Welcome to the September 2016 FileFinder Newsletter 2016 is proving to be a very busy – and highly successful – year for us at Dillistone Systems. The launch of FileFinder Anywhere has led to us breaking several internal records, including the activation of around 800 licences in May 2016 alone. Over a short period, demand for our platform has more than doubled and has meant that we have not been able to upgrade clients and deliver custom report work as quickly as we would have liked. We’ve acted to resolve that – adding project managers, data analysts and support people in recent months – and we now employ more people than at any stage in our history. Nevertheless, we do still face lead times for new clients joining us with data to convert and for existing clients wishing to upgrade. So if Browser-based system access with deep Outlook integration is something you would like to implement for your firm, speak to your Account Manager sooner rather than later! You will find more information about the benefits of upgrading on page 2. While we are training up our new team members, I would like to apologize for any inconvenience caused by our lengthier than ideal lead times. We are not just investing in our team, however. We continue to invest heavily in product development, and this year has already seen a host of announcements including the enhanced Browser App, through our “Search X” re-engineering which has led to dramatic speed improvements to new ways of producing reports, and the next few weeks will see a number of additional updates. First up is our new Client Portal, a tool which will allow your users to access information on live searches under controlled conditions. Client portals have been around for a few years now – we actually launched our first, FileFinder CIM (Client Interaction Module) back in 2003 – but we feel that they’ve now come of age, and our tool is an extremely flexible solution to what is an increasingly frequent request of our clients. You can more details on page 15, along with details of our upcoming webinars showcasing the App. The Client Portal will be quickly followed by the launch of our Mobile App into the AppStore – we are waiting on sign-off from Apple but would anticipate that this will be available to our clients within the next month or so (Mobile access is already available via a Mobile Web App, of course). Away from FileFinder, we are now just weeks away from the World Executive Search Congress. After a successful four years in Las Vegas and Miami, this year’s conference takes place at The Tower of London (as in, the Royal Palace itself – not a hotel!). At the time of writing, we have delegates joining us from 27 countries and it’s likely to be our biggest event ever. How up to date is your FileFinder? In May of this year, we implemented FileFinder Anywhere for over 800 users. These included users at both new clients implementing FileFinder for the first time, and existing clients upgrading from one of our legacy platforms. We now have hundreds of clients and thousands of users on the FileFinder Anywhere platform – but there are also literally hundreds of firms using legacy versions of our applications. If you are using an earlier version of FileFinder, you may be missing out on LinkedIn and Outlook integration, Browser and Mobile access, and a whole host of other efficiency gains. You might be surprised how old your version of FileFinder is!

Upgrade Options for current FileFinder 10 clients Option 1: Upgrade to the latest version of FileFinder 10 (v10.8.9) Cost: FREE of CHARGE for clients with a current support, development or ASP contract. Version 10.8.9 includes some significant speed and stability improvements over earlier versions of FileFinder 10.

Option 2: Upgrade to FileFinder Anywhere Cost: Software (including the new Outlook plug in) is FREE of CHARGE to supported or hosted clients. Implementation time may vary, but £425 / €575 / $650 is typical for smaller clients. The Browser enhancement is an additional £10 / €12 / $15 per user, per month if required. FileFinder Anywhere is the latest version of FileFinder. In addition to benefitting from speed and stability enhancements, users of FileFinder Anywhere can benefit from our entirely new Outlook add-in (provided free of charge) and a number of other product updates. You also have the option of upgrading to the Browser version of FileFinder, which enables users to access key business information through a browser on virtually any device, including the Apple Mac and the Chromebook. Our brand new Web App allows clients with an Office 365 account to access FileFinder via Office 365’s version of Outlook. As a result, companies wishing to upgrade need to fill in the Site Survey and the Upgrade Qualification Forms. The upgrade process also requires data mapping for data migration, which is followed by the test data migration and then the live migration. Training is also required. Once we have reviewed your site survey, we can provide a quote. Please note that a support contract is mandatory for upgraders.

Introducing Office 365 What is it and why does it matter?

?

