Big, bigger, biggest
New, larger event spaces open their doors in downtown Charleston By Jenny Peterson
C
harleston is a much soughtafter, world-class location, with a long-standing need for larger event and convention spaces in the downtown area. Having been named to list after list as one of the best places to visit and live, coupled with major announcements by Volvo, MercedesBenz and Boeing for the area, Charleston is seeing the demand for bigger and more varied event spaces grow quickly. “We anticipate the need for larger event spaces and venues based on the increase of new industry in our area,” said Chris Hendrix, assistant director of sales at the Charleston Area Convention and Visitors Bureau. Hendrix said groups looking to

hold meetings in Charleston are asking for “unique spaces that cannot be found in other cities – especially more outdoor venues.” Two new event spaces in downtown Charleston fit the bill: The Cedar Room Cigar Factory and the newly renovated Charleston Gaillard Center. After a $142 million renovation and reconstruction, the stunning Charleston Gaillard Center on Calhoun Street is poised to elevate the city’s reputation as a destination for conferences and special events. Built in 1968, it was designed in the tradition of Europe’s great opera houses. Businesses and corporations can choose among the varied spaces inside the center for business, corpo-

rate or lifestyle events with capacity for 1,850 seated in the Exhibition Hall’s grand ballroom. The outdoor terrace will have capacity for 1,226 seated guests. A manicured outdoor garden and lawn event space can accommodate any type of event. The grand ballroom, can be divided into three rooms with prefunction and registration areas and state-of-the-art audio and visual technology, Wi-Fi and an inhouse food and beverage service as needed. The renovation also includes the Martha and John Rivers Performance Hall – a stunning 1,800-seat world-class, multipurpose theater. The stage will be home to Spoleto
Festival USA and the Charleston Symphony Orchestra and will welcome a diverse mix of performance artists and genres. The Charleston Gaillard Center dedication ceremony will be held Oct. 9. Another new venue in downtown Charleston is The Cedar Room Cigar Factory, a 10,000-square-foot private event space at 701 East Bay St. that opened in September 2015. A concept from Indigo Road Hospitality & Consultation, the Cedar Room Cigar Factory is located above a planned gourmet food retail space called Mercantile and 1,700 square-foot bar called Mash. Built in 1881, the building served as a textile factory, a cotton mill and then a cigar factory. The original
warehouse structure was preserved during renovation. Together, Mercantile and Mash, and the Cedar Room Cigar Factory can host private events and meetings to suit any need. A 3,000 square-foot lit courtyard with a bocce ball court adds to the event space’s appeal. The Cedar Room can accommodate 300 guests for a seated dinner or up to 500 guests for a standing reception and is equipped with an in-house PA system, Wi-Fi services and plenty of on-site parking. Menus are customizable with its in-house food and Mash exclusive beverage services. A number of community events, private events and weddings have already been held at the space, with its exposed brick walls and tall windows offering views of the Arthur Ravenel Bridge and the Cooper River. “These venue options will provide greater inventory for clients requesting an experience that can only be found in the Charleston region,” Hendrix said.

GIVE THE MENU A STARRING ROLE Guests look to food as entertainment
W
ith many workplaces becoming such cool places to be, why should business events be any different? That’s what caterers are finding as they work with event planners on the corporate side. “We had an event with a law firm that had a garden party theme,” says Jill Christy, executive catering director with Cru Catering in Charleston. “We

had snacks hanging from the birdies on the badminton net.” It’s all about the experience, when it comes to serving food and drinks, Christy says. It’s not enough to put trays of food on a big table – the guests want an interactive experience with the food and the drinks. They want face time with the chef, and the chef needs to be involved with the guests. It’s the whole “foodie” thing, ex-

