Salt Lake City Public Library Director's Report - August 23, 2019 MASTER FACILITIES PLANNING This month, we began a Master Facilities Planning (MFP) process led by local architectural firm Blalock and Partners. The MFP team will undertake analysis of the Library’s building facilities, land, and physical plant operations in order to prioritize needs for modernization, replacement and growth over the next 10-20 years. The work will include an analysis of the City’s expected growth, changing communities, changing demographics, as well as the evolving role libraries play in ensuring healthy, literate, civically-engaged communities. There are three main goals for the Master Facilities Plan: 1. Develop a system of forecasting capital projects related to the upkeep and renewal of its facilities in a predictable, proactive manner. 2. Place high-cost renovation/remodel/renewal items identified in a Master Facilities Plan and other related continuing or predictable projects into a prioritized long-range financial plan. 3. Identify the cost estimates and schedules from the above information. In short, at the end of this process, we will have a plan for the future of our library branches, and an understanding of the timeline and cost for renovations, expansions, and new construction (if needed.) The planning process kicked off the week of August 19, with Blalock and Partners holding multiple staff engagement sessions, receiving input from 106 staff members across the library system. Additionally, a survey has been posted for staff to share their input. The team will be back in September and October to conduct public input sessions. The goal of both staff and public discussion sessions is to learn about how well or poorly the current space is meeting our needs and the needs of our patrons, both now and into the future. FUNDING FUTURE CAPITAL CONSTRUCTION We anticipate that the Master Facilities Plan could total in the tens of millions of dollars in recommended capital construction costs over the next 10-20 years, which will require a robust funding plan. Last year we conducted a fundraising feasibility study that showed strong support in the community for a capital fundraising campaign. However, the study also indicated that business, cultural, and other thought leaders in the community are not as aware of the breadth of services the library provides in the community, and the many ways in which we impact people’s lives. As a result, the study recommended that we increase our marketing efforts with a goal of building greater awareness of the value and impact of the Library, and also spend some time building our internal capacity and staffing infrastructure to support fundraising. 2


Salt Lake City Public Library Director's Report - August 23, 2019 As recommended by the feasibility study, the Library has hired and has begun working with a fundraising consultant (Mighty Penguin) to assist us over the next nine months in developing a robust and successful fundraising plan, and the internal skills and infrastructure to support the fundraising initiative moving forward. Much of this work involves identifying potential supporters and generally growing awareness and support of the Library and the great work that we do. PASSPORT SERVICES UPDATE After soft-launching at the end of March, we have now officially launched our Passport Office with promotion going out across traditional print and social media outlets. Comments on social media postings include “This is an amazing service” and “I love the hours here. Appreciate you recognizing how difficult it is to get places during regular business hours.” We are receiving similar comments from folks coming in to apply for passports. Night and weekend hours are especially appreciated by customers who have more limited schedules due to jobs, school, and family care. comments we have received include: ● “Extremely excellent service. Passport services coordinator made sure all our documents are in order and everything went so smooth.” ● “Very clean and quiet place and parking was easy.” ● “Awesome experience. :) Highly recommend passport services!” ● “Thank you for doing this. The hours are really convenient, and I got a library card while I was at it.” ● “I didn't know this was here! So much better than the [other passport offices]” Within the next few weeks, our Passport Office will move to an expanded and enclosed location on the third floor of the Main Library. The location will include soft seating as well as furniture and activities for children to create a comfortable family-friendly experience. Since the end of March, we have generated nearly $24,000 in revenue, averaging over $ ​ 5900 per month​. Annualized, we are on track to generate over ​$70,000 dollars a year in new revenue​. As we move into our expanded space and begin advertising the service we expect revenues could exceed $100,000 in the next twelve months. 3

Our staff report that it is a joyful experience helping people get their passports. Mikaela, a Library Assistant at Main, shared the following: “One of the first passports I ever did was for a tiny baby, only about two or three weeks old. The baby had come in with their parents who were citizens of different countries in Eastern Europe. For whatever reason, they had been living in Utah for a few years. The couple explained that they were excited to show off their first child to their respective families. "It was heartwarming to know that this little baby, who was hardly conscious of what was happening around him, was already so loved by people thousands of miles away. I didn’t know much more about this little family but so many decisions, coincidences, must have occurred for his parents to meet and for him to be born. "It’s a little strange to be a passport agent because you play a totally non-descript, tiny, and frankly boring role in these potentially huge moments of people’s lives. Behind each application, identifying information, and unflattering photo is an individual with lives as intricate as our own​."

