the scope

intentional interactions: first year students Intentional Interactions are used by staff to facilitate a deeper, one on one relationship with our residents. Resident Advisers are required to complete two Intentional Interactions with each member of our community per semester. All staff members should think about Intentional Interactions as part of the work we do with student leaders, student staff, and residents regardless of if they are required.

purpose Intentional Interactions provide RAs with an opportunity to engage their residents individually in conversation and re"ection about their personal well-being, their academic progress, and their experience in the community. Intentional Interactions are an opportunity to strengthen the relationship between the RA and each individual resident.

preparing for intentional interactions: Make a plan. Think about and develop a plan for how you will ensure you have these conversations with residents. You may want to have them sign up to meet with you during a community meeting, place a schedule on your door, or set your own goals for which residents you want to connect with each week. Be comfortable. These conversations should occur wherever a resident feels most comfortable. They could be over a meal, in the resident or Staff member's room, or during a walk together on campus. Actively listen. Remember to use the basic listening skills you were taught during training. This includes asking open-ended questions, helping a resident think through their choices, and being ready and able to suggest resources. Be transparent. New residents may be unfamiliar with why we do Intentional Interactions and what their roles are. Let residents know that these conversations are opportunities for them to utilize a peer leaders as a resource and are an opportunity for the student to explore getting the most out of their college experience. If residents are concerned about con!dentiality, remind them that although you will treat the information you discuss with discretion, you will share information with your supervisor, especially if you are concerned about the student's health and safety. The counseling center can provide con!dential services, if needed. Don't be creepy. The Intentional Interaction guides suggest topics to explore and questions to use in your conversations. This is not a check list. This is not an interview. You should not read suggested questions verbatim to a student. Instead, incorporate the questions and topics organically into your conversation and if a particular theme or question resonates more with a resident, feel free to help them explore it more deeply.

Do you feel like you are getting to know people on your community? f. What is one thing you think we should do as a community this year? 5. What to do if a resident is not interested‌ a. While we hope that EVERY resident will be open to having at least one or two conversations with their RA, we recognize that may not always be the case. b. If you are having trouble connecting with a resident, see a Pro-Staff member as soon as possible. c. Pro-Staff will assist in developing an interaction plan with hard to reach residents.

Help them set some preliminary goals and ensure that they are connected on campus and getting involved. Pay attention to warning signs of homesickness, poor choices regarding alcohol and health-related habits, and lack of involvement on campus and in the community. When taking notes on your conversation, highlight the resident's roommate relationship status, any transition issues, and their goals for the semester. intentional interactions | spring semester Early Spring Your residents will be returning from break and will have received their !rst formal college grades. Help them process through what they did well, as well as where they could improve. Some students may be surprised that college-level work requires different levels of effort and habits. Students may also be questioning their choice of major. This conversation is an excellent time to revise and set new goals after a semester of learning. When taking notes on your conversation, highlight how the resident's break went, how they feel about their academic progress and achievement thus far, and their new and revised goals for the semester. Opening Questions: What did you do over break? Did you see friends and family? How has your world view changed after a semester at college? Have you thought about where you will live next semester? How has your roommate relationship been so far? Does your Roommate Agreement Guide need to be revisited? Theme: Re"ections on Academic Performance Are you happy with the grades you received last semester? How might you change your study habits and make different choices to succeed academically? How is your time management? Do you feel you are managing your time well? Theme: Setting Goals for the Semester Were you satis!ed with your involvement on campus last semester? Late Spring This conversation will be the !nal one you have for the year and occurs at the end of a student's !rst year in college. Because of this, students may be re"ecting on how their !rst year went, will be gearing up for a summer job, internship, or vacation, and will be making plans to say goodbye to, and stay in touch with, friends over the summer. This is a great time to plan closure activities for your community. When taking notes on your conversation, highlight what your resident learned over the course of their !rst year in college and what their goals are for the summer and the following academic year. Also note whether the resident plans on returning to college next year or if they are considering stopping or transferring.

Tell the residents about YOU b. Your Resident Adviser role: Huge component of your job is to talk to residents—they should expect you to seek them out! c. Take attendance and verify if roommate has checked in 2. Community Living Environment a. At full capacity so few room changes - getting along with roommate/mediation b. If you are living in a room by yourself and not paying for a single room – you must keep your stuff on your side of the room ONLY! You are subject to getting a roommate at any time and we need the space ready to move into! c. Housekeeping cleans common areas, not here to clean up after you. d. Keep stuff out of hallways. e. When there is a concern with your roommate or hall mates, please try and approach the conversation yourself and work through it. If you cannot reach an amicable solution, seek out the assistance of your RA! 3. Center Of!ce and Staff a. Location of center of!ce and difference between main housing of!ce b. Resident Directors and Center Coordinators will most likely stop by your meeting, but be sure to let your residents know that ProStaff will occasionally walk hallways and knock on doors to get to meet residents. c. Purpose of of!ce (key check-out, lock recombs, temp ID, info, room changes, general assistance) d. Your of!ce hours in your room 4. Involvement Opportunities a. Each center has their own Resident Student Association, also known as RSA. Anyone can be involved and it's a great way to get involved and create the type of programs you want for the community and for the building. b. RSA falls under the Housing Center Student Association (HCSA), which will put on programs and service events throughout the halls. Check them out and stop by their programs. 5. Condition of Room a. Go into housing portal to verify room inventory: link is on the housing website, lower left, says Housing & Food Contracts b. Responsible for any room damages c. Submit any maintenance (no matter how small) – if it is not !xed, tell RA or of!ce d. Only liquids in sink/water fountain drain – no food or anything else e. No nails in the walls f. No lounge furniture in room g. IT problems – call IT


