Human beings are social creatures who love to tell stories, relive memories and laugh heartily. There is no online experience that can replace the feelings that accompany the nostalgia and backslapping guffaws of reconnecting with family and friends.

2. Think about the children

More specifically, think about the future generations of your family. Ever since the first photograph was taken in 1826, families have used snapshots as valued pieces of their history. Thinking back on your own past, how many times did you and your loved ones gather around a photo album to refresh a memory or have a laugh at a bygone era? While smartphones and the Internet have eclipsed the usage of Polaroid cameras and film as a whole, the human desire to create and analyze photographs is stronger than ever. According to estimates from InfoTrends, people took a hundred billion more photos in 2017 than they did in 2016, thanks largely to smartphones. That surge figures to continue into the future with the majority of those photos landing on a social media site. And while Facebook, Snapchat and Instagram all specialize in showing off good times in real time, in order for those websites to thrive, people need to, you know, have good times to photograph. Which is where reunions come in. Sitting at your computer following the photographic exploits of your old friend Brian isn’t the same as mugging for the camera with your old friend Brian. Getting together for a reunion, though, will provide your photo-happy family and friends with myriad chances to take your picture and tag you on social

media, ensuring future generations will be able to appreciate your unmatched sartorial elegance and perfect-for-its-era haircut. Social relationships—both quantity and quality—affect mental health, health behavior, physical health, and mortality risk. Sociologists have played a central role in establishing the link between social relationships and health outcomes, identifying explanations for this link, and discovering social variation (e.g., by gender and race) at the population level. Studies show that social relationships have short- and long-term effects on

Social media may have garnered a reputation as an enemy of reunions, but in truth, it is more of an ally. In the past, organizing a reunion was a difficult, time-consuming process. Attempting to locate long-lost relatives or classmates prior to the advent of social media meant scouring the Yellow Pages and making numerous calls to friends and family members in the hopes they would know cousin Paul’s whereabouts. Nowadays, though, social media is so prevalent, you probably already know cousin Paul is busking in Philadelphia after his short stint as a mime in Brooklyn. The number of worldwide social media users is expected to reach 2.95 billion by 2020, which will be around a third of the earth’s population. Which means there’s an excellent chance those people you are searching for will be accessible via some form of social media. Websites like Facebook are also helpful in that they are a cheap way to organize a reunion. There’s no need to buy envelopes and stamps or print up invitations when you can merely organize a reunion group online and post your invite on the site. Another manner in which social media can augment a reunion is the curiosity factor it provides. Human beings are naturally curious, and once their thirst for knowledge is piqued, it’s only natural for them to want to quench it. Online sites offer pictures and tidbits of people’s lives (typically, the best parts) but hardly tell the whole story, which entices others to want to learn more. A reunion is the perfect vehicle to unlock whatever questions arise from your nightly social media perusals. After all, what better way to learn how uncle Mike’s honey business is thriving amid a declining bee population than to put your arm around him, hand him a honey-flavored ale, and ask?

Companies and products mired in the past often struggle to remain profitable as the world moves forward at a rapid rate. The Internet’s instant news cycle, bountiful information and limitless entertainment options have left newspapers, encyclopedias and video stores, to name a few, in the dust. Given how ubiquitous social media has become and considering it is easier to stay in touch with old friends and family members than at any time in the past, many outlets, including Time Magazine, USA Today and the Huffington Post,

openly wondered if reunions had gone the way of the answering machine. After all, why go through the trouble of organizing an event to meet with chums from the past when you can just click on their Facebook page and admire the photos from their trip to Tanzania? We’re glad you asked. Here are three reasons you should attend a reunion despite the proliferation of social media.

1. Reunions can be good for your health

Reunion detractors question why they should convene with old allies when Facebook keeps them abreast of their friends’ whereabouts. Simply put, looking at photos cannot replicate the feeling one

receives when communicating with their fellow man or woman. Scientific studies have shown adults who are more socially connected are healthier and live longer than their more isolated peers. Researchers at the University of Maryland have linked laughter to the healthy function of blood vessels, which can lower the chance of a heart attack. Laughter also boosts your heart rate and the production of certain antibodies, strengthening the immune system, and smiling sends signals to our brain that release serotonin and endorphins, the “feel good” chemicals of the brain. On the contrary, studies also show young people who spend at least two hours per day on social media are almost

Before you even begin the conversation with a reunion vendor, do your research. Knowledge is one of the most powerful tools you have in negotiations. Do your homework on the vendor or supplier to learn about their products and services. Ask around to see if anyone else has had an experience with them that you can reference. Research costs within the industry, not just for the vendor you’re planning to meet with, but for their competitors, too. Being prepared ahead of time will help you in the long run.

Make a Connection

When negotiating with vendors for a reunion, be friendly and personable. It’s important to start off on the right foot and establish a good relationship. It’s also a good idea to find some common ground, something that

This is an assurance that everything you discussed in your negotiations is solidified in writing. Sometimes you need a breather to think about the vendor’s products and services, and determine if what they have is really what you want.

However, there is a way to stick to a budget and get exactly what you want: Negotiation. Yes, that may be scary to some people. Negotiating is uncomfortable and not necessarily commonplace. Most of the time, reunion planners will take the offer on the table and never consider what kind of deal they could have worked out. If you’re working with vendors and suppliers for a reunion, you must make sure you get the best deal possible for your group. It takes some practice, but following these negotiation tips will help you get what you need for your reunion.