"We play a part in helping people connect with others and the world around them.” For complete information on the Library's Passport Services see: https://services.slcpl.org/passport STORIES OF IMPACT, SURPRISE, AND DELIGHT Selected and shared by Liesl Jacobson, Assistant Director, Community Engagement and Marilee Moon, Assistant Director, Customer Experience Pacific Islander Art Festival at Day-Riverside: O ​ n Friday, August 2, 2019 at the Day-Riverside Branch Library of Salt Lake City Public Library we hosted the Pacific Islander Art Festival. The event had performances from local dance groups including a performance from the Hawaiian Beginning Hula Dance class that was hosted at the library during the summer, local musicians with traditional ukulele music and songs, and visual artists exhibiting their work throughout the library space. There were also arts and crafts for kids including lei making and traditional Hawaiian printmaking. Attendance for the event was about 350 people which is pretty darn good for a first-time event.​ This festival was made possible by the passionate work of Jeneanne Lock, Associate Librarian​, whose dedication to honoring Pacific Islander indigenous cultures is an asset for Day-Riverside. 4

Teaching Virtual Reality: A Partnership with The Leonardo Summer Camp Program Staff of the Library's Main ​Creative Lab h ​ as been partnering with The Leonardo to conduct programs with their summer day camps. Throughout July and August kids and teens have come to the lab to play Virtual Reality games. Some of the kids have never had the opportunity t​ o use VR equipment ​and play games and they loved it. They played beat saber (a game where you use lightsabers to slice color coded blocks). The Creative Lab also taught them how to use Photoshop to turn their goofy photos into expressions of their creativity. We taught them the principles of using a green screen and how to remove it to make cut-outs of themselves to place in photos. Some of their creations included climbing mountains, fighting a bunch of ducks, becoming a superhero, and a night out on the red carpet. ​(Submitted by Gwen Page) Arts & Crafts for Adults: Make Your Own Personal Care Kit: ​On July 18th, Librarians Zelda Allen and Rebecca Baker facilitated a “Make your own personal care kit” craft. We had 18 adults (emerging, senior, and some experiencing housing instability) attend and many others stop in and visit. To make this program possible, Library staff donated over 200 travel and full size hygiene items including shampoo, conditioner, bar soap,

A whopping 50 travel size toothpastes were donated by staff member Robin Genaro after telling her dentist about our craft! This program was successful in part to the community effort of our library staff and the outgoing nature of Zelda Allen inviting patrons into the Share Space to take part in the program. We will definitely be doing this craft again. (​ Submitted by Rebecca Baker) Gardening at the Library: ​The recent Garlic Harvest at the Plot (Main Library's community garden) was a great success. One attendee took a whole head of garlic to her assisted living home nearby to plant it there and there was enough garlic for all the participants to take some home. There was also enough for Emma Wilson, The Plot garden coordinator, to save to grow some in the demo-bed next year. ​(Submitted by Emma Wilson) The Sprague Firehouse Express Garden is growing and thriving! ​We have been able to harvest lettuce, cucumbers, and turnips. Sprague staff used the basil to make pesto. Patrons love to see the changes to the garden. They are encouraged to take any of the ripe produce home with them. There have been several reports of people in the community who have enjoyed the fruits of the garden including patrons currently experiencing homelessness. We are excited to see it continue to produce and provide food to the local community. (​ submitted by Cherie Kofoed, Adult Service Librarian) Library Brings STEM to C ​ raft Lake City DIY Festival, August 9-10, 2019: A ​ lan Ly and Shauna Edson will be facilitating painting in virtual reality workshops in the STEM building at Craft Lake City’s Annual DIY Festival. The workshops will allow participants to experience creating art in the virtual world, and participants can take their creations home! Alan recently appeared on KRCL with Billy Palmer to talk about and promote the workshop. (Submitted by Shauna Edson) Author in the House at Sweet Branch On the evening of July 25th, Author in the House hosted a powerful reading featuring Logan’s incoming Poet Laureate, Shanan Ballam. Ballam read from a collection of poems which explored the transformative nature of fairy tales, specifically using the story of Red Riding Hood as a framing tale through which to investigate pervasive childhood trauma and adult healing. Shanan’s command of her material, her presence as she presented emotionally challenging subject matter, and her rapt audience, made for an unforgettable evening. ​After the reading, Shanan informed staff that the Author in the House event was one of the most satisfying readings of her career: “--The lovely set-up with the lights, the curtain, the music, the food, the 6


