ATDW Event Listing Guidelines

VISIT WAGGA EVENT LISTING GUIDELINE Please submit your event details as early as possible so you can achieve a higher reach and so visitors can plan ahead to include you in their visit. Listing approvals take 1-5 business days from the time you submit them for review. If there are any problems a representative will be in contact with you. You will receive an automated email once your listing has been approved. Your listing will appear on visitnsw.com and visitwagga.com the morning after it has been approved. Before you begin please be prepared to provide the following information: 

 

A main description of your event between 25 and 200 words that follows the listing guidelines below and lets visitors know what will they will be able to see, hear, taste or experience Between one and ten high resolution photos, at least 2048 pixels wide x 1536 pixels high and no greater than 10MB Information such as costs, facilities, activities and contact details

DESCRIPTION GUIDELINES: Please ensure you follow the guidelines below: Avoid:  The use of italics, bold, ampersand (&), URLs or hypertext as the database cannot reproduce these  Portrait sized photo, logos, brochures, posters or photos containing text. As these do not meet national guidelines and will not be accepted.  Do not include times, dates, costs, or contact details in this section as there are already sections which ask for this information. Including this information in the description section may require a review for quality assurance.  Avoid using acronyms or abbreviations as readers may not understand what it means. Include/use:  State your main point in the first 25 - 30 words, including your event name  Short sentences that are quick, clear, and easy to read.  Key words which define and categorise your event i.e. AFL, Food Festival and so on. This will help improve your Search Engine Optimisation (SEO) when people are searching events in engines such as Google.  Indicate key benefits and points of visiting your event and limit your sentences to 10 word or less to keep it concise.  Descriptive and engaging words which will personalise your event. Such as Experience, Discover, Enjoy, Watch,  Double check your spelling and grammar to ensure accuracy and professionalism. Try writing it in a word document to help identify any errors.


ATDW Event Listing Guidelines BEGIN YOUR LISTING Use your credentials to ‘log in’ to your account or ‘register’ a new account with ATDWOnline. From your Listing ‘Dashboard’, click on ‘Add New Listing’, and select ’Event’ as your listing type to be taken to the form.

Overview of required fields To list your event you will be required to fill in the following information: 1. 2. 3. 4. 5. 6. 7. 8. 9.

You will be taken through step by step and be required to select specific categories from a series of fillable boxes, ticks, and drop down boxes. If you need to go back to a particular section you can navigate through the form by using the ‘side navigation bar’ or using the ‘Previous’ and ‘Next step’ buttons at the bottom of the form. 1. ATDW Event Listing Guidelines Tips & Requirements  Write Short sentences for viewers quick reading  Include your event name for better branding recognition and SEO  Do not capitalise text unless it is trademarked  No abbreviations or acronyms  No URLS, contact details, dates, times or prices – this information will be specified in a different field. 2. Event Type Reading through the definitions select the most relevant categories to your event. If your event falls in to multiple categories you can select more than one option.

3. Venue Fill out the fields to include the name of the venue and the address. This information is powered through google maps where you can also drag the marker if you need to refine the location.

ATDW Event Listing Guidelines 4. Contact Details You will be required to specify your event contact details so your visitors can connect with you to find out more information. This includes:     

Your primary phone number Optional Secondary phone number Email address Website URL Optional Booking URL (if necessary)

At least one contact criteria is required. However, the more options provide the wider range of customer may get in connection with you. If you have the option to include your website link for your customers to purchase tickets to your event if necessary.

5. Price You will be required to select from three pricing options (1) do not specify, (2) this event is free, and (3) please provide ticket prices for this event.


ATDW Event Listing Guidelines When you select to provide pricing, you will be prompted to fill out the ticket fields. This will include options to add multiple ticket pricing if necessary. You will be able to select from a range of general categories, set prices, and add additional information.

6. Frequency Select the frequency of your event from the options ‘Once Only’ will include one day events or one time frame that runs over more than 1 day. This can include events that run over months. ‘Repeated Event’ will include events which occur regularly or consecutively such as weekly, quarterly, annually and so on.


ATDW Event Listing Guidelines 7. Dates & Times Specify whether your event is a once only or regular.

Select ‘Once Only’ if you are hosting an event which is held over a single day or if it runs on the same time over consecutive days. 

For example: Event Exhibition Name - 10th November to 10th December daily 11am5pm.

Select the ‘Regular’ option if does not run consecutively, or if it runs at different times over different days. 

For example: FESTIVAL EVENT – 12th January to 24th January: weekdays 10am5pm, weekends 9am – 5:30pm

Once only events You will be required to select the starting date by using the calendar menu. Use the arrows to move through the calendar to find your dates and select the date.

To specify the starting and finishing times of your event, use the drop down menu to select your time and click ‘done’ to add.


ATDW Event Listing Guidelines To select the ending date, specify whether it finishes on the same day or on a specific date if you event runs over multiple days. Insert the date by clicking the date box and use the calendar and select ‘apply’.

