Remember how a company event would seat people at big round tables, serve dinner and put a speaker up on the stage for a night of inspiration? That is so 2019.
More than anything, Covid woke us up to a paradox: video communication is a cost-effective and time-efficient communication alternative to in-person meetings, and in-person relationships are invaluable and can’t be replaced. Today’s events are organized on the back end with more use of video – between vendors and planners, between planners and corporate events departments and between

corporate events departments and corporate decision makers. That planning is all in the service of bringing people together with an urgency that was not entirely appreciated before the population was forced to isolate.
In a study for Cvent, 89% of global event and meeting strategy leaders said in-person events are important or critical to increasing revenue.
As a result, the old cookiecutter conferences, meetings and events no longer pass muster. Say sayanora to the traditional sit-down dinner at round 60-inch tables that confine attendees to conversation with the nine people around them. Say konnichiwa to creativ-
ity, innovation and conventionbusting in events, even the most elegant, traditional and staid affairs.
For example, says Mitchell Crosby, owner of JMC Events, clients are asking for more flexible seating arrangements that include couches, stools and small tables, and long community tables, all of which foster more personal relationships than sitting five feet apart at a round table. Meals are served at food stations offering more options, allowing each guest to design their own bespoke meal.
“It feels more like you’re at someone’s home,” he said.
Big companies want to impress their guests – often their
customers – with creative ideas, says Lawson Robert, executive producer of Lawson Robert Events. He turned your standard hotel ballroom on Kiawah Island into a Casablanca theme complete with giraffes and zebras, “Sam” playing piano and a Bogart look-a-like mingling with the guests of a Fortune 500 company.
“People are just done with the ‘let’s just have a backyard bbq or corporate dinner with round tables and linens,’ ” he said.
Chelsye Harp is done with that too. The owner of Intrigue Designs and Events, Harp agrees that the ante has been raised on corporate gatherings.
That means finding venues that are a little different, including art galleries, pubic gathering places like Marion Square, and historic sites.
“The corporate world wants to keep clients engaged,” she said. “We’re doing so many more custom builds and statement pieces since Covid.”
There is little room for a hybrid arrangement with video in these immersive experiences, says Roberts. “We frankly would discourage it. My work is creative and entertainment and food and bev based. It’s hard to do virtual where you can’t touch, smell, taste,” he said.

rience for remote participants? That future is already here.
Virtual Reality – VR – allows remote participants to experience the visual, aural and tactile elements of an event from anywhere in the world. With an overnighted pair of high-tech goggles, a remote “attendee” can be placed in a digital version of the event environment, interacting through haptic feedback, says Chris Gallagher, owner of Events and Weddings Charleston, whose company produces events and provides a VR experience. “You’re able to ‘hold hands,’ exchange objects and talk to each other in real time,” he said.
VR is another step closer to being there even beyond the video experience, but still short of bodily attendance. It allows individuals who can’t make a conference, meeting or gala to share more of the experience than ever before.
Is that the end of videoconferencing at events? Event planners agree that its value to attendees
who can’t be present is limited to emergencies because it is largely non-participatory. Great-grandma may watch the wedding via Zoom and a famous speaker may address a crowded auditorium on the screen, but otherwise, convention-goers want to go – and network in person.
Video conferencing is making its presence felt on the front end.
Chelsye Harp says she might visit a venue across the country once or twice to arrange logistics, food and beverage choices and other details, instead of three to five times in the past, replacing the added visits with 3D online views of room layouts, online walking tours of the city and more. She uses the same tools to present her plans to clients, producing a faster, more efficient and budgetfriendly event planning process.
It’s a wondrous new world for event planning, but the main wonder continues to be found in the magic of personal interactions.
Sustainability in Event Planning