the scope 6. Emergency procedures a. Fire alarms – always assume a real !re when alarm sounds. Go to nearest exit. USE THE STAIRS! DO NOT USE THE ELEVATORS!! You will be cited if caught not adhering to evacuation procedures, e.g. remaining in room, using elevator, etc. b. Fire Drills will occur sometime in the second week of school. Though it is a drill, you are required to treat it as an actual alarm and exit the building quickly and meet ar your rally point. c. Explain your rally point for your speci!c community. d. Fire doors were open during Move-In, but should not be used except in case of emergency. e. Severe weather – We will do severe weather drills, but please familiarize yourself with the information on the stick on the back of your residence hall door for your best place of refuge. i. Note the difference between a Potentially Dangerous Situation Day (there will be warnings and time to get to a best place of refuge) and Shelter In Place (no time th to move to another building for shelter, go to the interior hallways on the 2-6 "oor nd rd in the towers, basements (If applicable), or the DLB stairwell/2 &3 "oor interior hallways in McCurtain and McSpadden for Cate 3) 7. Policies a. Noise – hallways echo and can disturb others. Have reasonable level of voices and music, keep room door shut after hours. Please have consideration for others. Quite Hours are as follows: 9 p.m. - 11 a.m. Sunday through Thursday & Midnight - 11 a.m. Friday and Saturday. b. Visitation – Freshman "oors only. No visitors (anyone who is not a member of your community) from 12 AM until 11 AM on Sundays – Thursdays and from 2 AM until 11 AM on Fridays and Saturdays. This rule will be strictly enforced for all freshmen "oors and all people who live there. c. Pets – only !sh are allowed due to allergies, sanitation and possible cruelty to animals. Service Animals are permitted if proper documentation is provided through the Disability Resource Center and the Main Housing Of!ce. d. Tobacco of any kind – NOT ALLOWED ON CAMPUS. e. Security – Doors are locked at all times. Do not prop the security doors ($50 citation). Notify your RA if there is a stranger on the "oor. f. Nightly round of duty by RAs and CSOs – You must carry ID and show it when asked by a university of!cial. g. No open "ames policy h. No alcohol i. No weapons, including BB guns j. Drug policy k. 10-inch clearance rules around air units. Remind residents that this should always be clear, not just when maintenance it coming by. l. Remind residents to review the Community Living Guide online. When they signed their housing contract, they agreed to comply to all rules and regulations included 8. Safety a. The campus is not immune to crime. Most are crimes of opportunity that could have been prevented by the victim. b. DO NOT PROP THE SECURITY DOORS OPEN. Close all of the doors behind you. c. Use and carry room keys and ID always. LOCK your doors when you leave for class. DO NOT GIVE YOUR KEYS TO ANYONE!

Finals th th a. Finals week is December 11 through December 15 . nd b. 24 Hour Quiet House will begin Saturday, December 2 at 12:01am. RAs will not give warnings so please keep in mind that this a time to quietly prepare for exams. c. If you need suggestions for great study places on campus, please ask!

Winter Break a. The halls do not close over Winter Break. You are welcome to come and go ask you please. b. Halls will be staffed by RAs throughout the entire break c. If you are leaving campus for an extended period of time, please make sure to complete the following: i. Make sure air vents can breathe! Remove all items on top or within 10�. ii. Unplug everything, except for !sh tanks and refrigerators. Clear out all food and drinks that may spoil over the four-week holiday. iii. Raise blinds. iv. Turn the A/C to 68 degrees. v. Take out the trash. You don't want your room to smell when you return. vi. Turn ALL the lights off. vii. Lock the bathroom door (if applicable) viii. Lock the room door. d. Note that RAs and ProStaff will be doing walkthroughs following !nal exams to make sure rooms are good.

Those Leaving OU a. Residents who are not planning on returning to OU or the residence halls need to contact the Main Housing Of!ce (405-325-2511) in order to ensure they get the correct information and !ll out the proper paperwork. If they fail to do so, charges will continue. b. Residents who are leaving for good should return their key to their RA when they check out, not leave it in their room or with their roommate.

