Mixing business and pleasure Work/Play corporate conventions on the rise By Jenny Peterson
C
harleston has elevated itself from simply an event location to a true multievent destination. The city now ranks as the No. 1 U.S. City and the Top World Travel Destination by Conde Nast Traveler, Readers Choice and was designated as the No. 1 Best City in North America by Travel & Leisure in 2013. Companies are now taking advantage of the charm and offerings of the Lowcountry metropolis by extending their employee conventions to create all-in-one, work/play weeklong getaways. At Wild Dunes Resort, Jillian Thompson sees the change. As the resort’s conference services manager, Thompson coordinates these

week-long retreats, and said the trend for all-inclusive, incentivebased trips continues to grow. “People are always looking for a new feel, a new experience,” Thompson said. “They’ll be in regular meetings all day, and then there will be a corporate event or golf tournament the next day.” Thompson said with many di-

rect flights into the Charleston airport, the city has become a popular destination for companies looking to mix business and pleasure. “It’s an all-in-one experience. It takes the business side and the pleasure side and combines them. A lot more conventions are going allinclusive. It’s nice to mix leisure time with business.”
Many companies extended these trips to include spouses and kids, providing overnight accommodations. When the employees are in meetings, there are tours and activities set up for the families. Thompson said the Wild Dunes event staff can set up games for children, yoga and volleyball on the beach, and even large planned events. The resort can provide suggestions for guests on what to do on their own, but also has structured agendas available. “Some have us set up spouses and family members for outings during the day while employees are at a meeting,” she said. Thompson said she works within a company’s budget to give the

executives, employees and their family members an unforgettable experience in the Lowcountry.
Keep it local
Thompson said Wild Dunes can bring the Charleston experience right to the convention attendees with in-house events. After the day meetings are over, many employees just want to relax with one another. Thompson said she’s sure to include popular Charleston activities on the agenda, like an oyster roast or Lowcountry boil right along the beach. She will even arrange for a bluegrass band to play, if requested. Other touches include a gift basket with Charleston-specific treats that welcome convention attendees.

ing any activity materials or supplies, and even coordinating food. “I’ve done flag football tournaments, golf tournaments – it’s all based on the client’s needs and objectives,” he said. “I always give them a few different options on ideas, organize it, and then all they have to do is show up.”

Dressing for all seasons How to stay cool and correct By Licia Jackson
W
hether you’re dressing for work or a social event in Charleston, you want to think cool – dressing comfortably for warm temperatures. While it can get downright chilly in January here, much of the rest of the year has two kinds of weather: warm or hot. In fact, you know how in some other parts of South Carolina, people actually change their closets from winter clothes to summer clothes and back twice a year? Well, you won’t be doing that here. You need to keep those lightweight fabrics handy all year, as it’s not at all unexpected to have an 80-degree day in November or February. But when we say you need to

gray. Or build your wardrobe around snappy navy and white. Think layers. Wear a sleeveless blouse or dress, but add a jacket or cardigan for polish. A lightweight, dressy sweater that coordinates with your whole wardrobe is a useful choice. Dresses should be a light but wrinkle-resistant fabric. Tan heels are your friend in warm weather. Dressy sandals are also acceptable, but make sure to keep your toenails manicured if they will show. Follow the lead of female supervisors on whether to skip the pantyhose.
And some DON’TS for warm weather business occasions: • Don’t wear sunglasses on your head. It sends the message that you’re about to run out the door at any moment. • For men: No short-sleeve dress shirts – and never wear them with a tie. • For women: No spaghetti straps or strapless tops. • Don’t wear loud prints, or dress head to toe in bright colors. • If you’re not sure if a garment is appropriate, it’s probably a don’t.
And one last DO:
Remember that an important meeting can take place at a moment’s notice. Keep a tailored blazer handy to layer over a more casual shirt or blouse.
And one more thing:
Like most subtropical climates, Charleston’s weather can change quickly. Be prepared for a sudden shower, stiff wind or drop in temperature.

