hen choosing a location for your family reunion, a theme park may not be the first place that comes to mind, but it might be the perfect destination for your family. Aside from the world-class entertainment and rides for kids of all ages, most theme parks have experienced event planners on staff to assist you throughout the reunion planning process. Working with someone who is familiar with theme park family reunions will go a long way toward planning a fun and successful reunion because, much like a roller coaster, they are familiar with the ups and downs of the planning process.

If your family loves the mountains, you may want to check out Dollywood in Pigeon Forge, Tennessee. Aside from the theme park and water park, they can help your group plan hiking excursions, Jeep tours, and picnic lunches in the Smoky Mountains. If you’d rather be soaking up the Florida sun, Disney World has more than enough entertainment, dining and hotel accommodations to suit every age, taste, and budget. Once you’ve decided on a location, it’s time to spread the word. Whether you choose to send paper or electronic invitations, it may be helpful to create a website, Facebook group or group email address so you can share information with any family members planning on attending. You can also use a website or group to communicate payment due dates, instructions on making hotel reservations from the room block and to distribute a printable itinerary. As the reunion planner, all of these responsibilities do not need to rest solely on your shoulders. While the RSVPs are rolling in, you can also enlist family members to join your reunion committee.

When you are in the early planning stages of gauging interest from family members and choosing a location, you may want to call around to a few different theme parks to find out what they have to offer. Most parks offer discounted admission, catering and hotel room blocks for large groups. According to Pat Tracey, manager of event sales for Universal Orlando Resort in Florida, the on-site hotel options are one of the big perks of a theme park reunion. “Staying at one of our Universal Orlando hotel properties (which are all within walking distance to the theme parks) is a huge benefit for families. All seven of our hotels include early park admission, resort-wide charging privileges and resort-wide transportation.” All of these can help to ensure a worry-free vacation for all of your guests. Not all theme parks have hotels onsite, but they should be able to steer you in the direction of family-friendly hotels in the area. At Six Flags America in the Washington, D.C. and Baltimore area, account executive Steven Jones points out that “theme parks have something for everyone. We have rides and activities for a wide variety of ages. While the kids are splashing in the wave pool, grandma and grandpa can relax in one of our shaded cabanas, which are available for full-day rentals.” Six Flags America can help to streamline the reunion process with its various group event packages. “We offer a range of packages that can include catering, admission, parking and access to our private picnic pavilion. Our pavilion serves as a ‘home base’ where families can have a meal, play volleyball or corn hole and spend some time together in between thrills,” Jones said. There are theme parks all over the country where you can choose to hold your family reunion and each has something unique and exciting to offer. Cedar Point in Sandusky, Ohio, has some of the tallest, fastest roller coasters in the world and can build a ticket and catering package to fit any family’s needs. Sea World in San Antonio (and with various other locations around the U.S.) is an animal-lover’s dream and, depending on your budget, can schedule animal encounters or meals inside the aquarium with under-the-sea views.

Those who are available to assist can help with things like running the group or website, putting together welcome packets, keeping track of payments and checking on the room block. This list of tasks may seem long, but your event planner will be there to

vacation details into one document. The sales representative will then prepare a welcome packet prior to travel with additional information about the package and stay,” said Tracey. Aside from the first-rate planning assistance, the best thing about theme park reunions is that the fun is built right in. You won’t need to spend hours planning activities and outings for your family because, at a theme park, it’s all around them. Of course, your family members may appreciate a few age-based suggestions for attractions, shows and dining they may enjoy, which you (or another committee member) could easily put together with the help of your event planner. Another advantage of theme park reunions is they are highly customizable to your family’s budget and travel style. While you don’t want to overschedule events, planning a few unique experiences can add to the excitement. Whether it’s a VIP tour at Universal Orlando, a private character breakfast at Disney World or a one-on-one animal encounter at SeaWorld, theme parks offer a variety of experiences that your family will never forget. REUNION PLANNING BUDGETING: THE OVERVIEW Your reunion planning needs to include budgeting from the very beginning. Without a budget plan, your reunion spending could quickly spin out of control! But don’t get overwhelmed by all the different potential costs. It’s certainly helpful to understand the full picture before you dive into your own planning process. But that doesn’t mean that every single potential cost will apply to your reunion. When going through these reunion budgeting tips, keep in mind your specific group. Demographics, diversity of interests, home location, and family circumstances can all impact any individual attendee’s budget. That, in turn, will impact your group spending. The point of a reunion is to bring everyone together for fun and to create memories. The last thing you want 14

1. KNOW ALL THE POTENTIAL COSTS When reunion planning, you’ll want to look at all of the potential costs to get a clear idea of your budget options. Consider the big costs, like renting a venue, travel and lodging expenses, as well as food, drink, and entertainment options. But also consider all the small things. Those cute little decorations, printing family photos, even signing up for that family reunion website can all put a small dent in your own wallet...and that dent can quickly grow! Knowing all the potential costs will help you to better plan from the beginning and then stick to that budget as you start making purchases and booking vendors.