For company X to stage its annual international dog and pony show in Charleston, SC, a squadron of event planners must descend upon the Holy City from company headquarters, burning fossil fuels along the way.
Once ensconced in one or more of our myriad first-class hotels, they will traipse about the peninsula and beyond, no doubt adding to their carbon footprint along the way. They will patronize a plethora of local businesses, from florists and AV providers to caterers and staging companies, each of whom will transport their paraphernalia to the various venues on the days of the event.
Once the hundreds of guests arrive, also from hither and yon and not likely aboard public transport, they will leave behind a trail of uneaten food, once-admired flowers, tableware, paper products and so much more. Electricity to power the lights and PA system will be provided by Dominion Energy, which derives nearly twice as much of its energy from coal as from all renewables combined. Then, their curiosity sated, their hearts warmed, their bellies full and their knowledge expanded, attendees will disperse back to their many hometowns, perhaps after spending a few extra days enjoying the #1 tourist destination in America.
For companies with an environmental, social and governance initiative, this shatters the ESG balance sheet. Even for those with a less formal environmental conscience, it takes some rationalizing
to accept the drain on Earth’s resources, particularly with the climate in flux, very likely due to human activities, according to a vast consensus of global scientists.
An international standard for sustainable event management, ISO 20121, provides a framework for organizing events in a sustainable manner. It focuses on reducing waste, sourcing locally, and measuring and tracking results.
Increasingly, corporate event planners are asking their Charleston counterparts to demonstrate to them how they will reduce the carbon footprint of their events. Planners, in turn, are bringing those requests to vendors, who have begun to tout their sustainable practices. In a community with little public transportation, there is a limit on how much this is possible, but everyone seems to agree that every little bit helps.
“I love working with a florist that composts or donates their flowers after the event so they don’t just go in trash can,” said Chelsye Harp, owner of Intrigue Design and Events. She cites Roadside Blooms, which promises to source sustainably from locally grown vendors as much as possible, compost waste and donate leftover flowers from events to Amor Healing Kitchen, which provides “nutritious, plant-based meals made with love by teen volunteers to people undergoing cancer treatment.”
Patrick Properties Hospitality Group, owner of the American Theatre, William Aiken House, Lowndes Grove, Fish Restaurant and other venues, has developed a robust plan for reducing their impact on the planet by composting,
reducing food waste, finding and repurposing products across different dishes.

cades of work in Charleston’s event planning industry. He observed most of the initiative originally coming from clients. “The question used to be ‘does your dishware provider recycle?’ Now the question is ‘can we use bamboo plates versus wasting water washing plates?’” he said.
The same level of sustainability detail goes into food preparation, he said.
Clients are asking for more wholesome food sourcing, like wild-caught salmon versus farm raised, which are considered by many to be unhealthy due to pesticides, antibiotics and parasites; cruel to salmon crammed into tight spaces; and anti-environmental. Crosby has
even had clients in fossil-fuel-related businesses asking for a more sustainable event plan.

Event planners are also more aware of the environmental impact of shuttling attendees among venues and activities. Fortunately, the historic Charleston peninsula is largely walkable and boasts a free downtown trolley. For highprofile sites beyond downtown, like Middleton Place, Boone Hall, Magnolia Gardens, Angel Oak,
plans, venue layouts, city maps and so on via the computer screen.
All that said, the bottom line remains putting on an amazing, immersive, memorable show that helps the client meet its needs, said Lawson Roberts, executive producer of Lawson Roberts Events. “People want to perceive value in their event spending.”
Corporate Event Planning Checklist
BEFORE THE EVENT
o Determine event goals and objectives. This is especially important with client events and sales meetings, as it will help you stay on track.
o Identify possible dates for the meeting. Thinking ahead and checking with others on possible conflicts can limit the inconvenience for all parties.
o Prepare a preliminary agenda and guest list to help set the criteria for the venue.
o Prepare a preliminary budget. Unless you manage your corporate event closely, the budget can grow unexpectedly.
o Send meeting requirements to selected sites with requests for written proposals.
Communication is a huge key to your event’s success. Strive for clear communication with attendees, sponsors, vendors and the venue representative. Hot tip:
o Conduct site visits as required. This is important when you’re using the facility for the first time.
o Negotiate hotel rates and blocks. If you use hotel meeting rooms for the event, you could get a significant discount on sleeping rooms.
o Determine preliminary food and beverage requirements and negotiate menus and prices.
o Add any deadlines and other requirements to the timetable.

