Selecting a Competition Venue T
he selection of a competition venue is just as important as the event
budget and event date. The facility must not only meet the projected competition needs of the event, but it must be available on specific dates and it most certainly plays a major role in formatting the budget. Of lesser importance might be its location in relation to hotels, airports or downtown areas. The competition needs and the available dates can be answered before visiting the facility. If it is available when desired, and has the needed number of playing areas and seating, then it’s time to tour it and talk details and money. The checklist for both of these items is found in the Event & Venue Checklist (page 22), and it should be reviewed thoroughly before making the visit. The event

planning and organizing of the event, but following that timetable and completing the tasks is absolutely crucial to the success of the event. It is a certainty that many unexpected tasks will pop up in the final days of preparation and on the first Photo courtesy of ©iStockphoto.com/Franck Boston
day of competition. If there remains a number of timetable items yet to be completed, that’s when the frantic activity begins and delays occur. But if all those tasks have been completed according to plan, then there is time to put out the fires and keep the event running smoothly. The most common bad memory of any competition is that it didn’t start on time. ■ TIMELINE Over 1 Year ❑ Determine interest in doing the event ❑ Locate and confirm a venue ❑ Determine financial feasibility: Budget ❑ Set a date 6-12 Months ❑ Identify jobs to be done ❑ Form an organizing committee ❑ Event schedule ❑ Devise a marketing plan ❑ Finalize venue contract ❑ Secure hotel(s) if needed ❑ Define details for each job ❑ Registration process defined ❑ Website opened ❑ Mailing lists collected 1-6 Months ❑ Tickets printed ❑ Medical plan: ambulance, trainers, physician, hospital ❑ Venue equipment ordered: tents, toilets, ice, copier, phone/DSL lines, radios ❑ Logistics plan (where does the equipment go) ❑ Venue diagram ❑ Competition equipment 14

Jobs to be Done T
he organization of an event is not a one-person task, but it does require
a leader who takes the responsibility of making the important and/or final decisions. Obviously, the best approach is an organizing committee consisting of a dozen persons, each an expert in a specific area. Realistically, that’s not likely to happen in many volunteer-driven organizations, but an efficient organizing committee will have hard-working volunteers who can take direction and get their tasks done well, regardless of their experience Administrative
Event jobs are better defined if divided into three separate areas: Administrative, Venue and Competition in that particular area. Hopefully, the leader will have enough event experience to provide guidance in all areas. When divided into separate areas of Administrative, Venue and Competition, the numerous jobs associated with an event can be better defined, and there will certainly be overlap in some of these tasks. The areas of responsibility outlined here are actually derived from the organization of an Olympic Games event, so you get to eliminate many that do not apply to your specific needs. You should start with the jobs that are absolutely necessary to the conduct of your event, such as Finance, Marketing/Ticket Sales, Registration, Logistics, Medical, Concessions and Competition. While there are others that are very important, these really determine the overall success of your

Budgeting for Events T
he most important part of any event is the budget. Many people in an
organization will show an interest in conducting an event, but it’s the budget that shows whether it’s feasible. Unless there is a deep-pocketed benefactor or sponsor available to make up a shortfall, there must be considerable work done to compile a realistic budget before moving ahead. The budget format that follows is intended to be detailed because it is the unexpected, overlooked and lastminute expenses that result in financial disaster. Something else to remember REVENUE

Once the line items applicable to the event have been identified, it then becomes important to be realistic for both revenue and expense items. Research similar events if possible, but try to avoid total guesswork on important items. Above all, do not arbitrarily raise revenue numbers to match expenses. ■ 20

The following 40 pages are designed to help you locate destinations and venues interested in and capable of hosting your next tournament or event. We have listed the guide alphabetically (by two-letter state code), with Destinations (also referred to as Sports Commissions if you’re just starting out) and a select list of venues, also organized by state, then city. We couldn’t print all the facilities available to you. That’s where the online directory takes over. On SportsDirectory.org we list over 1,500 fields, courts, arenas, stadiums, rinks and other venues. We also provide specs for each facility and the type of sports they are best suited for, along with a descriptive listing of their footprint. You will especially find advanced facility details for