If your event has various starting/finishing times, you can modify the times on specific dates on the next calendar section below. To alter the time for a specific date, simply click on the date of the calendar you wish to modify and use the time selector to make those changes or add additional times. Click ‘apply’ to save the changes.

 Helpful if you have multiple sessions

If you have made a mistake you can click the “X” on the time slot to remove it, or simply use the drop down boxes to change the times to the correct one. IF you have made a mistake on all items and need to start again, click the link above the calendar to ‘clear calendar’ & ‘confirm’. You will then have to start entering the changes again.


ATDW Event Listing Guidelines Regular Events When you have selected a ‘regular event’, you will be required to select the starting date by using the calendar menu. Use the arrows to move through the calendar to find your dates and select the date.

To specify the starting and finishing times of your event, click in the ‘from’ or ‘to’ box open the drop down menu to select your time. Click ‘done’ to add the time.

To specify the end date of your event select either one year from now, or on a specific date. Select your end date – whether it ends on the ‘same day’ or on a ‘specific date’. Once again, select the date using the calendar and apply.


ATDW Event Listing Guidelines Move to ‘Repeats’ and choose from ‘Weekly’ or ‘Monthly’. Then move to the ‘Every’ field and select whether that pattern occurs every 1, 2, 3 or 4 weeks/months. Add quarterly events by choosing ‘Monthly’, ‘Every’ 3 Months. Then select the days of the week that apply to the times you’ve added in the ‘From’ and ‘To’ fields. Click ‘apply’

ATDW Event Listing Guidelines 8. Confirmed Event

If everything is confirmed select ‘Yes’. However, if the dates for your event are to be confirmed, or if your event is awaiting licenses or permits to be approved, select 'No'. Once you know your event is confirmed, log back in to update this section.

9. Photos To add images to your event post, click ‘click to upload’ and use your browser to select your image/s. ATDW have specific requirements when using images:     

 

Include a high resolution image of at least 2048 x 1536px which is no greater than 10MB and in a landscape orientation Use either jpeg or png file formats. Other files may be rejected. 1-10 photos will be accepted Do not include images which are, portrait orientated, posters, brochures, logos, or photos with text overlayed as they will not be approved Alternative Text (ALT TEXT) is required. Simply write a very brief description of the photo. This assists with Search Engine Optimisation (SEO) and benefits the visually impaired. Add captions to your photos to add more detail Include any copyright details and credit the photographer or artist if necessary.


ATDW Event Listing Guidelines SENDING FOR REVIEW Once you are happy with your listing, you can view a summary of your listing by clicking the ‘Summary’ button at the top of the form. Use this function to have an overview to check all your details have been entered and are correct. Be sure to double check your entry to ensure your information is accurate and correct. We recommend getting another person to proof read over your entry to pick up on any mistakes. To edit information, simply click the ‘pencil icon’ on the relevant box to take you back to the page to edit. If you need to enter missing information simply click the ‘+ icon’ on the relevant boxes to be taken back to the required section.

When you have filled out all mandatory steps you will be able to click the ‘send for review’ button at the top right hand corner of the page.

LISTING APPROVAL & REJECTIONS Once you have submitted your listing or updates, the ATDW team will review your listing. Approvals may take up to 5 business days. You will get an automated email when your listing has been approved. Please allow up to 24 hours for your listing to be published on visitwagga.com from the time you receive your approval email. Your listing may also be ‘rejected’ if does not meet the ATDW national standards. ATDW reserve the right to reject any listing if it is technically unsuitable, offensive, defamatory, contains sexually explicit content, or depicts illegal practices You may receive a rejection email with instructions for you to amend your listing and resubmit it. Return to your listing dashboard, make the changes then click Send for Review. Alternately a rejection email may advise that your listing is unsuitable for a tourism database.


ATDW Event Listing Guidelines ENHANCING YOUR LISTING You may wish add more information than the required items above. Adding additional information will enhance your listing further. However, these are not required fields. Videos

You can include a maximum of 10 different good quality videos. To upload your video, you must link your video from either YouTube or Vimeo. Be sure to keep your videos 30-90 seconds in length and do not include advertisements. When uploading videos, they need be uploaded from business accounts. Once uploaded, drag and drop your videos to order them. The video displaying the star will be your primary video. Internet access You can specify whether your event has internet access. Select they type of access options apply, or leave blank if you do not have this available. Facilities Select the facilities available to your customers. It is important customers know what is provided or what they need to bring. These facilities must be situated within the confines of your business or event.

Accessibility Specify how accessible your event is for someone with a wheelchair or vision impairment. This information is important to your visitors so they can plan ahead and make decisions. A series of accessibility options will be available to select from. Accreditations & Memberships If this applies to your event, select from the A-Z list of associated and accredited groups and organisations.

Social Accounts Listing your social media accounts will help customers connect with your business and event page by engaging in conversations and sharing your accounts. Simply select the accounts you wish to connect (such as Facebook, Instagram, YouTube, and so on) and insert the web address or link.