Plant the seeds of social media early by promoting a hashtag before the event to generate buzz.
60 TO 90 DAYS BEFORE THE EVENT
o Form committees as required. Organizations that have regular events should consider forming standing committees that meet regularly.
o Develop a promotional strategy.
o Do some public relations for the event. Calendar notices, press releases and interviews may all be appropriate.
o For nonprofit or charity events, line up sponsors.
o If you are charging admission to the event, establish
registration fee structures and policies, and be sure to include clear cancellation policies.
o Invite and confirm key speakers. This includes people within your organization.
o Obtain audiovisual needs from speakers and presenters, and order all necessary equipment.
o Review, update and confirm final event budget.
o Identify and communicate on-site responsibility areas for committees and volunteers. Set up training for volunteers and educate them about your expectations.
o Select and order speaker gifts and awards.
o Order special decorations for the event.
o Prepare and order signs. This is another opportunity to build your brand.
o Arrange for travel and housing of all staff and VIPs.
THE DAY OF THE EVENT
o Have a staff and volunteer meeting to review responsibilities, procedures and overlap areas such as registration.
o Confirm and monitor pickup of all rental equipment and supplies.
Use your leverage to get the best out of your vendors. Explain that the event’s audience is invaluable to their business. “Here is what I am bringing you.”
IMMEDIATELY AFTERWARD
o Pack and inventory all material. Many of your collateral materials are reusable — and they’re a big investment.
o Do financial reconciliation. Gather the invoices and make sure you have been billed correctly and that you pay in a timely fashion. Watch expense reports for other costs.
o Write and mail thank-you letters.
o Collect and organize data for final meeting reports. Get evaluations from staff, volunteers and consultants to determine what went right and what needs improving.

