These two weeks blurred together for me. The new pope was announced so the paper was up in the air. Vocations ads were coming due and alot of requests came in for us (me) to design them at the last minute. The PST magazine was also due. What is a Benedictine monk? 25 hours -- 275 TOTAL
My final week was spent mainly finishing the following instruction manual, miscellaneous ads (see opposite page) and making sure any files others needed to access were in the correct spot. On my last day I was also able to create some speculation ads for an ad rep. (see pg 20). I worked a total of 275 hours for OSV. I also got a sweet surprise from my coworkers, each one of them commented on my internship and wished me well. Hey Ruth – it’s been fun getting to know you and you’ve done an amazing job! Thanks much for everything and good luck for the future. - Donna Ruth – It has been a pleasure working with you over the last few months! Thank you for being so accommodating and helpful. Creating ads in Adforce You will need to create Ads like classifieds and fillers while you are laying out the paper. • To create the new ad use z1 • To edit the ad double click its number in the runsheet to Edit (it will automatically be the very last ad) OR double-click the ad on the page
An Edit window should open when you double click on an ad number. This will be how you ad fillers and manipulate ad sizes and numbers. Below the options you will use: General • Name the Ad (i.e. Class, or filler) • The Ad number (comes later) Placement • A full page will be 5 columns by 10 inches

From comparing your Ad force layout and the issue plan you will know which pages are ad pages (non ad pages crossed out here). The naming convention for pages is “year, month, day, page number, one word description (as found in issue plan). For instance, 130102_2_openers (with the exception of PHILPA, which must be OSVPHILPA130102. Make sure you choose the corresponding layout for a page. They are fairly self explanatory. For any Misc. pages, News is the “default.” And full page ads, classifieds, and back covers are Ad pages.
The first things to do on each page are; • Number the page correctly. Right click on the page number, select “Numbering & Section Options” and enter the correct start number in the “start page numbering at”
• Edit date on master page(s) In the master page section, type in the date (Month day, year, i.e. March 5, 2013 • Ad only pages have 3 layers, Classifieds, Retreats, and a blank layer. You’ll need to delete layers you don’t need, and make sure the one you use is visible

Preflighting As ads come in throughout the week you will need to preflight them to make sure that they are ready to run in the paper. Certain ads will not require any changes, most will require small tweaks, and a few will need to be rebuilt completely. Other ads will be pulled from other issues with changes needed, and in some cases you’ll need to build an ad from nothing.
PDFs Use Adobe Acrobat Pro and Pit Stop to examine PDFs. • Open a PDF ad with Adobe Acrobat Pro, and open pitstop by clicking any of the Pit Stop tools.

☐ Crop, bleed, and print Marks Start off by making sure you can see the whole image (z0 or view/zoom/fit page). If there are crop or printers marks on the ad, you’ll need to remove them, and crop the ad. Start off by turning on your rulers (zr or view/rulers). Then dragging from the rulers, mark the crops. You can now get rid of the crop marks using your pit stop selection tool to select the marks, and delete them using the delete key. Using your the crop tool you can use the ruler lines you made to make a perfect crop. Save the PDF, close, and reopen before making more changes. Pit Stop Selection Tool Crop Tool

☐☐ Ad Size Once you have removed any crop marks and saved, closed, and reopened the PDF, you need to make sure the ad is the correct size. When you received the ad you should have received information about the size, or you can compare the size to your sheet, and confirm it when you send the ad back. To see the dimensions of the Ad, hover in lower left hand corner.
Running the ad through pit stop’s PDF profile (the purple check mark icon) will tell you about any obvious problems in the ad, such as color, size and layers issues. Use the CMYK Action list setting and press the run button to get a dialog window alerting you to certain problems. You will only need to worry about “Errors.”

☐☐ Image Color Ads should all be in CMYK color space. Here a color error is showing, and is highlighted in the document. The most effective way of dealing with elements that are not CMYK is to use the “touch up object” tool, select the element and choose “edit object” which will open the object in Photoshop where you can change the image mode to CMYK. Save and close the image and Photoshop, and make sure it has changed in your PDF. You can also check the color, size, and dimensions of objects, images and text with the “Enfocus Inspector” in Pit Stop (purple magnifying glass). Simply open it and use your Pit Stop Selection Tool to select images to view (see page 36 for images). “Touch up object” tool 50 Preflighting / PDFs
☐☐ Overprint Colors Blacks are usually the culprit here. You will need to make sure there are no four color blacks in the ad by going to Advanced/Print Production/Output Preview and checking “Total area coverage” and put in 302% This will highlight any problem areas. These are especially problematic if they are under text, or spread over large areas. You can edit images as in the step before and edit the blacks in Photoshop via Adjustments/Chanel Mixer and tone down the blacks.

☐☐ Image sizes You can check the size, color, and dimensions of objects, images and text with the “Enfocus Inspector” in Pit Stop (purple magnifying glass). Simply open it and use your Pit Stop Selection Tool to select images to view. While the ideal for images is 300dpi, you can get away with as low as 150dpi for small images in the newspaper. Advise the Ad rep if the image is much below 200dpi in case there was an error. Sometimes you can adjust the image size for a more favorable dpi in Photoshop.

☐☐ Fonts You will need to make sure that all the fonts in the document are embedded, as well as a readable size and color. You can view these properties in the Enfocus Inspector. Under the font tab, click the button next to the font name and you’ll see if the fonts are embedded, you can also see the size of the font. To look at the color switch to the color tab on the far left.

