Fall Foliage Festival 2010 Saturday, October 16 and Sunday, October 17 Canadian, Texas Dear Vendor/Crafter, Our annual Fall Foliage Festival and Arts & Crafts Show will be October 16 and 17, 2010. The Arts & Crafts Show is an important feature of our Festival and we would enjoy your participation. We advertise the show throughout the tri-state region as part of our Festival promotion. The number of visitors to Canadian for Fall Foliage continues to grow. Interest in the show remains strong. Because of the success of the last years’ shows, we have quite a few new vendors requesting space. Most of our shoppers are repeat customers, so new and unique items are necessary to attract these buyers. We prefer handcrafted items, but do allow some high quality commercial vendors. The reservations of the booth spaces will be made ONLY after payment is received. If you don’t receive the specific booth that you request, it could be I have chosen a better location. I will always do my best to accommodate you. If you have any questions, please call me. Last year was a good year for the vendors and I enjoyed meeting everyone. Fall Foliage Festival and Arts & Crafts Show Rules and Regulations 2010 SHOW TIMES: Saturday, October 16 from 10:00 am – 6:00 pm and Sunday, October 17, from 11:00 am to 4:00 pm. LOCATION: Canadian Elementary School – 500 Dogwood, Canadian, Texas. ENTRY DEADLINE: Entry deadline is Monday, October 4 at 5:00 pm or until space is filled. We will send a receipt of entry and booth space assignments as we receive them. If you do not receive this by October 11, please call. Late entries will be accepted if space is available. FIRST AND FOREMOST: Please respect the Canadian Elementary School for allowing us to use their facility. If we mistreat their school, we will not be allowed to use their facility. The school is on federal property. Canadian Elementary School has requested there be NO SMOKING in the school building or on the school grounds. This includes the parking lot. You may smoke on the public street and your cigarette butts must NOT be discarded on the ground. **ABSOLUTELY NO GENERATORS WILL BE ALLOWED. ALSO, AS IN YEARS PAST, NO VENDOR/CONCESSION TRAILERS WILL BE ALLOWED DUE TO THE LACK OF SPACE. SET UP & TAKE DOWN TIMES: Friday, October 15 from 6:00 – 9:00 pm and Saturday, October 16 from 7:00 – 9:30 am. Show starts at 10:00 am. NO EARLY SET UPS. NO EXCEPTIONS. We cannot make exceptions to this rule, as we are not allowed access to the school until 4:00 pm to mark booth spaces. PLEASE ALLOW SCHOOL TO COMPLETELY DISMISS BEFORE YOU PARK IN THE SCHOOL LOT OR ALONG THE SCHOOL CURBSIDE. This means no parking before 4:00 pm and set up is at 6:00 pm. The school building will lock at 9:00 pm SHARP on Friday night. If your set up is not complete by then, you can finish it on Saturday morning. We do ask that everyone be completed with their booth set up by 9:30 am Saturday morning. It is very important to us that our Sunday visitors enjoy their experience. We expect all vendors to remain “open” until 4:00 pm Sunday afternoon. Closing or dismantling your booth before that time is unfair to the shoppers and other crafters. Please plan to stay the entire time. If not, please realize that closing early will be grounds to refuse entry to our subsequent arts and crafts fairs. The school building will be locked at 6:30 pm on Sunday evening. You must have your booth packed up and out of the building by 6:30 pm so that the school janitors can clean the school before it resumes on Monday. BOOTH RENTAL: $100.00 for 8’ x 10’ indoor space. Outdoor booths - $75.00 for 10’ x 20’ space. TWO BOOTH LIMIT PER CRAFTER. Not all spaces are exactly the same size and layout. 6’ TABLES will be available at $5 each for INDOOR BOOTHS ONLY. ELECTRICAL OUTLETS will be $10 each and are available for indoor booths only. You must bring your own extension cords. Electricity is available only in marked booths. (Marked on map with an “E”) No cords will be allowed across aisles. If you do not need electricity, please choose a space that does not have electricity available to it in order to reserve those spaces for others. There is NO electricity outside. We CANNOT rent tables and chairs for outside booth use.
Spaces will only be reserved with payment in full. Please be sure to make a 1st, 2nd and 3rd location selection. We will try to honor your requests for specific spaces on a first come, first served basis. WE RESERVE THE RIGHT TO REARRANGE IF NECESSARY. PLEASE RESPECT THE BOOTH SPACE MARKINGS ON THE FLOOR AND YOUR NEIGHBOR’S SPACE. WE RESERVE THE RIGHT TO DENY BOOTH SPACE TO ANYONE! No refunds for cancellations will be given after October 4, 2010 except in extreme circumstances. HAND CRAFTED ITEMS PREFERRED: Handcrafted items will be in the cafeteria of the building and the manufactured items will be in the gym. We have been getting so many handcrafted items that there is some spill-over into the gym. The manufactured items are very unique and don’t seem to interfere with handcrafted sales. Manufactured items in conjunction with your handmade items may be sold at our discretion. However, we do require that each vendor have an inventory in their booth ready to sale. There will not be any “catalog only” booths allowed. Please include this information with your booth description and photo; otherwise, you may be asked to remove them. Vendors with commercially produced craft show type items are welcome. To insure that you are able to secure a preferred location, please register ASAP. PHOTO & DESCRIPTION: ALL entries must have photos and a complete description of all items that you will be selling, even if you have been in the show before. FOOD: Gift food items are acceptable. All food items must be in sealed packages. No food preparation on premises allowed. Sample items may be given away for tasting, however not in liquid form (NO coffees, soups, drinks, etc.) Craft booths may not be used for foods designed for consumption on the premises. Again, we must have a list, photo and description with your entry form. Outside booths may have food preparations. However, remember NO generators will be allowed. NO DUCT TAPE (OR ANY KIND OF TAPE) ON FLOORS, WALLS, WINDOWS OR DOOR FRAMES. PARKING: PLEASE DO NOT PARK LONG-TERM IN THE CIRCLE DRIVE or the parking lot. The parking lot is for your customers. If you park there, you will be asked to move your vehicle and trailer. You can park on the side streets or in the football stadium. Replenishing your booth from your car will have to be done from the side streets. We have been having so many buyers attending this venue that the parking lot has to be cleared of vendor’s cars to accommodate them. If they can’t park, they won’t come in and buy. Also, please remember that there is NO EARLY PARKING in the elementary school lot or along the school curbside before 4:00 pm on Friday, October 15. **Disregard of rules or event organizers will result in immediate ejection from this and future events and forfeiture of fees.
