FOR TACKLING YOUR WEDDING
TO-DO LIST
18
Tips
Looking at your wedding planning to-do list can be really intimidating. There is so much you need to get done and most of the list seems very time consuming. Whether you are getting married in three months, six months, a year or more, breaking your tasks into small sections will allow you to feel a sense of accomplishment and will make the job far less terrifying. Here is how I break things down for my clients. by Susan Southerland

Start with planning your guest list and budget. The number of guests is a huge factor in what your overall budget will be. Once you know how many guests you will have you will be able to ďŹ gure out how much of your overall budget you will need to feed them. You can ďŹ gure out how much you have to spend on everything else once you know your food and beverage budget. Start shopping for items that can only do one event at a particular time slot. These include venues, photographers, DJs and bands, videographers, wedding planners, and officiants. If you are planning to order your gown and bridesmaids dresses, shop for them as soon as possible during the planning process.
4
Next move on to wedding professionals who can do more than one wedding in a day. These include florists, pastry chefs, transportation companies, rental companies (chairs, linens, furniture, etc.) and hair and makeup artists.
5
Your third category would be wedding professionals whose work doesn’t get done on your wedding day, like stationery companies, calligraphers, and favor designers. For invitations and calligraphy, keep in mind that your invitations should be mailed six to eight weeks prior to your wedding day.
6
Once you hire everyone, you can start organizing everything for your wedding day. I’ll be back with tips on getting your day organized in a couple of weeks.

Being a member of a bridal party is a huge ďƒžnancial and time commitment, especially for honor attendants, so be careful that you choose people with that in mind. Here are a seven ways to make asking people to participate in your wedding fun and memorable! 23 2
Rachel Robertson Photography Tonya Malay Photography
Present them with a bottle of champagne (or another celebratory beverage) and tie a large gift tag on it in one of your wedding colors. Hand-write the invitation on the gift tag. One invitation I read said, “You’d make me a very happy bride sipping champagne by my side.” Another one read, “I can’t say I Do… without you.” There are also companies like personalwine.com that make custom bottle labels you could use instead.

Remind them of one of your best memories together. Were you both band geeks in high school? Write an invitation on sheet music. Do you compete to see who can ďƒžnish the Sunday Crossword the fastest? Create your own crossword and have the invitation hidden in the answers. These kinds of invites will be keepsakes your attendants will cherish forever! Rachel Robertson Photography

Send them a singing telegram. Talk about the unexpected! One of my past brides did this and her attendants still talk about it to this day.

Brides frequently ask me what the difference is between the coordinator from a venue versus a professional wedding planner or coordinator. While sometimes their duties overlap, there are many responsibilities that an independent planner has that a typical venue planner does not. 28
vs.
WHO DOES WHAT?

Responsibilities: INDEPENDENT PLANNER
An independent planner will work with you from beginning to end on your event. She will begin by helping you plan a budget, and she will help you find vendors based on your budget and style. She will help you negotiate contracts, keep track of your to-dos and help you accomplish them.
Photos by Kane and Social
30
If you hire a planner who is also a designer, she will help you come up with the overall look and feel for the wedding. She will find your florist or decorator and help you add creative touches to your wedding. She will make sure that all of your vendors know what they need to do on your wedding day and she will make sure that they have everything they need to successfully do their jobs. She will be your etiquette advisor and your sounding board. She may even be your advocate if your mom or bridesmaids go rogue.
Responsibilities: VENUE COORDINATOR
Your venue will typically have a large staff that will work with you on your wedding day. You will have a food and beverage staff including multiple chefs, servers, bartenders, a banquet captain, a setup team, and a security team. If your wedding is at a hotel, you may even have valets, parking attendants, and a variety of hotel staff from front desk to housekeeping. The venue coordinator is your liaison to that staff. He or she will help you select menus, communicate your setup wishes to the setup team, arrange for distribution of gift bags for your hotel guests, help you get hotel rooms for your guests on property, arrange for your food tasting, advise security of your vendors’ load in and load out needs, and make sure everything runs like clockwork within the venue on your wedding day. She may even give you a list of wedding vendors who have worked well with her in the past. An independent planner will work with the venue coordinator to make sure that all of the above tasks are completed, but she will do far more.