Cooperation, consideration, mutual respect – Community Living Guide and roommate survey (have new roommates !ll one out) b. Accountable for actions – we will not tolerate code violations. c. Cleanliness – take pride in your "oor. d. If you are living in a room by yourself and not paying for a single room – you must keep your stuff on your side of the room ONLY! You are subject to getting a roommate at anytime and we need the space ready to move into! e. Housekeeping cleans common areas and bathrooms, not here to clean up after you. f. Keep stuff out of hallways. g. Please do not spread your items/belonging to both sides if have not paid for a single room. Spreading may result into !nes. 4. Center Of!ce and Staff a. Location of center of!ce and difference between main housing of!ce b. Purpose of of!ce (key check-out, lock recombs, temp ID, info, room changes, general assistance) c. Severe weather season is always upon us. Please read the emergency signs on the back of your doors and adhere to all staff and intercom instructions d. community meeting agenda April Closing Community Meetings should happen during the week of Monday, April 2nd – Sunday, April 8th, 2018 Date: _______________ Time: ________________ Location: _________________ 1. Welcome! a. Closure activity (even just coordinating addresses is good, just something to bring closure) optional b. Residents should submit to you a !nals week schedule (OPTIONAL, but highly advised) c. Take Roll d. Reminder that !nals week is May 7th – May 11th, 2018 2. Summer School/Graduating Seniors a. Check to see if anyone is graduating or living in housing for Summer School: b. If someone is graduating, participating in graduation, they can stay until Sunday at 1:00pm with prior approval from CC. Remember, to include them on the “Late Leaver list”. c. Those who are staying for summer may stay until after they check into their new space (Sunday May 13th) When they pick up their key for summer school they should be ready to move and will be signing up for a check out time when they pick up their summer key. d. Any student who needs information regarding Spring Extension/Summer Housing can go to the Main Housing Of!ce to receive more information. 3. Check Out a. Regular Check Out: i. Signing up for a check-out time: 1. All residents must of!cially check-out through their "oor RA by setting an appointment. The Desk RAs will not conduct check-outs. 2. Sign up with YOUR RA at least 24 hours in advance. 3. Explain your check-out appointment schedule with the listed times you are unavailable. 4. Residents must be completely moved out of their room and ready to leave at their scheduled check-out time! ii.Cleaning and getting the room ready for check-out 1. Thoroughly clean room—even if you are the !rst resident to leave your room. 2. You will be asked to sign charge slips if their room is not clean when you leave – even if you are the !rst to leave. These slips will be voided if the room is clean when they suite is empty. 3. Sweep, dust, and wipe all shelves and cabinets 4. Clean off your door (wipe off marker, remove any decorations, etc) 5. Properly dispose of all trash. Dispose of large items in the dumpsters in the basement. The trash chute is NOT designed for large items.


the scope 6. Ensure all university furniture is present. You will be charged for missing furniture. 7. Raise the blinds, set the thermostat to 68, turn out all the lights, and lock the door. iii. Room Inventory 1. If the room inventory does not show damage and the room is damaged at check-out, we will charge the resident(s) to repair the damage. The damage "yer is attached, show to jog their memory. iv. Turning in their key 1. At conclusion of the check-out, you will turn in your key! Do not leave key with roommate or slide it under my door. 2. Check the key in on StarRez and have the resident sign for it. This is proof that you returned your key. If you don't have it, we have to charge you for a lock recomb. a. $128 for Adams, Cate and Walker b. $132 for Couch c. Super Suites: Walker -$153 Couch - $160 d. $15 Bathroom Key for Cate e. Express Check Out: b. Signing up for an Express Checkout: i. Residents who are completing Express Checkout will sign up and pay $10 on their housing portal on housing.ou.edu. ii.Please read and follow all directions given on the form. This information will explain the steps you need to take to not be charged for an improper check out. iii. If you want to complete a fall contract, you can do this through our website at housing.ou.edu. d. If you have any questions or concerns, you can contact us 3 ways: i. Call us-405-325-2511 ii.E-mail us-housinginfo@ou.edu iii. Come by and see us-Walker, room 126 between M-F 8 am- 5 pm 5. SWIPE 2 SHARE PROGRAM a. Students will be able to buy pantry-speci!c items from Xcetera with extra Meal Points. This is a wonderful way for us as a student body to eliminate the waste associated with Meal Plan Points and help OUr community. All items purchased for the drive will be taken by our Swipe to Share team, sorted, cataloged, and transported to our partner Food and Shelter Inc. as well as the OU Student Pantry. 6. Miscellaneous a. There is NO Summer storage for residents. b. Housing on campus for Fall 2018 still available. – Sign up in Main Housing Of!ce. c. If you have premium cable services with Cox don't forget to cancel with Cox (6008282) d. The cable remote that was provided to you at the beginning of the year needs to remain in room. e. Forwarding your mail: Complete the online mail forwarding request ASAP! f. All residents must be of!cially checked out of the residence halls 24 hours after their last !nal or by Saturday, May 12 at 10am, whichever comes !rst. g. Avoid the rush and check out prior to Friday afternoon! th h. 24-hour quiet rule begins Saturday, April 28 at 12:01am. i. If a resident has a Valet Today refrigerator, have them clean it and leave it in their room. We will pick those up after check-out – please let your RA know if you have one of these refrigerators. j. Dollies will not be provided by H&F for check-out. If a resident needs a dolly, they need to bring their own. k. Remember to take any bikes home. Bikes not removed will be auctioned off this summer!