plains Meredith Satterwhite, owner of Three Little Birds catering. “People like action stations. They like seeing the ingredients.” And they want local foods. At every wedding, Three Little Birds gets requests for experiences such as a shrimp and grits station, with the chef there. Satterwhite says they serve a lot of brunches, with staffed stations offering omelets, French toast or pancakes. Here are some other trends in catering: Garden to table: Caterers are hearing about garden to table, and vegetarian options are often requested, Christy says. The look of fresh food is important, and greens are incorporated for a beautiful display. Themes: An event with a theme can help dictate how the food should be served. One company had a throw-
back party, with a bingo-inspired food station. Guests filled squares on their bingo card, with each square representing a different food item. Mission and service: There’s an emphasis on good service as well as good food and a great experience. Christy says when Cru Catering did an opening event for Nordstrom, the company made a request for “greatlooking food with great service,” in line with their mission statement of providing great service for customers. Customization: Corporate clients want a unique menu to fit with their business. This takes some time, with the event planner and caterer collaborating. Cru Catering provided cookies that were shaped and iced like Jack Rogers sandals for one event. Specialized diets: Many events now require attention to diet restric-

tions of the guests, Satterwhite says, whether vegan, paleo, gluten-free, vegetarian or kosher. “If you have 40 people, 23 will have different dietary restrictions,” says Christy. Caterers have built in the capacity to meet everyone’s needs. Environmental and chemical concerns: Guests want to know whether the chicken is hormone-free and whether the food has preservatives. Sometimes clients request that
any paper goods used in serving be compostable. Economics: People are always watching their budgets for food, Satterwhite says, but a knowledgeable caterer can be creative with menus nonetheless. Christy says some clients seem to be opening up the purse strings for catering. Many times they are considering the food as part of the event’s entertainment, which may justify a larger budget. Wedding trends: When it comes to weddings, it’s hard to identify a single catering trend. Some couples want action stations, with a chef slicing meat, grilling sandwiches or cooking up shrimp and grits. But Christy says her company caters many weddings of families coming from the Northeast and other parts of the country. Those clients are looking for a more traditional experience, with meals served at tables where everyone has a place to sit.

1. Brainstorm with the catering director about creative ways to design the menu and present the food. Some of the ideas will be too crazy, but they can lead to new ideas that work. 2. Think about how you want the event to flow. How long will people have to eat? You want to make sure guests do not feel rushed. 3. If food preparation is to be part of the entertainment, make sure the setup allows room for guests to see what’s going on. 4. Presentation is more important than ever. People like to Tweet photos of the event or post them to Facebook. Keep the appearance of the food stations in mind. 5. Match the menu and food presentation to your company’s culture. If your workplace is cool and laid-back, you don’t want a stuffy, formal party. 6. Plan for a variety of dishes. That way, you can be sure to have something that meets every guest’s dietary needs and food preferences.

Marketing an event through social media I n order to generate interest and attention to an event, social media is king. This is especially important to younger generations who are tech-savvy and can spread information about an event to hundreds of others with a simple click or retweet. Event planners are taking note. According to survey results from Meeting Professionals International’s Meeting Outlook: 2015 Summer Edition, 83 percent of respondents said they are tailoring communications about an event around the demographics of their meetings and events. Forty percent of respondents say they tailor every event for the communication styles of various generations. PLANNING CHECKLIST BEFORE THE EVENT o Determine event goals and objectives. This is especially important with client events and sales meetings, as it will help you keep on track. o Identify possible dates for the meeting. Thinking ahead and checking with others on possible conflicts can limit the inconvenience for all parties. o Prepare a preliminary agenda and guest list to help set the criteria for the venue. o Prepare a preliminary budget. Unless you manage your corporate event closely, the budget can grow unexpectedly. o Send meeting requirements to selected sites with requests for written proposals. Communication is a huge key to your event’s success. Strive for clear communication with attendees, sponsors, vendors and the venue representative.

When you choose the menu, look for crowd-pleasing choices. Consider allergies and the need for a vegetarian option. Stay away from seafood, spicy and out-of-season options.