your colpalett or e What to consider when selecting
Wedding planning isn’t all about selecting the right venue and vendors. In fact, most of those choices are the easiest for couples to make. The planning hiccups often occur when it comes to deciding on the smaller details, like choosing your color palette. I was surprised at how many of the brides I worked with had no idea where to start when it came to choosing their color scheme. This was one of the reasons I created the Susan Southerland Color Selection Wheel. I wanted couples to see color options within a monotone color scheme (different shades of the same color), a complementary color scheme (colors on opposite sides of the color wheel), or an analogous color scheme (colors that border each other on the wheel). I also designed the wheel to easily fit in any bride’s planning binder so she could bring it along to all of her appointments. While using a tool like this one can be invaluable in making your color choices, there are a few other things you’ll want to keep in mind: 34
SEASON
Rachel Robertson Photography
One of the easiest ways to narrow down your color choices is to consider the season of your wedding date. Spring weddings are a great time to choose lighter tones like pale yellow, dusky pink, or sky blue. Summer ushers in vibrant tones like turquoise, rose, or ivy green. In the autumn, richer earth tones are more popular, such as russet, burnt gold, plum, or copper. Neutral tones with touches of cool colors dominate a winter color scheme…whites and ivories, winter blue, or various shades of purple are most popular. 35

LOCATION
Jessie Felix Photography
Is your venue already going to be decorated due to its overall design or an approaching holiday? Consider building your color scheme off of what will already be there. Odds are, the dĂŠcor will coordinate well with things like the carpet and wall hangings. This could make your choices really easy, and save you money on dĂŠcor! 37
INSPIRATION
Jessie Felix Photography
38
Do you have a favorite flower that you want to incorporate in your wedding? Maybe your color scheme should be based off of that. Do you and your future spouse love the outdoors? You could consider a color palette based off nature. Allow yourself to be inspired by what speaks to you!
PERSONAL TASTE
George Hausler Photography
What really matters in the end is what appeals to you. Don’t hesitate to have navy blue as a color choice in the summer just because it’s a darker tone. You can always choose a more summery accent, like buttery yellow, to tie in the season. Choose what makes you happy! 39

Whatever ends up helping you choose your colors, keep them limited to no more than two or three to keep your look clean and cohesive. Have fun with figuring out how to bring in your colors in ways that will wow your guests. Whether your colors are trendy or timeless, they’ll help make your wedding a truly memorable experience!

Five
QUESTIONS TO ASK WHEN
INTERVIEWING FLORISTS
Outside of the wedding gown, one of the things a bride gets the most excited about selecting is her wedding floral. It’s such a fun service to book with all of the sights and smells and possibilities! There is so much to consider, though, from the availability of certain types of flowers based on the time of year, and knowing how to achieve a million-dollar look on a shoestring budget. To get to the bottom of it all, you’ll want to work with a professional wedding florist. 42
Jessie Felix Photography
43
Shawna Hinkel Photography
There is a difference between someone who specializes in event floral and florists who focus on personal floral. Event floral vendors are accustomed to planning many different floral pieces that all come together in one cohesive look. They also usually have a strong design background and are familiar with working with architectural nuances to enhance a wedding’s floral elements. Here are the top five questions to ask your potential wedding florist: Amy Allen Photography
Carly Michelle Photography
44
Annie Steele Photography
Bernadette Pollard Photography
Rennard Photography
Dani Fine Photography
What is your favorite style of wedding? This is a great question to help you get to know the vendor’s personality and design style. Beware of someone who says they love all styles, especially if you’re looking for someone to guide you in your decisions. Also don’t necessarily rule someone out because they don’t name your preferred style. Creative types love a challenge and variety! 45
Amy Allen Photography Erin Johnson Photography
Bernadette Pollard Photography
Are you familiar with my ceremony/reception sites? Knowing a location’s layout can be invaluable in floral design. It’s also nice to see pictures of other weddings the vendor may have designed at your specific location(s). If the vendor hasn’t worked at your site(s), ask if they’ll do a tour with you or at least review photos before coming up with a proposal. 46
Can I see a sample? Most wedding orists will create a sample centerpiece before you sign the contract, but be respectful of their time and expense and only request one if you’re seriously considering booking their services.

Dancing the
Night Away
Wedding Reception Song Suggestions By: Susan Southerland, National Wedding Planning Expert, Perfect Wedding Guide
Sometimes a couple’s first dance choice is the easiest song to choose because the couple already has “their song.” But what about other important wedding songs, like the first dance with your parents?
TonyaBeaverPhotography
56
We suggest that couples begin by identifying songs that have meaning to them and their parents. It doesn’t have to be a sentimental song choice to be an appropriate one. Some brides and grooms have even arranged choreographed dances to fun songs with their parents instead of a traditional slow dance. It’s all about what works for you! In the event there isn’t a specific song that has special meaning to you, here are some popular song choices for you to consider:
Father-Daughter Dance 1. Butterfly Kisses by Bob Carlisle
J
2. My Little Girl by Tim McGraw 3. I Loved Her First by Heartland 4. Isn’t She Lovely by Stevie Wonder 5. You are So Beautiful by Joe Cocker 6. There Goes My Life by Kenny Chesney
J J
7. In My Daughter’s Eyes by Martina McBride 8. Father and Daughter by Paul Simon 9. I’m Your Angel by Celine Dian and R Kelly 10. Unforgettable by Nat King Cole or Natalie Cole 57
Mother-Son Dance 1. How Sweet It Is (To Be Loved By You) by James Taylor 2. Through the Years by Kenny Rogers 3. That’s What Mamas Do by Jason Matthews 4. Don’t Blink by Kenny Chesney 5. Over The Rainbow by Israel ‘Iz’ Kamakawiwo’ole 6. Never Alone by Lady Antebellum 7. 93 Million Miles by Jason Mraz 8. Mama’s Song by Carrie Underwood