Food for thought
Picking the right food options for your event By Jenny Peterson
W
hether it’s a formal sit-down dinner, a conference lunch or simply catching a bite at a networking event, there’s an appropriate food option that can complement any event. Jessica Smithson, the catering sales manager/wedding specialist at the Charleston Place Hotel, has spotted several trends. She said many food providers are opting for different food offerings according to the needs of the event, while making the meal an important event unto itself, whether it’s breakfast, lunch, or dinner. “Dinner menus vary, but group events with fun and creative food stations are definitely becoming more and more popular,” Smithson said. “For corporate meetings, people love all-day break packages, which begin with continental breakfasts and transition to include all-day beverage service and usually an afternoon snack break.” Lunch buffets are a popular option, as they offer a wide variety from which guests can choose, Smithson said. “Especially popular is a deli buffet where guests can choose a salad or two, make their own sandwich and enjoy a nice dessert,” she said. For events that include networking, passes of appetizers are the best option, so people don’t have to go to
a food service area while connecting with others. “Small, non-greasy bites that are easy to eat while having a beverage in one hand are best,” Smithson said. “Reception stations are (also) conducive to network-style events where the companies may want the guests to continue interacting with each other.” A seated dinner is ideal for more formal events where everyone needs to pay attention to a planned presentation or awards ceremony. If you want to break up the seating format, offer dessert in a buffet style so people can mingle after their meal. Be sure to note that some in the audience may have food allergies that will need to be addressed when planning for a seated meal. With a buffet station, they can just skip the dishes that would be a problem for them. Jillian Thompson, conference services manager at Wild Dunes, said that for outdoor events, buffet and reception-style stations work best. “You don’t want to have planned, seated meals for anything outside because you don’t have a kitchen outside,” she said. For events that include an activity, such as a golf tournament or an outing for employees, boxed lunches are an excellent choice to keep people moving.

It’s easy to incorporate Charleston Lowcountry cuisine into the food menu for an event. The most famous of the Charleston dishes, shrimp and grits, is a mainstay on most event menus. “People always want shrimp and grits,” Thompson said. At the Charleston Place Hotel, the two most popular “Southern” dishes are shrimp and grits and Carolina crab cakes, Smithson said. She said a popular new favorite is their gourmet lobster mac-andcheese, usually served at a station. More easy Southern dishes include short ribs and a variety of fresh, local vegetables. Just remember to think about the time of year for what’s the freshest option for fruits and vegetables.
Stay within a budget Sit-down meals generally cost more because you are paying for the additional labor costs for the event’s service staff, said Steve Baller, an event planner with Event Charleston. If holding an event offsite, it helps to work with a planner who knows what vendors can offer, often at discounted prices, while still maintaining a
high quality. Baller said he frequently comes up with ways to save money on food costs, which can solidify a valuable partnership between vendor and client. “If you’re bringing a group of people into a restaurant, for example, and you can show them that there will be 80 new faces experiencing the food, then (for the restaurant) that’s 80 new potential clients,” he said.

T
here’s nothing worse than putting months into preparing for an audio/ visual presentation only to have a technical malfunction while on stage, said Jeff Nickles, president of Production Design Associates in North Charleston. “More often than not, the audiovisual details of an event get overlooked in the planning process,” Nickles said. “Lighting, staging, sound and video projection can make or break an event, especially when trying to engage a large crowd.” Nickles said in order to make sure there are no unexpected surprises, always rehearse the presentation in the exact location’s space and with the exact equipment that will be used on presentation day. Nickles, who has worked on events for 35 years, said you should never leave anything to chance: Al-

ways test equipment, microphones and computers and always put new batteries into every device before a big presentation. “You have to prepare for anything that can go wrong in the show,” he said. Newly unforeseen problems can

Maybe the Wi-Fi worked great during your test in an empty room, but now with all the attendees in the lobby or breakout rooms using their wireless devices, the area’s Wi-Fi bandwidth has been eaten up. Check the bandwidth on your devices and have the option to be hardwired to the Internet.”

planning checklist Before the event o Determine event goals and objectives. This is especially important with client events and sales meetings, as it will help you keep on track. o Identify possible dates for the meeting. Thinking ahead and checking with others on possible conflicts can limit the inconvenience for all parties. o Prepare a preliminary agenda and guest list to help set the criteria for the venue. o Prepare a preliminary budget. Unless you manage your corporate event closely, the budget can grow unexpectedly. o Send meeting requirements to selected sites with requests for written proposals. Communication is a huge key to your event’s success. Strive for clear communication with attendees, sponsors, vendors and the venue representative.

Use your leverage to get the best out of your vendors. Explain that the event’s audience is invaluable to their business. “Here is what I am bringing you.”
o Conduct site visits as required. This is important when you’re using the facility for the first time. o Negotiate hotel rates and blocks. If you use hotel meeting rooms for the event, you could get a significant discount on sleeping rooms. o Determine preliminary food and beverage requirements and negotiate menus and prices. o Add any deadlines and other requirements to the timetable. When you choose the menu, look for crowd-pleasing choices. Consider allergies and the need for a vegetarian option.

