SIXTEEN TO NINE MONTHS BEFORE

Start a wedding folder or binder. Begin leafing through bridal, lifestyle, fashion, gardening, design, and food magazines for inspiration.

F

Work out your budget. Determine how much you have to spend, based on your families’ contributions and your own.

F

Pick your wedding party. As soon as you’re engaged, people will start wondering who’s in the wedding party.

F

Start the guest list. Make a head count database to use throughout your planning process, with columns for contact info, RSVPs, gifts, and any other relevant information. (Want to keep costs low? It may be brutal, but the best way to do it is to reduce your guest list.)

F

Hire a planner, if desired. A planner will have relationships with—and insights about— vendors.

F

Reserve your date and venues. Decide whether to have separate locations for the ceremony and the reception, factoring in travel time between the two places.

F F

Book your officiant.

F

Throw an engagement party, if you wish. But remember that your invitees should be on your wedding guest list as well.

Research photographers, bands, florists, and caterers. Keep their contact information in your binder.

ONE YEAR TO EIGHT MONTHS BEFORE

Hire the photographer and the videographer. No need to talk specifics yet, but be sure that the people you hire are open to doing the shots that you want.

F

Book the entertainment. Attend gigs of potential acts to see how they perform in front of audiences, then reserve your favorite.

F

Meet caterers. If your wedding venue doesn’t offer its own catering service, look for one now and hire the service this month or early next.

F

Purchase a dress. You’ll need to schedule time for at least three fittings. Veil shopping can be postponed for another two to three months.

F

Reserve a block of hotel rooms for out-of-town guests. Pick three hotels at different price points close to the reception venue.

F F

Start a gift registry with a minimum of three retailers.

F

Visit your local men’s formal wear stores and choose the grooms’ and groomsmens’ attire.

Launch a wedding website. Create your personal page through a free provider such as weddingchannel.com. Note the date of the wedding, travel information, and accommodations. Then send the link to invitees.

SEVEN TO SIX MONTH BEFORE

Select and purchase invitations. Hire a calligrapher, if desired. Addressing cards is time consuming, so you need to budget accordingly.

F

Start planning a honeymoon. Make sure that your passports are up-to-date, and schedule doctors’ appointments for any shots you may need.

F

Shop for bridesmaids’ dresses. Allow at least six months for the dresses to be ordered and sized.

F

Meet with the officiant. Map out the ceremony and confirm that you have all the official documents for the wedding (these vary by county and religion).

Send save-the-date cards.

F

Book a florist. Florists can serve multiple clients on one day, which is why you can wait a little longer to engage one. Plus, at this point, you’ll be firm on what your wedding palette will be.

F

Arrange transportation. Consider limos, minibuses, trolleys, and town cars. (But know that low-to-the-ground limos can make entries and exists dicey if you’re wearing a fitted gown.)

F

Start composing a day-of timeline. Draw up a schedule of the event and slot in each component (the cake-cutting, the first dance).

Reserve structural and electrical necessities. Book portable toilets for outdoor events, extra chairs if you need them, lighting components, and so on.

FIVE TO FOUR MONTHS BEFORE

Book the rehearsal and rehearsal-dinner venues. Negotiate the cost and the menu. If you’re planning to host a day-after brunch for guests, book that place as well.

F

Check on the wedding invitations. Ask the stationer for samples of the finished invitations and revise them to suit your needs.

F

Select and order the cake. Some bakers require a long lead time. Attend several tastings before committing to any baker.

F F

Send your guest list to the host of your shower.

F

Schedule hair and makeup artists. Make a few appointments with local experts to try them out. Snap a photo at each so you can compare results.

F

Choose your music.

Purchase wedding shoes and start dress fittings. Bring the shoes along to your first fitting so the tailor can choose the appropriate length for your gown.

THREE MONTHS BEFORE

Finalize the menu and flowers. You’ll want to wait until now to see what will be available, since food and flowers are affected by season.

Order favors, if desired. Some safe bets: monogrammed cookies or a treat that represents your city or region. If you’re planning to have welcome baskets for out-of-town guests, plan those now too.

Make a list of the people giving toasts. Which loved ones would you like to have speak at the reception? Ask them now.

Finalize the readings. Determine what you would like to have read at the ceremony — and whom you wish to do the readings.