Even airline prices might be better if someone in your group can book on points! It’s a great idea to ask everyone for helpful tips and insider access.

2. P LAN A REUNION WITH SPREADSHEETS A family reunion budget needs to incorporate all the potential costs involved. The best way to create a budget and then monitor your use of that budget throughout the planning process is to track everything in a spreadsheet. We know...spreadsheets certainly aren’t everyone’s favorite thing!! But it’s really important to keep an eye on all of the expenses. Even those little items can add up quickly! You don’t want to be out of pocket yourself, so make sure every single item is tracked and accounted for as you plan.

5. REMEMBER THE TRAVEL FEES Travel fees can sneak up on attendees, leaving them feeling like the costs escalated too much. The last thing you want is an attendee showing up at the reunion in a bad mood after paying out last-minute fees. Warn all attendees of the common travelrelated fees. These might include baggage fees at an airport or additional insurance on a rental car. Being prepared and making sure everyone knows the potential costs will help ensure everyone is happy with the total expenses for the reunion.

3. START YOUR REUNION PLANNING EARLY If you start your reunion planning early, you’re more likely to find the best deals for your budget. Looking at least a full year in

Negotiating better deals and asking for discounts will be a crucial part to your reunion planning for budgeting purposes. 9. CONSIDER A BYO EVENT Catering can certainly be a big expense for a large family reunion. Consider alternatives like a potluck or a BYO event. Outdoor spaces can be free or low-cost and the work gets divided well if everyone can share and help out. This isn’t always possible, however. It’s fun to get the younger generation involved and it gives them an important job to do. You might also get some interesting insights into their perspective on life and family! 12. USE TECHNOLOGY TO YOUR ADVANTAGE We mentioned a few options for technology, including photos and entertainment options. But there are also countless apps and websites that can help you track your expenses, invoice and receive payments from attendees, and organize all your reunion planning. 13. FUNDRAISE! Looking to keep your reunion costs under control? One of the easiest ways is to fundraise.

There are all sorts of fun ways you can get your whole family involved, from bake sales to auctions and more. We highly recommend you consider fundraising to offset some of the larger expenses. MONITOR YOUR REUNION COSTS However you manage to do it, your primary obligation during reunion planning is to stick to the group’s budget. You can’t force a family member or friend to pay for things beyond their means, so you’ll need to be strict about the expenses. At the end of the day, this reunion is meant to be fun for everyone! ulti-generational travel is booming, fueled in part by today’s 70 million grandparents who want to spend more time making memories with their families. Increasingly, grandparents are finding additional ways to bond with their grandchildren through travel. Known as skip-gen trips, these vacations involve just two generations - grandparents and one or more grandchildren traveling without their parents. Skip-gen travel is fast becoming one of the top travel trends for 2020. This hot travel style has become so popular that it even got a new name, “gramping.” Since grandparents are living farther away from their grandchildren than ever before, distance often makes it difficult for them to spend as much time with their grandchildren as they’d like. Skip-gen travel can help

otels have been the popular choice for reunions thanks to convenience, consistency, and amenities. However, in the last few years, other lodging options have emerged such as vacation rentals, RVs, camping, and more. With this increase in reunion accommodation choices comes a new problem: Picking the best one. With each option having its advantages and disadvantages, there are several ways a reunion group could go.

Factors to Consider When Researching Reunion Lodging

Reunion planners need to consider key factors that will ultimately drive the final accommodation decision: ⊲ Where is the accommodation located? ⊲ Will it have enough space? ⊲ What kind of services and amenities does it have? ⊲ What lodging amenities are essential to the reunion? ⊲ What is the atmosphere like? Is the décor updated? ⊲ Is it within budget? Is there a group rate? ⊲ How easy is it to book? 22