This includes people within your organization. o Obtain audiovisual needs from speakers and presenters, and order all necessary equipment. Use your leverage to get the best out of your vendors. Explain that the event’s audience is invaluable to their business. “Here is what I am bringing you.”
o Review, update and confirm final event budget. o Identify and communicate on-site responsibility areas for committees and volunteers. Set up training for volunteers and educate them about your expectations. o Select and order speaker gifts and awards. o Order special decorations for the event. o Prepare and order signs. This is another opportunity to build your brand. o Arrange for travel and housing of all staff and VIPs.
THE DAY OF THE EVENT o Have a staff and volunteer meeting to review responsibilities, procedures and overlap areas such as registration. o Confirm and monitor pickup of all rental equipment and supplies.
IMMEDIATELY AFTERWARD o Pack and inventory all material. Many of your collateral materials are reusable — and they’re a big investment. o Do financial reconciliation. Gather the invoices and make sure you have been billed correctly and that you pay in a timely fashion. Watch expense reports for other costs. o Write and mail thank-you letters. o Collect and organize data for final meeting reports. Get evaluations from staff, volunteers and consultants to determine what went right and what needs improving. Address any problems that need to be handled after the event is over. Take notes for future events if there are things that need to be done differently.

KEEP AN EYE ON THE WEATHER: Lauren Fox of Fox Events was planning an outdoor event and the client did not want to pay for a tent – despite her recommendation. Inclement weather arrived just hours before the event and no tents were available in Charleston. Fox had to call a company in Savannah. “You really do need to look at the weather 48 hours in advance,” she said. Another suggestion: Clip nametags to a big ribbon at outdoor events. PREPARE FOR SERIOUS EMERGENCIES: Nicole Garrigan, independent event planner, has encountered her share of emergency situations. The best outcomes come with being prepared, she says. She has a pre-convention meeting with venue staff and pertinent vendors. She establishes a protocol for life-and-death situations: call 9-1-1 first and then call her. For other emergencies, call her first. She recommends having someone on the security team trained in basic first aid and CPR. Anytime you have a large group of people together, anything can happen. But, Garrigan said, if you have emergency plans in place, it won’t be as bad as it could be. CHECK AND DOUBLE CHECK: When a transportation vendor didn’t send its normal follow-up confir-
mation, Maryann Hoyt of The Event Cooperative reached out on the day of the event and discovered no driver was scheduled for her event. So she used her connections and found a replacement. “Relationships in this industry can go a long, long way,” she said.

Bringing in the crowd How to hold successful networking events
P
lanning a networking event that is open to the public poses a unique challenge, from ensuring public awareness about the event to creating excitement leading up to it and delivering on the experience. For networking events, the first question is: How do you get people to show up? And, for ongoing events: How do you get people to keep coming back? To see and be seen Phil Yanov is the founder of Tech After Five, a monthly networking event for those in the tech community that draws 150 people in Charleston each month. In order to make each event successful, Yanov said he thinks about why attendees want to go to the event. “I think, ‘What do they want out of this?’ and then I have to make it as clear as I can why they should
By Jenny Peterson come – what’s in it for them,” Yanov said.“‘What’s in it for them’ becomes an opportunity to meet other really cool people in the technology community. Our attendees are the draw for others.” In order to drive home this point, The Tech After Five registration site (through EventBrite) lists everyone planning to attend as well as the companies they work for; this entices more people to come to see and be seen. Monthly events are held at a wellknown downtown bar and restaurant. Each event email explains the simple goal of networking and connecting with those in the tech industry in a no-pressure, networking environment. “We’re not selling anything; we’re just saying, ‘It’s a cool crowd, and if you want to hang out, this is how to do it. We simply remind them of why it’s a benefit for them to attend. We get excellence responses to it.”