Take Your Time

Before you enter negotiations with a vendor supplier, have a backup plan in mind. And don’t be afraid to mention that second option in negotiations. It’s important to let them know about their competition, especially if you think it’s less expensive or has more value. If you come to the table with another option in your back pocket, the vendor knows they are not your only option and they need to work for your business.

Much of your negotiating power will come from your ability to walk away. If you have a backup plan (see tip No. 5) and you don’t feel pressure, then it’s the job of the vendor to convince you to work with them. Don’t be afraid to walk away from the negotiations. It may be the final act that convinces the vendor to give you what you need for your reunion. With these simple steps, you can approach any vendor with confidence. You should never be afraid to negotiate for what you want. Your reunion deserves the best, and you should not sacrifice to make it happen.

on your own? Sure — if you quit your job, cancelled your social life, and left your family to fend for themselves for a few months. For most of us, this is as unappealing as it is impossible. That leaves forming a reunion committee. A reunion committee’s function is obvious: they research and decide on all things reunion-related, from pre-event fundraising to post-event cleanup. In this article, we’ve broken down the main areas of reunion planning (communications, accommodations, activities, finance, food, and, well, planning). We’ve also shown which subcommittees would logically come under which leadership. We’ll also give you some ideas as to what kind of person work best for each “job description.”

Planning for the Planning Committee First of all, you need to plan for the planning committee. There’s no need to have a huge committee for a small reunion, but things can get pretty frantic if there’s not enough people to plan a large event. If you’re expecting a small reunion — under 50 people — and you’ve done some event planning before, you probably could handle doing all the planning yourself. For medium-sized groups (50-100), a few people can work together to fill the planning committee roles. For example, the Chairperson might double as the Activities Director; the Treasurer as the Accommodations Director, and the Secretary as the Food Director. For larger groups, you’ll probably be looking at finding people for some or all of the subcommittee groups. You may even need to add your own groups (i.e. a Sports Director that works within the Activities Committee).

Reunion Committees, Roles and Who Should Fill Them

Communicating with Your Committee

If possible, schedule face-to-face meetings with reunion committee members. Since your reunion will be in the planning stages for some time, regular updates are imperative. You may want to schedule a standing monthly or quarterly meeting just to see where everything stands. If in-person meetings aren’t possible, a group call or video conference are the next best thing. There are loads of free services (Skype, Google Hangouts) that you can use. Don’t try to conduct a meeting via email or message board except as a last resort; they are frustrating and messy. One final word: take meeting notes and email them to the participants so that everyone is on the same page. You may also want to send an agenda to everyone before the meeting so they can be ready with questions and ideas.

If it helps, consider your reunion committee organization like that of a business. Your president is the reunion chairperson, who also oversees the planning committee; the secretary is also the leader of the communication committee, and the treasurer is person in charge of the finance committee.

• The president or reunion chairperson should be comfortable handling a lot of responsibility. Taking charge and making decisions come naturally, but the president’s people skills make them a pleasure to work with. A head for details and a flair for conflict resolution are must-have skills. • The treasurer must be reliable, honest, and organized – not to mention, great at math and bookkeeping. They should also be able to explain things to

others, and stand their ground when a decision isn’t monetarily feasible. • The secretary is a multi-tasking communications whiz. They should be comfortable enough with technology to manage group emails and basic website usage. A people person’s people person, they thrive on giving and receiving information, and they are sufficiently organized to make sure no invitation is left unsent.

Planning Committees

For a small- or medium-sized reunion, your planning committee will likely handle all the functions listed below. For a large reunion, the planning committee will be made up of the chairperson, the secretary, the treasurer, and any additional directors. The planning committee will manage the overall activity of the other commit-

Ensures the reunion is documented photographically, either by guests or by hiring a professional. Develops photos, identifies who is in them, and may work with the History and Souvenirs subcommittees to produce scrapbooks, memory books, or other special items. Also manages video recording and production. HISTORY

Researches and documents family or group history. May tell stories, create family trees or curate records, yearbooks, charts, photo albums, and other items. GIFTS/SOUVENIRS

Works with other committees to choose memorable gifts and souvenirs for attendees.

ACTIVITIES

The Activities Director should be a fun, creative, energetic person who also possesses the know-how to plan specific events. They may be in charge of booking group tickets to shows or excursions, planning talent shows or group activities, and hiring entertainment equipment or personnel. In addition, the Activities Committee may also plan fellowship or worship services and special events for kids and seniors. In a large reunion, these fields may become subcommittees of this committee.

Essential Tools for the Reunion Planner

Planning a family reunion is hard work.

KIDS

Plans events especially for children of various ages. Makes sure that children are properly supervised, either by hiring babysitters or arranging for volunteers.

Creates environments/events for seniors. WORSHIP/FELLOWSHIP

Plans and presents rituals, ceremonies, and memorials specific to this reunion. FINANCE

The treasurer is the director of the finance committee, which handles all money matters. This includes collecting funds from reunion attendees (and tracking who has or hasn’t paid) and determining how money has been raised and how much has been spent. The Finance Committee works closely with the other committees and subcommittees to set up a budget. In addition, the Finance Committee may also plan fundraising and scholarship programs. In a large reunion, these fields may become their own subcommittees. FUNDRAISING

Develops long- and short-range fundraising projects, including auctions, bake sales, and other events. May physically present fundraising events as well (i.e. setting up a silent auction for an upcoming reunion). SCHOLARSHIP

Determines scholarship rules and requirements and reviews applications. Plans and officiates at the scholarship awards ceremony.