Purchase your undergarments. And schedule your second fitting. Finalize the order of the ceremony and the reception. Order menu cards, if you like, as well as programs. Purchase the rings. This will give you time for resizing and engraving. Send your event schedule to the vendors. Giving them a first draft now allow sample time for tweaks and feedback.

TWO MONTHS BEFORE

Touch base again with all the vendors. Make sure any questions you or they had on your first draft have been answered.

F

Meet with the photographer. Discuss specific shots, and walk through the locations to note spots that appeal to you.

F

Review the playlist with the band or DJ. Though you probably won’t be able to dictate every single song played, you should come prepared with a wish list.

F

Send out the invitations. The rule of thumb: Mail invitations six to eight weeks before the ceremony, setting the RSVP cutoff at three weeks after the postmark date.

F

Submit a newspaper wedding announcement. If you’re planning to include a photograph, check the publication’s website. Some have strict rules about how the photo should look.

F

Enjoy a bachelorette party. Arranging a night out with your girlfriends generally falls to the maid of honor. But if she hasn’t mentioned one to you by now, feel free to ask — for scheduling purposes, of course! — if a celebration is in the works.

ONE MONTH BEFORE

Enter RSVPs into your guest-list database. Phone people who have not yet responded.

F

Get your marriage license. The process can take up to six days, but it’s good to give yourself some leeway. If you are changing your name, order several copies.

Mail the rehearsal-dinner invitations.

Stock the bar. Now that you have a firm head count you can order accordingly.

F

Assign seating. Draw out table shapes on a layout of the room to help plan place settings. Write the names of female guests on pink sticky notes and the names of male guests on blue sticky notes so you can move people about without resketching the entire setting.

Purchase bridesmaids’ gifts. You’ll present them at the rehearsal dinner.

Visit the dressmaker for (with luck!) your last dress fitting. For peace of mind, you may want to schedule a fitting the week of your wedding. You can always cancel the appointment if you try on the dress then and it fits perfectly.

Confirm times for hair and makeup and all vendors. E-mail and print directions for drivers of transport vehicles. This gives the chauffeurs ample time to navigate a route.

Write vows, if necessary. Get your hair cut and colored, if desired.

WEEK OF WEDDING

Reconfirm arrival times with vendors.

Send a timeline to the bridal party. Include every member’s contact information, along with the point people you’ve asked to deal with the vendors if problems arise.

Pick up your dress or make arrangements for a delivery.

F

Set aside checks for the vendors and put tips in envelopes to be handed out at the event.

F

Book a spa treatment. Make an appointment for a manicure and a pedicure the day before the wedding. (You might want to get a stress-relieving massage, too.)

F

Send the final guest list to the caterer and all venues hosting your wedding-related events. Typically, companies close their lists 72 hours in advance.

F F

Break in your shoes.

Delegate small wedding-day tasks. Choose someone to bustle your dress, someone to carry your things, someone to be in charge of gifts (especially the enveloped sort), someone to hand out tips, and someone to be the point person for each vendor.

Check in one last time with the photographer. Supply him or her with a list of moments you want captured on film.

Pack for your honeymoon.

VENUES + CATERING The stage is set. The night is beautiful. As you and your new spouse walk into the room a smile beams across your face. Hand in hand, you stroll past all of your guests and see that all of your details are perfectly in place. As your happiness bubbles over you quickly realize none of this would have been possible without choosing this amazing venue. Selecting your reception venue will be the biggest challenge of the wedding planning process. Take your time in finding the venue that will not only make for breathtaking pictures, but will set the tone for all of your friends and family. Overwhelmingly, when your guests reflect back on your wedding, they will picture your reception. Because of this, you will want to find the perfect venue to express your personalities and make your

guests feel as comfortable as possible.

How to determine the type of reception you want: � Do you want the ceremony and

reception to be in the same place?

� Based on the size of the guest list, what size ceremony/reception site do you need?

� Do you have a strong preference

towards outdoor/indoor ceremony?

� Do you want an elegant reception or more casual?

� Do you prefer a Friday night,

afternoon, or evening wedding?

� Do you want a cocktail hour with a different location/room for dinner?

Your reception will be responsible for roughly 40%-50% of the cost of the entire wedding. This will include your facility rental fees, catering, and bar service.

