxford HR EA’s Financial Operations Manual, and other pertinent guidance. • Prepare annual budgets, plan, and monitor expenditures, analyse variances, and carry out necessary corrections that may arise. • Produce necessary financial reports, including monthly expense reports in QuickBooks and Excel, monthly cash forecasting, and monthly bank reconciliation. • Monitor contracts and procurement to ensure compliance with all contractually required financial reporting. • Manage compliance with local tax and accounting laws. • Ensure office financial obligations are paid in a timely manner. • Coordinate with Oxford HR finance, operations and HR personnel in Oxford as required. • Assist with event planning, design, and production. • Advise the Regional Director on all office logistical, administrative, and financial matters. • Maintain a safe, secure, and pleasant work environment. • Any other relevant duties as determined by the Regional Director to be necessary to the position.

Office Management and HR Support

• Maintain Nairobi office services by organizing office operations and procedures, controlling operational correspondence, designing filing systems, and executing clerical functions. • Develop and implement office policies by setting up procedures and standards to guide the operation of the office. • Provide support to relevant functional Directors for recruiting Africa-based staff and providing orientation and training to new employees.

Skills and Education Requirements • • •

Bachelor’s degree in accounting, management & administration, commerce, or finance. Knowledge of office administrator responsibilities, systems, and procedures. At least five years of substantial financial management experience at various levels of responsibility, preferably with an international company with operations in multiple jurisdictions. Experience with financial management software and accounting spreadsheets, including QuickBooks, Excel, and Word. Excellent written and verbal English language skills.