FOOD

The food director should be someone who has experience in preparing food for large groups. This is true even if the reunion is being catered. Ideally, the food director is both creative and safety-conscious. They will spearhead meal and menu planning, including the type of food arrangements (catered, restaurant, potluck, picnic, etc.). Other responsibilities include: • Booking restaurants or catering services • Ensuring adequate seating, utensils, food prep equipment • Arranging drinks and snacks • Hiring servers (or marshalling volunteers) • Overseeing special dietary needs • Ensuring food safety rules are followed ACCOMMODATIONS

The job of Accommodations Director would ideally go to someone who is organized, observant, and not afraid of a little bit of haggling. In addition to the bullet points listed below, the Accommodations Committee also cares for the related fields of Hospitality, Setup-Cleanup, Lodging, and Transportation. In a large reunion, these fields may become subcommittees of the Accommodations Committee. • Researches, tours, and books the event venue • Arranges bulk discounts and other deals, if possible

we would see our reunion buddies every month. We’d go to some exotic location, catch up, hang out for a week or so … Back in the real world, however, money is very much an object. Nearly everyone has finite disposable income, and all reunions have budgetary limitations. Even if you sell tickets to your reunion or ask for donations from attendees, you may not get the money you need. Or suppose you need some startup funds to rent a hall, organize some catering, and hire a band. How are you going to pay for it? We scoured the Internet and our own experiences and came up with a list of 18 ways to fund a reunion — and only one of them is a bake sale.

Pre-Reunion Fundraising Activities

Let’s start with what you can do well before the reunion. Many of the following

activities are fun nights out for your group — with a little twist. The twist is the markup. Suppose you have a group of 50 people and you’re going to have a special concert and dinner event for them. It costs you $50 per person for the hall rental, the food, and the entertainment. If you charge $75 per person, your reunion fund gets a $1,250 infusion of cash (You would obviously make it clear the proceeds go to the reunion fund). People love this kind of event. Not only is it festive, it’s a chance to be with their friends and feel like they’re doing something charitable at the same time. 1. Have a Theater or Concert Night. Include transportation, meals and tickets. 2. Host a Fashion Show. Book a venue and have a meal (or dessert, or appetizers) and drinks. You can focus on current fashion trends or have a retro

fashion event that’s appropriate to your reunion theme (Hint: This would also work for a car show, with the requisite change of venue). 3. Have a Dinner-Dance. Pretty selfexplanatory, right? 4. Have a Casino Night. Rent a hall and equipment, get some volunteer dealers, and have a buffet dinner. Make sure everyone knows the profits are going to the reunion fund.

5. Organize a Group Tour. Include transportation to and from, meals and entry fees. 6. Schedule Event Runs, Walks and Rides. Decide your route, publicize your event, collect some pledges, and line up participants. 7. Have a Scavenger Hunt. Sell tickets or charge a per-person or per-vehicle entry fee. Then have hunters safely complete tasks (i.e. take a picture of a certain local

landmark) for a chance at a prize. 8. Pre-Registered Ticket Sales. Encourage attendees to pre-buy their tickets, offering an early-bird discount. This will help you with those startup needs we discussed earlier. 9. Have Sales. Throw a group garage sale. Set up a car wash. Do a neighborhood weed-a-thon. Be creative and use some elbow grease to generate funds for your group.

10. Ask for Donations. You can set up a campaign via various online sites like GoFundMe. Or use your reunion website. It doesn’t have to be pushy — just a simple announcement that you’re accepting donations if they’d care to give. Now, let’s move on to a more personalized way to make some cash for your reunion: group-participation events.

Group-Participation Fundraisers While the above suggestions could easily attract the public at large, the ideas below have a more personal touch and may mean more to your attendees. At the very least, they depend heavily on group participation! 11. Bake Sales Everybody loves a bake sale, but you don’t have to limit yourself to the simple sale of homemade baked goods. Make it an event: offer coffee and other drinks; have music and a seating area; maybe even have a baking demonstration or two. Encourage people to linger (Of course, check your local regulations for health and tax requirements before you start recruiting bakers).

12. Memory Books Memory books are special to groups and families. They can be used to capture the flavor of past reunions or to hold precious stories and photos about the group’s shared history. Finding material is straightforward: ask guests to share stories and photos relating to the family or group. You can then have these arranged and formatted for publication. Self-publishing services post their guidelines on their websites; if you can’t do the formatting yourself, it’s relatively inexpensive to hire someone to do it. And be sure to proofread before you submit anything to the publisher. When planning your memory book, be sure to get your orders beforehand.

should you collect recipes, you should also collect the stories behind them. Photos, short stories and anecdotes, tips and menu planning advice can all go into a cookbook. Plus, the more people you get to contribute, the more copies of your cookbook you’ll sell. As with memory books, proofread before sending your manuscript to be printed. Pay special attention to the recipes and make sure they are transcribed correctly (Trust us, you don’t want to deal with the cook whose trademark showstopper recipe you’ve misprinted). Also, choose one measuring system and stick with its standard abbreviations. On this side of the Atlantic, that measuring system is the volumetric U.S. Standard, as in cups and spoons, rather than metric.