� Do you want appetizers/dessert or a full meal at your reception?

� Do you want a live band/DJ at your

reception/ceremony? (You will need adequate space and electricity)

� Do you want alcohol at your reception?

� Do you want seating for everyone or scattered cocktail tables?

PHOTOGRAPHY + VIDEO Looking back on your wedding day after the magic has taken place, you ip through your amazing wedding albums and relive your day over and over again. Your day is going to y by and when you need to recall your incredible evening, you will turn to your wedding album and photos. Photography is not where you should be cutting the budget. Making sure that you have the best photographer that your budget can afford is one of the best ways to ensure your memories will be captured perfectly.

The vows… the toasts… your first dance together… these are some of the most important moments that will take place at your wedding. Being able to watch them again and appreciate these experiences is something you will treasure. These special moments will be captured by your photographer but to also see them in real time and watch your day unfold before your eyes (and from your guest’s perspective) is an essential part of preserving your wedding day memories. When selecting a photographer and videographer one of the most important things to be aware of is their personality. Does their temperament complement yours? Are they more laid back and calm or do they take charge and command the situation? They will be with you for most of your wedding day and being posed by someone that you are not comfortable around will inevitably end with awkward wedding photos.

Questions to ask when selecting your photographer and videographer: � What’s your favorite shooting style? Formal? Relaxed and Creative? Photojournalistic? Candid?

� May we see your portfolio or albums of your work? � Were all the photos in these albums taken by the same photographer? � Are you the person that we will be working with personally on our day? If not, can we meet the person who will be? Do you bring an assistant or another photographer with you on our wedding day?

� Can we give you a shot list to work from? (This ensures you will be able to get the shots that are important to you.)

� How many weddings do you typically shoot in a year? � What types of packages are available? Can they be customized? � How many of these were similar to the size and style of our wedding? � How many other events will you also be capturing that weekend?

(This is so you are aware if you are the only event or not. Although, most have no problem shooting multiple events in a weekend.)

� What kind of equipment will you bring? Do you have backup equipment

available? (Asking this question will also give you a good idea of how much space they will need — this can be an important piece of information to know when they will be shooting the ceremony.)

Two main questions to ask yourself after the meeting are: � Do I like this person? Can I see myself spending the whole day with them and enjoying myself? � Do I like their work as a wedding photo/videographer? How is the lighting? Do they frame their work in a way that is appealing to me?

Your photographer and videographer will be responsible for roughly 10-15% of the budget. This will include your photo/videographer’s hours on-site, engagement photos, wedding photos and footage that you will purchase and tip to the photo/videographer (and their assistants if applicable) 41


FASHION + JEWELRY So what’s your style? High Fashion, Haute Couture, or the phrase heard at every bridal salon, “Simple and Elegant?” We ask you to pose this question to yourself: “What does simple and elegant mean to you?” Does it mean a simple A-line in satin with no beading or a satin bodice with rouching and a billowing full tulle ball gown? When determining your style, you are very lucky because today’s trends really do run the gamut, with something for everybody.

Silhouette Guide Ballgown — For the Princess in you! Fitted at the bodice and a waistline that leads to a full skirt. Flattering on hourglass body types. A-Line — One of the most common shapes. Fitted at the bodice and angles out to the ground (resembles the outline of an A). It is the most universal silhouette because it tends to look great on every body type. Trumpet — Hugs the hips and then flows out in an A-line around midthigh. It tastefully accentuates a woman’s shape without being confining. Mermaid — Fits closely to the body to the knees, then flares out to the hem. This style looks good on women with more of a straight shape. Sheath — Usually semi-fitted from top to bottom with a straight skirt with no waist. Can be very flattering on a lot of shapes. Goddess — A new shape that seamstresses use to describe any shape that flows freely from the bust line. Most of the time, this dress has an empire waist so the dress can flow freely. It also complements most body shapes.

