Planning your visit F Request pre-visit form and other information from school(s) and discuss any particular issues regarding singing/worship activities, taking photos, pupils’ special needs etc F Plan content of visit (which zones/how many/length of each session/choice of activities) F Begin to organise extra resources needed for each zone
Training
F Organise training with DCO/Schools & Colleges team if possible (this could be done a few months before the visit, or a week or two before the visit if preferred)
Resources F Complete resources list indicating items you need and send to Schools & Colleges Unit/DHQ F Order pupil resources (at least two weeks before visit, if possible)
Risk assessment and insurance, safe and sound F Complete risk assessment form (see Safe & Sound Manual) F Exchange copies of insurance policies, F Talk to teachers about Safe and Sound policy/risk assessment prior to visit

Stage 3 Setting up for the visit F F F F
Organise pupil books and other pupil resources, ready to be handed out If possible arrange name labels for pupils, to be distributed on arrival Set up resources in the hall Make sure multimedia equipment is working!
The visit F Before the visit - meet with your team to share risk assessment information, talk through the timetable and share prayer for pupils, teachers and leaders F After the visit - complete evaluation forms with your team (very important!) as soon after each visit as possible
Stage 4 Following up your Ultimate Church Visit F F F F F
Organise a coffee morning/open day/celebration event for pupils and families Send follow-up letter to school(s) Tell us how it went! Collect feedback forms from school(s) Send copies of teacher and pupil feedback forms and your own evaluation forms to the Schools & Colleges Unit.
