Harcourts Property Management Working From Home Over the next week we may be directed by our State Government or Health Authorities that we all have to self-isolate for a period of time. This action has not been taken however here is a checklist should this occur: ☐

Ensure that key people in your business have laptops.

Have your IT people complete any updates for teams to access data remotely.

Have a communication piece ready to send out to owners and tenants on how they can contact you directly.

Can you process rents, pay creditors and pay owners remotely? If you cannot, you may need to nominate one person to access the office and systems to be able to do this on a regular basis.

Inform tenants who are still intending to vacate to leave the keys in the property, and any final inspection will be done after isolation period is over. This may impact the timely return of their bonds.

New tenants who still wish to move into a property and are able, leave keys for them in the letter box or in a key safe at the property.

If all your team members have laptops, update Skype, Skype for Business or Zoom.

If you are not paperless only authorize essential files to be removed and ensure that you record exit and return of each file. Do not have sensitive information leave the office.

Make a time to connect with the team at least 3 times a day.

Create a list of tasks that need to be done that is checked off every day.

Assume normal working hours at home.

Keep Skype or Zoom running continuously so that you are connected.

Ensure that all teams have mobile phones that can be used.

Connect with trades who will do emergency maintenance during this time.

Discuss who the office line will be diverted to and how will calls be managed.