Necklines Strapless — Clean line across the chest. Simple neckline that works great on small busts. Sweetheart – The most common neckline for strapless dresses. Dips in the center with rounded edges like the top of a heart. Looks great on larger bust lines. V-Neck — Very common on dresses with sleeves or halter tops. It can be very dramatic and low, or higher to accentuate the bust line. Looks great on small and large busts, depending on coverage. Scoop — A very basic U-shaped neckline. Completely rounded from shoulder-to-shoulder as if the dress were smiling. This looks great on both small and large bust lines. Boat neck or Bateau — Similar to a scoop neck, this rounded neckline is cut straight from shoulder-to-shoulder with a slight dip in the middle. This neckline looks great on small bust lines. Off the Shoulder — Sits below the shoulders and accentuates the shoulders and collar bone. Great for large bust lines. Halter —Straps that wrap around the back of neck. Great for broad shoulders. 44


Measurements will be taken after you have made your final decision on a gown. Have the gown fitted to your current size, even if you are planning to lose weight before the wedding. It will take several months for the designer to construct your gown once your special order has been placed. After that time, the salon will call you when it arrives.

DECOR + RENTALS The dĂŠcor that you choose for your wedding day will impact the overall look of the entire wedding. It will add style and glamour to the event and will hopefully also bring functionality for those attending. The best questions that you can ask yourself are: What do you want the tone of the event to be? How can you bring these ideas to life for your guests? Things that will help you make decisions on your dĂŠcor are: the time of year, the overall mood you would like to set, your color scheme, your venue location (lavish country club or hip downtown theater), your ceremony location (a church may have rules you will need to adhere to), number of guests attending, and your budget.

CAKES + FAVORS Oh, how sweet it is! Wedding cakes have always been a delicious and symbolic piece of weddings. It is also a growing trend to serve other options. MUSIC + ENTERTAINMENT The dance oor is lit. The music is incredible. The crowd is celebrating the night away. This is the image that many couples pictures when they think about their wedding night. To ensure your night is the celebration that you are looking for, you will need to be sure to hire the best emcees. Hiring a professional that will be able to compile a great list of songs for your day is critical. This is not an area to pinch your budget. Keeping the dance oor packed it truly a talent and you will want someone who has a lot of experience in this area.

Here are some hints in selecting your transportation and valet services: � Think about the style of the exit you want to have. Is it a more formal affair? Then a limousine filled with your entire bridal party is the way to go. � How many people do you need to transport? When your wedding party is very large you may need more than one limousine. You might also consider a luxury bus. � Transportation companies will need you to book with them for at least 2 hours. So be useful with this time. This is a great opportunity to go take some fun pictures with your wedding party off-site. Some ideas to help guests: Make sure you enclose your directions from the ceremony to the reception. This can be a huge help to outof-town guests that will not know the area. You could also include information for shuttle services and rental companies if you expect many out-of-towners. Valet Service Most services will require a minimum car amount. Be sure to check into this before you book, since you don’t want to be left with a tab. Most services will have one valet for every 20-25 cars. This can be arranged by your venue or an outside valet service company. You may also want to consider a coat check service for your guests contingent on weather.

REHEARSAL DINNERS + PARTIES At times, the wedding planning process may feel overwhelming. It is important to slow down, soak it all in and remember this is a time for celebration! There are a few checkpoints throughout the year where you are encouraged to take a step away from the planning and just enjoy!

� Engagement Party: What is it? This is a party to help you celebrate and announce to your family and close friends that you are engaged. Usually a smaller scale party, this is a great chance to get everyone together that will have a lot of involvement with the wedding and get to know each other. When should it happen? Typically within the first few months of your engagement. You will want this event to be as far away from the wedding date as possible. Who throws it? Customarily thrown by the bride’s parents or the couple can also throw the party themselves. � Bridal Shower: (These are typically themed, ladies only parties for the gals involved with your wedding but couples showers’ are becoming more and more popular where the men attend as well.) What is it? History states that the bridal shower was for the bride’s empathetic friends to “shower” her with enough gifts to allow her to set up her new home for her and her husband. This is obviously a very traditional sense of the term and now it is more of a day for girlfriends and family to get together and enjoy. Gifts are still commonly brought for the bride but aren’t always just for her new home. 77