Artificial Intelligence streamlines wedding planning

Behind the glitz and glamour of a wedding — the champagne, the cake, the vows, the dance floor — is an exhaustive and tedious checklist: guest headcounts, food allergies, staffing and timelines.
While event planners and D.I.Y. brides have long shouldered the responsibility of planning every last detail of their big day, artificial intelligence-powered programs are now entering the industry with cutting-edge tools that enhance the planning and design for these large events and celebrations.
A.I. programs can save on overall costs by streamlining mundane tasks with efficiency (such as organizing guest counts,
or flagging a last-minute dietary restriction) as well as freeing up time for planners to concentrate on other, more creative aspects of events.
Many A.I.-powered programs have already been built into popular wedding websites like Zola and The Knot, with capabilities that include a registry with a gift tracker, the ability to message all guests about the event and automatically generate thank you notes.
A.I. and ChatGPT help create clear messaging
One of the most popular ways couples have incorporated artificial intelligence into their wedding planning is by using ChatGPT to help create clear and
concise messaging — everything from wedding website information to wording on invitations.
While many couples continue the tradition of mailing out invitations, the past decade has seen a rise in technology incorporated onto invitations, with QR codes that direct guests straight to a wedding website to enter their RSVP and other information, like menu choices. No longer do couples need to spend time receiving RSVP cards or tally up menu options, a task which can be prone to human error.
Jennifer Hughes Cooner, who tied the knot at Lowndes Grove venue in Charleston in 2024, said she and her fiancé used ChatGPT to help streamline several tasks.
“We used ChatGPT to come up with the top (frequently asked) questions to put on our wedding website, and then used it to answer them based on our information,” said Cooner. “We used The Knot to create our website and used their RSVP system to track, gather meal preferences for wedding and rehearsal dinner.”
A.I. image tools help with invitations
Online software programs like Canva offer the ability to create invitations based on text prompts to find artificial intelligence-driven images and graphics.
Customers simply plug in a prompt that matches the mood
or style of their event, like “sunset on the beach,” or “wedding under the trees” and an image and graphics generator searches its database for images that can be used as a background.
The Dream It Print It store in the Citadel Mall in Charleston is an A.I.-powered design & print studio that works in a similar fashion. Customers work on large iPads in store to play around with text prompts to find A.I. images that can be added to invitations and include uploaded images, such as a engagement photos, to create a unique invitation. There are also instant photo effects, filters and more.
A.I. event diagram maker helps envision the space
To see how an event will look with everything laid out, from chairs to tables, A.I. programs like Prismm’s event diagram maker can let you design spaces and layouts, from top to bottom. Planners choose from a ready-touse library of over 10,000 trueto-life 3D objects to quickly create realistic 2D and 3D floor plans to bring their vision to life, saving time and money. This is especially helpful for destination weddings where couples and event planners aren’t able to walk through the space in person.
A.I. helps venues with event staffing
With Charleston being such a major wedding destination, popular venues need to make sure they staff up for peak event season. Some venues are turning to Gigpro, a Charleston-based online staffing solution platform.
Gigpro uses A.I. in a number of ways to connect “gig” staff with companies looking to hire, including A.I. to help with candidate selection and chatbots to answer frequently asked questions.
One success story is Patrick Properties Hospitality Group, which owns and operates mul-
tiple event venues in downtown Charleston, including Lowndes Grove, the William-Aiken House and the American Theatre in historic downtown.
Gigpro announced that Patrick Properties Hospitality Group signed up for Gigpro in September 2021, just ahead of a busy fall wedding season. Patrick Properties needed additional staff to supplement their full-time event staff members, particularly event servers and bartenders.
Year to date, Patrick Properties has used Gigpro to fill approximately 600 shifts for both front of house and back of house positions.
Gigpro is now ranked as South Carolina’s fastest growing company and announced in June of this year it had closed a $16 million Series A funding round.
A.I.
boosts social media
More than ever before, event planners, wedding photographers, florists and more event vendors rely on social media to find new clients. Artificial-intelligence tools, like Clepher, can help create dynamic social media posts and schedule posts to keep up with engagement.
“A.I. has been a beneficial tool in my blog writing. Specifically, Grammerly, which is a useful copy-editing assignment,” said photographer Priscilla Thomas. “Though A.I. doesn’t always get it right, it still makes blog writing more efficient, and it saves me time. And in business, time is a precious commodity.”
A.I.-generated videos created in programs like Capcut and Splice can make a scroll of photos look like a polished movie with music that is trending on social media.
The A.I. wedding dress
Emerging A.I. technology can help with attire selection for the bride, groom and the wedding party following a quiz on
body types, style trends and the formality of the event.
Artificial intelligence in wedding dress selection is similar to how fashion boxes and stylists help customers find their perfect fit through sites like Rent the Runway and StitchFix.
Google Shopping users in the U.S. can now access a virtual tryon experience that realistically displays how an item of clothing will look on a selection of real human models. A.I.-powered www.tryjune.ai helps with event planning styles.
Divvying up wedding tasks
For those feeling overwhelmed by event planning,
there’s A.I.-powered software for almost anything — including how couples can divvy up the tasks for planning their wedding.
Popular wedding website Zola launched their Chatbot GPT-fueled A.I. tool “Split The Decisions” to “help address the imbalance in wedding planning responsibilities — an easy-touse A.I. tool that divides up planning tasks based on each partner’s strengths, preferences and interests.”
And of course, when the event is over, an A.I. generator can help make writing thank you notes a breeze.
Wedding trends: Weekday weddings, elaborate beverage displays