Since we became the first recruitment or executive search software specialist to provide true integration with Office 365, we’ve been asked many questions. Do you need Office 365 to use FileFinder Anywhere? No, you don’t. Do you still support the “old fashioned Windows Outlook”? Yes, we do. Do you support the browser version of Outlook? Yes, under certain circumstances. Why does Office 365 matter then? Well, that’s a bigger question and one which this short article sets out to answer.

How many devices do you access your work email on? A PC in the office? Mobile phone? iPad? Home Computer – perhaps a Mac? Probably most, if not all of these. The days of only accessing your work email from your desk are long gone. Microsoft recognized this long ago, and made the not unreasonable assumption that – if people want to access email on multiple devices – they will also want to access other documents on those devices – including Word, PowerPoint and Excel. This is the core concept behind Office 365 – it’s Microsoft’s cloud hosted, subscription version of Office. It allows you to store documents (and, obviously, email) in the Cloud and then access it via installed or web versions of all of the different apps. When we developed FileFinder Anywhere we wanted to deliver exactly the same functionality in our core product – and we have. But integration with Outlook was a particular challenge. Take this user case – We want to allow a user to send an email from any device, and have it logged in the FileFinder database and have it visible in Outlook. That’s easy on a Windows PC – you simply ensure that Outlook is installed and talk to it at “client level” (i.e. – one piece of installed software talks to another piece of installed software on the PC) or you simply send the email from Outlook and update it in FileFinder in the same way. We’ve

been doing this for the best part of two decades! The trouble with that approach is that if you want to allow your users to be productive everywhere, you have to accept that Outlook will not be installed on all of those devices. Therefore, you need to find a second way of communicating with Outlook when it isn’t available. We do that using a “Web Service” – essentially this is how our Browser App speaks to your email server in the cloud rather than the software installed on the local device. What this means in practice is this – I can access my FileFinder database via a Browser on my home Mac (or PC!). I can open a record and send an email from FileFinder. It will be visible in both my database and my email app instantly – even if neither FileFinder nor Outlook is installed on this machine. We have a similar challenge with incoming email management. Our highly popular Outlook Add-in on Windows allows us to create records, parse resumes, log emails and review FileFinder data all from inside Outlook. However, we needed a solution for the home worker described above – using a Mac with no FileFinder and no Outlook installed – this had never been done in an executive search app before, and it was something of a challenge! Nevertheless, we created a second version

of our Outlook Add-in which mirrored the functionality found in the Windows app but which worked in the Web version of Outlook. What this means in practice is this – I can view my email inside Outlook on a Browser on my home Mac (or PC!). I can see FileFinder information within Outlook. I can parse resumes, create or log emails or create and open records, even if neither FileFinder nor Outlook is installed on this machine. So, what does all this have to do with Office 365? Simple: ➜ If you have a Business Office 365 account and the latest version of FileFinder Anywhere, we can guarantee you will benefit from all of this functionality.

➜ Don’t’ use Office 365? • If you use Microsoft Exchange Server together with Outlook, subject to configuration, you should still be able to benefit from all of this functionality and at the very least will have access to the “Windows functionality”. • If you have purchased Microsoft Outlook and have it installed on your machine (even if you don’t use Microsoft Exchange as your email server) then you will almost certainly have access to the “Windows functionality” but your browser functionality may be reduced. Now in its fifth year, the World Executive Search Congress (#WESC2016) continues to attract leading executive recruiters, from boutique search firms and international networks to in-house recruiters at major global corporations. After previous events in Las Vegas and Miami, both sides will gather at the Tower of London on 26-27 September to explore how they can prosper together in the new executive search market. For Simon Mullins, currently leading ESIX: Executive Search Information Exchange, a 20-year old network of corporate recruiting function leaders, the battle for executive talent is getting more intense. Having started his career at Korn Ferry before leading Microsoft’s Executive Recruiting team, he sees the future as finding ways for in-house teams and search firms to work together in new collaborative ways in order to accomplish a common goal – to find the absolute best talent. Speaking at WESC for the third time, Simon finds it “a great event from the point of view of what’s going to happen in the future, how we can work together as a community and it’s a great place to network and figure out how we can move forward collectively.” At the same time, we all know that the executive search marketplace has grown very competitive – with thousands of players on the market, it can be difficult to stand out. John Niland of VCO Global will run two sessions during the event – the first to advise how search professionals have to fine tune their relationships with clients to move from simply providing a service to becoming a trusted partner; the second session focusing on ways to add value to the relationship by managing the negotiation between candidates and clients and crafting unique insights. A previous WESC speaker, John describes the event as “a wonderful opportunity to share insights – a fabulous sharing of insights that not only enables you to add value to your clients but actually puts you at the head of the game.” Branding is another important part of the game. John Purkiss is an expert on the topic, being the co-