On-demand printers like IngramSpark or BookBaby will only print out as many books as you order. You don’t want to get stuck with a significant surplus of books either. By the way, your memory book doesn’t have to be a book at all. You can make it a video, an oral history, a presentation, or anything you like. In that case, burning CDs or DVDs will replace publishing, although you still may want to have someone do the actual processing. 13. Cookbooks Cookbooks full of heirloom family recipes or meaningful group dishes are also perennial favorites. Once again, group participation is a must. Not only

14. Quilts & Craft Sales Creating and selling a reunion quilt is another time-honored way to earn some funds. It does take a bit of work and planning: it starts with sending blank fabric squares to all attendees and asking them to design it as they see fit (This must be done several months or even a year in advance, and it may require some polite hounding). Once these pieces are collected, they are pieced together by the group’s resident quilters, backed, and presented for sale. Naturally, you’re not limited to selling reunion quilts. If you’re having a family reunion, perhaps one family member would be okay with auctioning off a heirloom quilt (with the understanding that it will stay in the family). Or, if your group has a dedicated quilting contingent, maybe they can create their own unique design. Another possibility is selling handmade crafts. In my local coffee store, someone sells handmade mittens every year. These mittens sell themselves so quickly that you almost have to line up to buy them. Your group’s crafters could do the same with scarves, hats, or other on-trend items.

Corporate Fundraisers

Can you get a business to foot the bill for your reunion? Maybe not directly, but there are some things you can try: 15. Sell Ads in Your Reunion Book and Website. If planning committee members give this idea the go-ahead, local businesses may be glad to spend a couple hundred dollars to advertise to your attendees. 16. Seek Corporate Sponsorships. These are very rare, especially for family reunions. However, if your family has a long history of working for a company (everyone worked at the potato chip factory) or of using a company (everyone

drives Ford cars), you might be able to get a sponsorship deal. I can’t emphasize enough that a straight-up sponsorship is rare. However, the company might go for some advertising or a donation of some products. It’s worth a try. 17. Grants from Schools or CVBs. If you’re doing a class reunion, check with your school or alumni association. They may have small grants available. And if you’re working with an area CVB (Convention and Visitors Bureau), they may be able to find some incentives for you to hold your reunion in their locale. These incentives might be money off rather than money donated, but it all helps.

18. Raffles and Auctions Finally, we end with the raffle (selling tickets to win a prize or prizes) and its cousin, the auction. These are so wellknown that we’ll just go over some basic best practices: • First, check local and state regulations and comply with them. • You can sell lots of things: donated professional services, crafts, big-ticket items like TVs, concert tickets, a vintage little red wagon — whatever appeals to your group. • There are several types of auctions: online, traditional (with an auctioneer), and silent (people write down bids; the highest bid received by a predetermined time wins).

• Auctioneers suggest that you maximize earnings by starting with smaller-priced items, hit the high-priced ones about three-quarters of the way through, and finish with mid-priced items. In order to gain an initial understanding as to the event’s cost, it’s important to roughly establish how many will attend the reunion and when and where it will take place. Creating a separate list of invitees in checklist form will help keep track of those who accept an invite. Email is a recommended, cost-efficient route for the invitation process, saving

But no, you can’t let activities spring spontaneously from the bored minds of your guests. Trust us, these activities are never the bringers of good memories. So, after all the talking and icebreaking is done, don’t condemn reunion attendees to uncomfortable silences and another repeat of “Did I Ever Tell You Kids About the Time I …” Plan in some fun.

It’s important to plan activities that match your guests’ preferences and tastes; since very few groups are composed of a single type of guest, it’s best to have a selection of activities. That said, there are some games and other activities that all the guests might want to join in. Besides, even the most ardent thrill-seeker might harbor a soft spot for quieter activities. When you plan each day’s activities, don’t constantly schedule them for the same time (i.e. 1 p.m. — hour-long trip to the zipline park, 1:15 p.m. — visit to art museum). Instead, consider scheduling some activities in the morning, others in the afternoons and minimizing overlap. This way, guests who want to participate in multiple outings can. Those who are only interested in one or the other can use the free time in their own way.

Here are some ideas that can are especially suited to adults: • Cocktail party — No kids allowed, for obvious reasons. Plus, it gives the adults the chance to dress up and have a bit of social chatter without worrying about what the younger ones are doing. • Movie night — This could go either way; maybe the kids won’t be interested in the classic movies that mark the era your group is celebrating. On the other hand, it could work for the entire group. • Team Trivia — Youngsters might get bored with the family trivia, so give them their own quiz show. • Mystery night — Host an interactive murder mystery or spy story. This might be too scary for younger kids.

On the other hand, some guests may like to go bungee jumping one day and then opt to be couch potatoes for the rest of the trip. So, it’s up to the reunion planner to make sure that opposite activities don’t overlap too much and force guests to miss out on something. When it comes to higher-energy guests, think big fun, big groups, and big energy expenditures. All kinds of sports work for these folks (both as participants and as cheering fans), as do group visits to theme parks, casinos, and other places. Here are some other ideas that are boisterous good fun:

The Quiet and Calm Some guests will move at a slower pace, and that is perfectly okay. Try to have plenty of soothing, low-fuss options for these people. Perhaps you could organize a woodland stroll or a morning stretching session on the beach. Here are some ideas for lower-key fun:

Maybe there are times when the adults will be involved in their own activities, such as the ones listed above. Or maybe the kids need some structured time so that adults can swap stories in peace. Either way, have plenty of kid-friendly activities planned. Remember, kids are almost always the most energetic group of attendees. Fortunately, you don’t have to look too far for fun reunion activities that kids will enjoy. Have older guests teach kids to play popular schoolyard games from their generation, like Red Rover or Dodgeball (with proper supervision and kid-safe foam balls). If you have older kids who are willing, have them set up prize games (like fishing ponds, hay digs, or other games that have small items for kids to find). Organize age-appropriate treasure hunts, board games, and field day games. Or try some of these suggestions:

