Membership 2013

Proposed move to a web based Online Membership System (OMS)

Online Membership System (OMS) • During 2012, ASA and WASA invested in moving all their membership online. • Scottish Swimming is currently working with ASA to incorporate Scottish membership online. • OMS will replace the current Club Membership System (CMS).

Online Membership System (OMS) • OMS will be similar in feel and look to ASA/WASA structure but set up to specific Scottish membership requirements, for example: – Categories: Swimmer and Non Swimmer; – Discipline selection; – Data protection choices; – Fee structure; – Scottish Swimming sponsors branding, etc.

Benefits to move to online  Accelerate the processing of annual returns and day to day registrations.  User Name Password Protected for all Clubs  24/7 web access to ‘own’ club information.  Membership fee calculation.  Access to reports.  Ability to view club financial status  Will replace CMS.  Linked to Home Country Membership check and ranking.

Proposed Timeline for OMS • February: Finalise costs and Scottish Swimming technical specifications. • Mar – Aug: System development and testing internally and with selected clubs. • Sep - Dec: Roll out by District with supported training programme.

Development Audit • Carried out by KPMG on behalf of sportscotland • Aim to help SGB’s improve their governance, financial management and operational effectiveness

• A tool for continuous improvement

Development Audit SCOPE: – Governance – Financial Management – Risk Management – Planning & Reporting – HR Management – Policies – Communication – IT

Development Audit Outcomes: • Evidence of Good Practice • Strong Policies and Procedures • Experienced, knowledgeable, passionate staff • Strong Governance • Strong Board of Directors

Conclusion • Aspire to make our members proud to be part of Scottish Swimming. • Membership numbers remain healthy.

• A move to on-line membership will offer the clubs greater access and support with immediate data transfer.