author of “Brand You – Turn Your Unique Talents into a Winning Formula”. An alumnus of Heidrick & Struggles, he is now running his own search firm Purkiss&Company and will share how to build your own personal brand in order to attract people who want what you do, in the way you do it. “One of the really powerful tools that we use is archetypes, which were developed by Carl Jung”, explains John. “There are lots of creative ways to develop your brand, and that’s what we are going to help you do during my workshop at WESC.” After serving as Research Director with Russell Reynolds Associates, Carol O’Driscoll set up Archer Search in 2012, providing training and development for all levels in the executive search industry, and also working on search assignments across a number of different markets. A regular WESC speaker, Carol will focus on the gap between what clients want and what they really need. In her collaborative workshop, she will explore how to manage clients and exceed their expectations today and tomorrow. Carol thinks that “WESC is really, really valuable. What is fantastic is not only listening to the speakers who are always really interesting, but a real plus point is the networking. I have actually won several pieces of business and made some great business contacts just through talking to people and sharing a drink and learning different ways of working. Product Development Development Director Alex James talks about the latest release of FileFinder which includes a suite of additional functionality for the browser version and improvements to application performance across the board. Product Development

In the last newsletter, I discussed the impact of Cloud Computing and how the browser has become the primary delivery model for Line of Business applications. Dillistone has and continues to invest heavily in the Cloud and with the latest release, we reach a major milestone. We have added significant additional features to our browser version and many users will now be able to use the browser version as a stand-alone alternative to our desktop software. Our browser version supports all modern browsers including Safari on a Mac. Noted below are some of the highlights of the release.

Reporting

Reporting is now available in our browser version. All of our standard reports are available and any custom reports that have been created will also be available. The ability to export to multiple formats including Excel, PDF, RTF is also available as standard.

Resume/CV Import

The ability to import Resumes/CVs is now supported directly from within the browser version. We have also added this feature to our Office 365 app. We have taken the opportunity to review and improve the entire import workflow making the process faster and easier to use. We continue to invest heavily in new product development and we expect to make further announcements in the coming months. Improved Candidate Screening

Directly from inside the Candidates tab, users can immediately see a summary of the information held on candidates including employment history, recent activity, and assignment specific notes. The candidate’s most recent resume/CV can also be accessed from here.

Dashboards

Dashboards are now available from the browser homepage, from the person record and from the Assignment Record. We recently surveyed users and the Dashboards display the most commonly requested information.

Research Zone – Internet Research Module

Internet Research has been added to the person, company and candidate areas. It is possible to search by site or simultaneously across multiple sites. As with the desktop version you can create and share your own Internet Research strings.

Application Performance

System performance has been a huge focus of the last few months and we are delighted with the progress we have made. Performance improvements can be seen across the entire application suite. Look-ups and Searches specifically have been improved as has loading time for most of the list screens. All users will see an improvement and clients with larger datasets should see significant enhancements. All of the above is available to clients now. Over the course of the next couple of weeks, we will be releasing: A brand new client portal allowing firms to share information on assignments with their clients via a secure website. More information on page 15. Major innovations to help firms create powerful attractive client reports directly in Word and Excel. Our Mobile App – already available as a Web App – will be listed in the Apple AppStore shortly.

FileFinder update from Dillistone Systems


Introducing the FileFinder Client Portal Back in 2003, Dillistone Systems launched a first for the executive search industry. The FileFinder Client Interaction Module (FFCIM to his friends) was designed to allow your clients to log in to see assignment type information via the web. We were the first vendor to the Search sector to offer such a tool. It was ground-breaking, and we knew it would conquer the world. But, it didn’t.

