ePR Clinical Lead

In order to maintain a strong level of consultation in support of clinical decision-making and clinical process changes, the need for a dedicated ePR Clinical Lead role was identified, to provide oversight around ePR related clinical decisions.

The ePR team is very pleased to announcement that Brenda Luffman, Advanced Practice Leader (APL), Nursing has agreed to assume the role of ePR Clinical Lead, in addition to her responsibilities as the APL, Nursing. Brenda will be instrumental in the project management of the clinical working groups and clinical decision related to ePR project as well as identication of the potential impacts on operations and practice.

Thank you to Brenda for taking on this leadership role and bringing your expertise to the project.

No… it’s the Solutions Group!!

A “Solutions Group” has been formed with key decision makers and influencers from across the organization to identify and resolve issues that will pave the way for the successful implementation and transition to an electronic patient record (ePR) at Providence care. As a group they have been working hard since August to resolve issues and facilitate organizational implementation of an electronic patient record.

The “Solutions Group” has made some key decisions as the champions of ePR, breaking down roadblocks that inhibit successful progress. These individuals have been involved with the ePR and/or other large clinical change management initiatives and are aware of the complexity and scope of such a huge project and are committed to its success as they understand the benefits to Providence Care moving forward with this work.

Solutions that have been tackled so far: • Survey to identify those needing basic computer skills and a training plan to

address those needs • ePR Communications plan and identification of a communications resource • ePR Education plan high level overview and identification of an ePR

Education Advisory Committee • Device User Selection Group who will advise on the usefulness and

appropriateness of various available device options • Identification of a clinical lead for the project, Brenda Luffman

Medical Staff Association presentation

Back in October Robin Saunders and Kathleen Fitzpatrick from the ePR team had the opportunity to present at the Medical Staff Association meeting. The presentation was an update to Physicians on the work that has been done to date for the project and what changes they could expect with the new system.

Details were shared around the full scope of Physician input that has been provided through the Information Communication and Automated Technology (ICAT) Steering Committee with representation from Dr. Matthew Faris, Dr. Roumen Milev and Dr. John Puxty, the Solutions Group has physician representation from Dr. Chris Frank and the Physician Order Set Taskforce (POST) that informs the design and build of the ePR and is represented by the ePR Physician Practice Leaders.

Kathleen Fitzpatrick is the Project Lead for the Physicians and provided a live demo of the physician portion of system. One of the key areas she highlighted was the Physician Inbox which will organize and manage all physician related activities at Providence Care.

When Phase 1 is complete Physicians will be able to: • Access patient information entered electronically at Providence Care,

Kingston General Hospital and Hotel Dieu Hospital • Edit and e-sign all dictations • Use Computerized Provider Order Entry (CPOE) to place orders that will

be resulted in the hospital setting (e.g. if a chest x-ray is ordered on an

outpatient or clinic patient, but will be performed at SMOL or MHS, it will

require use of our CPOE system to submit the order)

Kathleen Fitzpatrick is the Project Lead for the physician aspect of the ePR Project and is responsible for managing the Physician related portions of the ePR project.

The Survey Is In!

Our survey results are in and education plans have been developed.

As Providence Care moves toward an ePR and a number of other computer based systems including staff scheduling, a self-assessment survey around the comfort level with computers was distributed. The purpose of this survey was to determine the levels of basic computer skills and provide learning opportunities to those who feel they need basic computer training.

“Basic Computer Skills Training” will cover: desktop basics, how to use a Mouse and Keyboard, Internet/Intranet and Email essentials, as well as introductory information about saving documents.The first sessions, conducted by Barb Robinson, are open to those who identified themselves from Nursing and Allied Health but will also accommodate anyone else in Nursing and Allied Health who feel that they might benefit from this education.

Training is being offered in the SMOL Computer Lab from 1 p.m. to 2 p.m. every Thursday starting December 6 until the end of February 2013 and in the MHS Computer Lab #1 from 1 p.m. to 2 p.m. every Friday starting December 7 until the end of February 2013.