9. Memories by Elvis Presley 10. Letter to My Mother by Edwin McCain

FOUR
OVERLOOKED WEDDING FEES THAT MIGHT CAUSE
OVERSPENDING
Here at Perfect Wedding Guide, we often talk about creating a wedding budget and sticking to it. And now, we want to share with you some hidden pitfalls you should avoid if you want to stick to your budget. These are expenses that you might not be aware of, but you need to consider when planning how you’re going to spend your money. 60
Gown Alterations. It’s very rare to find a wedding gown that fits you perfectly. You will likely at least need to have the length reduced. You may also need the gown taken in around the bust or waist, have a bustle made, and possibly have cups installed so you don’t have to wear a bra. These alterations can add up. Before you order your gown, get an estimate from the salon on what your alteration fees might be and account for those fees in your budget. Bartender fees and cake-cutting fees. Not all caterers and reception sites charge for bartenders or for cutting and serving your cake, but you don’t want to be caught unaware if they do. The time to understand and negotiate these fees is when you are signing your contract. If you are hosting an open bar, don’t be afraid to ask for your site to waive your bartender fee if your guests consume a certain dollar amount. If you are bringing your wedding cake in from a pastry shop and you’d like to avoid a cake-cutting fee, ask if you can order a dessert course to make up for the loss in cake revenue.

With Pinterest growing steadily in popularity, hosts of bridal showers are getting really creative with their theme ideas. From the bride’s favorite musical to her favorite type of candy, inspiration for themes is in no short supply. Here are some of our recent favorites: Throwback Themes. We love the idea of a shower theme based on the decade of the bride’s birth. Got a 90’s bride? Give out scrunchies as party favors and offer guests bean bag chairs. An 80’s bride? Decorate with bright, vibrant (neon-like) colors and load up the iPod with one-hit wonders. A 70’s bride? Bring out the disco ball and bellbottom pants. And let’s not forget our flower child theme for 60’s brides! Opulent Elegance. A la Breakfast at Tiffany’s, hosts are going classic and romantic. From flowy script on the invites to favors brushed with gold, this theme will leave guests breathless! You can even ask guests to dress in their finest for an extra special touch. Garden Party. Simple and sweet, the garden party is a classic shower theme that will never go out of style. Use a fresh spring color palette, soft floral accents, and an assortment of food and beverages such as petit fours, frosted cookies, and pink lemonade to bring this theme together. These are just a few of our favorites. The options are really endless! For more tips, visit HeadOverHeelsWeddingBlog.com

TO BACHELOR AND BACHELORETTE PARTIES
72
Weddings come with many traditions, not the least of which is the famed bachelor and/or bachelorette party. Most of us think of drunken revelry and questionable “clothing optional” activities during these events, but I’ve found that not all couples are comfortable with this. After all, some of the things that happen at these parties can come back to haunt you!
I thought it would be fun to come up with a list of alternatives to Ye Olde Bachelor/Bachelorette Party. Here are a few ideas: Host a party. Some countries have a tradition called the Stag and Doe Party (also called the Hen and Stag Party, Jack and Jill Party, etc.). At these events, guests celebrate the couple’s forthcoming marriage and give them money to use towards their wedding and future life together. Attend an event that has meaning to you. Do you love a particular sports team? Rent a limo and attend one of their games with some of your closest friends. Did you meet at a bar? Take some friends along on a haunted pub crawl. Are you both Christmas fanatics? Go and see the Nutcracker Suite. Take a road trip. Imagine how nice it would be to escape before the wedding to a romantic bed and breakfast. Enjoy some quiet time together without discussing wedding plans. You might be surprised how much it reenergizes you! Enjoy a few laughs. Consider a group outing to the local comedy club. Nothing like a night of laughter to help ease any wedding stress, right? Along the same lines are dueling piano bars and karaoke bars, both fun places to celebrate. Take a class. Just because you’re planning a wedding doesn’t mean you can’t learn something fun and new. Consider taking a dance class, learning how to mix cocktails from a mixologist, or maybe take a painting or pottery class that will allow the two of you to make a special memento together. There are many ways to celebrate your last moments as singles… even if you celebrate together! If you have some other ideas of great bachelor or bachelorette alternatives, please send me an email to susan.southerland@pwg.com and we might include your ideas on our wedding planning blog, Head Over Heels! 73
THE
GROOM’S GUIDE TO BEING THE
HOST with the MOST
The most memorable weddings are the ones where the bride and groom are engaged with one another and with their guests. There is no doubt that it can be hard work smiling all day and night, posing for photos, dancing, and chatting up 150 of your closest friends and family, but if you follow these tips, your guests will marvel at what an amazing groom you are.
74
Before the wedding, review your guest list and become familiar with who’s attending. This will help you remember to whom you are being introduced on the wedding day. Don’t consume too much alcohol. I don’t want to be a party pooper, but if you’re hung over from the rehearsal dinner or sloppy drunk during the wedding reception, your photos will be terrible and it will be much harder for you to make small talk with your guests. Party as hard as you’d like at the bachelor party and on your honeymoon, but be conservative at your wedding.