Salt Lake City Public Library Director's Report - August 23, 2019 charming coffee cups, the flowers--all of these elements contribute to making a wonderful event. And you drew such a great crowd! Everything was so impressive!” Shanan has tentatively agreed to come back and teach a poetry writing workshop for the library. (Submitted by Jen Scott)

Eileen's Super Summer Challenge Story shared by Mary Maloney, Sweet Branch Manager

We have patron that has been coming to the Sweet Branch for years. She is an adult who enjoys children’s books and coloring pages. Her name is Eileen and she decided to participate in the Super Summer Challenge this year. This summer, Eileen thought of using the ​1,000 Books Before Kindergarten​ booklet to guide her reading. She loves recording the book titles that she read so Sweet Teen Librarian Meagan coordinated with the Teen Squad volunteers to stamp Irene's booklet next to the book title she read. The creative solution supports Irene's love of reading, and celebrates how Librarians and library service can make a difference in people’s lives, each day. With all of Eileen's reading, she is set to earn a book at the end the challenge in August! Children's Services Invited to Contribute to Discovery Gateway Member Newsletter Discovery Gateway contacted the Library's Children’s Services staff in July to see if we would like to partner with them on their newsletter. We will be doing a Book of the Month write up each month highlighting a book in our collection that fits the theme of their newsletter for the month. Robyn Green quickly volunteered to provide the monthly book suggestion. Her first recommendation, ​Misunderstood Shark b ​ y Ame Dyckman​, fits the museum’s Journey Through the Ocean August theme. ​(Submitted by Deanna Romriell) 10th Annual Zine Librarians unConference: L ​ ibrarian Rebecca Baker, in partnership with Erika Church of the J. Willard Marriott Library and Juli Huddleston of Grid Zine Fest, coordinated the 10th Annual Zine Librarians unConference in Salt Lake City. Over 50 Zine Librarians, educators, and zine programming para-professionals attended from all over the US, including the Barnard and Harvard University Libraries. The Salt Lake City Public Library had three attendees: Rebecca Baker, Stephanie Howell, and Rachel Getts. Rebecca shared her experience in a session discussing the absolute importance of expanding collections out to reflect the cultural makeup of that community where the zine collection resides, constantly working towards providing representation. SPOTLIGHT ON:

COMMUNITY PAINTING PROJECT AT SPRAGUE FIREHOUSE EXPRESS Work has started on our community murals at the Firehouse. ​Kids from the Boys and Girls Club came to the Library on August 7th and started painting. One of the walls will be a garden scene, and the other will include characters from classic children’s books. The artwork has been created by local kids and teens, and then compiled and blocked onto the walls by artist Roger Whiting.

