planning checklist 12-18 MONTHS BEFORE ο

Start a wedding folder or binder. Begin leafing through wedding, lifestyle, fashion, gardening, design, and food magazines for inspiration. Browse Pinterest and Instagram for ideas. Check out the Real Weddings and Inspiration styled photoshoots in this guide for additional ideas from local vendors!

Work out your budget. Determine how much you have to spend, based on your families’ contributions and your own.

Pick your wedding party. As soon as you’re engaged, people will start wondering who’s in the wedding party.

Start the guest list. Make a headcount database to use throughout your planning process with columns for contact information, RSVPs, gifts, and any other relevant information.

Hire a planner, if desired. A planner will have relationships with, and insights about vendors. Even if you are only going to use them for day-of coordination services, it’s wise to hire them at the beginning of the planning process. Learn more about local planners starting on page 25!

Reserve your date and venues. Decide whether to have separate locations for the ceremony and reception, factoring in travel time between the two places. Find your perfect venue starting on page 74!

Book your officiant.

Research photographers, bands, florists, and caterers. Keep their contact information in your binder or spreadsheet. Use this guide to learn about all the vendors to make your wedding the day of your dreams!

Throw an engagement party, if you wish. But remember that your invitees should be on your wedding guest list as well. Visit our Celebrations + Dining Section starting on page 304 for the perfect options for your party needs!

planning checklist 8-12 MONTHS BEFORE

Hire the photographer and the videographer. No need to talk specifics yet, but be sure that the people you hire are open to doing the shots you want. Find local photographers and videographers starting on page 194.

Book the entertainment. Attend gigs of potential acts to see how they perform in front of audiences, then reserve your favorite. For all of your entertainment needs, visit page 257.

Meet caterers. If your wedding venue does not offer its own catering service, look for one now and hire the service. Schedule tastings with your fiancé to pick your menu. Visit page 170 to learn more about local caterers.

Select your attire - tuxes and dresses. You’ll need to schedule time for at least three fittings and alterations. Don’t forget to include the cost of alterations into your budget. Shopping for accessories can be postponed for another 2-3 months. Find all the latest wedding attire starting on page 209.

Reserve a block of hotel rooms for out-of-town guests. Pick three hotels at different price points close to the reception venue. It’s great to try to get one of the room rates to sit right around $100 if possible.

Start a gift registry with a minimum of three retailers. Create your perfect registry starting on page 295.

Launch a wedding website. Create your personal page through a free provider such as PerfectWeddingGuide.com. Note the date of the wedding, travel information, accommodations, and registry information. Then send to the link to invitees.

Send save-the-date announcements. Don’t forget to include your wedding website on your announcement!

planning checklist 6-7 MONTHS BEFORE ο

Select and purchase invitations. Hire a calligrapher, if desired. Addressing cards is time consuming so you need to budget accordingly. Visit page 249 to find your stationery!

Start planning your honeymoon. Make sure that your passports are up to date and schedule doctors appointments for any shots you may need. Find the best travel professionals starting on page 285!

Send your guest list to the host of your shower.

Meet with the officiant. Map out the ceremony and confirm that you have all the official documents for the wedding (these vary by county and religion).

Book a florist. Florists can serve multiple clients on one day (depending on the complexity of your floral design needs), which is why you can wait a little longer to engage one. You’ll need to be firm on your color palette prior to booking. Find your perfect florist starting on page 230.

Arrange transportation. Consider limos, minibuses, trolleys, town cars, or vintage cars. (Note that low-to-the-ground vehicles can make entries and exits challenging if you’re wearing a fitted gown.) For all of your transportation needs, visit page 311.

Start thinking about shuttle services for your out-of-town guests. Is this a service you would like to provide? If so, start talking with the hotels you have contacted and see if they have any special relationships or deals for these services.

Start composing your day-of timeline. Draw up a schedule of the event and slot in each component (the cake cutting, the first dance, etc).

planning checklist 4-5 MONTHS BEFORE

Book the rehearsal and rehearsal dinner venues. Select the menu and determine the guest list.

If you’re planning to host a day-after brunch for guests, reserve the venue.

Check on the wedding invitations. Finalize all the information on your invitations, details card, and RSVP card.

Select and order the cake. Some bakers require a long lead time. Attend tastings before committing to any baker. Find your cake starting on page 188.

Purchase your accessories and begin any necessary fittings and alterations. Bring your shoes along to fittings.

Schedule hair and makeup artists. Make a few appointments with local experts to try out different looks. Snap a photo at each so you can compare results. Check out all of our beauty experts on page 271!

Choose your music. Are there any must-have songs? What about songs NOT to play? Listing out these items can give the DJ great direction in your music preferences. Also start thinking about: first dance, father/daughter dance, mother/son dance, anniversary dance, and bridal party dance songs.

Start planning for your first dance by enrolling for dance lessons.

planning checklist 3 MONTHS BEFORE ο

Finalize the menu and flowers. You’ll want to wait until now to see what will be available since food and flowers are affected by season.