Why Backup Activities Are Essential

Let’s wrap up our article with a word of caution: Always plan backup activities. The operative word is always. While this is a no-brainer if we’re talking about a springtime softball game, it applies equally to indoor activities, at least in the planning stage. There will be some “mandatory” group activities that all guests should attend, like dinners and special ceremonies. Other than these, though, the goal of a reunion is to have fun, not be an event boot camp. So, keep these points in mind when you are planning any activity: • Weather could force you to cancel an outdoor game at the last minute • If you’re having equipment brought in from offsite, it may arrive late or not arrive at all • Participation for an activity may be sparse

Most of this can be addressed in the planning stage. For example, suppose you’re planning to have a volleyball tournament at your reunion. You can plan a few indoor games for those who don’t want to participate; if the weather turns nasty, simply add a few more game tables and you’re good to go (Of course, you’ve provided a variety of card and board games, like the clever reunion planner you are). Even if the net and volleyballs themselves don’t make it to the party, you can be sure your guests will have a good time. Many of them won’t even notice the blip. In short, a reunion planner shares a motto with the Boy Scouts: Be Prepared. As long as you keep in mind the different needs, temperaments, and activity levels of your guests, no one will go home unhappy or bored. the detective (pirate, puzzlelover, problem-solver, etc.) in all of us. But let’s be honest: after you’ve had the classic rhyming-clue version five or six times running, it starts to lose some of its allure. Is it time to give up the reunion scavenger hunt? Never! It just needs a bit of a remodel.

Universal Reunion Scavenger Hunt Tips

Before we dig into the many possible themes for a scavenger hunt, let’s review some tips that can apply to any hunt. First, do your homework. Think of the people that will participate in the hunt. Don’t be afraid to have hunts for entire families, just for kids and/or just for adults. Maybe you can have two hunts: one for kids, and one for adults. You know

your group best, so decide what will be the most fun for those involved. However, if you’re doing a family hunt, take care to have activities that are fun for all ages, or have activities that can be divided up between age groups. Next, determine the time frame and area for your scavenger hunt. If you only have an hour, you might want to keep it in a smaller area. If you have all afternoon or all day, you can cover much more ground. Be realistic; hurrying from point to point on a super tight schedule is only fun if you’re watching it on The Amazing Race. A large scavenger hunt is made up of various stages. It’s a good idea to have a volunteer at each stage to see fair play and make sure the tasks are completed correctly. Again, the number of stages will depend on the time and area you have planned for your hunt. If you’re doing a

small scavenger hunt, perhaps in one room or in one building, you only need a few volunteers to make sure things run smoothly. Some scavenger hunt ideas can be done virtually, with teams using their brains instead of their brawn to complete the challenges. In this case, you only need a “hunt master” to announce the challenges and a volunteer or two. Now you can start building the framework of the hunt: the rules, the

prize, the penalties, and the clues. Set some basic rules to keep everything fair and everyone safe. This could include limiting the size and makeup of groups (e.g. requiring a mix of kids and adults) and defining some safety rules (e.g. no driving over the speed limit). You should also set penalties (e.g. a 15-minute time penalty for people caught speeding) and enumerate all automatic disqualifications (for cheating, for skipping a task) in

advance. Be sure to share these rules with participants before the start of the race; you may want to give each team a printed card with all the rules clearly listed. Here’s the nice thing about scavenger hunt prizes: they’re not as important as the hunt itself. Most people join scavenger hunts because they enjoy them. Your prize doesn’t have to be big or expensive; bragging rights or exemption

from clean-up duty might be enough for a family reunion. Otherwise, you can put together a relatively inexpensive gift bag, give a gift card or gift certificate, or do whatever your imagination dictates. You can award first, second, and third prizes, or give each participant a small gift — there really are no rules, except those dictated by your budget and group preferences.

Scavenger Hunt Clues

The clues you use for your hunt can take just about any form: pictures, puzzles, riddles, spoken directions, or plain old names. The two classic clue forms — rhymes and trivia — are perfectly acceptable, but you can also be a little more imaginative. Once again, the key to choosing the right clue type is considering your participants. Don’t make clues too hard or too easy. Tailor them to the age group, interests, and skill levels of your participants. Also, don’t feel you have to stick with one type of clue — feel free to mix in any of these types:

• Activity clue: This is less of a “clue” than it is something to be completed before the team can move on. In this case, the volunteer would explain to each team what they need to do before going to the next stage. Examples of activity clues include listening to a story, singing a song, completing a simple craft, buying a candy bar, getting a passerby to take their picture, etc.). Obviously, teams will need to have a verified record of all the clues and activities they complete. This could be photos taken on someone’s phone, physical items or tokens brought to the finish line, or a “passport” with a special mark from each stage volunteer (such as their initials or a certain sticker).

• Video clue: a short video of the next stage, or a video of a person talking about that stage.

• Picture clue: a picture of the next stage or something associated with it (e.g. a picture of a saucepan for the kitchen). For added difficulty, make the picture an extreme close-up, or cut it into pieces for teams to assemble. • Picture Puzzle clue: As above, but with more pieces. • Math clue: Teams must solve a math problem to get the name of the next stage. • Number Puzzle clue: Teams must solve a number puzzle, such as a simple Sudoku, to get the get the name of the next stage. • Word Puzzle clue: Teams must solve a word puzzle (e.g. a word search, a crossword puzzle clue, a jumbled-letter clue) that contains clues about the next stage.

