HOW TO BOOK AN IN-HOUSE EVENT - 2024
Welcome!Thank you for choosing Millersville University Catering for your in-house event. We are a full-service catering company dedicated to providing the best level of service to our customers.
The information below is for you to use as a reference while planning an event in the Bolger Conference Center. If you have any questions or are looking for something special that is not on our menu, please don’t hesitate to reach out to one of our catering personnel. We’d love to create a custom menu for you.

STEP 1
Reserve Your Event Space in the Bolger Conference Center
We have many rooms available for your needs, whether you are hosting a small working lunch or a large conference. Any event requesting catering services will need to ensure that they have the location reserved prior to planning their event.
In order to provide the highest quality of service, we kindly request that rooms be booked and orders be placed at least two weeks in advance. To check our availability, please call MU Catering at 717-871-5143 or email catering@millersville.edu.

Start and End Time of Function – Please note that the start time given to us is the time that food service is to begin. The end time is the time that the room must be vacated. If the timeline differs, or if you need additional time for setup and/or breakdown of the room(s), please let us know as soon as possible.

Type of Service
◊Buffet – This type of service offers a variety of menu choices. Quantities of food prepared will adequately serve the number of guaranteed guests. Buffets are suggested for a mixed crowd, allowing for a varied menu and a more informal event.
◊Served – This type of event requires that all courses be served at your table. If there are any time constraints, the salad and/or dessert courses may be preset. If your event offers two or three entrée choices, you are required to give a specific guest count for each entrée ordered. The guests’ menu choice should be provided on a menu choice card for each place setting.
◊Cocktail – If you need a brief reception before or after an event, this is the best option. This type of service allows time for assorted drinks and appetizers.
*Outside food or beverage is not permitted within any of the Bolger Conference Center event rooms.

STEP 2
Place Your Catering Order
Once you have booked your event space, it’s important to start thinking about your food needs, even if you are still in the early planning stages. When looking at the menu, consider whether you need served or buffet service, as well as whether you will require cold/hot food, drinks, etc. Our catering manager, Selicia, and catering secretary, Julie, are available to assist with any event logistics or menu suggestions.
If you would like alcohol service at your event, please reach out to get a copy of the “Request to Purchase/Serve Alcoholic Beverages for University Functions” form. This form must be completed by multiple departments at least five business days prior to your event.

STEP 3
Event Setup and Services
Please inform us of any dietary restrictions or special requests as soon as possible.
If you have a theme for your event, please reach out so we can help create a custom menu.
Once you have chosen your menu, you can fill out and submit the order form. If your menu requires customization, please reach out to MU Catering at catering@millersville.edu.
After placing your catering order, the next step is to inform us, as well as other vendors, of any setup or services needed. It is the event host’s responsibility to ensure we have all applicable information and, if needed, to place a technology order.

Please let catering personnel know your room setup requests so we can have the proper linens for all tables, including, but not limited to, awards and registration tables.
Diagrams are helpful and may be requested for larger events.

Event Confirmation and Payment
MU Catering requests that all changes be approved by us at least five business days prior to your event. If you do not contact us with any changes within the requested time frame, MU Catering will prepare all food and setup based on the estimated count for your event. If you change an event after the deadline, some of the expenses already incurred cannot be absorbed and will be billed.
After we have finalized all the details for your event, you will receive a contract via email, and we ask that you review this in complete detail. This contract will include the exact times, location, estimated attendance and menu choices for your event. If you need to make changes, please edit the document in bold red font and email back to the sender. If no changes are necessary, please reply “approved” to the email.
This is your confirmation that all event details are accurate and that you will follow all Millersville University and MU Catering policies.
Billing is typically done once a month at the end of the month, so you may not receive a bill until a month after your event. If you require expedited billing, please contact us.

Reserve Your Event Space on Campus
There are many rooms in the buildings across campus that are available for events requiring catering services. Any event requesting catering services will need to ensure that they have the location reserved prior to planning their event. When reserving a space, please keep in mind any extra time needed for MU Catering to set up before your event and clean up after your event.

◊Please note that the delivery time given to us is the time that the food must be ready to serve. We may arrive anywhere between 15 and 60 minutes prior to setup based on the count. If the event is very large, we may arrive earlier in the day to set up.
◊The end time is the time that MU Catering will return to pick up all the leftover food and supplies.
◊If the timeline differs, please let us know as soon as possible.
Customer Pickup
◊ All customer pickups must be done at the Loading Dock. Please give the time you will be there to pick up so someone is available to assist you. If you will be more than 15 minutes late, please call the kitchen at 717-871-7579