Tech After Five is celebrating its fourth year in Charleston with additional monthly networking events now spread out to Columbia, Greenville, Charlotte and Asheville, NC. Getting creative Stanfield Gray is founder and CEO of Charleston’s popular DIG South, The South’s Interactive Festival—a three-day event in April where leading brands meet the newest startups and where participants connect, raise capital, recruit talent and launch new startups. Gray said the goal of the threeday event is also not just to throw a fun event, but also to connect people in the community with meaningful interactive experiences. “How do we make sure we’re inviting the right people and making sure they connect with other people?” he says. “We think of how to create value for the attendee while also hav-
ing an energetic, fun experience in a cool setting with good music.” DIG South plays with format and meeting settings to provide networking situations with the intention of creating more value. Rather than a stuffy room or a dull business meeting that includes swapping business cards, DIG South events are held at new, exciting spaces where entrepreneurs and business community members mingle together in a relaxed environment, Gray said. Short presentations or short messages and pitches from sponsors allow attendees to learn something new and relevant. “We focus on content; content is when attendees are learning something new,” Gray said. “We create the conditions that make you want to be there. You’re not obligated to network with others, but can have a good time and enjoy the opportunity
Business Events & Fundraisers to build a meaningful business experience on top of that.” In addition to the yearly DIG South event, Gray holds several event “mash ups” and “shindigs” per year in order to continue to connect DIG South presenters, sponsors and supporters year-round. Yanov adds that offering attendees at Tech After Five a complimentary alcoholic beverage is also a big draw for attendees. “It’s a little bit of an incentive for them to attend,” he said. Know your audience For both Gray and Yanov, knowing the audience is key to putting on a successful event that people return to time and time again. For DIG South, Gray explains, “We invite a lot of investors and startups that are demonstrating their product or service. We’re setting the table for a good experience and for those who need those important contacts and capital.” Gray said ongoing events through-

Ongoing engagement also includes emails from DIG South and blog posts about the importance of networking along with updates from the startup industry. Above all, planners say, keep it simple. “Everybody’s event can have a different vibe. It’s a matter of knowing your vibe and knowing your audience” Yanov said. “Our event is always about the audience, and we are there to engage them.” He adds, “People are always looking for reasons not to come to an event. They could be doing anything else—they could be at home watching TV, playing with their kids. We make it easy and clear upfront what the benefit is for them to show up. When what you wear means business Tips to stay cool and correct

hen you’re dressing for an event in Charleston, there are two things to consider: what’s proper for the work or social occasion, and what fits the weather. One consideration may certainly affect the other, because so much of the year, it’s hot in Charleston. Lightweight fabrics should be ready in your closet all year, because it’s not unusual to have an 80-degree day in February or November. The last thing you want is to arrive dripping with perspiration at an important company event. So, stay with us here for some ideas that will help keep you cool and collected. Remember that dressing for warm temperatures does not mean dressing more casually or wearing a skimpy outfit. You still need to look professional at business events. Here are some tips for work and business meetings. Men • Fit your dress to the culture of

your company. If you’re attending an event at an unfamiliar company, err on the side of dressing up (a dark suit, white shirt and conservative tie). To keep cool, choose a suit in a tropical-weight fabric, neutral in color. To brighten up neutrals, add a silk tie in a bold color. But don’t go too splashy. Look for a linen blend suit. Pure linen can be cool, but it wrinkles easily. For a business casual event, it’s good to wear a jacket, though it can be a blazer and need not be part of a suit. If you get there and find most guests aren’t wearing jackets, you can always remove yours. Wear dress shoes and – sorry, this is important – socks.
Women • Think layers. You can wear a sleeveless blouse or dress, but add

a jacket or dressy cardigan. The top layer can come in handy if the air conditioning is turned down, as it often is when men are wearing suits. Neutral colors in lighter fabrics are a good choice for skirts, slacks and jackets. Add a blouse in an accent color. You can change the look by changing the blouse and accessories. White, tan, taupe, pale gray or navy are good color selections for warm weather business attire. Dresses should be lightweight fabric but conservatively cut for business meetings. Make sure the fabric is wrinkle-resistant. If you have questions about what to wear, follow the lead of female supervisors in your company. Keep a goes-with-anything jacket, a string of faux pearls or beads and a scarf in your office or car. With these, you can dress up any outfit if need be.
• Wear heels in a neutral color, or dressy sandals – but no flip-flops. If your toes are going to show, make sure your nails are manicured. Here are some DON’TS for warm weather business occasions: • For men: No short-sleeve dress shirts – and never wear them with a tie. • For women: No plunging necklines, spaghetti straps or strapless tops. • Don’t wear loud prints or dress head to toe in bright colors. • If you’re not sure a garment is appropriate, it’s probably good to wear something else. And one more thing: Like most subtropical climates, Charleston’s weather can change at any moment. Be prepared for a sudden shower, stiff wind or drop in temperature. Something new Brides add extra flair for guests to their big day By Jenny Peterson
I
t’s still all about the bride on her wedding day, but many brides are making sure it’s also about the guest experience as well. Games, activities for attendees, even a kids’ area to allow parents to enjoy the event are just a few elements that couples choose to include on their big day. “It’s really about the guest experience and making sure that each guest has an amazing time,” said Lauren Fox of Fox Events. “It’s trying to encompass and include everyone. It means taking into consideration what makes guests the most comfortable.”
That mindset often includes other forms of entertainment, in addition to music, for guests to enjoy. “If it’s not a big dancing crowd, then it’s providing them with another form of entertainment,” according to Fox. Cindy Zingerella, owner of Engaging Events, said some unique guest activities she has seen include late-night food stations, bringing in a food truck or even a local popsicle cart to distribute eats and treats. “Some weddings have had photo booths, live artists, even cigar rollers – it’s having something else going on