There are endless ways to change up a scavenger hunt. We’ve gathered some of the best ideas below. Most will work for all age groups (with some adult supervision, of course). We’ve added additional categories for hunts that are suitable for both a smaller indoor-outdoor area and those ideal for one-room hunts. To make some hunts a bit harder, we’ve included suggestions on how to do them with a twist. • Zoo Hunt. Teams solve clues that point to animals in a zoo. Photos of each animal must be shown at the finish line to complete the hunt. • Nature Hunt. Teams have a list of things to spot or do on a guided nature walk or a hike. Some ideas might be to talk with a ranger about conservation, pick up a piece of litter, take a photo of the state tree or flower, or make a recording of a goose’s call. Note: Do not ask groups to pick any living thing, such as a piece of moss or a leaf. Photos and recordings only, please! • Family/Group History Hunt. Teams visit people and places connected with family or group history — for example, hearing stories of the old days, revisiting the street where the grandparents lived, or finding the after-game hangout spot. • Local History Hunt. Teams go on a “history trail” and visit local landmarks, historical sites, and other things. Contact the local CVB for more about the area’s special history. • Grocery Hunt. Teams are given a budget (or some cash) and a list of items for a barbeque, chili cook-off, or some other meal. The first team to complete the list wins (and is exempt from cooking or clean-up duties). • Supply Hunt. Similar to the Grocery Hunt, except that teams will have to purchase supplies for another activity. • Mall Hunt. Groups must complete various challenges at the local mall. This could include a food challenge (eating a pretzel with seven kinds of dip, for example), a shopping challenge, a singing challenge, etc. • Special Day Hunt. Consider this a

regular scavenger hunt, with a theme that resonates with your group. This could be an anniversary of a wedding, a win, or a special event. It could be a holiday or a celebration of an important milestone. Give prizes to every team that finishes, with a special prize for the winners, and make sure all clues relate to the event or person you’re honoring. • Sound Hunt. Have guests record various sounds within a set amount of time, such as a laugh, a bird call, a train whistle, a car horn, etc. INDOOR-OUTDOOR HUNTS • Alphabet Hunt. Teams must find an item beginning with each letter of the alphabet and snap its photo. With a Twist: Team must find each item in alphabetical order. • Nighttime Hunt. Have teams identify and capture the sights and sounds of a country night. They can use mobile devices to record videos of people playing with glow sticks (provided by you), make audio recordings of nighttime noises like crickets and frogs, and take photos of lightning bugs and stars. • Fitness Hunt. Team members must complete various physical fitness challenges. These can be as simple as doing 10 jumping jacks or as complicated as completing a timed obstacle course. Photos or videos can be used a proof for each task. With a Twist: Choose a theme, such as Winter Olympics or Baseball Camp. • Green Hunt. Have guests help with the cleanup and have fun! Give each one a list of recyclable items to collect. ONE-ROOM HUNTS • Sports Hunt. Teams answer trivia questions or find out facts about a favorite sport. If possible, have some memorabilia on hand for teams to take pictures of or use in an activity. With a Twist: Arrange a competition, with teams in a best-of-five or best-of-seven playoff format. • Movie Hunt. Teams search the Internet and their own memories for movie quotes, casts, and trivia. With a

Twist: For the final challenge, have teams act out a scene from a movie. • Techno Hunt. Teams hunt for tech items, from an old flip phone to the latest tablet or device. This doesn’t have to be digital: radios and tape recorders were high-tech once! Use your imagination to come up with items. • Library Hunt. Teams must find and/or identify book quotations, characters, and authors. • Internet Travel Hunt. Guests are given clues to various destinations, which they must research online within a specific time frame. • Magazine Hunt. Guests hunt through magazines and newspapers for specific things, like a photo of a cat, the word “stupendous,” and a story about Italy. Whoever finishes first (or completes the most tasks in the allotted time) wins. • Story Hunt. Have guests collect and record different types of stories from group storytellers, from other guests, and maybe from local historians or subject experts. For example, a family reunion hunt could find “how we came to this country,” “how grandma and grandpa met,” or “a funny memory about Uncle Eddie’s racing days.” A school reunion might include “the big win over our football rivals,” “something funny that happened in math class,” and “most embarrassing school band fail.”

HOW CAN YOU MANAGE YOUR REUNION’S MEAL PLANNING WITHOUT GOING BROKE OR CRAZY?

could be more essential to any reunion? And what could bring more headaches? Between accommodating vegans, Paleos, gluten-frees and sodium-restricteds, you also have to come up with food that appeals to toddlers, teenagers and adults. What could possibly be stressful about that? No worries. We’re here to walk you through the meal planning process, starting with figuring just how many meals you’ll need to plan.

Identify Your Reunion Food Needs

First of all, take realistic stock of how much food you’ll be expected to provide. How many people will attend? How long is the reunion? Will you be providing all meals and snacks? Obviously, this gets more complicated the bigger and longer your reunion is. Suppose you’re hosting a great big bash over a long weekend. Should you have set meal times for breakfast and lunch as well as dinner? Will you have a buffet one night and a formal seated dinner the next? Will guests provide their own snacks and drinks? Will your venue be able to meet the accessibility needs of all of your attendees? BUDGET

Your budget is going to be a huge factor in the food you offer. All food expenses are usually defrayed by the attendees, so be respectful of everyone’s budget (You’ll find a helpful section on how to pay for reunion food at the end of this article). LOCATION

Where you hold the reunion also has an effect on your menu plans. If you’re having the reunion at a house, does it have enough kitchen space and equipment to handle the heating and cooling needs of all your food? Trust us,

nothing is worse than a crowded kitchen and an over-full fridge when you’re trying to cook dinner for a crowd. Suppose you go even farther afield – to a campground, a park or some uninhabited wilderness. These cooking facilities are usually basic, so you should plan your menu around outdoor-friendly foods. Guests may not be able to run to the nearest party store to pick up snacks or drinks; in this case, it’s best to have everything you need when you arrive.

