Looking at your wedding planning to-do list can be really intimidating. There is so much you need to get done and most of the list seems very time consuming. Whether you are getting married in three months, six months, a year or more, breaking your tasks into small sections will allow you to feel a sense of accomplishment and will make the job far less terrifying. Here is how I break things down for my clients. by Susan Southerland

Start with planning your guest list and budget. The number of guests is a huge factor in what your overall budget will be. Once you know how many guests you will have you will be able to ďŹ gure out how much of your overall budget you will need to feed them. You can ďŹ gure out how much you have to spend on everything else once you know your food and beverage budget. Start shopping for items that can only do one event at a particular time slot. These include venues, photographers, DJs and bands, videographers, wedding planners, and officiants. If you are planning to order your gown and bridesmaids dresses, shop for them as soon as possible during the planning process.

Next move on to wedding professionals who can do more than one wedding in a day. These include florists, pastry chefs, transportation companies, rental companies (chairs, linens, furniture, etc.) and hair and makeup artists.

Your third category would be wedding professionals whose work doesn’t get done on your wedding day, like stationery companies, calligraphers, and favor designers. For invitations and calligraphy, keep in mind that your invitations should be mailed six to eight weeks prior to your wedding day.

Once you hire everyone, you can start organizing everything for your wedding day. I’ll be back with tips on getting your day organized in a couple of weeks.

Brides frequently ask me what the difference is between the coordinator from a venue versus a professional wedding planner or coordinator. While sometimes their duties overlap, there are many responsibilities that an independent planner has that a typical venue planner does not. 28

Responsibilities: INDEPENDENT PLANNER

An independent planner will work with you from beginning to end on your event. She will begin by helping you plan a budget, and she will help you find vendors based on your budget and style. She will help you negotiate contracts, keep track of your to-dos and help you accomplish them.

If you hire a planner who is also a designer, she will help you come up with the overall look and feel for the wedding. She will find your florist or decorator and help you add creative touches to your wedding. She will make sure that all of your vendors know what they need to do on your wedding day and she will make sure that they have everything they need to successfully do their jobs. She will be your etiquette advisor and your sounding board. She may even be your advocate if your mom or bridesmaids go rogue.


Responsibilities: VENUE COORDINATOR

Your venue will typically have a large staff that will work with you on your wedding day. You will have a food and beverage staff including multiple chefs, servers, bartenders, a banquet captain, a setup team, and a security team. If your wedding is at a hotel, you may even have valets, parking attendants, and a variety of hotel staff from front desk to housekeeping. The venue coordinator is your liaison to that staff. He or she will help you select menus, communicate your setup wishes to the setup team, arrange for distribution of gift bags for your hotel guests, help you get hotel rooms for your guests on property, arrange for your food tasting, advise security of your vendors’ load in and load out needs, and make sure everything runs like clockwork within the venue on your wedding day. She may even give you a list of wedding vendors who have worked well with her in the past. An independent planner will work with the venue coordinator to make sure that all of the above tasks are completed, but she will do far more.

Wedding planning isn’t all about selecting the right venue and vendors. In fact, most of those choices are the easiest for couples to make. The planning hiccups often occur when it comes to deciding on the smaller details, like choosing your color palette. I was surprised at how many of the brides I worked with had no idea where to start when it came to choosing their color scheme. This was one of the reasons I created the Susan Southerland Color Selection Wheel. I wanted couples to see color options within a monotone color scheme (different shades of the same color), a complementary color scheme (colors on opposite sides of the color wheel), or an analogous color scheme (colors that border each other on the wheel). I also designed the wheel to easily fit in any bride’s planning binder so she could bring it along to all of her appointments. While using a tool like this one can be invaluable in making your color choices, there are a few other things you’ll want to keep in mind: 42

One of the easiest ways to narrow down your color choices is to consider the season of your wedding date. Spring weddings are a great time to choose lighter tones like pale yellow, dusky pink, or sky blue. Summer ushers in vibrant tones like turquoise, rose, or ivy green. In the autumn, richer earth tones are more popular, such as russet, burnt gold, plum, or copper. Neutral tones with touches of cool colors dominate a winter color scheme…whites and ivories, winter blue, or various shades of purple are most popular. 43

It’s also nice to see pictures of other weddings the vendor may have designed at your specific location(s). Over the years, I’ve worked with many couples planning destination weddings. The idea of jetting away to another city or country and celebrating with only your closest family and friends can be very appealing! There’s a lot to be said about getting married in a location with tons of things to do and sights to see.

BEFORE YOU BOOK, THOUGH, THERE ARE FIVE THINGS EVERY COUPLE SHOULD KEEP IN MIND WHEN PLANNING A DESTINATION WEDDING:

BUDGET WISELY. Many couples think of destination weddings as a way to contain wedding costs, but expenses can add up quickly when considering travel, lodging, meals, and entertainment on top of the wedding itself. Be careful to budget for every part of your trip, and don’t forget to focus your attention on the reason for traveling in the first place: your dream wedding! 126


LOCATION, LOCATION, LOCATION! When choosing a destination for your wedding, be sure to think about more than just what will look amazing in pictures. How far is the venue from the airport? Will you and your guests be able to stay on property, or will transportation be required to get to the wedding? Is the ceremony space private or open to the public? Is there a limit to the number of guests who can attend? All of these questions should be considered when making a venue decision. 127

Just because your destination officiant pronounces you, that doesn’t necessarily mean you’re legally married. Consult with your wedding venue to see what paperwork they file and what you might have to do on your own. Also, check the requirements in your home country to make sure your marriage is properly registered with legal authorities.


THINK OF YOUR GUESTS. Asking guests to travel to a destination wedding often means asking them to invest a great deal of time and money. Consider presenting those you invite with a “total price� for them to attend your wedding so they can plan accordingly. Also, provide them options of things they can do while visiting your wedding destination. If they know they can craft a vacation out of it, the cost will be easier to justify. 129

Establishing a budget will help you know whether you can afford a lavish plated dinner reception, or if you’re better off planning an intimate brunch wedding. Not sure where to begin or what to consider? Here are my top budget-planning tips:

1. Prioritize. I developed a worksheet that I use with the couples whose weddings I help plan. The worksheet lists all typical wedding expenses, from stationery and favors to venues. Couples go through the worksheet and prioritize each item, allotting more of their budget to the items that rank the highest. I highly suggest that all couples do this at the onset of wedding planning. 134


2. Whittle down that guest list. The easiest way to keep wedding costs down is to manage the guest count. Food and beverage (F&B) is generally the largest cost for any wedding, so it goes without saying that the less mouths to feed, the more money you’ll have to spend on other services.

3. Be realistic. Often, the couples I work with have little understanding of how much wedding services cost. Do your research. Understand why a bouquet of roses from a professional orist costs more than a cellophane-wrapped arrangement from the local grocery store, or why it’s worth investing in a professional photographer rather than asking Uncle Bill to bring his Nikon.