Order favors, if desired. Some safe bets: monogrammed cookies or a treat that represents your city or region. If you’re planning to have welcome baskets for out-oftown guests, plan those now. Another favor that’s always a hit is wine or beer glass take-aways. Think of all the local Kansas City brewery, winery, and food options!

Make a list of the people making toasts. Which loved ones would you like to have speak at the reception? Ask them now!

Finalize the readings. Determine what you would like have read at the ceremony and whom you wish to do the readings.

Purchase your undergarments. Schedule your second fittings, if necessary.

Finalize the order of the ceremony and reception.

Order menu cards, if you’d like, as well as ceremony programs.

Purchase the rings. This will give you time for resizing and engraving.

Send your event schedule to your vendors. Giving them a first draft now will allow ample time for tweaks and feedback.

planning checklist 2 MONTHS BEFORE

Touch base again with all the vendors. Make sure any questions on your first draft timeline have been answered.

Set up your timeline meetings with your wedding planner.

Meet with the photographer. Discuss specific shots, and walk through your wedding venues to note spots that appeal to you.

Review the playlist witih the band/DJ. Though you probably won’t be able to dictate every song played, you should come prepared with a wish list.

Send out the invitations. The rule of thumb: Mail invitations six to eight weeks prior to the ceremony, setting the RSVP cutoff at three weeks after the postmark date.

Submit a newspaper wedding announcement. If you’re planning to include a photograph, check the publication’s website for rules and guidelines about photo submissions.

Enjoy a bachelor/bachelorette party! Arranging a night out with your friends generally falls to the maid of honor/best man. But if it hasn’t been planned yet, feel to ask if a celebration is in the works!

Schedule all spa treatments for the week of wedding, including massage, facials, and mani/pedi.

planning checklist 1 MONTH BEFORE ο

Enter your RSVPs into your guest list database. Phone those guests who have not yet responded.

Get your marriage license. The process can day up to six days, but it’s good to give yourself extra time. If you’re changing your name, order several copies.

Mail the rehearsal dinner invitations.

Visit the tailor for your final fitting. For peace of mind, you may want to schedule a fitting the week of your wedding. You can always cancel the appointment if you try on the dress and if fits perfectly.

Stock the bar! Now that you have a firm headcount, you can order accordingly.

Confirm times for hair and makeup and all vendors.

Email and print directions for drivers of transport vehicles. This gives the chauffeurs ample time to navigate the route.

Assign seating. Draw out table shapes on a layout of the room to help plan place settings. Write names of female guests on pink sticky notes and male guests on blue sticky notes so you can move people about without re-sketching the entire setting.

Purchase gifts for your wedding party. You’ll present them at the rehearsal dinner.

Write vows, if necessary. This process can take longer than you think!

Get your final hair cut and color, if desired.

planning checklist 2 WEEKS BEFORE

Give the final head count to the caterer and baker. Confirm all set-up instructions and menu items. Also finalize payment at this time.

If you’re having a receiving line, determine the order you want everyone to stand in (i.e. parents, grandparents, important family members, etc.).

Prepare your wedding toasts or thanks to friends and family. Hint: Traditionally the best man, maid of honor, and father of the bride give toasts at the reception. If you’re concerned about length, consider setting a time limit for speeches, or have more of them at the rehearsal dinner.

Put together the reception seating plan if you’re having a seated reception meal. Hint: Leave two blank seats for every 50 guests. This will be for unexpected guests that happen to show up.

Designate someone to collect the wedding gifts and cash/cards brought to the reception. Coordinate with this person where they will bring the gifts after the wedding. Hint: This person could also take care of the guest book, since they will be in contact with many guests.

Grooms: Get your final haircut. Hint: Don’t get your haircut the day of the wedding - you want to give your fresh ‘do time to settle in.

Fill out escort cards, or give typed names to the stationer or calligrapher.

Plan any additional night-before activities with friends and/or attendants and proper accommodations for out-of-town wedding party members.

Designate who (i.e. reception site manager, coordinator, or close friend) will meet, greet, and handle each vendor on the wedding day. Hint: Usually your coordinator does this.

Delegate small wedding-day tasks. Choose someone to bustle your dress, someone to carry your things, someone to be in charge of gifts (especially the enveloped sort), someone to hand out tips, and someone to be the point person for vendors.

Send a timeline to the bridal party. Include every member’s contact information, along with the point people you’ve asked to deal with the vendors if problems arise.

Pick up your attire or make arrangements for delivery. Make sure to try on attire prior to the wedding day in case last minute alterations are necessary.

Call your reception site manager and make sure your vendors all have access to the site when they need it. Confirm final payment, if necessary.

Distribute final wedding-day directions, schedule, and contact list to all parents, attendants, and vendors.

Confirm delivery locations, times, final payments, and arrangements with florist.

Call transportation providers for a day-of schedule and addresses for pickups on the wedding day. Confirm final payment, if necessary.

Confirm details and final payment with photographer.

Confirm details and final payment with videographer.

Confirm date, location, time, playlist, and final payment with all musicians for the entire day (i.e. live music and DJ for ceremony, cocktail hour, and reception).

Make a day-of schedule for you and your fiancé. Make sure to include time for hair, makeup, and transportation to and from your appointments to your photo session.