When she started as a bridal hair and makeup artist 23 years ago, Danna Breaux said there weren’t very many large weekday wedding and receptions. If it was a weekday celebration, it was more celebrating elopements or courthouse weddings.
After moving from Knoxville to Atlanta and then Charleston, she noticed an uptick in weddings every day of the week.
“In Charleston, we have weddings every single day,” said Breaux, a hair stylist, makeup artist and owner of Best Day Ever Bridal. “We have so many more Monday through Thursday weddings.”
It’s a trend that matches the rise in weekday weddings across the country. According to popular wedding website The Knot, one in five weddings now takes place during the workweek — and it’s not just because of a cost factor.
Weekday weddings allow couples to secure their dream wedding venues that often book up a year in advance on Saturday nights, especially in in-demand wedding destinations like Charleston.
Summerville resident April Ward said her wedding, held on a Monday night at Creek Club at I'On in Mount Pleasant, allowed her and her husband to hold wedding-related events with friends and family the entire weekend leading up to the big day.
“Friends came to town on Friday and we were able to spend the whole weekend with them and it wasn’t rushed. We
had our welcome reception and my bridal luncheon the previous weekend and got to spend time with people before the big day. Also, during our wedding pictures taken the day of the wedding on The Battery (downtown), there were far less people around than on a Saturday,” Ward said.
Their reception was held Monday evening, so local guests could attend after their work day. Ward said despite the non-traditional wedding day, their guest RSVP count didn’t change.
“The party was at 5:30 p.m. so people locally could just come after work and it worked out fine,” she said. “A lot of people enjoyed having the previous weekend to celebrate with everyone.”
Of course, many couples, especially younger couples, are finding it’s less expensive to have weddings on a weekday — sometimes a third of the cost for the same venue as it would be on a Saturday night.
Ward noted that for budgetconscious couples who bring in catering, guests generally don’t drink as much on a Monday night as a weekend (although her venue had an open bar.) Hotel rooms are also cheaper on a Monday night.
“Every possible way you save money and don’t have to deal with crowds as much,” she said.
In addition to saving money, being flexible with your wedding day can also mean securing an in-demand venue.
“Fridays are (still) pretty popular, but I have had a couple of Monday weddings recently. I think it depends on the popu-
larity of the venue,” said Shannon Oleksak, photographer and owner of Shannon Oleksak photography.
In addition to the venue, wedding experts at The Knot add another perk of weekday weddings: “The chances of you having your dream vendor team increases automatically.”
“We have worked weddings on every single day of the week,” said Candice Hudnall, president and owner of Hamby Catering & Events. “We can trace this
trend back to Charleston being the second largest wedding destination in the country, and with that demand comes folks being more open to book on ‘non-traditional’ days. Second to Saturday, we're seeing both Friday and Sunday weddings gain popularity.”
Breaux said she’s seen couples further shake up tradition with their weekday wedding celebrations by holding the events earlier during the day, like a brunch reception and
even once, a sunrise wedding overlooking the water.
Ultimately, Breaux notes, with Charleston’s laid-back charm and favorite among locals and tourists alike, it’s not hard to convince guests to attend a wedding in the Holy City, no matter what day of the week it is.
Beverage displays are buzzing Easy to grab, easy to sip and wildly Instagrammable — beverage displays, either a wall of champagne or beverage towers, are a trend for weddings in
2025.
That’s according to Patrick Properties Hospitality Group, which runs four popular wedding venues in Charleston as well as a restaurant. It’s not just the displays; extravagant cocktails are also a key feature of the beverage programs requested by brides.
“Beverage requests we’re seeing for 2025 are more extravagant cocktails. Espresso martinis are still a huge trend as well as more elegant wines; we’re seeing a lot of custom requests,” said Brittany Romine, Director of
Marketing with Patrick Properties Hospitality Group.
And cue the roving servers: “People are wanting more passed items,” Romine said.
Tanya Gurrieri, owner of Salthouse Catering, said couples are looking for overall more interactive experiences for guests, like roving oyster shuckers, big pans of paella made in front of guests, or build-your-own dessert items.
“We’ve recently designed a new menu of action station items to meet this demand,” Gurrieri said.
For many brides, food displays are making way for beverage displays.
Romine said past beverage
trends making a comeback include elaborate ice displays and champagne towers.
According to The Knot, couples are getting creative with ice displays, making them a part of the guest experience rather than simply a decorative item.
“Turn your ice sculpture into a shot luge, dessert display, raw bar or beverage dispenser for an interactive element that your guests won't be able to resist,” states a wedding expert.
To follow up with all that revelry, many couples are choosing to include “late night” food and snacks to their reception — burger sliders, French fries or even mini chicken and waffles to keep the party going all night long.
