Since our last newsletter in September, a great deal has happened! We’ve launched FileFinder Anywhere and, already, have hundreds of users using the product day in, day out. It’s actually been one of the most successful product launches in our 30 year history, and feedback from clients has been terrific. Inside, you will find attributed references from upgrading clients who talk about the smoothness of the upgrade; the increased user-friendliness and intuitiveness of the release; and the impact of being able to work from anywhere. We’ve been inundated with orders for the new suite, from both new and existing clients. In the last 3 months of 2014, we received our largest North American contract win since December 2009, won our largest European contract win since October 2013, implemented two systems for Fortune 100 clients and, in December, had our best month for new contract wins since Q3 of 2012. As a result of this growth, we are expanding. We’ve added people (or are in the process of hiring) in our US, UK and Australian businesses. Hires include additional support people, additional trainers, additional account managers and additional project managers. We’ve also moved our London offices to a new, larger facility, with improved facilities for staff and for visiting clients. We’ve also announced plans for our 2015 World Executive Search Congress, which takes place in March 2015. Speakers include thought leaders from in and around the Search industry, and we are particularly proud to be welcoming Gerry Roche to the stage. Gerry, as most readers will know, is perhaps the best known Search consultant in history, having placed CEOs at firms as diverse as IBM, Walt Disney, ATT and Coca-Cola. Other speakers include experts on running Search firms, business development, research, branding and in-house executive search. Multiple delegates from Australia, Canada, Lebanon, the Netherlands, Peru, the UK and the USA have already signed up. – Frequently Asked Questions What is FileFinder Anywhere?
FileFinder Anywhere is a suite of complementary tools designed to allow your users to access your FileFinder database from virtually any device. All of the tools connect to the same database, which means that any change on one device is immediately available on the others. The product is made up of four tools, three of which are FileFinder for Desktop (an upgraded version of FileFinder 10), FileFinder for Mobile (a cut down browser app optimized for small screen devices) and FileFinder for Browser (a cutting edge HTML5 web app that delivers approximately 70% of the core product functionality through a browser). FileFinder for Outlook, the fourth tool, offers two new Outlook Apps that allow you to manage your emails without leaving Outlook. One of the apps is designed to sit inside the desktop version of Microsoft Outlook; the other is designed to sit within the browser version of Outlook.
Is FileFinder Anywhere a Cloud hosted application?
We allow our clients to have the choice. FileFinder Anywhere may be hosted in the Cloud; we use a range of Cloud hosting facilities, including both Microsoft Azure and Amazon Web Services, and these may be found in five countries across four continents. However, subject to suitable technical specifications, clients may also host the product themselves. FileFinder Anywhere also supports data synchronization for clients with multiple offices. Further details on our Cloud hosting facilities are available upon request. If you choose to host internally, additional fees apply for the SSL certificate.

FileFinder for Browser is an optional add-on with a subscription payable. The subscription includes the cost of FileFinder for Mobile and the plugin for the browser/iPad element of FileFinder for Outlook.
Which version of Outlook do I require?
If you are using FileFinder for Desktop only, you will require the desktop version of Microsoft Outlook (versions 2010 onwards). If you are using FileFinder for Browser, you will require the Outlook Web App, which is part of Office 365. To be clear, users using FileFinder on the Desktop do not need Office 365 – this is only required for users wishing to manage emails through the browser. Please note that the cost of Office 365 is not included in the cost of FileFinder Anywhere.
Can I use FileFinder for Browser without FileFinder for Desktop?
No. Currently, approximately 70% of the functionality within FileFinder for Desktop is available in FileFinder for Browser, so FileFinder for Desktop is required. We anticipate the addition of functions to FileFinder for Browser over time, but certainly functionality such as the Research Zone and Web Profiles cannot currently be delivered through a browser for both technical and legal reasons.
Can I use FileFinder on my Mac? What will upgrading to FileFinder Anywhere cost?
If you are currently using FileFinder and have a valid support or subscription contract, we will not charge license fees for either FileFinder for Desktop or for the desktop element of FileFinder for Outlook. In terms of time taken to do the upgrade - if you are currently using FileFinder 9 or earlier, the upgrade is a fairly significant process and may take a number of days. However, if you are currently using FileFinder 10, the process is relatively simple and will typically take in the region of half a day (although it may take longer

