Thank you so much for choosing to come to ScoutFest, it’s your event make it something special. This guide contains everything you need to know whether your an 8 year old Beaver or an 88 year old leader (we’ve got a few!). Have a fantastic camp. Kings and Queens We’re celebrating the Queens Diamond Jubilee with Scouting adventure at ScoutFest. The event theme is Kings and Queens. If you want to dress up - do. The best time to do this is at the ScoutFest party on Sunday night. Build gates, hang bunting, fire cannons (not literally) whatever it is you can come up with to celebrate the Jubilee. Please bring your group flag to the ScoutFest opening ceremony at 8.30 pm at the stage. The show starts at 9pm but we have a special flag parade to organise for the show beforehand. We need one flag and one young person from each group. Informal uniform, ScoutFest t-shirts and neckers, if you have them.

Have your wristband ready and book in at the main gate or info point when you arrive at ScoutFest.

This neat little band helps us identify and help you very quickly in emergencies. The barcode retrieves all your health information in a flash. Please wear the band for the duration of ScoutFest and if you lose or break it visit the admin team for a replacement.

Arriving on site

Early set-up from Weds 30th onwards

Car parking and traffic flows are limited. Please share transport and reduce the number of cars arriving. Blue Gate: Main Car Park- parents and groups Pink Gate: Kit drop off Yellow Gate: Staff Car Park - staff camping and parking Once parked proceed to the Main Gate and Booking In with your wristband, at this point you will be scanned onto site and directed to your sub-camp. If parking at ScoutFest please print and display the car park pass in this event guide. Display it clearly in the front windscreen of your car before your arrival.

Kit drop off For groups a kit drop off point is provided. This is not accessible for individuals arriving at ScoutFest and is intended to make it easier for large groups to offload kit onto their camping site. There may be a wait. No vehicles are allowed onto the camping or activities site at ScoutFest. We will provide small lowpowered vehicles for transport to your campsite from the kit drop off point. There may be a short wait.

The team has been working very hard for many months now to ensure that everyone will have a safe and enjoyable ScoutFest, This is your chance to join fellow Scouts and Guides from across the County and beyond to participate in activities especially organised for your section. Please ensure that you read and understand the Code of Conduct and that you will fully comply with it whilst at this event. All of us have a responsibility to behave in such a way as to not endanger or spoil the event for other participants. All that is now required is that you enjoy ScoutFest weekend. Have as much fun as you can, and leave at the end of the event with pleasant memories of a safe and happy time that you have spent with friends.

Water

Fire

Water points are marked ‘W’. Please make sure that taps are turned off and be sparing with water use. We have to pay per litre.

Is a major risk on site. Strictly No Fires to be lit at any time. • You must have three water buckets filled outside your catering tents.

All waste water must be strained and then emptied into the waste collection tanks around sub camp sites.

All emergencies must be reported to reception, sub camp leader or the site / safety staff immediately on:

Waste Water Rubbish

Please double bag your food and rubbish waste collections and place by your sub camp site entrance for collection. Please don’t drop litter- there will be large blue bins around site.

Follow their instructions.

If you hear the emergency horn bring used, all camp members must move to the emergency assembly point and form up in sub camps. Look for your sub camp banner. A group register will be taken per sub camp. Further instructions will then be issued.

If the site / camp needs to be evacuated full instructions will be given out by your sub camp leaders.

Don’t dig

• No vehicles are allowed on the camping fields • All vehicles must be parked in the main car park. • Staff only can park in the staff parking site. • All vehicles must display a car permit in their window screen.

Glass , plastic bottles, gas containers, tin foil and tins should be placed in green or white plastic bin liners and placed by your sub camp site gate for collection.

The digging of holes for wet pits or any other reason is strictly forbidden.

No pets

No pets, dogs, cats, giraffes, gerbils, alpaca, snakes or any other kind of pet must be brought onto site at any time. Assistace dogs are permitted, please contact us prior to ScoutFest to arrange. Somerset Scouts // ScoutFest

Vehicles

The main car park gate will be locked from 11.00pm to 7.00am. If you need to depart during these times please report first to security at the Pavilion. ScoutFest or The Somerset County Scout Council do not accept responsibility for vehicles or their contents left on the ScoutFest site.

Quiet Times

No Alcohol

Please keep noise to a minimum, turn off generators and lights out between 2300 and 0700.

Please do not consume alcohol on the ScoutFest site except in the leader’s indoor lounge where a bar will be operating.

Smoking of any kind is strictly prohibited on site. A leader’s only smoking area is available outside the leader’s bar.

First Aid

No Smoking Lost wristbands

Simply visit the admin team on the village green and they can issue you with a replacement.

Leaving site

Please make sure you scan out at your nearest admin point before leaving site. If Admin is closed when you need to leave, make sure you see a member of the security team.

Fun and games gauranteed to leave you crying with laughter. Come along for the get together - refreshments will be provided.

T

he Big Lunch is a simple idea from the Eden Project. The aim is to encourage as many people in the UK as possible to have lunch with their neighbours and in their communities once a year, for a few hours of friendship and fun. Since starting in 2009, thousands of Big Lunches have taken place in all kinds of communities, and in 2011 the number of participants doubled to the best part of two million.

In 2012 the event will be called The Big Jubilee Lunch and will proudly support The Queen’s Diamond Jubilee celebrations on Sunday 3rd June. A record number of people across the UK are expected to take part. We are very excited that The Big Jubilee Lunch will feature as part of ScoutFest 2012 and hope that the scouting community enjoy taking a break from the huge programme of activities to make new friends and get to know each other a little better.