after the main dining time and during dancing, in case someone is not into dancing, or the music,” Zingerella said. Lawn games such as bocce and a corn toss have long been popular at Lowcountry wedding receptions, and a new trend has been having a live artist painting a portrait of the reception scene, preserving the special moment on canvas. Christina Baxter, founder and owner of Cibi Events, said a recent wedding incorporated a caricature artist to draw quick sketches of the wedding guests upon arrival and asked them to sign the photo rather
than sign a guest book. Some couples who expect a lot of children at their event have called on Teacups & Trucks, a Charleston company, to provide professional children’s party planning as well as on-site child care. The company provides themed wedding ventures for the children of wedding guests, with activities like arts and crafts, face painting and games so that parents can relax and enjoy the reception. “A lot of brides are trying to create a fabulous experience for their guests; they’re very focused on pleasing everyone,” Zingerella said.

Zingerella adds that dramatic lighting has increased in popularity, with specialized light patterns illuminated on tents and walls. “It used to be that people wouldn’t budget for lighting, but now they’re budgeting for specialty lighting to create a specific atmosphere,” Zingerella said. Wedding diners will appreciate another trend: the special wedding dessert. Once a traditional gathering of guests around a table for a simple cutting of the cake, many brides are now adding more action-packed dessert experiences to their receptions in order to dazzle their guests. “People are doing more petite wedding cakes and having a dessert station with large varieties of des-
serts,” said Zingerella. Baxter agrees: “The cake is getting smaller and smaller, and extravagant dessert buffets with sauces and ice cream are becoming popular. Everybody gets into it, and it’s really fun,” she said. Fox said the guest experience for some brides extends well past the ceremony and the reception. One trend she has seen is elaborate welcome bags for out-of-town guests that go beyond just a bottle of water and area map. “Welcome bags and welcome itineraries are being taken to a new level – from passes and coupons to area attractions and tours, to wedding takeaway gifts inside the bag so guests don’t forget to take one at the end of the night,” Fox said. Fox has seen some unique welcome-bag items including a Moscow Mule kit – with vodka, ginger beer and lime juice, which is very popular in Charleston. Someting New, page 28

Across various social media outlets, hashtags allow guests to post pictures of the event online, and they can click on the hashtag to see posted pictures from others. Many couples display their particular hashtags throughout the reception area. Beyond a traditional photo booth, many couples add photo lounges to their wedding events and technology that allows guests’ photos to be streamed online to social media directly. Baxter said she has worked on

an event that had a live stream on a projector screen behind the band; it displayed real-time posts of the guests’ photos that used the wedding hashtag. “It was like a live show going on,” Baxter said. Fox said wedding hashtags have gone even further towards creating a wedding “brand” for the couple, often with a well-designed logo with the couples’ names printed on cups and linens. “We are doing more branding
in weddings; companies can design your invitations, your logo and develop a theme and use that for everything you do,” Fox said. From games to customized artwork, couples are focusing heavily on enhancing the guest experience in order to provide a truly memorable event. “Brides are always looking for something new and different,” Baxter said. “That’s what makes it special and what makes it unique to that particular wedding.”