We are holding a community painting day on Saturday, August 24th, 10am-6pm and all are welcome to help paint! at the Sprague Firehouse Express (1085 East Simpson Ave) COLLECTION DEVELOPMENT Draft collection development plans for each public services location have received input from all materials selectors. The development of these plans is being informed by analysis of neighborhood demographics as well as an analysis of which formats and genres circulate best at which locations. Sprague Renovation Update: ​The demolition phase of the project is now complete. We are waiting for City permits to begin construction. We anticipate construction will begin in early or mid-October. Construction meeting minutes are amended to this report, and will be regularly included in all upcoming Director's Reports until the conclusion of the project. Passport Office: ​Passport office furniture is scheduled for delivery and installation on 8/23. We anticipate opening the office in its new space in early September Reflecting Pool at Main: T ​ he reflecting pool repairs are going well. They have now been tested and are water-tight. Tile should be installed beginning the week of 8/19.. The project should be fully completed within the next 30 days. New Service Desk at Day-Riverside: W ​ ith the new service desk in place, the old service desk at Day-Riverside has been removed and a new pony-wall is being constructed to separate the sorter from the public space. Roofing Maintenance: ​Roofing contracts for FH, DR, and SW have been awarded. All three bids came in significantly above budget and we are currently working with the contractor to identify areas of cost savings before we finalize the budget and request an amendment. Landscaping:​ Maintenance staff Doug and Mat have been very busy cleaning up the landscaping at all the branches.

IT Project Updates ● Security Enhancements to Entrances/Exits: P ​ rox card readers have been added at nearly all branches now with access into the building and into the staff area complete. We’ve also added a reader to the gate separating the children’s patio from the amphitheater at main. ● Polaris ILS Upgrade: ​The Library's Integrated Library System (ILS) software, Polaris, was upgraded to the most recent version (6.3) on Wednesday, Aug 21. The new version provides added functionality for staff which will translate into saved staff time when doing certain back-end tasks. ● Staff PC Replacements: S ​ taff PC deployments are complete. Jonathan Andrews asked a group of North American CIOs–from Chicago, Salt Lake City, Long Beach and Kansas City–what their cities are doing to close the digital divide … The Salt Lake City Public Library system provides laptop discovery kits which allow patrons to check out Chromebooks and hotspots. The library provides one on one and group training classes and has a creative lab allowing patrons access to 3D printers, a sound booth, and still and video studios and equipment. Social Art-Making: Local Artist And "Reluctant Bicyclist" Fosters Community Through Participatory Art. City Weekly ​(Aug 7, 2019) Megan Hallett is anything but shy and retiring, with a hand in many local projects bringing strangers, artists and bikers together … curiosity is a driving force in propelling Hallet's ideas, along with support from others such as the Salt Lake City Public Library, Saltgrass Printmakers and KRCL 90.9 FM. With a strong desire to persist in creating something even when it feels impossible, while finding "comfort in discomfort," Hallett uses her education background to guide others in the art-making process. Here’s How to Get a Passport at the Salt Lake City Public Library Salt Lake Tribune (​ Aug 10, 2019) Salt Lake City’s downtown library is the newest place in town where people can apply for a passport — and it has later hours than any of the three other locations. The main library, 210 E. 400 South, will accept passport applications Monday through Thursday from 5 p.m. to 8 p.m., and will take applications on Saturday from 10 a.m. to 4 p.m. and on Sunday from 1 to 4 p.m., according to a news release. Salt Lake City Public Library Now Offers U.S. Passport Services KUTV ​(Aug 11, 2019) The library announced on Friday that it is now an official passport application facility, making it the fourth passport office in Salt Lake City proper.

The total number of items borrowed decreased 5% from 2018 to 2019 but remains above 2017 levels. People continue to borrow more ebooks and eAudiobooks each year and they represent 12% of total items borrowed in 2019.

