Annual festivals & events Wangaratta Festival of Jazz & Blues The Rural City of Wangaratta proudly wears the badge of ‘Australia’s Capital of Jazz’ due to the incredibly successful Wangaratta Festival of Jazz & Blues held every year in November. The event was conceived in 1989 by a group of local business people who wanted to establish a significant event for the town that would provide a unique point of difference and attract visitors to the region. Launched in 1990, the now famous festival is one of Australia’s biggest regional music events, and has been acclaimed by fans, musicians and critics as Australia’s premier jazz festival. The festival is recognised in Tourism Victoria’s Hall of Fame, having won the Victorian Tourism Award for regional events three times, and the Australian Tourism Award in 1999 for Regional Festivals & Events. The festival now incorporates a strong blues program and lovers of blues style music have their own marquee on the banks of the Ovens River. The Festival’s annual program features more than 80 events held at venues ranging from the renowned Wangaratta Performing Arts Centre, the magnificent Holy Trinity Cathedral to marquees, pubs and wineries in nearby Milawa, Oxley and Taminick.

Event Planners Checklist Identify possible dates When defining the date for your conference it is advisable to have several possible dates in mind. The location of your choice might not be available on your preferred date so you may need to select another date. Avoid dates that fall on public holidays, check availability around major events held in Wangaratta and surrounding region. The Wangaratta Visitor Information Centre and online event calendars provide good sources of information for this purpose. Visit the Wangaratta Visitor Information Centre website to check the events calendar at: www.visitwangaratta.com.au. Or email the team at businessevents@wangaratta.vic.gov.au. Create a budget Budgeting is a crucial part of the event planning process. Identify if you need to utilise the skills of an event planner and if so provide them with a financial limit. It should be specific, and include revenues (sponsorship, ticket sales) as well as expenses (printing, location, food, supplies, security). To make sure you don’t forget any items, compare it with your conference checklist. Venue Search Develop an event brief. What does the venue need to deliver? Items to think about include: Catering requirements during the day and in the evening Accommodation requirements including pre and post event Room set up requirements
Audio-visual requirements Exhibitor requirements
Once the event brief has been established you can begin to source quotes from potential venues. The more information you provide the better as it enables venues to form an accurate quotation. Have you put in place a contingency plan for the venue in case of such situations as inclement weather or low attendance? Contact the Business Events and Tourism Department for advice on venues to match your requirements: businessevents@wangaratta.vic.gov.au Venue Inspection There is no substitute for conducting a site inspection in person to see a venue first hand. Note accommodation in close proximity to the venue to avoid transportation and parking issues. It is also a good idea to have the decision maker for your event present to ensure they are happy with the layout, facilities and services on offer. Contact the Visitor Information Centre for a guided site inspection: businessevents@wangaratta.vic.gov.au Road Closures Does your event require road closures or traffic management? When managing traffic consider car parking, entry and exit points, signage, disabled parking, VIP parking, pedestrian access, marshals, lighting and the promotion of alternative transport.
If your event requires road closures you will need to seek approval from the Rural City of Wangaratta and / or VicRoads as well as engaging a traffic management professional. Depending on your closure you may need to notify Emergency Services, Department of Infrastructure, VicRoads, local businesses and other effected parties. To ascertain what process are required to undertake road closures and traffic management, contact the Rural City of Wangaratta: businessevents@wangaratta.vic.gov.au Permits Does your event involve using public spaces? Will you require any Permits or Licenses? Depending on your event and its location, permits / licenses may be required. Remember to allow at least 3 months when applying for licenses and permits. Permits to consider include: Food permits
Building permits for temporary structures Itinerant Trade & local law permits Liquor licensing Noise regulations Approval for using public spaces.
To ascertain what permits you may require, contact the Rural City of Wangaratta: businessevents@wangaratta.vic.gov.au Insurance Is your event covered by the appropriate Insurance? Insurance requirements to consider include Public Liability, Theft or Damage, suppliers, staff or volunteers. All public events are required to submit a Public Liability Certificate of Currency for at least $10 million to the Rural City of Wangaratta. To ascertain what insurance you may require for your conference or event, contact the Rural City of Wangaratta Events Coordinator: businessevents@wangaratta.vic.gov.au Agenda and Speakers Besides networking, topics and speakers are the main reasons to attend a conference. It is important for the success of your conference to organize well-known speakers at an early stage.