Despite lots of interest, very few of our clients actually implemented the App. The general feeling was that it was ahead of its time and so we froze development and concentrated our efforts elsewhere. However, over the last year it has become increasingly apparent that more and more buyers of executive search services are choosing to partner with Search firms that can offer this type of service and, as a result, after extensive research into what our users are looking for, we are now delighted to be launching the FileFinder Client Portal. At the most basic level, the Portal is designed to allow a Search firm to publish specific information on selected

projects to a secure website. The end client may then log in and review that information 24x7. They can review KPI data, documents and candidate information and can even provide feedback to the team managing the Search. The Portal actually comes in two flavors; we have a “standard” product – which can be deployed without programming, but still offers a highly configurable solution reflecting your corporate colours and brand – or a “premium” offering which includes an API – a programming interface against which our clients can develop new portal functionality, should they wish.

We are launching the App at The World Executive Search Congress later this month. If you can’t join us for that event, we’ll also be presenting the new portal during the following webinars which will also introduce some of the other functionality in FileFinder Anywhere.

Integration Between FileFinder Anywhere Technology and Not Actively Looking In May 2016, FileFinder has teamed up with Not Actively Looking, a platform that allows high-level executives to share their resumes/CVs and private information with search firms of their choice without risking exposure on public networks. Users of Dillistone’s FileFinder system that also subscribe to become members of Not Actively Looking will be able to search, access and import details of those candidates who selected to share their profile with them, often without leaving the FileFinder CRM.

FileFinder Database, Documents and Reports Backup and Server Updates The majority of FileFinder clients now take advantage of our Global Cloud Hosting services. One of the benefits of this service is that you don’t need to worry about making backups or server updates – we do it for you! If you are not taking advantage of this service, speak to your account manager – it’s a cost effective option for the vast majority of our clients – but if you do wish to host the data yourself there are certain tasks and responsibilities that you need to undertake. Again, if you are on our Hosted, Hybrid or SaaS platforms you can ignore this! Why should you backup?

There are many reasons why you should backup your database. We have listed some possible ‘disaster’ scenarios below: • Total server / computer / laptop Failure • Hard disk failed • Overheating in the server room • Running out of disk space which leads to database corruption • Theft of server / computer / laptop • Accidental deletion of data

What should you backup?

We recommend that you backup the entire FileFinder directory. This will ensure you have a copy of all your installation and reports files (which may have been customised) as well as the database files. If you have any documents that are not stored in the database, such as linked or indexed files, you should also ensure these are part of your daily backup.

How should you backup?

➜ We recommend you have sufficient backup media to take a backup every night for two weeks without using the same disk or tape. ➜ If you do not have access to tape drives and servers, you should use a CD, DVD or external hard drive for your daily backup. ➜ These tapes or CDs/DVDs should be stored off-site in case of a fire, flood, theft or other ‘disaster’ in the building. ➜ Should something happen to the database server, you will still have a copy of the database and your documents and, in principle, could be back up and running within 24 hours. ➜ There are also other forms of electronic backup you may wish to consider.

Does Dillistone backup our database?

Unless your database is hosted with Dillistone Systems, we will not backup your database or any other files.

What is the difference between the FileFinder backup and the server backup? September 2016

1. FileFinder backup

Your database is normally always running. This means most backup software cannot back it up. Therefore there is a procedure in FileFinder that takes an image of the database every evening. This image is put into the backup folder in your FileFinder directory. You can check the dates on the files in the backup folder located in the FileFinder directory as well as the size of the database compared to your live database as a good indication as to whether the backup is working. We test the FileFinder backup when we install FileFinder. However, once we leave the site, we have no control over the environment, so it is your responsibility to check this backup. If you have a current support contract, we are happy to provide any assistance that you may need.

However, this backup is only on the server, and if your server fails, you would still lose your data.

2. Server backup

You therefore need to backup all the data on your server as described in the above section “How should you backup”. If you do not do this and your server is no longer working / accessible for any reason, you risk losing all your data.

Why do I need to check my tapes / CDs or other backup media? There are several reasons you need to check the data on your backup media: • The software you use for backing up the server may have failed copy the data across to your media • Your tapes / DVDs to other media may be corrupt • You may accidentally be backing up the wrong folders • You may notice that the database is out of date on the media

There are many other reasons you should check this, but it is critical you check your backup media periodically. If you do not check this, you may only find out that your backup has not been working once it is too late.
