SASKATOON’S TREE MAINTENANCE WORK GOES MOBILE POSTER #P26
FROM TRIPLICATES TO TABLETS WHAT DOES THE CITY OF SASKATOON NEED TO MANAGE THEIR URBAN FOREST
SOFTWARE NEEDS
SOFTWARE FOR INVENTORY, MANAGEMENT, ANALYSIS AND WORK ORDER MANAGEMENT
TREE PLOTTER SOFTWARE
The City of Saskatoon was actively seeking a cloud-hosted solution that allowed users to execute and operate an asset management software via the Internet. Requirements for the tree inventory and urban forest management software solution included: street/park inventory and data management, maintenance and work history tracking and analysis, work order and service request analysis, tree valuation, mapping component and visual representation of the inventory data. The software solutions needed to be able to support Geographic Information Systems (GIS) and the data associated with it.
The proposed solution needed to provide functionality that covers the following broad areas to manage the City’s urban forest, including maintain a tree inventory with more than 140,000 records, track history of changes to tree inventory, create and track work orders, track history of work orders, create and track service request. The City also preferred that the solution was able to integrate with the City’s existing ESRI and TMA solution and that all data reside within Canada. Tree Plotter software from Plan-It Geo was selected in 2016.

MAPPING AND DATA MANAGEMENT
CUSTOMIZED FOR YOU AUTO POPULATION
WORK RECORD DATA TABLES
As new trees are added to map, boulevard width (side and front), address, land use, and neighbourhood name are all automatically populated for the City’s GIS layers.
Once logged in, users often go to the Work Records data table where they only see work filtered to their group. They can see the associated Jobs for the work and plan out what they need to get done that day or week.
No two workflows are the same
Depending on the level of access granted to the user by one of the six different login levels, users are able to see and use different features and functionality. For example, a user logged into the “Planting Group” will only be able to see Jobs and Work Records that are assigned to the Planting crew, simplifying and streamlining the user’s experience.
CREATE, SAVE AND APPLY CUSTOM
Views is a tool for displaying columns in tables and/or saving data filters. A dropdown of Views in the Legend can also be filtered into smaller groups. Selecting the View dropdown will show all Views created. However, by choosing a Views Filter first, the Legend and map will only display Views assigned to the Maintenance group, for example.
Built to the city’s specific needs

CONSIDERATIONS WHEN CONSIDERING THE TRANSITION TO A TREE INVENTORY SOFTWARE
01 02
RECOMMENDATIONS
WILL YOU HAVE INTERNET CONNECTION IN THE FIELD? Understand the basics of online versus offline software applications.
WHO WILL BE THE PRIMARY USERS AND HOW MANY USERS?
Make sure the anew users can be created and the login/account levels, permissions, and roles can be established. For example, you may want to permit volunteers to edit certain types of information and not data that is meant only for managers.
03 USER LOGIN LEVELS
Customizable
CAN THE DATA FIELDS BE CUSTOMIZED? Ensure that the vendor or user is able to make customizations, to ensure ease of transition if workflow.
04
CAN ANY EXISTING TREE INVENTORY DATA BE MIGRATED?
05
CAN YOUR DATA BE LINKED TO OTHER WEB MAPPING SERVERS AND APPLICATIONS?
It is important to data integrity that you will not lose information or be able to make changes.
Make sure the anew users can be created and the login/account levels, permissions, and roles can be established. For example, you may want to permit volunteers to edit certain types of information and not data that is meant only for managers.
06 07
CAN YOU SAVE (EXPORT) YOUR DATA TO PERFORM ADDITIONAL ANALYSIS LOCALLY?
IS THE SOFTWARE EASY TO USE?
Will it same you time and will it improve planning and communication?