60 to 90 days before the event
The day of the event
o Form committees as required. Organizations that have regular events should consider forming standing committees that meet regularly. o Develop a promotional strategy. o Do some public relations for the event. Calendar notices, press releases and interviews may all be appropriate. o For nonprofit or charity events, line up sponsors. o If you are charging admission to the event, establish registration fee structures and policies, and be sure to include clear cancellation policies. o Invite and confirm key speakers. This includes people within your organization. o Obtain audiovisual needs from speakers and presenters, and order all necessary equipment. o Review, update and confirm final event budget. o Identify and communicate on-site responsibility areas for committees and volunteers. Set up training for volunteers and educate them about your expectations. o Select and order speaker gifts and awards. o Order special decorations for the event. o Prepare and order signs. This is another opportunity to build your brand. o Arrange for travel and housing of all staff and VIPs.
o Have a staff and volunteer meeting to review responsibilities, procedures and overlap areas such as registration. o Confirm and monitor pickup of all rental equipment and supplies.
Immediately afterward o Pack and inventory all material. Many of your collateral materials are reusable — and they’re a big investment. o Do financial reconciliation. Gather the invoices and make sure you have been billed correctly and that you pay in a timely fashion. Watch expense reports for other costs. o Write and mail thank-you letters. o Collect and organize data for final meeting reports. Get evaluations from staff, volunteers and consultants to determine what went right and what needs improving.
Address any problems that need to be handled after the event is over. Take notes for future events if there are things that need to be done differently.

KEEP AN EYE ON THE WEATHER: Lauren Fox of Fox Events was planning an outdoor event and the client did not want to pay for a tent – despite her recommendation. Inclement weather arrived just hours before the event and no tents were available in Charleston. Fox had to call a company in Savannah to bring a tent to Charleston pronto. “You really do need to look at the weather 48 hours in advance,” she said. PREPARE FOR SERIOUS EMERGENCIES: Nicole Garrigan, independent event planner, has encountered her share of emergency situations. The best outcomes come with being prepared, she says. She has a pre-convention meeting with venue staff and pertinent vendors. She establishes a protocol for life-and-death situations: call 9-1-1 first and then call her. For other emergencies, call her first. She recommends having someone on the security team trained in basic first aid and CPR. Anytime you have a large group of people together, anything can happen. But, Garrigan said, if you have emergency plans in place, it won’t be as bad as it could be.

#Hashtag your way to a successful event By Jenny Peterson
W
hen it comes to planning your important event, don’t overlook the power of incorporating social media into your event planning strategy. Social media is a great way to announce your event to literally thousands of people, and setting it all up is free and fast. Even if an event has been held for years, adding a social media component can increase value and get more exposure, whether it’s a festival, conference or other event. Here’s how to use social media hashtags to get the most coverage of an event: 1. Create a hashtag, well before the event. A hashtag is a pound sign (#) before a word or phrase, and is a clickable link to other posts with that same tag. While hashtags are the most popular on social media site Twitter, hashtags work on Facebook and Instagram social media sites as well. Post regularly, using the hashtag to get people informed and excited

about the upcoming event and promote the hashtag phrase to sponsors, exhibitors and attendees. 2. Encourage other people to use the hashtag and connect on social media. If budget allows, make shirts and hang signs with the hashtag in a central location. Encourage
attendees to post their photos or perceptions about the event with the hashtag you created. That will create a buzz about the event and connect all those in attendance. 3. Display the hashtag stream and have fun watching reactions. On a large screen at the event,
have someone use a social media management program such as Visible Tweets, Hootsuite or Snapcastr, which compile and show all photos and tweets that use the hashtags you created for the event on a large screen. Attendees will enjoy seeing their photos large on the screen and it will encourage others to use the hashtag as well. 4. Pay attention to post-event chatter. Monitoring the event’s hashtag after the event can give you insight that you may not be able to get on a regular survey. 5. Drive followers to your website. With all the attention on a company or organization during an event, use the time to direct people to an organization’s professional website to further engage followers and get contact information.

