Do you have “champion” skills?
The ePR team is reaching a new step in the development of the electronic patient record and is now looking for ePR Champions. Do you like to be first to get your hands on new technology? Are you comfortable with computers and able to help others with less experience? Do you keep up to date with new standards, guidelines on your scope of practice by monitoring practice issues and trends? Is working in interprofessional teams your strength? You might just be who we are looking for! The ePR team is recruiting “champions” to support the rollout of our electronic patient record system this fall. Champions will receive additional training so they can know the system inside-out, and as the ePR goes live, they will be asked to provide support to their colleagues in their area. As well, champions can be additional resources during training sessions, helping those less familiar with technology learn the new system more quickly.

Champions will also have the opportunity to provide feedback and contribute to the ePR’s ongoing sustainability planning. They will identify gaps and glitches as the ePR phases are implemented, and will work with ePR team members as new functionalities are added to the system. Some selected champions will assume a second role. Some select champions will be a part of the early Integrated Testing phase this summer, helping to identify areas where the system needs to be improved to best support clinical practice effectively. Champions are key to our ePR system launching and working properly, and to Providence Care’s broader commitment to high quality care. Are you interested? Speak to your manager today!

e Patient RecordNews Surfing the web direclty in the patient care system Surfing the web is easier and faster when you only have to click on your browser “Favorites” web links. In two clicks, you can navigate to your favorite website. The same concept will be incorporated in the new patient care system through an electronic library (e-Library) tab and a Professional websites tab. These tabs will allow users to surf the web without leaving the QCPR system! The e-Library is a common library of useful links for all disciplines. Quick links to Providence Care forms, policies and procedures and many more will be one click away. A Professional websites tab will also be part of the ePR. This tab will include website links that are of particular interest to a specific discipline (e.g. Canadian Association of Social Work Education (CSWE), Registered Nurses’ Association of Ontario, Stroke Engine…). Those two tabs will allow staff to link quickly and get pertinent information from their favorite webpages without getting out of the patient care system. Using fewer clicks will get you information faster and with less effort.

Take a sneak peak at the Nursing work list The ePR system will generate a daily work list per patient to guide and assist the nurses in their work.

This tool will include procedures, tasks and assessments. Every task will remain on the work list until it is completed, rescheduled, cancelled, or resolved. It will also be possible to track completed tasks and see who completed them.

e Patient RecordNews Integrated Testing starting on June 3rd After finalizing patient’s scenarios with helpful suggestions from staff, the Integrated Testing portion of the patient care system will start on June 3rd. Integrated Testing ensures the electronic information flow of the system works as a whole when all modules are aggregated together. Once staff works on the new patient care system, it will need to fire, trigger and flow information as planned. Running simulations beforehand is mandatory to identify glitches and gaps. The ePR team and QuadraMed Implementation Consultants will be able to address any problems encountered during Integrated Testing. Once the critical issues have been resolved, staff will be able to interact and receive training on the new patient care system. Eliminating and correcting problems before training will allow users to interact with a robust QCPR system.

As the project is moving forward, more and more great questions are coming to the ePR team. Here are some highlights of the latest Q&A:
• The new system is more modern, more graphical and easily accessible. • The QCPR system is also called Mysis and PCS. • The hybrid patient record will function with both electronic documentation and paper documentation until further phases are implemented. • Every user will only have 1 Providence Care QCPR password no matter how many roles they have within the organization. If a user is a KGH employee with a different role than at Providence Care, the user will have 2 different logins and passwords. • Users will be able to choose their own password. • Every unit won’t necessarily have the same numbers of devices, depending on the type of work being done electronically and the unit’s needs. • The majority of the training will take place in the computer labs at both SMOL and MHS. • Medication reconciliation will be done on admission, transfer and discharge. • SafetE-Net and wE-Care reports are not currently part of a patient’s record and will not be part of the electronic patient record. Incident documentation is not a piece of clinical documentation. • The link for SafetE-Net and wE-Care will be accessible to all QCPR users through the eLibrary. • Any new orders will be easily identifiable when a user logs into the patients record, just like a flag on the paper chart. • The FOCI headings will not be formally utilized in Phase 1; rather a generic electronic progress note will be used. • Visits will have to be entered in the system before any electronic documentation or tracking of workload can occur. • The number of steps involved depends on what the user needs to accomplish. Some activities take two or three clicks whereas others take many more and require data entry.

Have you seen ePal? He was last seen wandering in both SMOL and MHS units. He is purple and pushing a work station on wheels (WOW). He was planning a travelling road show so he could provide a glimpse at key pieces of QCPR functionality via the nursing desktop.
Help us find ePal Helping us is really simple! You only have to complete the following steps: 1- Take one ballot at the bottom of your unit’s poster or request one by email at epr@providencecare.ca. 2- Find the ePR Travelling Road Show. 3- Answer the question on your ballot correctly. 4- Drop your ballot in the contest box located on the WOW.
The Build is done! After extensive consultation with frontline clinical staff and professional practice team members, Phase 1 of the ePatient Record build is done! The team strived for the past months to build documentation to support consistent care and documentation based on best practice. All the information and feedback gathered at those consultation sessions have been integrated into the various modules. Last system change requests were receive on May 17th to give the ePR team time to finalize the build before the Integrated Testing, a major electronic reconstitution of patient’s journeys. Other improvements will be added to the system after “go-live”. The focus of creating electronic documentation is to allow for better communication between team members to improve patient care, and to reduce duplication of documentation throughout a patient’s journey with us.