When should it happen? It should happen at least 2-3 weeks before the wedding, but can be as far in advance as the host would like. Normally 2-3 months prior to the wedding. Who throws it? This shower is typically thrown by the Maid of Honor or a close group of friends of the bride. � Bachelor/Bachelorette Parties: What is it? These are thought to be a rite of passage for the bride and groom. These are get- togethers with the members of the wedding party to celebrate their memories together. They tend to get a bad reputation and can cause some friction so it’s a good idea to have a chat about expectations beforehand to avoid any hurt feelings. It is also a growing trend to celebrate these moments together in a combined co-ed bachelor/bachelorette party. When should it happen? Traditionally, this party happened the night before the wedding. Now couples are trying to avoid this trend. It is not the best idea to have this event this close to your wedding as you want to feel your best on your wedding day. A better idea is to have it at least 2 weeks prior to your wedding. Who throws it? For the groom — The Best Man and for the bride — The Maid of Honor. The rest of the wedding party and other friends will usually help as well. 78

� Rehearsal Dinners: Also traditionally called the “Groom’s Dinner” What is it? This is a meal following the wedding rehearsal. This rehearsal includes: your officiant, wedding party members (and their significant others), close family, ceremony musicians, soloists, ceremony readers, ceremony on-site coordinator and your wedding planner. It is customary to invite everyone who participated in the rehearsal to the celebration to follow. It can also be a nice gesture to invite any guests who are already in from out-of-town as a way to thank them for traveling and entertain them for the evening. Typically this is the time to present your token of appreciation to your wedding party and parents. It is also a good time for extended family and friends to make toasts (there are generally a limited few that will actually take place at your wedding.) When should it happen? This happens the night before your wedding — directly after the wedding rehearsal. Who throws it? The groom’s parents traditionally host this event.

HEALTH + BEAUTY It is very important to stay healthy during your wedding planning process not only from a physical standpoint, but from an emotional one as well. As you are trying to achieve your amazing bridal glow, always remember that maintaining wellness is of the highest priority. Remembering the long-term beneďŹ ts of a healthy lifestyle is important. Exercising and eating right will keep your body in great shape but may help tremendously with your stress levels as well. Keeping balance with work, family and your bridal life will be a challenge, but know that if you learn how to preserve your sanity this will ensure successful planning for your day.

Being a beautiful bride can feel like the number one priority for women getting married. Here are some ideas on how to help you achieve your best look for your wedding day: � Visit your stylist early in the planning process. If you will be making changes to your look, they will be able to guide you through that process. � Don’t go too drastic. You will want to look back at your wedding photos and know it was a true reflection of you. � If you will be getting any facials, waxes, or exfoliation treatments be sure to do a trial run with these a few months before your day as you will want to know how your skin may react. � Have your trial updo/make-up appointment at least 2 weeks before your day. This is in case you need to find a replacement stylist if your vision isn’t translating. � Try to make your trial for the day of your bachelorette party or bridal shower. That way, you will be able to show off your fabulous glow that evening. � When you visit your stylist for your trial up-do, bring all of your bridal jewelry and accessories. This is so the stylist won’t have any surprises that she will need to work with on your actual wedding day.

Your beauty regimen will be roughly $150-$500+, depending upon if you have weekly/monthly appointments leading up to your wedding day. Typical hair and make-up will average around $200. 81

REGISTRY + GIFTS Beginning your new life together will be a very exciting transition. Starting with your gift registry — this can be a great time to take dual inventory of what you both own. Look through all of your existing items and see what you would like to bring together. You will also want to reflect on who you are as a couple. Are you adventurous? Do you enjoy outdoor activities? Are you more of a cozy-by-the-fire type? Take these items into consideration when you are registering. Also, you will need to think about the big transitions you may be going through. Will you be moving in the near future? Do you have a smaller apartment that you will be living in? These things should be thought of from a logistics standpoint before you register.

Hints in creating the perfect registry: � Register at a minimum of 3 different stores.

This way if your guests are from out of town they will most likely have a store nearby. You can also create online registries.

� Break registering into multiple days.

Trying to get it done all in one day will become overwhelming. Think bedrooms and bathrooms one day, tackle the kitchen department another day.

� Register for gifts in all price points. This way your guests can choose a gift they know you will love at a price they can afford.

� Be careful not to register for seasonal

items. If you are registering nine months ahead of time, they may not have these items when your guests go to purchase them for you.

You will need to update your gift registry as your date gets closer. Do this at least 2 times: once about a month before you wedding day and then the second about two weeks before your day.

� Have you already built your home together and need some good ideas for an alternative gift registry? Try a honeymoon fund or donations to your favorite charity.