☐☐ Layers and Transparent Objects This problem will come up when you run the ad through pit stop’s PDF profile. To flatten the PDF you’ll need to save it as an “.eps” file, delete the original PDF and then run it through Adobe Distiller under the “PDF/X-1a:2001” setting.

Occasionally an ad will come in a .jpg format. In this case open the ad in Photoshop and determine approximately what size the font is, what color space the ad is in, and what the resolution is. From there you can save the item as a PDF.

Classifieds & Retreats
When you originally set up the Classifieds page you will have deleted all layers except the classifieds. You will receive an email from a copy editor that the classifieds are ready, along with any special instructions. You will then go back into K4 and replace the dummy text with the text that has been provided. The file will be located in your K4 menu. • Delete excess layers • Delete placeholder box • Select the class text file, hit the “place” icon (This will put it in K4 attachments) • A pop up window will ask if you want the item placed with or without geometry, just hit “ok” without changing anything

• In your “K4 attachments” tab you will see the file, and the text with a stack of “coins” next to it, Drag and drop that file into your file
The classifieds will now look something like this • To edit the type you will need to double click on the text file in your OSV current issue window (the file you placed earlier) • Red text is optional, you can remove as much as needed to make all the text fit. Begin with books, then events, and only cut vocations as a last resort • Once all the text fits, make all the red text black 56 Classifieds / & Retreats
• When you are finished the Classifieds will look something like this. The blue screens behind the text are special instructions, it is a box colored “CYAN” at 30% opacity behind the text

When you close the window to finish the first window will be for the text, • Select an editor to work on this task later • The next window will be for the page, and you can close it without changes since it should already be set to you for revisions. • Email that editor back letting them know they can take a look at the text
Retreats, shrines, and basilicas are similar to Classifieds in that
they have their own layer, and you will import the text the same way. However retreats usually run more than one page, and you will need to decide on a two color scheme for them, a shade and a tint. You will also need to edit the “NASPA” logo to match your color scheme. If you don’t have enough space for the text, there is an alternate headline in the layer that can be used.

Placing Ads Final Overlay
This is the last leg of the ads for the paper, you will get a Logsheet from Amanda M and she will email you all of the preflighted ads that you will need for the paper. There will also be old ads on the logsheet that you will need to pull from old issues. You will collect all the ads and link these ads to your logsheet so that you can overlay them on their InDesign pages.
Gathering Ads
• In the issue folder create a folder called “PDF” this is where you will deposit all of the PDFs to link with your AdForce document.
Above is a sample runsheet, here are the important columns: • P/U or new - this column will tell you where the ad is if you are pulling it • Advertiser - this is what you name the folder for the ad • Insertion Number - this is what you name the PDF of the ad, you must however ad zeros in front of it to make it an 8 digit code. For example, 98955 becomes 00098955, 101599 becomes 00101599 Placing Ads / Gathering Ads

Starting on line 1; this is a new ad, and will have been emailed to you, • Open the PDF in acrobat, and run it through Advanced/PDF Optimizer This will ensure that the file will work smoothly with K4 • Save as “insertion number” in Design/Advertising/ads to design/issue date/ folder with advertiser name. • Copy and paste that PDF into the PDF folder in the issue.

Line 2 is a new house ad, meaning it may be in one of several places. • Start by looking at the description, if it is a book it will most likely be in Design/Clients/MKT Books in a folder titled by Job #

Pub Variations Ads for PST, TCA, and MDV
Along with the OSV Newsweekly, you will be placing the ads for three other publications. The Priest (PST) a monthly publication, The Catholic Answer (TCA) A bimonthly publication, and My Daily Visitor, a monthly publication. The process for Ad layout with PST and TCA is very similar to the OSV Newsweekly. You will lay out the ads for these publications using a runsheet, place the dummy ads, and finally preflight, gather and place the final versions. The exception is MDV; you will not use AdForce since there are typically only a few ads, you will place these manually. The variations from the OSV Newsweekly Workflow are; • • • • •

To check if the bleed is correct when preflighting a full page TCA or PST ad, set up a document with the above dimensions, and place the PDF to check the bleed. All of the text should sit in the “Live area” and anything that bleeds off the page should make it to the bleed line. When placing the ads with Adforce you’ll need to manually adjust the full page ads. Extend the image borders to the trim line, center the image, and then extend out to the bleed line. It will take around an hour to place PST ads.

There are file structures that are shared by the design and other departments. These files are set up to be as organized as possible. There are also specific naming conventions so that everyone knows what certain things are, and where they are kept. For instance an OSV Newsweekly folder is OSVyearMONTHday Here are examples of some other files that you may be working with and creating. On the DESIGN Server: • ADS - these are old publication folders containing all of the archived ads (files older than a year are stored on discs) • ADVERTISING/ADS TO DESIGN - this is where current publication folders are stored until they are run, after which they can be moved to ADS • CLIENTS/ADVERTISING - this folder is where all of the ads that are created by OSV for vendors are stored. The naming conventions for these files are ADyearMONTH0001_file description, with the last number counting up in order until a new month. The file contained is the same without the description • CLIENTS/DESIGNERS - This is where you can place files that other designers need to access, or where they can place files for you to access • CLIENTS/BKS - this is where OSV book ads are kept the numbers are assigned to the jobs by advertising. • CLIENTS/PER - this is where OSV periodical ads are kept the numbers are assigned to the jobs by advertising. • LOGOS_SIG/LOGOS - If you need an OSV logo, or a social media logo, you can find and copy them from this folder