Pros and Cons of Reunion Accommodations ⊲H otels Most hotels are equipped with hundreds of rooms, perfect for large reunions. In addition, some hotels provide guests with hospitality rooms, where they can gather and store items like snacks and drinks. While hotels tend to have plenty of room, some groups may be seeking out more intimate space that lets them spend more time together. Hotels often provide guests with amenities such as a fitness center, onsite dining, and complimentary WiFi. In addition, several hotel chains in major cities provide complimentary shuttle service to local airports or attractions. Not all hotels have a concierge on staff, but employees at the reservation desks are knowledgeable about the area and can provide directions and recommendations. The average daily rate (ADR) in 2020 for hotels is forecast to grow 2.2% yearover-year to $135.17. This indicates that costs are expected to rise for consumers. However, with the amount of inventory, groups can easily find a hotel within

their price range. Reunion groups should be able to secure a discounted group rate when they reserve a room block. Another thing to keep in mind is that it is highly unlikely that everyone’s room will be close together, as hotels cannot guarantee proximity for any group. ⊲R esorts Resorts differ greatly from an everyday hotel as far as size and space, amenities and atmosphere. Resort sites vary by destination, but like hotels, they tend to have convenient locations that let groups explore a destination with relative ease. Resorts have higher guest capacity than regular hotels, which means large groups should have no problem securing rooms. But just like hotels, planners will need to work with a coordinator to book what they need, and rooms are not guaranteed to be next to each other. Resorts offer the standard amenities guests have come to expect from hotels, but they are also equipped with several on-site features, such as restaurants, spas, and indoor and outdoor pools. However, with the extra cost comes more inclusions. ⊲B ed and Breakfasts Bed and breakfasts—also known as B&Bs—are usually privately or family owned establishments offering guests a more intimate lodging experience. They are small compared to hotels and resorts, usually consisting of fewer than 20 rooms. While once considered oldfashioned, B&Bs today have evolved into more luxurious accommodations offering quaint décor, customized services, and a genuine environment. to their size, they still lack several of the common amenities found at hotels and resorts. In addition, planners will need to contact them well in advance to secure all the rooms they need for the reunion. The good news is that B&Bs tend to be less expensive than hotels and resorts, which is great for small reunions on a budget. ⊲ Vacation Rentals While the concept of timeshares and vacation home rentals has been around for decades, the emergence of online booking sites like HomeAway and Airbnb caused the industry to explode. The volume of rentals (Airbnb has over 6 million listings around the world) gives reunions a nearly

endless selection of places to stay. Another advantage to vacation rentals is that properties are sprinkled everywhere, making it easy to find accommodations in the exact spot reunions want. While convenience is on their side, space is not. It’s difficult to find homes that accommodate more than 20 people. And if a group decides to split up into multiple houses, there is no way to guarantee the properties will be close to each other at the time of the scheduled reunion. As far as amenities, more and more vacation rentals are taking a page from hotels. Guests can enjoy services like daily house cleaning, linen changes, airport transportation and luggage holds. The downside is that some of these amenities may come at a cost, so organizers need to be aware of what’s included in the overall price and what isn’t. The good news is that the price of vacation rentals tends to be less expensive than hotels and resorts, especially in some major cities. While booking may be easy, reunion planners still need to be aware that these are peer-to-peer reservation platforms, and they won’t be working with a brand name hotel or trained employees.

Alternative Lodging ⊲R Vs Recreational vehicles are incredibly convenient for reunions. Location is never an issue when accommodations can go wherever a group goes. “There’s a lot of flexibility with an RV,” said Kevin Broom, director of media relations for the RV Industry Association. RVs can be parked all over — the beach, the mountains, amusement parks, campgrounds, parks, and even university campuses. With RVs, “you can have a lot of different experiences for different kinds of people,” said Broom. While space inside an RV is limited, it’s easy to rent multiple vehicles to house everyone and utilize the outdoors for socializing. “Some people can stay in the RV, some people can tent camp, some people might want to stay in the camping cabins that a campground has on site,” says Broom. “And then get together to do the various activities they want to do.” Regarding cost, a study from CBRE Hotels Advisory Group, commissioned by the RV Industry Association, found that RV vacations cost much less than other types of vacation travel. With hundreds of rental companies around the world, RVs are easy to reserve. Reunions

⊲ Camping/Glamping One of the best ways to connect with family is around a campfire. There are thousands of campsites around the world, providing reunions with a wealth of destinations to enjoy. And with mother nature as the hotel, there is plenty of space for large groups. Even though no amenities come with traditional camping, there’s also little to no cost, except for a reservation fee (if reunions select a spot that must be booked in advance). Those seeking the camping lifestyle, but with modern luxuries, can opt for glamping, a blend of the words glamorous and camping. This trend, which has become more common in the last few years, provides guests with an upscale camping experience that includes amenities not usually associated with traditional camping. he oldest city in the United States, St. Augustine boasts centuries of history and tradition.