� Look for a store that has some perks.

Do you get a percentage off of the items not purchased (usually between 10-15%)? This incentive is often found with the larger retailers.

HOME Your home is where you will begin blending your two lives together. For some, it is the time to decide where you are going to put all of those gifts, for others it is how you are going to blend your contrasting styles. Setting up your combined home can pose a challenge, but it can be equally fun. Life after the wedding may include purchasing your first home together, or selling homes to combine your lives. If you haven’t purchased a home before you will find that buying your first home will take almost as much planning and preparation as the wedding itself. You’ll want to take time to think through one of the first, most significant purchases as a couple, so make sure you do a little homework. The reward will be the excitement of moving into a new household that’s completely your own, a place where you can settle into your new life.

Before you buy a house, think and talk about how prepared you are in terms of financial and time commitment. Now is the time to think about your day-to-day income and expenses. With other costs you’re facing, miscellaneous expenses and credit or school loan debt, how much can you afford to make in mortgage payments? Remember that you may be approved for a more expensive house than you’re comfortable with, and only you can decide what you can handle in terms of payments. Homeowners do receive tax breaks and real estate is the #1 way people build wealth in this country. If you do decide to buy, the first step is to get your credit report and make sure all is in order. The three major credit bureaus, Equifax, Experian, and TransUnion, will investigate any claims you make in writing if you see an error on your report. It can take time to resolve errors and discrepancies on your credit report. Credit reporting mistakes are common and can affect your credit scores negatively, which in turn may limit your mortgage options. Wait until after you’ve closed on your house to purchase furniture or that new car you’ve been wanting; it may add more debt to your profile and possibly lower your credit score.

Buying a home is an intensely emotional decision; don’t wait until you’ve fallen in love with a house to research mortgage options. Do it at least 6 months before you start looking. The two most common types of mortgages are the fixed rate and adjustable rate. A fixed rate loan usually has a life of 15 or 30 years. Adjustable rate mortgages are ideal for homeowners who only want to stay in their homes for five years or less. Adjustable rate mortgages start out with lower payments and have been quite effective at building wealth for first time buyers. Pre-approval is the next step. The lender will pull your credit reports, verify income and employment, and if all is in order, issue a pre-approval letter. Now the big question: how much can you afford to put down? There are many programs that allow couples to buy a home with very little or no money down. This will all be examined and explained during your pre-qualification meeting. Your real estate agent will be another important factor. A good realtor doesn’t just help find a home; they’re qualified and experienced negotiators and have an eye for the fine print. In most cases the seller of a home pays your realtor, so having a realtor to assist you makes sense. 88

Whether it’s sipping mimosas on the beach or hiking through the Apennines in Italy, the relaxation that you will feel will be unlike any other escape you have experienced and will be one of the most unforgettable vacations that you and your spouse will take together.

Establishing a budget will help you know whether you can afford a lavish plated dinner reception, or if you’re better off planning an intimate brunch wedding. Not sure where to begin or what to consider? Here are my top budget-planning tips:

1. Prioritize. I developed a worksheet that I use with the couples whose weddings I help plan. The worksheet lists all typical wedding expenses, from stationery and favors to venues. Couples go through the worksheet and prioritize each item, allotting more of their budget to the items that rank the highest. I highly suggest that all couples do this at the onset of wedding planning. 108


2. Whittle down that guest list. The easiest way to keep wedding costs down is to manage the guest count. Food and beverage (F&B) is generally the largest cost for any wedding, so it goes without saying that the less mouths to feed, the more money you’ll have to spend on other services.

3. Be realistic. Often, the couples I work with have little understanding of how much wedding services cost. Do your research. Understand why a bouquet of roses from a professional orist costs more than a cellophane-wrapped arrangement from the local grocery store, or why it’s worth investing in a professional photographer rather than asking Uncle Bill to bring his Nikon.

4. Stay on top of things. Budgets change frequently, so it’s important to review them on a regular basis. Using a budget calculator such as the one available on Perfect Wedding Guide can help you keep an eye on each budget line item as your plans progress.

5. Giveth and taketh away.

There’s a possibility that you might go over-budget on a line item or two. That’s okay, but be sure to adjust your budget on other line items to account for the overage.


6. Plan for the future, not just the big day.