Planning Your Menu

Now that the overall structure is in place, let’s start tackling some of the details. Ideally, you might want to hand off the menu planning to a fellow attendee who’s experienced with such things. If this isn’t an option, the pointers below will help you get organized. THEMED FOODS

The food choices for a themed reunion should match the general atmosphere. This will take extra work and may incur extra expense, so give yourself some extra time. On the other hand, themed reunion foods can be lots of fun. Some ideas can be planned around specific places (American South, Japan, Italy) or styles (barbecue, fondue). Having era-specific foods really complement special events, like 50th wedding anniversaries or 25th high school reunions. In that case, foods that were popular in the related decade would be an excellent choice. ACCOMMODATING SPECIAL DIETS Unless you’re holding a reunion for people that have set dietary requirements (e.g. religious groups), it’s unlikely that you’ll have to plan an entire reunion menu around a specific diet. However, some attendees will likely have special diets. How can you cope? Your first line of defense is to include a section in your reunion survey that deals with dietary requirements.

It’s important that you have guests indicate whether their specialized diets are due to preference, medical reasons or allergies/sensitivities. Food allergies and sensitivities require special precautions, which we will discuss below. So do certain dietary requirements followed for religious reasons. Forewarned is forearmed; the more you know and the sooner you know it, the better you can handle dietary needs. You don’t have to plan entire meals around special diets, but you do have to make sure those guests have something to eat! Here are some guidelines: • Serve side dishes made with hearty whole grains (farro salad, tabbouleh, quinoa salad). Topped with a simple vinaigrette and plenty of veggies, these can make a filling entrée for vegans and vegetarians. • Let people customize their own meals: embrace salad bars, omelet stations, and build-your-own sub tables. Make sure that you offer a variety of toppings and dressings to can suit any diet. • Always have a selection of salads and fresh fruits. • If you’re using caterers, let them know in advance about any dietary requirements.

Alternatively, you can buy certified allergen-free foods and offer those — again, cooked and served separately. And if you’re using professional food services, you should definitely let them know about these needs in advance; they may very well be able to help. However, many people with food allergies and sensitivities may simply prefer to be safe and bring their own food. Hopefully, they will let you know about this need when they RSVP. (Hint: Put a space for it on the form!) Make sure you have facilities available for them to prepare their food if needed. Finally, when it’s time to serve foods buffet-style, make sure you either clearly label “safe” foods or that you have a list of ingredients available for all dishes. Most people go with labeling the safe foods, for obvious reasons. Encourage guests who

If you’re having a family reunion, where everyone knows and loves Aunt May’s brownies and Grandma Smith’s fried chicken, having people bring a dish may be the de facto meal plan. Even so, a potluck meal requires some planning (Having a casual “games night” where everyone brings their favorite snack or dessert can work very well. But as a dinner? Not so much). For a potluck meal to work, you need: • Someone to coordinate the menu • A good number of cooks in your group • A team of people to oversee the on-site preparation and serving of food • Sufficient space and facilities for safe food preparation and holding

• Catered functions often require a count guarantee (a minimum number of attendees) at least 48 hours before the event. • If you’re having a formal dinner with service, ask about the ratio of servers to tables. CATERING

Depending on how formal the event is, you may need to create seating charts or have some other type of assigned seating. At the very least, be sure that your venue will hold all your attendees.

Food safety is hugely important. It’s also your responsibility. If you don’t have much experience with the food preparation and storage, you can find guidelines at the USDA’s Food Safety and Inspection Service website and at FoodSafety.gov. Of course, if a member of your planning committee has experience in the food preparation and handling, you can always recruit them to manage this for you.

HOTEL/RESORT

Let’s say that you’re opting to hold your reunion at a hotel or resort with catering facilities. Here are some tips to ensure a successful experience:

• Are flatware, dishes, tables, table class and centerpieces included in the price? • Who handles cleanup? Leftovers? Obviously, your caterer will need to know the number of attendees you’re expecting as well as the percentage of children and adults. You may also want to be sure that cooks and servers have the necessary food service certifications if any are required.

Paying for Reunion Food

DEALING WITH FOOD ALLERGIES

While it’s important to meet guests’ dietary needs, it is imperative to respect food allergies and sensitivities. Giving wheat to someone who is gluten-intolerant can make them seriously ill for several days. Giving nuts to someone allergic to them can cause a life-threatening reaction. You cannot afford to take allergies and sensitivities lightly. How can you make allergic and foodintolerant guests comfortable? If you can commit to preparing food in a dedicated space (one that isn’t used for other foods and won’t get cross-contaminated with the problem substance) and using only certified allergen-free ingredients, you can certainly fix some special dishes just for them. Be sure to label these and keep them away from other foods. And it’s worth noting that if you have several allergic guests, you’ll likely need to have a dedicated prep space for each one.

You can also hire an independent catering company to handle your food. In fact, they may be able to help with much more than just your menu: they can also suggest facilities and help you find whatever supplies and extras they don’t provide. As with hotels and resorts, catering success is in the communication: • If you’ve already chosen a facility, will the caterer come to it? Does it have to be a hotel or resort, or can they cater an event in a park or someone’s backyard? • Is delivery, setup and service included in the price? • Can they deal with specific food allergies, sensitivities and other dietary preferences? • Do they have specialties? Can they recommend local dishes or get you a deal on local ingredients?