Yes. FileFinder for Browser works on a range of browsers, including Safari. Emulation software is not required. If you wish to run FileFinder for Desktop, you will require an emulation tool such as Bootcamp. As mentioned above, at least one user will require FileFinder for Desktop.
How can I upgrade to FileFinder Anywhere?
The demand for FileFinder Anywhere is high and we implement the product on a first come, first served basis. If you would like to upgrade, please have a look at the next page to see your upgrade options at a glance and contact your Account Manager to start the process. Upgrade Options for current FileFinder 10 clients Option 1: Upgrade to the latest version of FileFinder 10 (v10.8.9) Cost: FREE of CHARGE for clients with a current support, development or ASP contract Version 10.8.9 includes some significant speed and stability improvements over earlier versions of FileFinder 10.
Option 2: Upgrade to FileFinder Anywhere Cost: Software (including the new Outlook plug in) is FREE of CHARGE to supported or hosted clients. Implementation time may vary, but £425 / €575 / $650 is typical for smaller clients. The Browser enhancement is an additional £10 / €12 / €15 per user, per month if required. FileFinder Anywhere is the latest version of FileFinder. In addition to benefitting from speed and stability enhancements, users of FileFinder Anywhere can benefit from our entirely new Outlook add-in (provided free of charge) and a number of other product updates. You also have the option of upgrading to the Browser version of FileFinder, which enables users to access key business information through a browser on virtually any device, including the Apple Mac and the Chromebook. Our brand new Web App allows clients with an Office 365 account to access FileFinder via Office 365’s version of Outlook. As a result, companies wishing to upgrade need to fill in the Site Survey and the Upgrade Qualification Forms. The upgrade process also requires data mapping for data migration, which is followed by the test data migration and then the live migration. Training is also required. Once we have reviewed your site survey, we can provide a quote. Please note that a support contract is mandatory for upgraders.

FileFinder update from Dillistone Systems
FileFinder Product Development Alex James, Product Development, looks back on the FileFinder Anywhere release and gives some insights into the development roadmap for 2015. FileFinder Anywhere Product Suite
After an extensive period of testing the FileFinder Anywhere suite is now out of beta and on general release. Key to any successful software release is a rigorous testing program. Typically the final part of a release program is what is known as a beta test. A beta test is where the product is installed and used in a live real world environment. A good beta test should have sufficient participants to cover all main usage scenarios in the system and therefore capture any real world scenarios that had not previously been captured in product testing. For us a beta test is a little more challenging. For example someone that downloads a beta version of one of the popular browsers can easily roll-back to the release version if they are unhappy with the experience. With FileFinder a beta test requires an upgrade to the beta release and an upgrade to the underlying data. Typically it is not practical to downgrade if problems are experienced. We know that for the vast majority of our clients FileFinder is a mission critical application so we knew that we couldn’t start the beta process unless we were very confident that it would be a success. We were also very aware that we wanted to ensure that we could dedicate resource to our beta testers if problems were experienced. Therefore it would not be fair just to upgrade say 50 clients on day 1.. Whilst we would increase the amount of feedback we might receive we would not be able to dedicate enough time to help our beta clients should issues be encountered. Our beta test program was therefore about ensuring that we had a good mix of clients; of different sizes, of different delivery methods (Cloud hosted, on premise etc.) and with different functional specialisms. This did mean that some of the clients that were interested in participating were not able to be included, however we really appreciate their offer to be involved and will certainly consider them for future releases. The beta testing period lasted from the 1st September to the 31st October, involved 8 clients and nearly 100 users. Dillistone created an internal beta team to manage the process comprising of representatives from Projects, Support and Development. Each client was assigned a dedicated Project Manager to take them through the process and technical resource was ringfenced each day to review and deal with any issues that had arisen. The internal beta team met on a daily basis to talk through any feedback from the previous day. Overall the program proved very successful. Feedback mirrored that from our own testing - that we had a solid, stable product that was ready for release. Equally real world testing highlighted some scenarios that we had not encountered and also gave us some excellent feedback on areas that could be improved particularly in relation to the new Outlook apps and this feedback January 2015
from clients was reviewed and incorporated into the LIVE release. I would like to take this opportunity to say a huge thank you to those clients that did participate, all of the feedback was incredibly useful and helped shape the release as we prepared for launch.
2015, what’s next?
For the browser version we will continue to add functionality including, reporting, resume/cv parsing and some administration features. We will also monitor client feedback to see what additions/improvements our clients want to see. The new Outlook apps have been very well received. Nevertheless, we indend to enhance them still further and are keen to hear what additions you would like to see incorporated. Over the last few weeks we have been reviewing the pool of feature requests that have been suggested by clients and these have been weighted by level of client demand, there are a number of ways of doing this but simplistically we are prioritising improvements where several clients have requested the same improvement. A number of these requests are being allocated into releases for next year and we expect changes in the both the desktop release and the browser release as appropriate. Some work is already underway specifically: On all paged lists, the option to go to a specific page is being introduced. We are adding default sorts to all of the lists in FileFinder and also allowing users to set their own preferences. The same is true for code lists, clients will be able to decide just how these lists are sorted i.e. alphabetically or by sort-order. When creating the new Outlook apps we simplified the process of copying candidates to Flex/assignments and marketing campaigns and this approach is being added to the desktop and browser applications. Other areas that we are looking at in the short-term include simplifying workflows to: • Adding employment to a person record, • Viewing/update employment specifically salary information, • Linking logs to Flex/assignments, • The process of adding a candidate directly to a Flex/ assignment. We have a number of further improvements in the pipeline and we will provide updates as these are added to specific releases. Client feedback is critical so please let us know what you would like to see. You can provide this information to the support desk or to your Account Manager.