O
ur mission is to enhance Maryland's economy, image and quality of life through the attraction, promotion, retention and development of regional, national and international sporting events. To help achieve this mission we created TEAM Maryland—a statewide initiative designed to collectively market Maryland to the entire sports industry by creating a synergistic approach to the way we market ALL of Maryland as a sports destination—in the fall of 2010. In the first two years of operation, OSM has engaged in $1,000,000,000+ worth of economic impact; secured $300,000,000+ in economic impact; launched a statewide sports marketing initiative—TEAM Maryland; brought in nine new members to NASC; recruited and been awarded 10 major national events; and been instrumental in two venues’ inclusion in the USA World Cup Bid.
COme TO plAy US Naval Academy - Lejeune Hall (Anne Arundel County) The Lejeune Hall swimming and diving complex provides 23 25-meter short course lanes or 10 50-meter long course lanes as well as recently constructed 1- and 3-meter springboards and 5-, 7.5- and 10-meter platform areas. The gallery seats 1,500 spectators with room for more in the underwater observation areas. Shawan Downs (Baltimore County) Situated on 300 acres of pristine former farmland in the northern part of the Baltimore County, Shawan Downs has been transformed into a premier equestrian center. The main feature of Shawan Downs is the state-of-the-art steeplechase course, which is home to the annual Legacy Chase and many other steeplechase and eventing competitions throughout the year. M&T Bank Stadium (Baltimore City) Opening in 1998, M&T Bank Stadium is located at the south point of Camden Yards and is the crowning jewel of the NFL's premier sports facilities. It has hosted a plethora of sports events from football games to NCAA Lacrosse Championships to worldclass soccer matches, including a record-breaking 71,000+ sellout for the 2009 World Football Challenge. HillStreet Skate Park (Frederick County) This 17,000-square-foot, all-concrete skate park includes a clover-shaped bowl with depths of five, seven and ten feet. It also includes a smaller, P-shaped bowl and a full street course with such obstacles as four different sizes of handrails, a hip and multiple quarterpipes, including an eight-foot-high quarterpipe with two extensions. Ripken Baseball Academy (Howard County) The ultimate baseball destination—3 replica fields of Fenway Park, Wrigley Field and Memorial Stadium, 4 skinned baseball/ softball diamonds, a scale model of Oriole Park at Camden Yards with “Warehouse” named for Cal Sr. and patented synthetic training circle, bullpens and custom-designed batting cages. Centennial Park (Howard County) The 337-acre park has an abundance of athletic riches, most notably a spectacular 54-acre, man-made lake—home of the Columbia Triathlon and IronGirl Triathlon. Centennial also includes a skate park, 4 sand volleyball courts, 6 diamonds, 2 multipurpose lighted fields, 8 tennis courts and one tournament court. sportsdirectory.org
Congressional Country Club (Montgomery County) Since opening 1924, Congressional has hosted three U.S. Opens —most recently in June 2011, a PGA Championship and the AT&T National on its two 18-hole golf courses—the Blue Course and Gold Course. Prince George’s Sports & Learning Complex (Prince George’s County) Facilities include a 75,000-square-foot field house with seating capacity for 3,000+ that will host the 2013 USATF Masters Indoor Nationals, and dedicated gymnastics & aquatic centers each capable of seating 1,000 spectators. Maryland International Raceway (St. Mary’s County) MIR sits at the tip of the county and is ideally positioned only 80 feet about sea level. MIR hosts over 100 events a year and has seating capacity for 12,500+ people, with plenty of parking to accommodate any auto or motor event. MIR has its very own J34 Jet Dryer, DTN Weather Center located in the Race Control, VP Fuel Station and emergency response vehicles. Crown Sports Center (Wicomico County) At 105,000 square feet, Crown Sports Center is one of the largest indoor sporting facilities on the East Coast. The indoor facilities include four indoor soccer fields with state-of-the-art turf, four Futsal fields and four volleyball courts. Outside CSC's front door lie 12 acres of pristine Bermuda turf ready for any tournament.
rOAd Trip Maryland is a four-season state, with numerous sporting events happening year-round and within a day’s drive of over 60% of the U.S. population. Maryland is accessible by plane, train, automobile, boat, bicycle or foot. Maryland is the ultimate tank-of-gas destination – you can travel from the mountains of Garrett County to the turf in Baltimore to the ocean in Worcester County and only fill up the tank once.