t’s important to have a clear vision of what an organization wants to accomplish with an event in order to leave a solid and lasting impression on those who attend. J. Mitchell Crosby, president and founder of JMC Charleston, said he always makes sure to get the mission of the event when planning. “You need to do your research. What are people trying to achieve?” Crosby said. “What’s important? Find out the client’s mission and turn that into a solution.” Whether it’s an important fundraiser for a nonprofit organization, promotional kickoff or celebratory event, Mitchell said it’s important to think of the whole event when planning. To get new supporters for an organization, plan an extraordinary event that will cause them to remember the event and look forward to being at the next one. With nonprofits and fundraisers, a major part of an event is branding, Crosby said. That can be done either expressly, with logos of the
organization prominently displayed and illuminated on the walls, or subtly, by weaving logos into the room’s decorations. “Branding in lights coordinates all aspect of an event,” Crosby said. Developing a theme for the evening can also reinforce the mission of the event in the minds of the attendees. Event planners should also remember that many vendors are happy to offer discounted services and items for charitable organizations, Crosby said. Work with a planner who knows which vendors can offer discounted services while still maintaining the high quality and value of that service. “Sponsorships can also give organizations a better-quality product,” he said. “It’s about helping them spend money smarter.” Tia Brewer-Footman, co-owner of Footman-Brewer Enterprises LLC, a marketing, consulting, publishing and special events firm, said that one of the most important things is to stay true to the brand and to

the mission. Footman-Brewer Enterprises LLC hosts events geared towards the African American community. She has worked with global ethnic brands, national healthcare organizations, large corporate accounts, local and national businesses to tailor messages, initiatives and programs geared to that specific community. Brewer-Footman’s largest event is the McDonald’s Choir Showcase, held and televised each year from North Charleston. The event celebrated its seventh year in 2014 and featured nine local choirs from churches in the Charleston area – each selected and voted on by the public. This year nearly 17,000 people cast online votes for their favorite and thousands attended the concert. Popular gospel singers are also on the bill, and the event has expanded from a single day to a weekend-long event and experience, held each year on Mother’s Day weekend. The Brewer-Footman brand is farreaching in the community, and corporations often approach her about
putting together an event to get a particular message across to the public. Before supporting a new partnership, Brewer-Footman said she always takes a poll of the community to make sure it’s a good match. “We ask what their desires and goals are. Then we then ask, ‘What does the community need from them?’” Brewer-Footman said. “You have to be an advocate for people who are attending an event. We survey and do polls, and the community shares with us what they want to see. That way, we can partner with a sponsor to bring their particular message to the right target audience.” Her advice is to consider the greater mission of the organization when it comes to the types of partnerships and messages you want to get across. “These events are really community-based – stick to that,” BrewerFootman said. “The success of having community events with a specific audience is that it opens up the opportunity to connect with corporate sponsorships.”

Narrowing down that ideal venue comes down to making it personal for the hosts and guests, said Melissa Barton, a wedding planner and owner of A Charleston Bride.

like to find out the background of how they got engaged, what they like to do together,” said Barton. “Do they like to experience downtown Charleston? Do they like go to Farmer’s Markets? Do they like to be on the water?” Barton said finding out special places in the Lowcountry that speak to a bride and groom’s relationship or their mutual interests adds a special personal touch. For a family reunion or other social function, consider what the people being honored enjoy when picking a venue, she said. Most people want to hold an event in one of Charleston’s many historically significant places, Barton said. “They don’t want just an ‘average’ venue,” she said. Yet, something to keep in mind when choosing a venue is noise limits in the area. Many historic homes in Charleston that are open for events have strict noise limits after 10 or 11 p.m. Many places can have

very limited parking; that’s especially true if it’s a downtown location. Keep a checklist of the pros and cons of each possible venue. Barton works with her clients to determine what their hopes and expectations are for the event, thinking always about the size of the event as well as finding the right style for the specific couple. Choosing a sit-down
meal, a buffet or several strategically placed food stations is an important decision as well; it can help determine which venues work better than others. Another thing to consider is the dance floor. For dance-happy couples and their invitees, some historic homes might not have the large space needed for a crowded dance floor.
• What does the venue provide and what is included in the cost, such as tables, chairs and linens? At some venues you may have to rent those separately. • Can you bring in your own caterer or does the venue have its own exclusive catering service? • What are the delivery and setup times? Some venues have very specific times, and that’s important for a do-it-yourself bride or event organizer. • Does the venue have rules about materials and activities that are allowed at the venue? Many historic properties will have their own restrictions. For example, they may not allow candles or not allow rice (or birdseeds) to be thrown as the bride and groom leave.

No matter what the event, Barton said personalizing it to the people being celebrated makes it more special for them and their guests. And using personal touches throughout the area go a long way to make it both personal and memorable.