Finally, let’s talk about how you can pay for your event’s food. Unless your reunion is somehow running off a trust fund, you’re going to have to divide costs among the attendees. To make this seem more fair and inclusive, be sure to offer guests a choice of menu styles and price points in your reunion survey. How will you know what to charge? If you’re working with a professional catering service, they should be able to give you a per-person cost. If not, you have to do the math yourself. This means adding up the cost of the food, rentals (such as a tent, sound system, dishes, tables, chairs), decorations, taxes, setup fees, tips and insurance. Divide this total by the total number of attendees and you’ll have your per-person figure. How do you get this money? Some reunion groups organize bake sales or auctions to help raise money. Others simply sell tickets or include a suggested donation amount in their reunion correspondence (For more reunion fundraising ideas, see this article). Using an online fundraising site such as GoFundMe can help you easily raise and collect money from attendees. However you get the money, you may find it easier to deposit it in a reunion-specific bank account and use that to disburse funds. If an army marches on its stomach, so does a reunion. Once you know your group’s budget, dietary needs and general food preferences, you’ll find that planning your reunion’s meals is easier than you think. The key is to bring as much knowledge as possible to the table, whether you’re going to be self-catering or turning it over to pros.

Choosing a Destination

• If possible, choose a destination that doesn’t require a lot of travel time. The less time you spend in the car (and especially in an airplane), the better. • Look into ecotourism options. Ecotourism is a rather broad term; it can relate to environmentally-friendly adventure travel and to culturallysensitive experiences. For a seriously green reunion, consider working with wildlife or environmental conservation groups during your stay. • When you get to your destination, be sparing with the thermostat. Don’t overheat or over-cool the premises (Giving everyone the gift of a personalized reunion sweatshirt or fan might make this option a little more palatable. See Tip 18).

• Consider carpooling. Ask smaller groups or families to rent a van and travel together. Try to fill every available seat, within reason. • Could you rent a hybrid or electric car? Use public transportation? Be creative with your A-to-B transportation during the reunion. If you are scheduling excursions from your main location, try to use as few vehicles as possible. • Realistically, you may have to take several cars, fly a long way or drive several hours to get to your reunion destination. If that’s the case, consider buying a carbon offset for your trip. These are not necessarily expensive—they can run under six dollars. However, make sure you’re getting your money’s worth (See Tip 19).

• Where possible, buy local and organic food. Organic food, which uses no toxic pesticides, herbicides or other man-made chemicals, is kinder to the environment than conventionally grown meat, dairy and produce. And using local food, which doesn’t have to be trucked in from the other side of the country, is another environmentally-friendly option. • Order your food sensibly. While no one wants to run out of food in

the middle of the party, food waste is one of the biggest obstacles to an environmentally family reunion. Offer locally-raised vegetables with homemade dip for a starter, and minimize waste on the main course by serving slightly smaller portions or by calculating the number of attendees as accurately as possible. • Try out a vegan or vegetarian menu. Meat is very resource-intensive to produce. Vegetables and grains, on the other hand, not so much. If you’re hosting a multi-day event, try having at least one vegan or vegetarian meal. If you’re having a one-day reunion, choose plenty of vegetable-centric dishes and just have one or two meats. • Admittedly, nobody really likes washing dishes for 150 people, but “reduce, reuse and recycle” is the name of the game. Perhaps you could have teams of guests help with tidying away the dishes. At the very least, choose biodegradable disposable flatware, plates, and bowls. • Rather than stocking a full bar, consider having some organic beer and a signature cocktail. Offer homemade iced tea and lemonade from large containers instead of having lots of individual bottles. If this won’t go over well with your group, remember that aluminum cans and glass bottles are easier to recycle than their plastic counterparts.

Activities

• Shop the local farmers’ market. This can be something of a treasure hunt, plus you can pick up some goodies for the next meal. • Make recycling a game. Divide the kids (or even the adults) into squads and have them search for recyclables. Whichever group comes up with the biggest haul gets a prize. • Hike, bike, canoe, kayak—just get out and enjoy nature—without a motor. This is one of the best things you can do for the environment and for yourself. • Visit a nearby farm or garden. Bonus points if it’s an organic farm or community garden. Extra bonus points if you take a class, try something new or even volunteer an hour or so of your time.

• Use part of your time for the greater good: help clean up a beach or park, for example. Although this may sound like work, when you do it with your friends, it becomes fun. And it’s a really great memory. • Plant a tree or make a group donation. This would be even more special if you did it in the name of the guest of honor or to commemorate some special milestone.

Avoid ‘Greenwashing’

• Choose eco-friendly party favors. These can be reusable, like personalized metal water bottles or clothing (i.e. those warm reunion sweatshirts we mentioned earlier). They can be pampering, like beeswax candles and organic bath salts or essential oils. Or the gifts themselves can be green in every sense of the word: potted plants (check your state import regulations if you’re bringing anything in from out-of-state), and local or heirloom seed packets.

• If you choose to purchase carbon offsets, do so through a high-quality and reputable source. Otherwise, your dollars might not be doing all that much good. The sad truth is that some unscrupulous companies engage in “greenwashing”—making their venue, product, or service seem to be a lot more environmentally friendly than it is. However, doing a little extra research will help you determine who really should get your business and donation. • If you’re planning to stay at a “green” hotel or resort, don’t just take their word for it. Look for the EPA Energy Star certification or the US Green Building Council’s LEED certification. These are respected third-party credentials that verify the property’s energy usage and adherence to green building principles. Having an environmentally-friendly reunion doesn’t mean forgoing the fun. Adopting even a few of these tips can help you have a significantly lessened impact on the environment during your next gettogether.