Prior to the ceremony, mingle with guests as they arrive. Talking with your friends and family will also help relieve pre-wedding jitters. Write your bride a note and have it delivered to the room where she is getting ready. Tell her how much you love her and how excited you are to start spending your life together as husband and wife. 76
Put out fires. Your bride likely did the bulk of the planning up to the big day. If you see something that might upset her, do your best to step in and fix it, even if that means asking for help from your groomsmen or family members. Give a welcome speech. Thank your guests for coming, thank your new in-laws for throwing such an amazing party (if applicable), and toast your beautiful bride. You will make your family proud. Go table to table with your bride and visit your guests. It’s tempting to hang with your buddies at the bar, but it’s proper etiquette to personally speak with each of your guests. Stay on the dance floor as much as you can. Dance with your new wife, with your mom, your sister and your aunt. Help make shy guests feel a part of the festivities by asking them to join you on the dance floor. Don’t leave your bride alone. Make sure when you are on the dance floor she has a dancing partner as well. Take time to have intimate conversations with her and hold her hand as often as possible. Being a great host doesn’t end with the wedding day. Make sure you help your bride write thank you notes after the honeymoon. If you follow these tips, you’re bound to wow your guests as well as your bride. Then you can head off to enjoy your honeymoon! Have you ever eaten so much at dinner that you didn’t have room for dessert? As strange as it sounds, this analogy often applies to weddings and honeymoons. Couples can get so caught up in the planning of their wedding that they neglect planning their honeymoon. This may lead to problems, especially if all of the money budgeted for the wedding is used on the ceremony and reception. For some couples, postponing the honeymoon is the only option. 88
Here are some reasons why:
Budget. As mentioned above, lack of money is the number one reason couples postpone their honeymoons. No Leave. Some couples can’t take a honeymoon because they don’t have the time to take off of work or school. Interest. This may come as a surprise, but some couples are simply too exhausted by the entire planning process to even think about planning their honeymoon. Timing. Some couples want to visit a location that isn’t ideal to visit during the timing of their wedding, such as a Caribbean destination in the heart of hurricane season. In this case, they may postpone until the timing is better. They’re already there. Couples who have a destination wedding often include the honeymoon in their wedding budget because they’re already away from home in a honeymoon setting. When it comes to deciding whether or not to postpone your wedding, be sure to weigh the pros and cons as they apply to your situation. You don’t want to go into debt because you feel you have to go on your honeymoon right after the wedding, and you
might not want to make sacrifices if you choose to honeymoon on a tight budget. Whatever you decide, enjoy those early days together as husband and wife as much as you can. Sometimes, just living in the moment is honeymoon enough!

To help simplify things, let’s place wedding services into two basic categories: trendy or traditional. Trendy weddings feature all of the hottest themes from today’s wedding industry, whereas traditional weddings follow standards set over generations. Trendy weddings will get your guests talking and make a memorable impression, whereas traditional weddings are timeless events that pay homage to our heritage and age well in photos and video. So…which type of wedding should you have?
Trendy or Traditional
• You enjoy living in the “now.” • You consider yourself a no conformist. • You love keeping up with the hottest trends in all areas of your life. • You want your wedding to stand out from all the rest. • Time-honored traditions play an important role in your life. • It’s a part of your religion and/or culture. • You don’t want to “date” your wedding with the trends from only this point in time. • You’re concerned about what your family and guests will think if you stray from tradition.
If you don’t fall clearly within one of these categories, you can always blend the two. You’ll likely find that your tastes stray closer to one than the other as you make your decisions. In the end, what will matter is that you went with what you love most!
