Parental Portal Parents/Carers Guide Introduction: what is the Parental Portal?

In college ProMonitor is used to view, record and track a wide range of information about all our students, such as their personal details, attendance, exam timetable and homework marks. The Parental ProPortal is a place where you as a parent or carer can view much of this information.

Setting up User Details and Accessing the Portal You can access the ProPortal by going to https://proportal.asfc.ac.uk/ProPortal/. When you have done that you will be faced with a screen which asks for your username and password.

After clicking ‘Login’ you will see the name and photograph of your son or daughter. Clicking their name will take you to their personal page. Clicking your email address in the top right hand corner will enable you to change your password. If your son or daughter is in their second or third year at college, you can view their previous years information by changing the academic year. And you can logout of the ProPortal by clicking ‘Logout’.

Learner Details The learner details page shows a students photograph, name, date of birth, ethnicity and gender. Any changes to these details can be made via the student and their tutor.

Please note the following information can only be accessed by your child, who needs to login using their college username and password.

My Timetable

The latest version of the students timetable.

My Exam Timetable

Students exam timetable with the exam period in brackets next to it e.g. January or Summer

My Attendance

Detailed attendance information and statistics, including breakdown of attendance by period.

My Exam Seating (Next 7 days)

If a student has an exam in the next 7 days, the room and seat number will display here.

My Next of Kin Contacts

A list of next of kin contacts we hold for the student. These can only be changed by the student via their tutor.

My Class Teachers with Email

This lists all the students teachers alongside the teachers email address should you wish to contact them.

My Exam Results

A list of the students exam results for the most recent exam period e.g. January or Summer.

Parental ProPortal Authorisation

Student use only. This is how a student authorises and enables their parents/carers to access ProPortal.

Student Email Account

Student use only. A link to their email account.

Survey Portal

Student use only. A link to the survey portal where they complete surveys.

UCAS Personal Statement

Student use only. A document which shows current UCAS Personal Statement progress if applicable.

Markbook Information On the Markbook Information tab you can view your son or daughters markbook for each of their courses and for each year they have studied at the College. To view a markbook, click on the ‘Select a Student Group’ drop down list and click on a class.

For AS and A level courses you will see two tabs, a Summary tab and an Assessments tab. The Summary tab is the most useful as it shows their average mark and current progress grade. Here you can compare the students current progress with their National Average Grade and Target Grade. If the student has input a Target % then the difference between that and their current average mark will be displayed. An explanation of how the current grade is generated is on the back page of this user guide.

The assessments tab shows each individual home work or exam mark.

For vocational BTEC courses, you will see four tabs, a Summary, Units, Assessments and Tasks tab. The Summary tab is the most useful as it shows the overall progress of the student. In class, students complete units which are graded Pass, Merit or Distinction. Each unit grade is awarded a number of points which are multiplied by the weighting of the unit. All these points are added together to make the total unit points. These total unit points determine the students overall grade. A breakdown of the number of points needed to gain each grade is described on the next page of this user guide.

In order to gauge a students progress you should compare the Projected Grade with the their National Average Grade and Target Grade.

The projected points and grade is based on how well the student has done so far, and if they were to continue at that level for the rest of the course, what they would achieve.

Target Setting This page is the target setting section. An explanation of the grades is detailed below: National Average Grade (NAG) - this is the grade based on your child’s GCSE results and national performance data for a subject. The college uses a grade based on A2 performance data calculated by a value added system called “ALIS*”.

Target Grade (TG) - this is the students own target grade for each course.

Students can also set a target % for their home works, and a target number of UCAS points they wish to achieve at the end of the course.

My Attendance and Punctuality Attendance and punctuality are updated daily. A key to understanding the data is below the table.

Reports to Parents Progress Reviews are completed by teachers twice a year and are sent home in the post.

What is ALIS*?

The Advanced Level Information System (ALIS) provides performance indicators for Post-16 students across all sectors of education, both in the UK and Internationally. ALIS uses GCSE data and its own alternative baseline tests as measures of ability, against which to measure. This enables ALIS to provide predictive data and value-added analyses specific to each student and each subject studied.

Appendix A: Grade “Points�

For GCE A and AS level courses, the following boundaries shown on the right apply. These are automatically worked out from homework and test marks that the teachers enter. Please note that early on when there are not many marks in the Mark Book, a very good or very poor result can skew the progress grade making it appear better or worse than it is. Internal assessment marks will be superseded by the outcomes from external module (unit) examinations. Most A and AS courses are assessed by two modules.

In the case of vocational courses, a completely different set of rules apply. The course is marked in terms of Pass (P), Merit (M) and Distinction (D) grades. These are derived from points according to the tables below.