Put final payments and cash tips for vendors in marked envelopes and give your wedding planner or a designated friend or family member to distribute on the wedding day. Give the final head count to the caterer and baker. Confirm all set-up instructions and menu items. Also finalize payment at this time.

Put together an overnight bag for your wedding night and designate someone to deliver it to the hotel for you.

Leave a copy of your honeymoon itinerary with someone in case of emergency

Give seating chart to caterer, venue manager, host or wedding coordinator.

Check in one last time with photographer. Supply him/her with a list of moments you want captured on film.

Arrange for someone to drop off the guest book and pen and other important pieces at the reception site. Hint: This can be done at the rehearsal, if it’s in the same location.

Rehearse the ceremony with officiant and wedding party and other important people.

Pull together your attire, accessories, shoes, and put them in one safe place.

Put together a day-of emergency kit. You never know what may happen and it never hurts to be prepared. Give this to the most trustworthy guest, such as the mother of the bride or maid of honor/best man.

Confirm those people you expect to give/lead toasts at the reception.

Designate someone to take and freeze the top tier of the wedding cake to be eaten at your first anniversary celebration. Hint: Save some cocktail napkins, programs, place cards, and other mementos, too.

If you are going on a honeymoon right away, ask a bridesmaid to pick up your belongings at the hotel after you have left. Have fun and relax at your rehearsal dinner. If your wedding is in the morning, set your alarm. Hint: Arrange for backup just in case. Relax, take a bath, and get some much-needed sleep (8-plus hours!) if you can.

MOST IMPORTANT: Relax, smile, and enjoy the day!

Eat breakfast and other small meals throughout the day. Make sure to drink plenty of water and use the restroom before the ceremony.

Enjoy your hair and makeup time with friends and family.

Take a moment to thank your parents and tell them you love them.

Set aside a private moment together before or after the ceremony to exchange gifts and a sweet congratulatory kiss (or two). It always makes a great photo opportunity to catch this special moment when you see other for the first time, either before or after the ceremony.

AFTER THE WEDDING

Enjoy your new life as newlyweds!

Preserve your bouquet, gown, and other wedding mementos. Hint: This should be done within one week of the wedding. This prevents stains from setting and keeps flowers as fresh-looking as possible. If you are going on your honeymoon right away, you may want to give this task to a close friend or family member.

Mail gifts to your parents to thank them for their help and support (if you didn’t give them out at the rehearsal dinner).

Put together an online photo album of wedding photos from friends. Hint: These will most likely be the first photos available, since professional proofs can take weeks.

Send thank-you notes for your gifts within eight weeks of your wedding day.

Day of coordinators help the day run smoothly for the couple, family, friends and vendors who are working at your wedding. It’s an investment that makes sense and is well worth it! Family and friends may be willing to help but your wedding day will be remembered by everyone, and your closest friends and family should remember how fun the day was, how beautiful you looked and how Uncle Bob serenaded Aunt Judy like a scene from Top Gun. Hiring a full service planner or coordinator will be the investment you’ll never regret!

TIPS FOR CREATING THE PERFECT REGISTRY

Register at a minimum of three different stores. This way if your guests are from out of town, they will most likely have a store nearby. You can also create online registries.

Break registering into multiple days. Trying to get it all done in one day will become overwhelming. Think bedrooms and bathrooms in one day, tackle the kitchen department another day.

Register for gifts in all price points. This way your guests can choose a gift they know you’ll love at a price they can afford.

Be careful not to register for seasonal items. If you are registering nine months ahead of time, they may not have these items when your guests go to purchase them for you.

If you’ve already built your home together, think of some good ideas for an alternative gift registry. Try a honeymoon fund or donations to your favorite charity.

Look for a store that has some perks. Do you get a percentage off registry items after the wedding? This can be between 10-15% with larger retailers.

Are you going to be moving into a larger home or a smaller apartment? Consider these logistics before registering.

As Transportation Providers, one of the questions we get asked the most is; “How far in advance should I book the transportation for my wedding?” When to book your transportation depends on how particular you are about the vehicle(s) you need for your special day. If you have a larger group of 30-40 passengers, then you should book at least a year out. If you have a smaller group of 10-20 passengers, then 6 months is usually fine. For example, our most popular vehicles (trolleys, premium limo buses, etc.) book a year or more in advance for peak wedding months. The second question we get asked most often is; “What is and isn’t included in your pricing?” Many transportation companies start you off with a quote of just their base pricing, and then you often incur additional fees that you aren’t expecting. Ask if there are limitations on the number of stops allowed, what is the cost if you go over your scheduled time, if the driver’s wages and tip are included, and if there are fuel surcharges or additional taxes added to the given rate. Choose a vendor that you trust. Our best advice is to go and see the vehicle you are reserving in person. Ask a lot of questions so that you are comfortable with the company and how the transportation will work on your day. Get a feel for the vehicle, and make sure it is the right fit for your group size and the vision you have. Most of all, remember that transportation should be more than just getting you from point A to point B. It should be a big a part of the day. Riding around together is the perfect time enjoy special moments with your wedding party. Make your transportation an experience to remember!