Sprague Branch Renovation Project Monthly Project Report July 2019

1. Executive Summary Back in July 2017 the Sprague Branch Library sustained a flood in the basement. As a result of this flood the City Public Library moved up the renovation schedule for Sprague. By late 2017 the library solicited for a design firm for the renovation of Sprague and selected Architectural Nexus (A/N). The project team (Library staff members and A/N) have worked diligently to devise a plan and design documents for the renovation of Sprague, and meeting with the Library’s Board Members, Sugarhouse Community Board and Sugarhouse Residence. On Wednesday April 3rd, 2019, Salt Lake City held a bid opening for a General Contract for the renovation of Sprague. After the project team reviewed all bids and contractor qualifications, the Library awarded Paulsen Construction as the contractor for this project and issued the ‘Notice to Proceed’ with construction on May 29th, 2019. With Paulsen on board, Architectural Nexus continues working with Salt Lake City in approving the design drawings to obtain permits for construction to begin. Paulsen Construction has been able to obtain a partial permit for demolition work only, from Salt Lake City and has begun demolition in June. During the months of June and July, Paulsen Construction has been able to complete 70-75% of the demo activities within the library. Removing all of the shelving and flooring on the Main Level (first floor), and the removal of the majority of the walls, finish flooring, ceiling and required electrical, mechanical and plumbing items in the basement. As demolition progresses, Paulsen has submitted ‘Requests for Information’ (RFI’s) to the design team Architectural Nexus on a few structural concerns that have been revealed through the removal of demolition items. One of the structural concerns submitted, is regarding an old load bearing brick wall in the basement. The concern is that this brick wall is not structurally sound and could fail if a seismic event occurred here in the valley. Another concern is a first floor, floor joint that is located near the east entrance, near where the new staircase is to be located. The concern is that the joist isn’t fulling bearing on the old exterior foundation wall. Paulsen has also submitted question on how to structurally secure the new floor structure where the old west staircase was located and how the new structural tie-ins for the pyramid infill should be installed before the demoing of the pyramid can begin. These structural RFI’s are being addressed by Architectural Nexus and their consultants. These structural items identified above were unforeseen conditions, and the corrective action for them will most likely result in a change order and an increase in the costs to the overall construction contract. MOCA will continue to monitor the activities of these RFI’s and other instructional bulletins (IB’s) for this project are addressed and carried out accordingly.

Architectural Nexus continues to work with Salt Lake City Plan Review Department on 2 design issues pertaining to: (1) new fire supply line coming into the building and the protection of the pine tree on the west side of the property, and (2) the design of the main restroom in the basement. The project team is currently addressing these items with the City as follow; for the new fire line, the design team has received the tree protection plan from Paulsen and has submitted it to the City’s Urban Forester for review and approval. For the basement restroom design, the design team has submitted an Alternate Means and Methods Review (AMMR) request with Salt Lake City Plan Review department. To have them review the interpretation of current building codes and address the lack of specific design requirements for a genderneutral restroom. This has been met with much resistance from the City Plan Review Dept. To no prevail, the project has been required to redesign the current restroom layout, to a design that better suits City Plan Review’s interpretation of current building code specifications. MOCA anticipate these remaining items will be cleared up before the end of August and Paulsen will be able to obtain the full building permit and proceed with the remaining construction activities for this project.

3. Budget/Cost Summary Overall, the project is tracking within the overall project budget. Attachment “A” illustrates the overall budget and its distribution into specific line items. As contracts are awarded, the award amounts are entered into the “Contracted” column. At that point, any budget adjustments (either up or down – budget is moved either from or to “Owner Project Contingency” to account for the delta between the “Contracted” total and the “Budgeted” total) are made. Invoices for services performed are entered, as they are validated and approved, into the “Paid to Date” column. As noted in the Executive Summary, Paulsen encountered some unforeseen structural concerns which will most likely result in an increase in costs to the construction contract. In order to account for these types of unknown/unforeseen conditions the “Owner Project Contingency” line item has always been included as part of our overall project budget. Money will be utilized, as needed, from that line item throughout the life of the project to cover the costs of unanticipated and/or additional items.

4. Schedule Summary We have not received a full construction schedule from Paulsen as they are still waiting to receive the full permit from Salt Lake City. Paulsen did provide a Draft schedule showing that they can complete the renovation within the contractual duration. This is subject to when Paulsen receives the full permit from the City. However, Paulsen continues to work within the parameters of their partial ‘Demo” permit.

5. Next Month “Look-ahead” Activities anticipated to occur next month include: 

Demo floor where new staircase will go
